Otherwise, just scroll down. Click Publisher 2013 Then scroll down and click on “Quick Publications” 2 5/5/2016 NEW PROJECT – TEMPLATES NEW PROJECT – TEMPLATES Click ONCE on “Color Band.” On the right of your screen, you have a preview of the publication. Let’s change some of the options. NEW PROJECT – TEMPLATES NEW PROJECT – TEMPLATES Under “Color Scheme,” click on “(default template colors).” Then click on a new color scheme. I chose “Bluebird.” Next, under “Font scheme,” click on “(default template fonts)”. Click on a new set of fonts for the flyer. I chose “Basis – Arial Bold/Arial.” 3 5/5/2016 NEW PROJECT – TEMPLATES NEW PROJECT – TEMPLATES Next, under “Layout,” click on “Large picture at top.” Now click “Create.” Click on “Large picture in the middle” to change the layout to that design. NEW PROJECT – TEMPLATES Your publication template will appear in the main window. NEW PROJECT – TEMPLATES If you hover your mouse cursor over the center of your publication (but don’t click), the photo placeholder will appear. It won’t print the placeholder unless you place an image there. 4 5/5/2016 THE RIBBON THE RIBBON – GROUPS (SIMILAR TASKS) •The “Ribbon” is the set of menu options at the top of your screen. •Similar tasks are grouped together. •Here is the “Objects” group, where you can add text boxes, pictures, tables, and shapes to your publication. THE RIBBON – TABS THE SIDEBAR •Menu options at the top let you select other sets of activities to display on the Publisher Ribbon. • The sidebar shows all of the pages of your publication. • Once you have more than one page, you can click on the thumbnail image of a page to jump to that page. • You can also drag and drop pages to reorder them. 5 5/5/2016 ZOOMING IN AND OUT • At the bottom of your window is a slider bar you can use to zoom in or out of the view of your publication. • Zooming in lets you see your publication bigger. • Zooming does not change the printed size of your publication. MAKING A FLYER FROM A TEMPLATE Move your mouse over the letters in the word “Heading” and click the left button. YOUR PUBLICATION • This central pane shows the page of your publication you are currently working on. • You will edit the content of your publication here. ADD TEXT TO A PLACEHOLDER Type “Craft Sale”. Now, move your mouse cursor off into the grey area next to your publication and click the left button to de-select the text box you typed in. You will see its outline vanish. 6 5/5/2016 ADD A PHOTO TO A PLACEHOLDER Move your mouse cursor over the image of the photo in the photo placeholder and click the left button. To insert a photo, you need to click on the photo icon, not just on the empty box or dotted outline. ADDING A PHOTO FROM YOUR COMPUTER It may take a moment for this window to come up. When it does, look for “From a file,” and click If it is taking too long, you can also “Browse.” click “Work Offline” for this step. ADDING A PHOTO FROM YOUR COMPUTER ADDING A PHOTO FROM YOUR COMPUTER Alternately, if your computer isn’t connected to the Internet, this page will come up. To add a photo from your computer, click “Work offline” Publisher will take you to where the photos are stored on your computer. Scroll down, click the “pumpkin” photo, then click Insert. 7 5/5/2016 RESIZING A PLACEHOLDER TO FIT A PHOTO PICTURE OUTLINES The photo is a little bigger than the placeholder. Move your mouse cursor into the grey area next to your publication and click to make the outline disappear. You can do some adjusting if needed, but you want your photo to be the same size and shape (portrait/landscape) as the placeholder, because if you change the placeholder too much, it messes up the text placement. ADDING TEXT TO A PLACEHOLDER ADDING TEXT TO A PLACEHOLDER Next, move the mouse cursor over the text beneath the photo. Click the left button. The text will become highlighted and a font menu will appear. Type your information in the box: Elm High School Gym May 25 1-5pm (Hit the Enter key to move from one line to the next.) The text will be centered automatically. 8 5/5/2016 DESELECTING A TEXT BOX Now click in the grey area next to your publication to de-select the text box. Then you won’t accidentally change it. PRINTING Click Print PRINTING Click on the File tab PRINTING Select your options (printer, number of copies, etc.). Then – you would click “Print,” but today we’ll click the arrow-in-a-circle to cancel and go back to Publisher. 