SUPPLY AND INSTALLATION AND FURNITURE ITEMS UNDER
ANNUAL RATE CONTRACT
In continuation to advertisement No.16/2015-16, repeat tenders are invited from
manufacturers/ authorized dealers for the supply and installation of furniture items under
two bid system.
Technical Bid
Information to Bidders
1. The Bids are invited from reputed Manufacturers or authorized dealers for the supply
and installation of Furniture items under annual rate contract.
2. The Bids submitted by the vendors should be valid for a minimum period of one year
from the date of opening of tender. The tender should be submitted to the office
of Pro- Vice Chancellor, Bundelkhand University, Jhansi-284128 by specified
date & time.
3. This tender document is also available on the web site www.bujhansi.org to enable
the bidders to use this document for submitting their bids in BUNDELKHAND
UNIVERSITY, Jhansi against the tender notice. In case of any ambiguity, the original
tender document available in BUNDELKHAND UNIVERSITY, Jhansi or on the web
site shall be treated as final tender document.
4. The bidders are required to submit detailed bidder information as annexure-I along
with technical specifications of the quoted items.
5. The bidders are required to submit Solvency Certificate from Nationalized Bank and
a declaration that the firm is not blacklisted.
6. The bidder shall bear all costs associated with the preparation and submission of his
Bid, and the Bundelkhand University will in no case be responsible and liable for
those costs. The Bidder’s, at their own responsibility, risk and cost is encouraged to
visit and examine the Site/ place of Works and its surroundings and obtains all
information that may be necessary for preparing the Bid and entering into a contract
for the works.
7. The bidder will not quote other items other than specified in specifications otherwise
provide complete technical details of the quoted items as mentioned description of
items in Annexure-II. If no deviation is mentioned then it shall be assumed that the
bidder has quoted the price of items as per technical specifications mentioned in
Annexure-II.
8. The bidders shall compulsorily submit the samples of the following materials
with the technical bid document:
i. unpainted and powder coated finished samples (both samples separately) of
CRC sheet material used for manufacturing the CRC sheet items as
mentioned in the tender, indicating the sr. no. of item/s for the manufacturing
of which the material shall be used.
ii. unpainted and powder coated finished samples (both samples separately) of
iron pipes (square/round) used for manufacturing iron pipe items as mentioned
in the tender, , indicating the sr. no. of item/s for the manufacturing of which
the material shall be used.
iii. Samples of laminated wooden tops/boards, , indicating the sr. no. of item/s for

the manufacturing of which the material shall be used.
Samples of clothing materials used in chairs, sofas, etc.
9. The tenders without samples shall not be accepted. The bidders may also
present themselves with the samples at the time of opening of the technical
bid.
10. A set of all the testing tools and techniques to test items and shall be provided by
the vendor to BUNDELKHAND UNIVERSITY along with the physical inspection and
testing schedule prior to inviting BUNDELKHAND UNIVERSITY for inspection and
testing of the items at the vendor’s office/factory or by installing/keeping demo
system at BUNDELKHAND UNIVERSITY. The items must be as per ordered
technical specifications or higher technical specifications only. No incomplete item
will be accepted under any circumstances.
11. All the items to be supplied should be new, of good quality and standard and as per
the technical specifications mentioned in bid document.
12. The supply and installation of all the items in the BUNDELKHAND UNIVERSITY,
Jhansi will have to be completed satisfactorily within one month from the date of
issue of the purchase order by BUNDELKHAND UNIVERSITY to the vendor failing
which the Purchase Order may be cancelled.
13. If delivery/installation of the items is not made within above stipulated period, a
penalty of 0.5% of the remaining order value per week of delay in delivery shall be
imposed.
14. BUNDELKHAND UNIVERSITY reserves the right to cancel the total/part purchase
order, if the delivery and installation gets delayed beyond 02 months of scheduled
supply date. Penalty as mentioned above shall however be applicable even if the
order is cancelled in part or full. BUNDELKHAND UNIVERSITY shall have no
responsibility what-so-ever for any damages sustained by the vendor due to
cancellation of the purchase order. In such case, the PBGmoney deposited by the
vendor in BUNDELKHAND UNIVERSITY shall be forfeited and further suitable action
shall be against the firm.
15. BUNDELKHAND UNIVERSITY reserves the right to reject any items supplied against
the purchase order, if the items are not found satisfactory. The rejected items, if any,
shall have to be taken back and replaced by good quality items forthwith at the cost
of the supplier. No payment will be made for the rejected item(s).
16. The bidders are required to quote the taxes clearly. In case, excise duty and/or trade
tax/sales tax are reduced or increased subsequently by the Government at the time
of placement of the purchase order or delivery, then the same will be adjusted by
either party on production of requisite proof.
17. Bundelkhand University is exempted from the payment of Excise and Custom Duty.
18. Payment for the items to be supplied by the vendor against the purchase order shall
be made by BUNDELKHAND UNIVERSITY on satisfactory supply and installation.
19. The successful tenderer shall sign an agreement immediately after the acceptance of
the tender. The purchase order shall be issued only after signing of the purchase
agreement with the selected manufacturer.
20. If the tender is submitted by a firm other than the manufacturer, then the vendor
should furnish documents from their principals as proof of the firm being their
authorized dealer and OM’s consent for signing tripartite agreement with the
BUNDELKHAND UNIVERSITY.

21. The tender must be submitted on the prescribed tender document issued by the
BUNDELKHAND UNIVERSITY. Any other technical details required to supplement
the information quoted in the prescribed tender document may please be attached
separately. The information asked in the tender document should be given at the
place provided for it in the tender document. The tenders, in which information is not
given at the place provided for it or not in the similar format given in the tender
document, may be rejected.
22. The items shall bear the warranty of ONE YEAR from date of installation. The
bidders are required to submit performance bank guarantee of specified amount
during the warranty period.
23. The payment shall be made only after submission of performance bank guarantee.
24. Conditions of the vendor submitted with the tender will not be binding on
BUNDELKHAND UNIVERSITY.
25. The documents containing bids shall be free from cutting and erasures. Corrections,
if any, shall be made by crossing out, initiating, dating and rewriting. However,
alterations, if any, in the tender should be attested properly by the bidder, failing
which the tender is liable to be rejected.
26. The tenders submitted by telex/telegrams/fax/email will not be considered. No further
correspondence will be entertained on this matter.
27. BUNDELKHAND UNIVERSITY will not be responsible for any delay in obtaining the
tender document by the vendor from BUNDELKHAND UNIVERSITY or submission
of the completed tender document to BUNDELKHAND UNIVERSITY.
28. The bidder shall submit an affidavit that the bidder’s firm has not been black listed
from Government of U.P./Government of India. The bids of the black listed bidders
shall be out rightly rejected.
29. Tender not conforming to any or all the above terms and conditions will be rejected.
Incomplete tenders are liable to be rejected.
30. Canvassing in any form in connection with tender is strictly prohibited and will
disqualify the vendor.
31. BUNDELKHAND UNIVERSITY reserves the right to reject any or all the tenders
without assigning any reason whatsoever. BUNDELKHAND UNIVERSITY would not
be under any obligation to give any clarifications to those vendors whose tenders
have been rejected.
32. All disputes or differences arising between the parties out of or relating to meaning
and operation of effect of the contract or breach thereof shall be settled by arbitration
in accordance with the rules and regulations of arbitrator. The arbitrator shall be
appointed by the Vice Chancellor and the whole decision of the arbitrator shall be
binding on both the parties. In case of any legal dispute the jurisdiction will be Jhansi
only.
