A John Deere Dealer in Lebanon, Mo. with three
other locations in St. James, Owensville, and
Jefferson City, Mo., and employs more than 60 staff
members.

The biggest challenges facing the John Deere Dealer
was the disparity in their payroll processes among
their different locations, the inability to accurately
track employee time and the lack of an efficient,
company-wide record-keeping system for payroll.
The Company had three payroll personnel running
weekly, biweekly, monthly and bimonthly payrolls.
There were different policies and procedures being
followed among the different locations for accruing
and taking time off. Tracking time off was difficult
and provided for little accountability for salaried
personnel. It was also difficult to know who was
working at that time without a company-wide PTO
calendar.
In 2009, it was called upon by Paycom. Intrigued by
the selling points Paycom was offering, the franchise
agreed to an online software demonstration where
they were amazed by the system functionality for
payroll, HR and time and attendance as well as the
detailed reports they could generate with ease. After a
cost comparison with their current payroll system, it
realized switching to Paycom would not only improve
their current payroll and time tracking processes,
but it would cost less than how they were currently
processing payroll.
Implementation — Paycom facilitated the
implementation process by collecting the required
paperwork, employee and year-to-date information.
The data was input and the payroll system setup
and verified by Paycom’s setup team. Onsite training
was conducted for employees and the Paycom
representative walked them through the first payroll
to ensure everything was as it should be. Paycom’s
intuitive navigation was credited with the shallow
learning curve for users. SaaS-Technology — With their new Software-as-aService-based payroll solution, it was able to provide
both corporate and location managers online, realtime access to employee information. Multiple users
are assigned customized system access to only the
information relevant to their position. And employees
have self-service access to their online pay history. Internal Processes — The internal processes for
payroll have been standardized and improved resulting
in shorter processing times. With the automation of
the time tracking system, the franchise is no longer
overpaying for inaccuracies in employee-reported
time. There is now accountability for managers
and employees, the dealership can better manage
overtime and get real-time reports on timecard
information for all locations. The payroll system
is automatically populated with employee time data
and the payroll personnel can validate payroll prior
to processing and make changes without starting
over. Paycom’s intuitive software enables them
to easily make employee updates to pay rates and
taxes, demographics, deductions, accruals, and HR
information — all from one screen. And batch editing
functionality helps them to quickly make updates to
groups of employees.
Paycom also provides tools to comply with minimum
wage, report on new hires and re-hire employees with
ease. With the included HR system they can track
compliance details for FMLA, OSHA, Workers’
Comp, EEO, Permits, Licenses, Training, I-9 filings,
disciplinary actions, turnover reasons and more.
Plus with Paycom they can run Background Checks,
pre-screen applicants for Tax Credits, and implement
Benefits and COBRA Administration.
Reporting — With all of their employee information
now stored in a single-database system, their reporting
capabilities have greatly improved. With the standard
reports provided by Paycom and the flexibility of the
system’s Report Writer, the franchise is able to better
manage their labor costs. Paycom gives them access
to their data, including a Labor Distribution Report.
Their General Ledger Report is coded to their chart
of accounts and they are able to report across their
multiple FEINs.
Customer Support — When assistance is needed they
contact their dedicated specialist who is trained on their
payroll objectives and able to answer any inquiries on
payroll, payroll taxes, Paycom software and services.
With no automated phone system to deal with they get
the live help they need, when they need it.
By switching to Paycom, the dealership has seen
improved efficiencies that save them considerable
amounts of time. Instead of three personnel spending
many hours each week processing payroll, there is
now only one person that processes payroll in about
two hours every two weeks. They have eliminated the
manual tracking of payroll data and have gone green
with the paperless copies of reports they’re able to
download. By consolidating their payroll, HR and
time tracking processes with one application, they
have lowered their payroll costs, improved efficiency
in their processes and can generate the reports they
need to better manage their labor costs.
