Library Board Meeting

I.
Call to Order
The meeting was called to order by Chair Katherine Egolf at 7:05 p.m.
II.
Approval of October 2, 2014 Meeting Minutes
Motion was made by Ms. Stanfield and seconded by Mr. Golden to accept and approve the October
2, 2014 minutes as written. The Board voted unanimously to approve the minutes as written.
III.
Old Business
Library Board’s Annual Report to the City – A draft of the proposed Annual Report was provided to
the Board and their feedback was requested by the next meeting.
IV.
Monthly Statistics
The Board reviewed the Monthly Statistics report, which in October began the new fiscal year. A new
category has been added tracking the library’s social media efforts.
V.
Director’s Report
A. Personnel Updates
1. Antonia Green was hired for the 35-hour Library Assistant position, working evenings and
weekends.
2. Anna Griffin was hired for the 15-hour Library Assistant position, also working evenings
and weekends.
B. Project Updates
Mr. McMurrin offered an update on the library’s ongoing projects:
1. Collection Development Program – This project is in its early development, with behind the
scenes work on various reports in progress.
2. Adult Volunteer Program – Volunteer tasks have been identified and brief interviews with all
volunteer applicants are being scheduled.
3. Long Range Plan – Strategies are being developed to identify our library values, i.e., where
we are, what do we “do” now, where we want to go and what we want to be known for.
4. Centennial Celebration Group - The group has met and is preparing a display for the front
lobby area to exhibit old pictures and news clippings about Pinellas Park. Additional
memorabilia will be added on the library’s Facebook page, in association with the display.
5. Combined Service Point Group – We are researching a way to combine reference and
circulation services at one service point. The group has met twice.
6. Friends Rejuvenation Group – The Friends provide a fundraising arm to provide items that the
library is unable to afford through the City budget. In the past, the Friends have purchased
computer equipment, a poster printer and shelving for the library. Many libraries, including
most PPLC libraries, rely heavily on support from their Friends groups to support author visits,
special children’s performers, scholarships for conference attendance, etc. The group also
serves as a marketing group, getting the word out about our library and what it offers for the
community. The Friends’ Board meetings are held the first Thursday of each month, one hour
prior to the Library Board meeting. The group is focusing on creating an active board and are
working on a membership drive. Events being discussed include a February book sale and
author visits for National Library week in April.
7. Staff Training & Development Committee – This group will look at options for internal and
external training and has developed a plan for tracking staff training hours.
8. Library Policy Group – The group is currently reviewing three library policies for updates: the
Meeting Room Policy, Computer Policy and the Unattended Children Policy.
9. Sunshine Committee – This group had their first monthly birthday party for October and are
preparing for the staff birthday party in November.
10. Social Media Committee – Since the new launch, the group is currently tracking the activity
of Facebook, Twitter and the book review blog.
C. Library Programs & Events
Ms. Pietras provided a handout of programs offered in November and highlighted a few.
1. National Novel Writing Month - The library is hosting a special writing program during the
month to celebrate National Novel Writing Month. Inspiring writers meet every Saturday
during the month, with a goal to have a working draft of their novel completed by the end of
the month.
2. Bullying Program – Last month we hosted a Bullying event for teens. Community Tampa Bay,
a local based non-profit organization, that provides workshops and training for teens on
leadership and tolerance, came to the library and showed an abbreviated version of the movie
Bully. It was well attended by both teens and adults.
VI.
New Business
Approval of 2015 Meeting Schedule
Ms. Pietras reviewed the proposed 2015 Library Board of Director’s meeting schedule with the Board.
Motion was made by Ms. Hollandsworth to accept the 2015 Board of Director’s meeting schedule as
written and was seconded by Mr. Golden. The Board voted unanimously to approve the schedule as
written.
VII.
Other Business
Board Member Comments
Mr. Golden commented that with the time change, the parking lot is very dark. Ms. Pietras stated that
this had been brought to her attention and she has submitted a work order to have the lighting checked.
Mr. Golden also noted that it would be nice to add up lighting to the sculptures, which Ms. Pietras
noted is under review.
VIII.
Adjournment
Motion was made by Mr. Holmes and seconded by Mr. Golden to adjourn. There being no further
business, the meeting was adjourned at 7:50 p.m.
