POWERPOINT TIPS AND TRICKS
1) Pam’s PowerPoint Quick Access Toolbar
Here is a snapshot of my Quick Access Toolbar. Here are my choices in addition to traditional buttons such as New,
Open and Save. I try to
keep buttons representing sections on the Ribbons together.

5) Changing Fonts with the Text Box Border
You can change the font for all text in a text box without highlighting the text.
Notice, when you click in a text box, the text box in highlighted in what appears
to be dashed lines.
Click on the border and the selection becomes a solid line. If you change any
formatting of the text, it will be applied to all text in the text box without first
highlighting it.
6) Transparent Text
1. Type your text. Make sure to use a heavy font such as Arial Black.
2. Select the text, and click the Drawing Tools tab above the Ribbon.
Apply a Word Style to the text. You must apply a Word Style in
order to make the text transparent. The text becomes sort of a
graphic that can have a transparent fill.
3. Right-click on the selected text, and choose Format Text Effects.
4. Select Text Outline, and change the line color (dark against light
backgrounds or light against dark backgrounds)
5. Select Text Fill, and adjust the fill and TRANSPARENCY.
6. Click Close.
7. Click on the Text Effects button of the WordArt Styles section to apply Bevel, Glow, or more
text effects. These give your text more depth of design.

7) Magical Way to Rearrange Text
This is a real time saver when moving paragraphs or bulleted paragraphs.

Click anywhere in the paragraph you want to move.
Hold down the Shift and Alt keys, and press the up or down arrow keys to jump over nearby paragraphs.
When moving multiple paragraphs, highlight them, and use the same key combination and arrow keys again.
Note: This works with bullets and plain paragraphs. Numbered bullets will also automatically renumber as you
move text.
8) “Pushpin” Frequently-Used Presentations
In Office 2003, one clicked the File menu to see recently opened presentations.
In 2007, click the Office button to view a list of recently-opened presentations
on the right side of the drop-down box. The list is significantly larger than
PowerPoint 2003.
There is another little feature here that allows the user to “pin” the item to the
list so it appears every time the Office button is clicked. This is great tool to
keep important presentations at your fingertips. This works the same for
documents in Word and Excel.

Open the presentation that you want to “pin” to the list.
Click the Office button (2007) or File button (2010).
The name of the presentation should now appear in the Recent Documents list.
You will notice a small pushpin to the right of each presentation name.
Click on the pushpin, and notice the pin turns green (2007) or blue (2010).
The presentation name will appear in the list until you click on the pushpin
again to “unpin” it.
9) Shortcut to Go to the Office Button
1. Press the ALT key on the keyboard, and tap the F key.
10) Change Default Folder for Saving Files
By default, Word 2007 saves files into the My Documents folder. You can change the location to a network server or
a folder on your hard drive.

The last item in this section is

11) Embedding Fonts in PowerPoint
Let’s say you use a font in a PowerPoint that most Windows users do not have and email it to someone to show at a
meeting. When they open the presentation, the font will be substituted, and text may no longer fit in text boxes or
be wrapped differently thought the presentation. NOT GOOD.
One solution is to embed fonts with your presentation. Here’s how:

Click the Office button.
Click the PowerPoint Options button.
Select the Save section for PowerPoint options.
Go to the Preserve fidelity when sharing this presentation section.
Check the Embed fonts in the file checkbox.
Select the option to Embed all characters (best for editing by other people).
Note: I once selected the Embed only characters used in the presentation and later couldn’t edit the text.
12) Pasting Text as a Picture
You can use unique fonts in a presentation and not have to embed
them with the presentation. The solution is to copy a text box and
paste as a picture. This way it is no longer a font, but becomes a
graphic. The drawback is that the text can’t be edited. It does
require you to know what font was used in case you need to create
a new textbox to make changes.

Copy the text box.
Go to the Home tab.
Click the Paste selection arrow and choose Paste Special.
The Paste Special dialog box appears.
Select Picture (PNG).
This format makes everything around the text transparent whereas a JPEG or Bitmap file will have white area
surrounding the text.
7. You can copy the text box and paste it as PNG picture using “Paste Special”. This technique will convert the
text into a picture so that it stays intact without needing to embed the actual font.

