Payroll FAQ For the most part this information can be found on the website: www.Jubileeacedemiccenter.com If you need help, please call the business office. 1. When do I get paid? Paydays are a bi-weekly basis (every two weeks) as per our pay schedule posted on the website. Exception: If a scheduled payday falls on a holiday, the payday will occur prior to the holiday. 2. What days does my paycheck cover? These are noted on the copy of your pay check and wage and earnings statement which can be accessed through Employee Access found on the website under the connection center. 3. Where do I pick up my pay check or Wage & Earnings Statement? Checks can be picked up at the Business Office on the scheduled pay date. Wage & Earnings Statements are emailed or can also be accessed on the Employee Access on the Jubilee website. 4. What is Employee Self- Service? Employee Self-Service is a convenient, secure, and user-friendly resource that gives employees and substitute’s online access to their information. It is a tool that will provide employees more control and making changes personal information. From any computer with Internet access, employees may login to Employee Self-Service at their convenience to access information including calendar year-to-date information, current pay information, deductions, earnings, leave balances, and W-2 information. 5. I forgot to pick up my pay check from the Business Office on payday, where is it now? Any checks that are not picked up by the employee will be mailed at the end of the day. Note: During the summer and any other time when schools are closed on paydays, the checks will be held at the Business Office and the Wage & Earnings will be emailed. You must come in to pick up your check. 6. Is there a way that I can receive my pay earlier? If you the direct deposit service, funds will be available the day prior to pay date. 7. How do I know how much leave I have? Your leave balances are printed on your Wage & Earnings Statement and/or check stub. You can also access your leave balances on Employee Access on the website. 8. How many sick/personal days do I earn? Employees receive personal days based on the number of months employed, up to a maximum of 2 days of leave per school year and Employees also receive 4 sick days. 9. What is TRS Salary Red and TRS Insurance on my paycheck? The total amount of your TRS deposit contribution is displayed under TRS Salary Red. The total amount of your TRS insurance contribution is displayed under TRS Insurance. 10. How do I get a copy of previous Wage & Earnings Statements? Employee Self-Service will allow employees to view and print a copy of their Wage & Earnings Statements. This payroll information will remain online so you can view and print copies of your statements at any time. You can also receive a paper Wage & Earnings Statement 3 business days prior to requesting a paper copy. 11. What does it mean to annualize my pay? This is a process of spreading employees’ annual salary equally over all periods in the fiscal year. For example, an annualized employee’s works less than 12 months but their salary is spread over 12 months. The district pays all exempt employees over 12 months regardless of the number of days employed during the school year. Non-exempt employees are paid over 26 payments regardless of the number of days employed during the school year. Employees that separate after the last day of instruction will continue to receive paychecks through the end of the summer. 12. When do I get paid overtime or extra duty? For purpose of compliance with the Fair Labor Standards Act, the employee work week shall be from 12:01 a.m. Saturday to 12 midnight Friday. Employees will receive overtime pay at the rate of 1 ½ times their regular rate of pay for all hours physically worked over 40 in a workweek. The overtime is paid on the pay date that the workweek ends. Note: Employees classified as “exempt” do not qualify for overtime under FLSA. All overtime pay MUST be pre-approved by your supervisor. 13. How do I change my allowances of exemptions for federal taxes? Employee Access will allow you to change your exemptions. A W-4 form must be completed for Federal Tax and audit purposes. These forms must be sent or delivered to the Payroll Department. Once the forms have been approved, the change in exemptions will take place. 14. How do I sign up for direct deposit? You can conveniently sign up for direct deposit through Employee Access. After submitting your bank account information, bring a “voided” check or bank verification of your checking or savings account and routing number. After the information has been reviewed and verified, you will be set up on direct deposit. 15. How do I change my bank account information that I currently have on file? Submit a new direct deposit form to payroll or you can make the change though Employee Access from the website. 16. Can anybody else pick up my payroll check? If so, what do I need to do? Yes. You can have someone else to pick up your paycheck on pay day. You will need to submit a Check Release Authorization Form and submit it to the Payroll Department. The individual picking up your check will need to show valid identification before your check is released. 17. What do I do if I lost my W-2 or never received my W-2? Employee Access will allow you to view and print a copy of their W2 form. This pay information will remain online so that you can view and print copies of your W-2’s at any time. You can also receive a paper Wage & Earnings Statement 3 business days prior to requesting a paper copy. 18. Who do I speak to regarding my deductions? Human Resources Department. 19. My doctor is putting me on extended leave. Do I notify payroll? A doctor’s note must be submitted or delivered to the Payroll Department prior to the leave. Employees who are out on leave will not be paid for the duration of this leave. 20. Is there a limit to the amount of personal/sick leave that I can rollover to next year? Employees who do not take sick/personal leave may rollover any unused sick/personal leave days. Up to the maximum of 30 days may be accumulated. 21. I recently changed my name and/or moved. How do I change that information with the district? You can access Employee Self-Service to change this information. Human Resources will approve the changes as soon as submitted. You will need to make a copy of your new Social Security card to HR as well. The changes will appear on your check when a copy of the SS card is received the request is approved by HR. 22. Can I have more than one bank account number? Yes. Employees are allowed to have more than one bank account assigned. 23. Are holidays paid? No. Holidays are not paid. 24. I think my pay is incorrect, who do I contact? Contact your supervisor. Once it has been determined that the pay is incorrect, the supervisor will contact the Payroll Department to set up an appointment to discuss the issue. 25. I am resigning from Jubilee Academic Center, Inc. Do I contact payroll? Absolutely. Payroll needs to receive a resignation letter from you with the effective date. 26. Can I opt out of TRS? No. Employees cannot opt out of these deductions because they are mandated by the State of Texas. This is not optional as long as you work in the Texas Public School System. 27. How can I change my taxes being withheld? a. Sign into your Employee Access b. Change your exemptions c. Submit a new copy of the W4 to the Payroll Department. The W4 form can be found on the Jubilee website. 28. Do I get overtime when there is a holiday during the workweek? No. Overtime is only paid when reaching over 40 hours worked in the workweek for non-exempt employees. Any hours worked beyond the normal workday, but not overtime, will be paid at you r regular rate. 29. What do I do if I forgot to clock in or clock out? Contact your supervisor to let them know the date and time that you arrived or left work. This is a mandatory process for non-exempt employees. Payroll will only pay for the time you indicated you worked. 30. How do I clock in if I am working off campus? Contact your supervisor to let them know the date and time that you arrived or left work. Employees must have prior approval from their manager before using an alternative method. You may also use the request function if you your leave is planned ie professional development 31. What happens if I use all my sick and personal leave? In the event that you take leave and have exhausted all of your available leave time, your leave will reflect a negative balance which will then dock your leave taken at your daily rate.
