Space Planning Committee Meeting Minutes September 14, 2015

Space Planning Committee Meeting Minutes
September 14, 2015
UC202
Attendees: Rosalinda Castro, Chris Steele, Jay Halbert, Kailee Malleck, Katie Plum, Katherine Garrison
1. Working with IT to adopt a Content Management System for space inventory – held a phone
conference with TTU on September 4. Chris and IT are currently doing research into what other
institutions are using.
2. Space Rep Workshop held Friday, August 21 in UC 201- 31 total attendees in two sessions (great
turnout).
3. Annual Space Survey Update: final capacity check still needed for 110’s, 210’s, and 220’s. Started
capacity check today.
4. Predominant Use emails sent out on Friday, August 21, 2015: second round of emails just sent today
(after SPC meeting).
5. Space Representative Survey became available August 17 and is due August 28: Still missing Athletics
Ticket Office feedback. Made about 140 updates based on feedback this year (much better feedback
than last year).
6. Contacted Cindy about submitting her reports. Won’t submit until September 18th.
7. Interviewed two possible candidates for my position on September 8. Jay’s recommendation: Maria
Moore (ASU Business graduate and currently working for Devon Energy).
8. Report to Kevin Conner (IT): Katherine will report all the 210 predominant use information (not
function 22’s) once final changes have been made.
9. Room Updates (some pending from last agenda):
a.
Dr. May wants to re-number all rooms on the 3rd floor of the library. One Space Rep, who heard
about this project, said they were very concerned about cost. My suggested room numbering is
located in the Facilities Management Q drive in the Space Inventory_Business Coordination
folder.
b. Baseball stadium to be turfed and surveyed with new fencing, lighting, and seating inserts.
Separate bid for parking lot and striping. No major construction news for buildings (Duffy). Jay
will be working on several small projects that shouldn’t affect sq ft. Survey of rooms is
attached. Foster Field is currently #912 in FAMIS. A map will be posted soon to the Facilities
Inventory Web site.

Comment [KMG1]: Katherine will renumber these buildings in a clockwise
order before suggesting to Bruce (using
the numbers in red). She will also meet
with Clay to discuss the details of these
buildings for reporting purposes. Kailee
suggests looking at the SBDC building as
reference for accounting for the “year”
beginning use.
MCS 114 –summer, 114 will become a 210— Complete construction and reported to THECB.
Library 3rd floor (B311) – Will not be turned into an office any time soon according to Roselee
Wilson. Multiple faculty left this department over the summer so no need for additional office.

Cavness–abatement is complete and tile in rooms 019 and 023 is now complete! Second floor
tile abatement is scheduled for Summer 2016. Jay is not sure if the next project will include lab
tables (that’s a question for FP&C).
Cavness-Walk-in freezer in basement (008A and 008B) to undergo construction during the next
month or so after emergency unlocking mechanism failed. Jay will remove freezer panels and
refinish rooms and install stand-alone freezers (not walk-in).
Junell Center – Men’s Football locker room (room 123) will be remodeled. Changes include
replacing lockers and flooring and demolishing the south wall (wall that juts into the room’s
space). Notes from Duffy: Lockers have been delivered and are being installed. –Katherine
survey this week and reference the Norris Clubhouse for ideas on how the space was measured
with lockers.
Admin Building – Development Office under construction – completion expected in a month.
Katherine will code these rooms as 060 for this reporting year since they may not be completed
before she leaves the office. Two rooms look like they are going to be combined while another
two rooms look like they will be split into two.
Junell 251A Private hall and seating area: Kailee and I decided to keep this area one room.

Comment [KMG2]: Katherine will code all
rooms as 060 (alteration or conversion
area) for this year. Next year, after any
improvements take place, Space Use
codes will need to be re-verified.