13) Inserting Slides from Other Presentations
You can add slides from other existing presentations.
1. Open the presentation in which you want to insert slides from
another presentation.
2. Go to the slide where you want a slide to be inserted AFTER it.
3. Make sure you are in the Home tab in the Ribbon.
4. Click on the selection arrow on the New Slide button in the
Slides group.
5. At the bottom of the fly-out box, click Reuse Slides.
6. The Reuse Slides task pane appears
on the right side of the
PowerPoint window.
7. Click the Browse button, and select Browse File.
8. Migrate to where your presentation file is located, and select it. Click Open.
9. Thumbnails of the slides now appear in the Reuse Slides task pane on right side
of PowerPoint screen.
10. As you place the mouse over a thumbnail, a larger version of the slide appears.
Before you click on a slide to add it to the presentation, you must decide if you
want this slide to maintain its formatting (backgrounds,
fonts, bullet styles, etc).
11. If you want to keep the original formatting, you need to select the
Keep Source Formatting check box before you add the slide.
12. To add a single slide, click on the slide.
13. To add all the slides, right-click on a slide, and select
Insert All Slides.

14) Quick Way to Insert Slides, Change Layout,
Format Background, etc.
Instead of going to the ribbon there is an easier way to insert, delete or
duplicate slides. You can even change the layout of the slide this easy way:
1. Right-click on the thumbnail of the slide which appears on the
left-side of the PowerPoint screen when the slides tab is selected.
2. A fly-out menu appears. Now you can insert a new slide, duplicate the
current slide, etc. By placing your mouse over the Layout option, the
layout design of the slide can be changed.
3. You can also change the background
of the slide by selecting Format
Background. The Format Background
dialog box appears. Now you can fill the
background of the
slide with a solid
color, gradients,
pictures, etc.
15) Replacing Photos
Method 1: If you have an existing photo on a slide or grouped with other objects,
here is quick way to change the photo without reinserting it or ungrouping objects
to change the photo. The photo will be constrained the same size.
1. First, select the photo. Note: if the photo is grouped, first select the group,
then click on the photo. The photo will display handles around it.
2. A drop-down menu appears. Click on Format Picture.
3. Click the Fill option on the left side of the dialog box.
4. Click the Picture or texture fill radial button.
5. Go to the Insert from section, and click the File button to migrate to where
the file is located.
6. Select the file, and click Insert. Then click Close.
Method 2: This method can be used if the photo is not in a group.
7. Right-click on the photo, and choose Change Picture.
8. Browse to the Photo, and click Insert. The newly inserted photo will be
displayed in the new size and orientation even if it is different from the
original photo.

16) Adding New Templates from Online
Microsoft has provided a way to find new FREE
PowerPoint presentations.
1. Click the Office button.
2. Select New.
3. Look below the Microsoft Office Online
section in the Templates window.
4. You will see all types of presentations
(agendas, calendars, invoices, invitations, etc.).
5. If you are looking just for basic slide designs,
click PowerPoint Presentations and slides.
6. A listing of different design topics appears.
7. Click a topic to display thumbnails of the
presentations. The exception to this is the The Design
slides (backgrounds) topic. It has a sub list of topics.
8. As you click a presentation thumbnail, a larger
thumbnail appears in the right task pane, along
with the file size and who created the
presentation. Often independent Microsoft users
submit presentations.
9. Double-click on the presentation thumbnail to
open the presentation.
10. You can now save the presentations to
your computer.
11. Below is snapshot of a presentation with content.
These presentations have charts,
smart art, etc.

17) Saving a Presentation as a Theme
PowerPoint 2003 had designs to apply to slides. In 2007, designs are called themes. You can add to those themes that
are found in the Design tab. You’ve learned how to download presentations from online Microsoft library. You can
save any presentation as a theme so backgrounds, colors, etc. can be applied to new presentations.
1. Open the presentation you want to save as a theme.
2. Click the Design tab.
3. In the Themes section, click the Options button.
4. A drop-down box appears. Click on Save Current Theme.
5. Type the name of your file.
6. Click Save.
7. Note: You can also download themes from Microsoft by clicking the
Theme options button and selecting More Themes on Microsoft
Office Online.

18) Compressing Photos
PowerPoint does not require high resolution photos for presentations. If you insert a
lot of photos, you may find the file becoming quite large in size. Photos that you
scanned or downloaded from a camera may be 200 to 300 dpi (dots per inch). They
need only be 96 dpi in PowerPoint. You can compress one photo or all photos in
a presentation.

