Hounslow and Richmond Community Healthcare JOB DESCRIPTION POST: Development Support Administrator GRADE: Band 3 ACCOUNTABLE TO: OD and Learning Advisor KEY RELATIONSHIPS: The post holder will work closely with the Organisational Development and Learning Teams. In addition the post holder will liaise with Trust managers and staff. The post holder will be required to liaise with external bodies such as: ESR colleagues Skills for Health partner organisations including London Boroughs of Richmond upon Thames and Hounslow other NHS Trusts Higher Education Institutions, Health Education England (HEE) Business/contract managers and Placement teams Training providers. JOB PURPOSE To contribute to the delivery of customer focussed Organisational Development and Learning functions, through providing an efficient administrative service supporting a range of training-related tasks. To contribute to the efficient management of internal systems and processes that enable recording of accurate training and professional development related activity, including budgetary record keeping systems, learning and development databases KEY RESPONSIBILITIES Customer Focussed 1. To act as the first point of contact for OD and training related queries, dealing with enquiries from staff and managers in a prompt and customer-focussed manner. 2. To provide a customer focussed support service to all participants and trainers on OD and learning activities. This includes providing up-to-date delegate registers as well as any other materials required for successful running of internal and external training sessions. Administrative 1. Management of the generic departmental email accounts triaging non administrative tasks to relevant team members. 2. Ensure up to date training related information is available on the Intranet e.g. course availability, Induction information 3. To assist in booking and preparation of training rooms prior to training, including organising of equipment and refreshments. 4. To organise and co-ordinate Corporate Induction, Core and Professional skills days in conjunction with the OD Advisor. 5. To coordinate placements of Pre and Post registration nursing, alternative and return to practice placements 6. To maintain the Mentor register to NMC standards 7. To run relevant e-learning training reports from external providers and input the completion information onto ESR OLM to enable capture of completions on WIRED the reporting process. 8. To support the OD and Learning teams with keeping the relevant intranet pages up to date and accurate 9. To assist others in the team as required and provide general administrative support Education and training 1. To support the commissioning and management of HEE provision of training, projects and educational budgets 2. To coordinate placements of Pre and Post registration nurses and organise student meetings and salary support data 3. To maintain the Mentor register to NMC standards and coordinate mentor training and updates 4. To maintain spread sheets of HEI spend and compare quarterly HEI budget returns and support the utilisation of the other education budgets 5. To check invoicing of all training spend, accurate recording of both NMET and corporate training expenditure and all administration relating to NMET funded programmes delivered both externally and internally Meetings 1. Attend and contribute to relevant external centrally co-ordinated user group events aimed at improving Trust use of OLM, such as the OLM SIG. 2.
