ELECTRICAL REGULATION
- Mestalla is the exclusive provider of electrical connection (power supply). See
Exhibitor Ordering Conditions & Guidelines4.
- It is mandatory for all the exhibitors having a booth on the congress to hire the
power connection with Mestalla. Mestalla will be the only authorized company to
provide wiring for switchboard from the venuemain sockets.
- The electrical connection for Shell Scheme booth is included in the basic package.
- The Standard outlet location is in the back of the booth. If a non – standard location
is required please send us the accurate draw.

*Mestalla has been selected the official stand builder of the 2nd European Society
of Aesthetic Gynecology World Congress and the exclusive provider of shell
scheme booths and power connection as well.
Exhibitor Ordering Conditions & Guidelines
1. All services are provided as rental. The exhibitor will be responsible of any
damage caused to rented items. All item/services prices apply for the
congress: 3 days.
2. At the end of the event, all rented items will be removed from the stand
space. MESTALLA is not responsible for items left behind by the exhibiting
company.
3. Due to stock fluctuations Mestalla reserves the right to substitute any rental
item or service with a similar product.

5. Payment conditions &options:

Full payment is required before services are provided. Orders
without full payment will not be processed and service will be

Billing of VAT: As of January 1, 2012, companies not established in
European Union Territory are exempt from VAT. As a result, these
companies will be invoice with 0% VAT. In the event that the
Company is within the EU would not apply the VAT, but only if it

Cancellations: The refund of services or rentals will not be
granted after May 10th, 2017.

Third party billings: exhibitors may request for a third party to be
invoiced for services provided by Mestalla. In doing so the
exhibitor understands and agrees said exhibitor is ultimately
financially responsible for all Mestalla provided services. If an
exhibitor´s third party has any outstanding balance at the end
of the show, all charges will revert to the exhibitor.
6. Every materials used for Shell Scheme Stands are Reusable, Mestalla will be
responsible of the Dismantling & Recycling of thematerials.
7. For Exhibitors building up their own booths: Exhibitors (Sponsors/Constructors)
will be responsible of the dismantling & recycling of the materialsused.

SPECIAL SET UP CONDITIONS:
1. Access to the meeting rooms will be provided through the doors indicated
by the Hotel.
2. For Exhibitors building up their own stand, it is mandatory to cover the hotel
flooring with fireproof carpeting or boards and plastic to avoid damaging
the existing marble and carpets, before to start setting any booth or
decorative structure.
3. It is not permitted to nail or stick any material to walls, doors, curtains,
furniture, ceilings, nor to any of the Hotel’s decorative elements or
installations in general.
4. All technical support (spotlights, screens, speakers…) will be held in place in
a way which ensures that they do not have to be directly secured to the
ceiling or the walls of the meeting rooms.
5. By law, emergency exits, fire prevention elements, as well as all security
systems and closed circuit TVs are to be visible and accessible at all times.
For the correct HVAC of any function room, it is prohibited to obstruct or
cover the air vents. Should these norms not be carried out, the hotel reserves
the right to not authorize the set-up of the stand or decorative
element/structure scheduled, and should the set-up be already mounted its
dismantling will be demanded.
6. For Exhibitors building up their own booths, it is mandatory to send a floor
plan of the distribution of stands or decorative elements/structures, one
month prior to the event, to : [email protected]; so that it may
be approved by the technical expert.
7. Employees of the different companies that set up the exhibition must be
identified properly and access the Hotel by way of the security checkpoint.
The hotel must have proof of their TC-2 payment and of their registration in
the Social Security system. All of the workers must be informed of the norms
on prevention and workplace hazards. All this documents must be sent to:
[email protected] one month prior to theevent.
8. The client must have the civil and general legal responsibility policy which
covers any damages caused by the client’s staff either to the Hotel’s
installations, clients or staff. In all cases the collaborating companies will
assume the same responsibility for their staffmembers.
9. It is absolutely forbidden to smoke, eat or drink in the meeting room during
the set-up and dismantling of the set-up after the event. The hotel will
indicate areas where this is permitted.
10. Exhibitors building up their own stand are responsible of the cleaning and
maintenance of their stand as well as the furniture, personal items and other
accessories associated with stands in the exhibition areas and meeting
rooms.
11. Stands will be dismantled on the same day that the event ends.
12. Neither smoke machines, helium tanks nor any other element that is
potentially harmful to hotel facilities will be permitted on the premises.
13. For stand set-ups that imply a large amount of material to be thrown away,
the customer must request that the hotel contract a container for dumping
all of the material from the event.
DELIVERY OF MATERIALS AND RECEPTION OF THE GOODS

The hotel must be notified in advance of any delivery that is greater than the
hotel’s storage capacity so that it can define an alternative location. This service
may create a cost for the customer.

If due to capacity the Hotel accepts any material prior to the event, the
relocation expenses of the materials from its place of storage to the contracted
function space is responsibility of the client. This means that the client assumes
total responsibility for the content of theboxes.

The times reserved for loading and unloading are from 8.00 to 18.00Hrs from
Monday to Friday. Other days and times on request.

The hotel does not have personnel for loading and unloading trucks. The customer
is responsible for transporting the material to the designated area. The Hotel may
recommend suppliers that can do this.

Once the event is over, the Organizing Secretariat and the hotel reserve the
right to accept or reject material to be left in hotel storage areas (depending on
the volume of the materials) for a maximum of 2 days. After this period, the
Organizing Secretariat and the hotel does not accept responsibility for their
storage.
 The following information is vital to ensure safe storage and correct distribution:
Name of group and final recipient (client)
Number and name of the stand (if relevant)
Date of the event.
Name of the meeting room (differentiate the packages with gifts or documentation to
be delivered to guest rooms from the material for the meeting rooms, exhibitions, etc.)

The Organizing Secretariat and the Hotel do not assume any responsibility for any
damage to or loss of any goods or articles brought in to the hotel but not stored in
the room’s safe deposit box or at the hotel’s left-luggage area. On request from
the customer, the Hotel may also assist in contracting security services. Such
services will be charged to the customer.
DELIVERY OF MATERIAL BY MEANS OF CUSTOMS AND THE ASSUMPTION OF RESPOSIBILITIES
CLAUSE

The Organizing Secretariat and the Hotel do not assume responsibility for the
content of the packages sent by clients or organizers to the hotel. The packages
must properly indicate the name of the person, assigned by the organizers, who
will withdraw thepackages.

The Organizing Secretariat and the Hotel do not assume responsibility for the
goods deposited in Customs and made out to the Hotel.

The client must commit to carry out or have carried out all Customsregulations.