Select the picture, and click on the Picture Tools tab on the Ribbon.
On the Ribbon, click the Compress Pictures button.
The Compress Pictures dialog box appears.
Click the options button to see what resolution to choose.
Under Target Output select Screen to reduce the photos to 150 dpi.
To further reduce file size, select Delete cropped areas of pictures check box. Click OK.
Customizing Backgrounds
19) Saving Slides as Photos
1. First go the slide you want to export as a photo.
2. If you just want the background without text,
just make sure nothing is typed on the slide.
3. Go the File then click Save As.
4. The Save In dialog box appears. Go the folder where
you want to save the photo.
5. In the File Name box, name the file with a title you find appropriate.
6. In the Save as Type box, click the down arrow and choose JPEG file *.jpg. This is a format for compressed
picture files.
7. Click OK.
20) Using the Photo Created from a Slide
Let’s customize a slide now using our photo.
1. Insert a new slide with the New Slide button on the Home tab.
2. Click the Design tab and click on the Background
Styles button.
3. Click Format Background.
4. This opens the Format Background dialog box.
5. Click Fill option on left.
6. Click the radial button before the Picture or texture fill option.
7. In the Insert from section, click the File button
8. Go to the folder where the picture background is located and click
on the photo and then click Insert and then close. If you want this
background applied to all slides, click Apply to All.
9. Click the checkbox beside Hide Background Graphics
on the Ribbon.

21) Custom Animation
You have a wide choice of animation effects. There are 4 main ways your objects can be controlled with animations.

22) Animation Effects
Entrance: this animation is applied as object or text enters or comes onto the slide
Emphasis: this animation is applied after the object or text has fully entered the slide
Exit: this animation determines how the object or text leaves or exits the slide
Motion Paths: this animation allows you to draw custom paths for the animation to follow. There are also predefined paths
such as diamonds or hearts.
23) Animation Behavior
You can control how an animation behaves from the task pane or from a
pop-up menu.



Start: You can control when an animation starts
 only on click
 together with previous animation
 after previous animation has finished
Property: For most animations you can modify a property, like the direction of the motion,
the font style or color, or the degree of rotation.
Order:
You can click on an object in the slide and using the arrows in the
Re-Order area change the sequence of the animation.
24) Using Motion Paths Animation
You can actually draw a path that the object will follow when it animates.

Zoom to 66 percent. We are zooming to see a sailboat that has been positioned next the slide.
Click the Animation tab on the Ribbon.
Click on Custom Animation to
open the Custom Animation
task pane.
Click on the sailboat.
Click Add Effect button.
Move the mouse over
Motion Paths. Then select
Draw Custom Path and
then Scribble.
Click near the boat; hold
the mouse down to draw a
path around the slide, ending
in the right corner of the slide.
Let go of the mouse.
You will now see the path you have drawn. Click on it to
select it. You will notice a green arrow indicating the beginning of the path and a red arrow indicating the
ending point.

10. Right-click on the path and click Edit Points.
11. Now you have specific points along the path that can be
moved to change the course of the path.
12. You can right click on the path again and add or delete points. You can also hold the CTRL key down and
add points.
13. While the path selected, change the animation
so it comes With Previous or After Previous.
14. You can also change the speed of the
Animation.
15. If you want to delete the path, just click on it,
and press Delete.
16. There are other types of motion paths:
Line (click to begin the line and hold the mouse
down to draw a line and then let go)
Curve (click to begin a path, click again to
indicate the curve and click to continue the
path; need to double-click to end the path)
Freeform (draw path much like Scribble, but
double-click to end the path).
17. If you want to have the boat come in first,
click on the boat and use the reorder arrows
in the Custom Animation task pane to move the boat to the top of the
animation list.
25) Make Colors Transparent in Shapes and Text Boxes
When you fill shapes and text boxes with colors, you can also make the colors transparent. This is great when
setting text boxes in front of backgrounds that may interfere with text visibility.
Fill a Text Box with Transparent color
1. Click on the Insert tab on the Ribbon.
2. Click the Text Box button in the Text section.
3. Click on the slide to insert the text box. Type some of your
text just to keep the text box active.
4. Click the Drawing Tools tab on the Ribbon.
5. Click on the selection arrow on the Shape Fill button to
open the drop-down box of color choices.
6. Click More Fill Colors.
7. Choose a color either from the
Standard or Custom tab area.
8. Now go to the Transparency slider at the bottom
of the dialog box. Hint: The higher the
percentage number…the more
transparent the color.
9. Click OK when finished.