9 5/5/2016 SAVE YOUR PUBLICATION • Do not work on a project for long without saving. SAVE YOUR PUBLICATION 1. Click the disk icon • Autosave in Publisher will save for you every couple of minutes, so if you save early, you won’t lose your whole document if your computer unexpectedly shuts down. Ctrl-S Keyboard shortcut SAVE YOUR PUBLICATION 2. Choose a place to save (let’s select the desktop) SAVE YOUR PUBLICATION 3. Name your document 10 5/5/2016 CHOOSE A DIFFERENT FILE TYPE - OPTIONAL SAVE YOUR PUBLICATION Click into box next to Save as Type Click to choose file type. PDF is a good choice if you (a) don’t know whether the person to whom you’re sending the publication has Publisher and/or (b) don’t want the recipient to be able to edit the content of the publication 4. Click Save MORE OPTIONS FOR SAVING Click File tab SAVE OR SAVE AS? • When you first save a document, the Save As dialog box will automatically come up. • After this, the file will automatically save itself in the same file just by clicking the save (disk) icon on the Quick Toolbar. • If you want to create a second, different, version while still keeping the first, you must Save As again, and give document a different name. 11 5/5/2016 NEW PROJECT – TEMPLATES Click on the File tab. Click Blank 8.5 x 11” On the page that opens, click “New.” CHANGING PAGE ORIENTATION CHANGING PAGE ORIENTATION •Click on the “Page Design” tab •Your page is now oriented long side down – Landscape. 1 2 3 •Then click on “Orientation” •Then click on “Landscape.” 12 5/5/2016 LAYOUT OPTIONS PAGE PARTS •Publisher offers some pre-designed elements you can add to your publications, even if you aren’t using a template. •We’re going to use some of them to make a flyer for a spaghetti dinner at a hot air balloon festival. •Click on the Insert tab •Then click on Page Parts PAGE PARTS PAGE PARTS •Look for the “Sidebars” section •Click on the 5th choice 1 •You may need to scroll to see it 2 1 2 •Your publication now has a “page part” on it – a predesigned layout element you fill with your own content. •However, it shows up plopped in the middle of the page – not attractive design. 13 5/5/2016 PAGE PARTS PAGE PARTS There isn’t anything magic about page parts – they are made up of pieces you also have access to. They’re just already put together. This is what the fancy page part looks like when we take it apart – two text boxes, a picture, and a shape. SELECT THE PAGE PART PAGE PART-ALIGN 2 1 Click on the page part 3 Look for handles on your page part (an outline with dots on the sides and corners). If you don’t see them, click on your page part to select it. Click on the Home tab. Find the Arrange menu section, then click “Align.” Click on “Relative to Margin Guides.” This tells Publisher what we want our Page Part to line up with. 14 5/5/2016 PAGE PART-ALIGN PAGE PART-ALIGN 2 3 1 (Still on the Home tab.) Click “Align.” Click on “Align Left.” Your Page Part will jump to the left margin. PAGE PART-ALIGN Next, we will move the page part to the top of the publication. Look for handles on your page part (an outline with dots on the sides and corners). If you don’t see them, click on your page part to select it. PAGE PART-ALIGN 2 1 3 (Still on the Home tab.) Click “Align.” Click on “Align Top.” Your Page Part will jump to the top margin. Next, we will change the size of the page part so that it goes from the top to the bottom of the page. Look for handles on your page part (an outline with dots on the sides and corners). If you don’t see them, click on your page part to select it. 15 5/5/2016 PAGE PART – CHANGING SIZE Click on the Picture Tools – Format tab. Locate the “Size” section on the right side. PAGE PART – CHANGING SIZE On the Format Object menu, make sure the Size tab is selected. Click to put a check mark in the box next to “Lock aspect ratio.” PAGE PART – CHANGING SIZE Click the small box-and-arrow icon in the Size section. This will open the menu with additional options for size. WHAT DOES “LOCK ASPECT RATIO” DO? Original Height resized but aspect ratio not locked Height resized, aspect ratio locked Clicking “Lock aspect ratio” tells Publisher to change the height and width proportionally, rather than only stretching the shape in one direction. This is very important to do when you’re working with photos, or your photos will look distorted and stretched. 