Enhance your ability to comply with data retention

Enhance your ability to comply
with data retention legislation
Enhance your data retention and retrieval capability in a secure
and cost effective way.
The challenges
Key features
Data volumes are increasing sharply and legislation
obliges you to retain your data, often for long
periods of time. Large numbers of records need to be
stored daily, weekly, monthly or even yearly; and you
must be able to access them in a secure and efficient
manner when required.
•
Combines proven data compression software with
low-cost, off-the-shelf, small footprint, energy
efficient hardware
•
Capable of storing billions of data records securely
•
Records are available for retrieval within seconds of
being stored and can be retrieved within milliseconds
•
Deletes time expired records automatically
•
Scalable to accommodate the growth of IP traffic for
the foreseeable future
As terrorists and organised criminals take advantage
of cyber space more and more to facilitate their realworld crimes, the data you hold becomes increasingly
valuable to those public authorities charged with
detecting, investigating and prosecuting crimes.
You are required to provide retained data in a timely
manner to the Law Enforcement Authorities (LEAs)
and other government agencies while preserving
its evidential integrity by securely storing and
providing an audit trail whilst also complying with
relevant data protection legislation and any evolving
regulations in the future.
You may need to store tens of terabytes of data for
telephone call records alone. When Internet data
is included, the storage requirement is forecast
to increase exponentially given the anticipated
growth in Internet Protocol (IP) traffic over the
next few years.
This data tends to be fragmented across a number of
systems in the ‘switch-to-bill’ chain and the marketing
domain; locating, correlating and extracting the
appropriate data in response to a LEA request is both
labour-intensive and time-consuming.
Furthermore, at the end of the retention period, you
need to ensure that the data is destroyed.

The solution
Solution benefits
DataRetain™ is our innovative solution to data
retention challenges, enabling users to perform
queries on retained data and store the results to meet
the specific challenge of data storage for retention
purposes. It combines proven data compression
software with lowcost, off-the-shelf, small footprint,
and energy-efficient hardware.
Early start, early payback – functionally rich
application, which can support the majority of required
functionality off-the-shelf, resulting in speed to
compliance, improved service levels and an investment
that will deliver significant payback over time.
It provides a variety of features that support the
provision of responses to retained data. DataRetain has
a web application providing a portal onto the system,
controlling workflow and enforcing business rules for
requests. Audit requests are tracked and access to data
is controlled.
Automation of common, repetitive tasks in the
disclosure process allows a higher volume of requests to
be processed by a lower number of staff, allowing an
efficient disclosure service to be run, thereby providing
a cost effective solution.
The application provides users with the full breadth of
functionality required to run a disclosure service. The
key features are request data entry, workflow control,
result display and audit logging. The application is
fully configurable to meet the business processes and
requirements of your disclosure team.
DataRetain is specifically designed to meet the
scalability challenge. The system has been benchmarked
at load rates of almost 250 billion records per day.
At the same time the system is able to service tens of
thousands of queries based on a real life profile from
an existing client.
Time saving – by storing all data records and
automatically deleting time expired records completely,
minimising the time spent on routine system
administration. Data records are available for retrieval
within seconds of being stored and, when requested,
can be retrieved in seconds. As well as being fast,
compact and highly secure, DataRetain is scalable to
accommodate the growth of data for the foreseeable
future.
Easy to use – a seamless interface between external
agencies and your staff featuring a quick and simple
user interface with workflow management features
that can be easily configured to adapt to your existing
business processes. This enables your compliance team
to provide fast, high quality responses to data requests
with minimal disruption to business operations. Secure
and convenient – any data handed over to enquirers
is fully encrypted via SSL/TLS certification. DataRetain
also enables you to offer authorised third parties direct,
self-service data retrieval in the form of a secure portal
accessed over the Internet. Language options include
English, German, French, Spanish and Italian.
Robust and evidential – high availability solution;
with full back-up and disaster recovery achieved
by replicating all data to a secondary system.
Comprehensive audit of user transactions is maintained
and system administration to prevent misuse, support
auditing and help assure that retained data is of
evidential quality.
Proven solution – we have extensive experience in data
retention with major implementations at several large
organisations. Our client satisfaction scores regularly
exceed 90%.
Our commitment – we are committed to the security
business; it’s what we do and have been doing
successfully for 40 years. We are committed to the
compliance domain of which DataRetain forms a key
part and we will continue to invest to support the
evolving requirements.