26) Inserting a Sound Clip
1. First, you must always store and move the PowerPoint file and the sound file
together, preferably in the same folder. In PowerPoint 2010, the sound
file is embedded with the presentation.
2. Select the Insert tab on the Ribbon.
Go to Sound button in the Media Clips section.
A drop-down menu appears.
3. Select Sound from File.
4. The sound dialog box will appear. Navigate to the location of the sound file, and
select the file. Click OK.
5. A dialog box will ask you if you would like the sound to play immediately when you navigate
to the slide or when you click the sound icon on the slide. Select the Automatically option.
6. The sound clip icon will appear in the middle of the slide.
27) Setting Sound Properties
You’ve inserted a sound file, but your work is not done. There are decisions to be made. Do you need to delay the
music? How long should the music play? Does the music need to loop or be repeated during the presentation?
After you insert the sound, you will notice a sound symbol sitting the middle of the slide. This icon will show up when
you run the slide show unless you tell it to hide when showing your presentation.
You can set Sound options by selecting the sound icon and using the buttons in the Sound tab on the ribbon. Here’s
how.
7. Click the Sound icon on the slide.
8. Click the Sound Tools tab above the ribbon.
9. In the Sound Options section, click Hide During Show.
10. Let’s see just how long our music will play In the Sound Options section, click
the Sound Options button.
11. The Sound Options dialog box appears. Look in the Information section.
You will see the total playing time for your music. If your music is shorter
than the total time of your presentation, you can click Loop until stopped.
12. Click OK.
13. If you want to listen to your music, click the Preview button in the Play
section of the Ribbon.
14. You can also set the volume of the music by clicking the
Slide Show Volume button on the Sound ribbon.

28) Embedding Sound Files in the Presentation
When you insert a music file, PowerPoint links to the file. It does not become a part of the PowerPoint file like a
photos or graphic. You can embed wav files in a presentation. Be aware!! Your music will increase the size of the
PowerPoint file. You can only embed WAV file formats. If you need to convert mp3 or any other audio filetypes,
you can download the free WINAMP program.
Embed the larger .wav files into your presentation, and then play them back on a different computer. Then, you
will not need to copy each sound file separately. To do this, increase the Max Sound File Size setting using the
Sound Tools in the Ribbon.
Remember, you can only embed WAV files.
Here’s a quick way to increase the maximum size of a sound file that can be embedded in a file.
1. Click the Sound icon on the slide.
2. Click the Sound Tools tab above the ribbon.
3. In Sound Options section, increase Max Sound File Size to a file size that is larger than your largest sound
file. Example: your sound file is 3567 KB, so set the maximum size to 4000 KB. Note The maximum size that
you can use is 50,000 kilobytes (KB). Note: each 1000 KB equals a MB or megabyte.
4. Delete and reinsert the sound objects into the presentation. When
you insert the sound objects again, you will need to add settings to
them again.
5. The sound objects are now embedded in the presentation…not linked.
6. Note: The file size of the presentation increases by the size of the
embedded sound files.
7. The default max sound file size will stay the same until changed. If you
would like to change the size before you begin working on a
presentation, do this:
 Click the Office button.
 Click PowerPoint options.
 The PowerPoint Options dialog box appears.
 In the Options section on the
left, click Advanced.
 Scroll to the Save section.
 Type the number needed.
 Click OK.

29) Using the "Package for CD" feature to Save to a Flash Drive or CD
Use the Package for CD feature to bundle all the presentation and associated sound files. Then, unpack these files
into a directory on the new computer before you run the presentation.
To do this, follow these steps:
1. Click the Office Button, select Publish, and then select Package for CD.
2. Note If you are prompted regarding how to update to compatible file
formats, click OK.
3. The Package for CD dialog
box appears.
4. Click Options.
5. Click to select the Linked
files and the Embedded
TrueType fonts check boxes.
Then, click OK .
6. Click the Copy to Folder button.

Type a folder name.
Click the Browse button.
Click your flash drive location. Click Select.
Click OK.
11. Click Yes when you are asked to include linked
files in your package.