16 5/5/2016 PAGE PART – CHANGING SIZE Highlight the number next to “Height.” (You can do this by clicking on it three times fast, or by dragging to highlight it.) Type 7.5 in the box. Click OK. PAGE PART – CHANGE THE PICTURE Now, make sure your page part is selected. If it isn’t, click the blue part to select it. Move your cursor over the blackand-white photo and click. You should see a second set of handles appear around the photo. (If not, try clicking again) PAGE PART Now your page part goes from top to bottom on the page. We put 7.5 in because standard margins are .5 inches in Publisher, and 7.5 plus two .5-inch margins makes 8.5 inches (the dimension of the paper). PAGE PART – CHANGE THE PICTURE Still on the “Picture Tools Format” menu … Find the “Adjust” section of the Ribbon. Click on “Change Picture.” Then click “Change Picture” in the dropdown menu. 17 5/5/2016 INSERT PHOTO FROM YOUR COMPUTER It may take a moment for this window to come up. When it does, look for “From a file,” and click If it is taking too long, you can also “Browse.” click “Work Offline” for this step. INSERT PHOTO FROM YOUR COMPUTER Publisher takes you to where photos are stored on your computer. Click “balloon,” then click “Insert.” INSERT PHOTO FROM YOUR COMPUTER Alternately, if your computer isn’t connected to the Internet, this page will come up. To add a photo from your computer, click “Work offline” INSERT PHOTO FROM YOUR COMPUTER The balloon photo is now on your publication, and the previous photo goes onto the (desktop) in case you need it for another area. 18 5/5/2016 PAGE PART – CHANGING TEXT Now click on “TITLE TEXT.” One click will highlight it and open font options. Type “hot air balloons” (it will automatically be in all capital letters). PAGE PART – CHANGING TEXT SIZE Click on the Text Box Tools Format tab Click on the arrow next to 10.5 to open the font sizes dropdown menu. Then click on 24. PAGE PART – CHANGING TEXT SIZE Click in the blue area of your Page Part. Then click on the small text to highlight it (you can also click and drag to highlight it). PAGE PART – CHANGING TEXT Your text is still highlighted, and it is now in 24-point font size. Type: 6pm Glow 7pm Launch 8pm Dinner (Use the Enter key to get from one line to the next.) 19 5/5/2016 PAGE PART – CHANGING TEXT Now the page part is lined up on the left, top to bottom, with readable text listing the schedule. ADDING A FRAME TO YOUR PAGE In the Borders & Accents menu, scroll down to the “Frames” section, and click on the thin blue border. (“Border 2” is its name) ADDING A FRAME TO YOUR PAGE Click on the Insert tab. (It’s ok if your page part is still highlighted.) In the “Building Blocks” section, click on the Borders and Accents button RESIZE THE FRAME We have a frame, but it’s tiny – only 3 inches by 3 inches. Click on the Drawing Tools Format tab 20 5/5/2016 RESIZE THE FRAME Find the Size section on the right. Click on the height (3) and type “7.5”. Hit Enter. Click on the Width (3) and type “10”. Hit Enter. ALIGN THE FRAME (Still on the Drawing Tools menu, with the Frame highlighted.) Click Align, then click Align Top. Click Align again, then click Align Left. Your Frame will be off center; we will fix that next. ORDER The Frame is aligned, but it’s in front of the Page Part. Make sure the Frame is selected. Do you see handles on the corners and sides? If not, click on the Frame. ORDER Publisher treats different graphics as though they are stacked on top of your publication. We need to reorder the stack to make it look right: From this: To this: Frame Page Part Page Part Frame Background Background 21 5/5/2016 ORDER ORDER With the frame still selected, and still on the Drawing Tools Format menu … Click on the words “Send Backward.” Click “Send to Back.” Watch the where the orange border is over the blue Page Part while you click “Send to Back.” ADDING WORDART TO YOUR PAGE Click on the “Insert” tab. Then click “WordArt.” (It’s ok if your Frame is still highlighted.) Now the frame is nicely tucked behind the page part. ADDING WORDART TO YOUR PAGE Click this selection on the WordArt menu. 22 5/5/2016 ADDING WORDART TO YOUR PAGE The WordArt text box will open. The sample text is highlighted, so you can start typing without clicking to highlight. Type “Spaghetti Dinner” and click OK. ADDING TEXT FROM A FILE TO YOUR PAGE Now, click into the white space in the middle of your publication. (Look for the cursor flashing in the middle of the white). ADDING WORDART TO YOUR PAGE Your flyer says Spaghetti Dinner, but it’s in an awkward place. Click and drag it near the top of the white area so it looks nice. (Instead of clicking and dragging, you can hold down the right and up arrow keys to move it – just not both arrows at the same time! ) ADDING TEXT FROM A FILE TO YOUR PAGE Still on the Insert tab … Click on “Insert File.” 23 5/5/2016 ADDING TEXT FROM A FILE TO YOUR PAGE Click on “Documents.” Then click on “Sample text for publisher flyer.” Click OK FORMATTING TEXT ON YOUR