Step-by-Step Guide Establishing Shared Carts In This Guide 9 Creating and editing Shared Cart User Groups 9 Locking a cart to prevent further access 9 Sharing a cart with a group Sharing carts allows requisitioners and shoppers to create groups and give them access to a cart. This feature permits workgroups or small departments to combine shopping and purchasing into shared carts for group orders. All group members are able to simultaneously view cart contents. However, Users have the ability to restrict additions or changes to a shared cart by locking the cart. Creating and editing Shared Cart User Groups 1. To create a shared group, mouse-over the shopping cart icon in the left-side navigation bar. Mouse-over Admin, and click on Manage Groups for Shared Carts. 2. Click on the Create New Group button. 3. Under New Shared Cart User Group, enter a Name for the group and provide a Description (optional). Under User Group Members, click on user to search for members by name or on department to search by program code. Click the Save button. To edit a group click on the Group Name to open the Edit Selected Shared Cart User Group window. 5. You can filter the groups that are visible by selecting one of the options from the pull down menu directly beneath the Create New Group button. 6. To begin sharing carts, go to Shopping Cart – Drafts as described in step 1 of Creating and Working with Carts and click on the Shopping Cart Name of the cart to be shared. 7. In the open cart, check the Share cart box to access the list of Shared Cart User Groups. 8. Select the appropriate Shared Cart User Group from the pull down menu. Click on View Members to review the group members. 9. The cart is now visible to everyone in the Shared Cart User Group under Drafts Shared With Me. The cart line also specifies the cart creator. (Note: For the cart’s creator, the cart will remain in My Drafts.) If the cart displays a padlock icon, it means that another group member is currently editing the cart. The cart must be unlocked to enable editing by other group members. 10. To add items, click on the Shopping Cart Name to open the cart. If a locked cart is left inactive for 20 minutes, it will automatically unlock so that other group members have access to edit it. 12. When viewing or editing the cart, click on the View Members link next to the group name to see a list of the group members. 13.