A dialog box appears showing the linked files are being copied to the flash drive.
The Package for CD dialog box appears again. Click Close.
Now all sound, movie files, and the presentation are saved to your Flash Drive.
Note: You could also save these files to a folder on your hard drive and then later copy to a flash drive or
burn them to a CD.
COPY TO CD
1. To copy to a CD instead of a folder. In Step 6 above, click the Copy to CD button.
2. When you insert the CD, the PowerPoint automatically runs.

30) It’s Magic with the Photo Album
Here is a quick way to import folders of photos into a presentation.
1.
Click Insert tab on the Ribbon.
2.
In the Illustrations section, click the Photo Album button.
3.
The Photo Album dialog box appears.
4.
Click the File/Disk button on the top left to open the
Insert New Pictures dialog box.
5.
Navigate to the folder where the photos are stored. Select
photos by holding down the Ctrl key and clicking photos.
CTRL + A will select all photos. Click the Insert button.
6.
Back in Photo Album dialog box, you can reorder the
sequence of your pictures using the up and down arrow keys
below the listing of the pictures. Each picture is previewed
when selected, so you can actually even remove pictures
you don't need.
7.
While a picture is previewed, you have options to rotate the pictures in 90 degree increments—in addition
you can also alter the contrast and brightness values of a picture. All these options are placed directly below
the picture preview window.
8.
Next, we can choose a picture layout. You have layouts for one, two and four pictures per slide. We'll
choose the 2 pictures layout.
9.
The frame shape option allows you to provide specific corner styles to each picture. Choices include
rectangle, rounded rectangle, beveled, oval, corner tabs and square tabs. Let's choose the
beveled option.
10.
Finally, you are provided an
option to choose your own design
template —click the Browse
button. This opens the Choose
Design Template box that allows
you to navigate to the folder
where we have stored the
downloaded templates. You can
also apply a design template after
the photos have been placed into
the presentation. I usually wait to
apply designs.
31) Run Slide Show Shortcut
Press the function key F5 to start a slide show from the very first slide no matter which slide you might currently
be displaying in the normal view or have selected in the slide sorter view. Inserting a Photo and Changing the

Working with Photos and Clip Art
32) Inserting Photos
There are several different ways to insert photos into PowerPoint.
1.
Click the Insert tab on the Ribbon and then click the Picture button or
2.
Click the Home tab on the Ribbon and the down arrow on the New Slide button and choose a Title and
Content layout, Two Content, Comparison, Content with Caption or Picture with Caption Layout. Then click
the Insert Picture from File button.
33) Resizing Photos
That first method we used to insert a photo may result in bringing in a photo that is even large than the slide. This
easily happens when inserting photos from a digital camera. Those photos are actually large—sometimes twenty
to thirty inches. If you insert an extremely large photo, there is a quick way to resize the photo without using the
sizing handles of the photo..
One more thing, the default size of a slide is 10 inches wide by 7½ inches high. Know this comes in handy when
resizing photos.

Click on the picture to select it. Click on Picture Tools tab on the Ribbon.
2.
You will notice Height and Width boxes display on the right side of the
ribbon. Note: if the photo is larger than the slide, you can resize the photo by
dragging the corner handles or typing the values into the size boxes on the ribbon.
Note: Each time you type a number, press Enter to apply the value.
34) Recolor Clip Art
1.
Click the Insert tab on the Ribbon and then click the Clip Art button. Insert the clip art onto the slide. Select
the clip art.
2.
Click the Picture Tools tab on the Ribbon. Click the Recolor button on the left
side of the ribbon.
Note: this changes the hue of all of the colors in the clipart. If you want to change
individual colors, you will need to break the Clip Art apart.