PAGE The text appears, but it’s a little plain. Let’s change the formatting to make it more readable. ADDING TEXT FROM A FILE TO YOUR PAGE It takes a moment or two for Publisher to convert the Word file into text it can use. FORMATTING TEXT ON YOUR PAGE Highlight the text in one of two ways: 1. Click after the word “Society” and drag your cursor to the top Or 2. Click somewhere in the text block. Hold down the CTRL key on your keyboard and tap the A key. 24 5/5/2016 FORMATTING TEXT ON YOUR PAGE With the text still highlighted in black, Click the “Text Box Tools Format” tab FORMATTING TEXT ALIGNING TEXT IN A TEXT BOX With the text still highlighted in black, Locate the “Alignment” area of the Ribbon. Click the “Align Bottom Center” button. INCREASING TEXT SIZE Click on the down arrow next to the Font Size selector, and then click on 24. The text is aligned at the bottom, but it is too small. Let’s fill up some of that space. 25 5/5/2016 FORMATTING THE TEXT ON YOUR PAGE Text is centered, at the bottom of your page, and big enough to read easily. It is also still highlighted. ADDING A PHOTO FROM THE WEB Click in the Bing Image Search box and type “spaghetti”. Hit the Enter key or click the magnifying glass. ADDING A PHOTO FROM THE WEB Click the Insert tab, then click Online Pictures ADDING A PHOTO FROM THE WEB Click the first image (notice the check in the checkbox) and then click the Insert button. 26 5/5/2016 MOVING A PHOTO ON YOUR PAGE MOVING A PHOTO ON YOUR PAGE It looks … okay … there. But let’s try it down in the bottom right corner. Click and hold on the spaghetti and drag it to the bottom right corner. OR Click on the spaghetti and use your arrow keys to move it down and to the right. ADDING A BACKGROUND TO YOUR PAGE Much better! ADDING A BACKGROUND TO YOUR PAGE Click over to the “Page Design” tab Now click on Background (near the right side of the Ribbon). Click on a color that is dark enough to see easily. I chose this blue. The blue looks pretty, but it didn’t change the white background of the spaghetti image. 27 5/5/2016 REMOVING PICTURE BACKGROUNDS Click on the spaghetti image to highlight it (look for the handles). REMOVING PICTURE BACKGROUNDS Click on Recolor Now click on the Picture Tools Format tab. Now click on Set Transparent Color REMOVING PICTURE BACKGROUNDS SPAGHETTI DINNER FLYER Your arrow cursor will change to this shape. Move the cursor point overtop of the white on your spaghetti image. Click on the white area. Done! 28 5/5/2016 ADD A PAGE TO YOUR PUBLICATION Sometimes you will want to make a document that is more than one page long. You can either add a blank page or duplicate an existing page. ADD A PAGE TO YOUR PUBLICATION In the “Pages” section, click on the word Page (not on the image) Click the Insert tab You’ll see 3 options: Insert Blank Page, Insert Duplicate Page, and Insert page. Click Insert Page. ADDING PAGES ADDING PAGES The Insert Page menu opens. Here, you can insert new pages before or after the page you have selected (we only have one page right now). You can also decide whether new pages are blank or have some content added automatically. Click the button next to “Duplicate all objects on page 1.” Then click OK. 29 5/5/2016 ADDING PAGES OTHER PUBLICATIONS A second page has been added to your publication. You can see the thumbnail for it on the left “Pages” sidebar.This is useful if you’re making a multi-page document where some of the layout and/or content is carried over from one page to the next. Publisher is also good for many other types of desktop publication. Let’s take a quick tour of some of them. OTHER TEMPLATES OTHER TEMPLATES Click on the File tab. Click “Built In” On the page that opens, click “New.” 30 5/5/2016 OTHER TEMPLATES Notice there are many options here for pre-designed publications – award certificates, resumes, newsletters, etc. Click “Brochures.” BROCHURE TEMPLATES You have many different choices of installed templates for tri-fold brochures. Click any brochure, then click “Create” on the right-hand side. BROCHURE TEMPLATE BROCHURE TEMPLATE To edit a brochure (or any other Publisher template) you click in the text box placeholders and type your own text, just as we did on the one-page flyers. The Pages sidebar shows the two different pages (sides) of the brochure. 31 5/5/2016 PUBLISHER OVERVIEW Publisher allows you to do all sorts of desktop publishing projects, with templates available covering flyers, brochures, resumes, menus, newsletters, and much more. It is available on the Library computers for you to experiment with. I hope you will have fun with it! 32
