Event on Town Property Flow Chart 2016 6-8 Months •Meet with the Town Event Coordinator for Initial Event Request Meeting • Review application files and go over neceassry requeirements at the local and county level 4 months (120 days) •Submit Town of Brownsburg Event on Town Property online Application •Provide suuplemntal documentation •Make sure Certificate of Additional Insured documents are provided •Create a Hold Harmless Affidavit for Vendors/Applicant and Town/Bronwsburg Parks if the APplicanht is assuming all Insurance risk liability •Apply for the Brownsburg Police Department Public Parade and Gather Permit. 3 months •2nd Wednesday of the month - Town Special Events Committee holds application review •Comments received from Town Event Coordinator; Applicanht has 10 days to provide a response. •Condition Sheet is compiled by Development Services upon agreement of applicant response(s). •Upon event approval, applicant may begin "official" promotional campaign. 2 months •Finalize site/logistics needs with Town Event Coordinator. •Ensure that the Public Parade and Gather Permit has been approved. Submit payment to the Brownsburg Clerk Treasurer 1-2 months •Pay for Event pemit with the Town Manager's office, and pick up and pay for any Temporary Use permits (tents or signs) at Development Services). Event Permit $100, Tent $75, Signs $31.25 •At 30 days before an event, there are to be no substative changes to an event made unless in writing to the Event Coordinator. These changes cannot adversesly affect staff or resources. Week of Event •Ensuring all necessary access to roads, logistics, emergency personnel facilities are available and committee volunteers have asignments. Connect with Event Coordinator to ensure that the event is stilll as planned and no changes have been made. Day of Event •Event Coordinator or designated staff will check in to ensure all in in compliance with Town /County ordinances. Event Applicant assumes all responsibility for events and risk should event have emergency needs - and will be required to rely on the Emergency Action Plan as submitted with their Event on Town Property Application.