35) Breaking Clip Art Apart
1.
Right-click on the clipart and choose Edit Picture.
2.
You will see a dialog box with this message:
This is an imported picture. Do you want to convert to
a Microsoft Office drawing object?
3.
Click Yes.
4.
Click on a specific area you want to recolor. A second set of handles will appear around
the area.
5.
Click on the Shape Fill button on the ribbon and select a different color, apply a
gradient, texture, etc.
36) Add More Contrast to the Photo
1.
After the photo has been imported into the slide, experiment with the
Contrast button on the ribbon.
2.
While the photo is selected, click on the Picture Tools tab on the ribbon.
Click on the Contrast button on the left side of the ribbon and experiment
with the correct contrast number. Hint: start with the positive numbers.
37) The Format Painter Isn’t Just for Graphics
1.
Draw a circle, square, line or AutoShape. Apply all the formatting
characteristics you want. Examples: fill color, line color, shadow style,
3D shadow style etc
2.
Draw another AutoShape.
3.
Click the Home tab.
4.
Click on the first AutoShape, and press the Format Painter button.
5.
Now click on the second AutoShape. The effects
from the first AutoShape should now be applied to the second shape.

38) Duplicating Graphics
This shortcut for duplicating graphics works with photos, clipart,
AutoShapes, circles, squares and lines. Simply select the graphic, and hold
down the CTRL key (your cursor changes to an arrow with a plus sign) and
click on the graphic (DON”T LET GO OF THE MOUSE) and drag the
duplicated graphic away from the original graphic.
39) Duplicating Graphics and Keeping
Them Aligned
You will again use the CTRL key to duplicate a graphic,
but also hold down the Shift key as you drag the
duplicate graphic beside to below the original. The Shift
key keeps the duplicate graphic aligned either horizontally or
vertically with the original.

40) Aligning a Graphic on Slide
You may have a graphic or photo you would like to place on a slide and look
centered both vertically and horizontally. Here’s a quick way to align objects
relative to the page.
Insert the photo or graphic on the slide. Select it and click on Home tab on the
Ribbon. Next click the Arrange button, and click on Align. Click on Distribute
Horizontally to center the photo from left to right or Distribute Vertically to align
the photo from top to bottom..
Note: You can also know the exact position of an object on the slide by click the Picture Tools tab on the ribbon.
Open the Size dialog box from the ribbon and choose the Position tab.
41) Drawing a Perfect Circle, Square, Line or Arrow
Click on the Rectangle, Circle, Line or Arrow tool in the Drawing Toolbar. Hold down the Shift key and drag to

44) Ordering Objects with Selection Pane

Often, there are several objects on a slide that are layered over each other, making it
difficult to select them. There is a tool to help…the selection pane. This pane allows the
user to hide objects, reorder objects and even
rename them. To open the selection pane:

45) Customizing Bullets
If you have some folders of custom bullets, make sure you copy the folders of bullets to your hard drive. Then you
will import the bullets from the folders into your picture bullet gallery. You need the bullets on your hard drive so
the bullet picture gallery can access them later.

Click on the Home tab on the Ribbon.

Click on the options arrow on the Bullet button and click on Bullets and Numbering.

Click on Picture button.

Click the Import button and the Add to Clips Organizer dialog
box appears. Click the down arrow next to the Look in box,
and go to the folder and find the bullet you want
to import.

Click the Add button to place the
button into the button picture
gallery.

now appears. Just click on the
picture and OK.

If the bullet is too small or too
large, click the arrow on the Bullets
button again.

applied to text.
Make sure to save the picture as a PNG file.
NOTE: You will find a Balleffects.ppt on your Resources CD in the Sample Presentations folder. Open the
presentation and right click to save any of these spheres into a folder on your hard drive and then import them
into your picture bullet gallery.

47) Making a Color Transparent
1. There is a tool in the picture toolbar (Set Transparent Color) that allows the
user to click on a photo and make one color in the
photo transparent.
2. Open the Remove Background.ppt in the Sample Presentations folder.
3. Click on the photo and click on the Picture Tools tab.
4. Click the down arrow next to the Recolor button.
5. Click on the Set Transparent Button and then click anywhere on the white
background.
6. The white background should now be
removed.
48) Make a Muffin Bullet
1. Now that you have made the background behind the muffin transparent, we are going to copy the picture
and use the Paste Special command in the Edit Toolbar.
2. Right-click on the photo and click Copy.
3. Add a new slide with no background (white background).
4. Go to the Home tab, and click the down arrow on the Paste Special button.
5. Choose Picture (PNG).
6. Right-click on the Picture again and choose Save as Picture and save to a folder on your hard drive.
7. Click in the text in which you want a muffin bullet and Click on the Home tab on the Ribbon.
8. Click on the arrow on the Bullet button and click on Bullets and Numbering.
9. Click on Picture button.
10. Click the Import button and the Add to Clips Organizer dialog box appears. Click the down arrow next to
the Look in box and go to the folder and find muffin bullet you created.
11. Click the Add button to place the button into the button picture gallery.
12. The Picture Bullet dialog box now appears. Just click on the picture and OK.

You can record narration
for each slide in a
presentation. Go to the
slide which you want to
narrate.
1. Click the Slide show tab on the Ribbon.
2. Click Record Narration icon in the Set Up section
of
the Ribbon
3. The Record Narrations dialog box appears.
Now, you can set options for microphone level and
the quality of the audio file output.
4. Click the Set Microphone Level button.
5. The Microphone Check dialog box appears.
6. Speak some words to make sure your microphone
is working properly. You should do this when
initially recording narration. You can also move the
volume slider to increase recording volume.
Click OK.

Click the Change Quality button.
Click the options arrow next to the Attributes box.
Choose 12,000khz, 16 Bt. Stereo 46/kb/sec. for the highest quality.
Note: You can click Save As and give your settings a name. The next
time you come to this dialog box, you can click the options arrow next
to the Name box, and click it to retrieve your default settings. Click OK.
The slide reappears. Begin to narrate. When you are finished, click the
ESC button to end the narration.
A sound icon appears on the slide. The sound is now
embedded with the presentation.
Double-click on the sound icon to listen to the narration.
If you don’t like it, delete it, and record again.
Make sure to hide the icon during the show. Select the
Sound icon. Click on the Sound Tools tab above the Ribbon. In the
Sound Options section, make sure the Hide During Show checkbox is
selected.
Note: If would rather link instead of embedding sound files, when you
are doing steps 2 and 3, you could check the Link narration checkbox
and click the Browse button to go to where you want to save the files.
The files are wav files.
If want to know the file size. Click on the Sound icon on the slide.
Click the Sound Options button in the Ribbon.

You can go to Zamzar.com or MediaConverter.org to
convert the YouTube video into an AVI or WMV file,
which you can then insert into your PowerPoint.
1. Go to YouTube and find the video you want to
convert to video.
2. Copy the URL from the address bar.
3. Go to www.zamzar.com.
4. Step 1:
Click the URL hyperlink.
5. This puts http:// in
the text box
6. Highlight the http://
and paste the URL
from YouTube.

Choose the video format:
either avi or wmv.

Enter you email address.

52) Editing Master Slides
You can change the background color, titles, and images on the slide master and the changes will be made to
every slide in your presentation. The Slide Master view allows you to work on the slide master different layouts
such as the Title Slide, Bullet Slide, etc.
1. Click to the View tab on the Ribbon.
2. Click the Slide Master button in the Presentation Views section.
3. The left pane contains the different master layouts for the
Title Slide, Title and Content Layout (bullet slide), Section Header slide,
Two Content Layout, etc.
4. Click on the layout you want to change, and apply font changes, background changes, etc.
5. Hint: If you change the background of the first layout, it will change the background of all slides with the
exception of Title slides.
6. Click the Print Layout View when done.

First, you must always store and move the PowerPoint file and the movie file
together, preferably in the same folder.
Go to Insert tab on the Ribbon then Movies. Next click Movie from File.
Migrate to where you have the file.
Select the Video file. Click OK.
When the dialog box asks if you want this movie
to play Automatically or When Clicked, choose Automatically.
Resize the movie as needed.

When the movie is selected, you will notice a Movie Tools tab above the Ribbon.
Click on the Movie Tools tab.
There are now tools to set properties for the movie.
Click the Preview button in the Play section to watch the video without running the presentation.
Click the Slide Show Volume to set the volume levels.
If you want the move to expand to full screen when running the presentation, click Play Full Screen in the
Movie Options section.
You can even resize the movie by typing values in the size section of the Ribbon.
Animation Settings
Click the Animations tab on the Ribbon and then click the Custom
Animations icon to bring up the Custom Animation task pane.
2. Click on the name of the movie. Note: do not click on the Trigger name.
3. In the Start property box, choose With Previous. This way
the movie starts when the slide appears.
4. Note: If you place text or other pieces of artwork on the slide, animate
those items with a Start property of With Previous. If you indicate
After Previous, the items will not animate until the movie has
concluded.

1. Select the movie.
2. Click the Movie Tools tab above the Ribbon.
