Training Room Booking Policy
Terms, Conditions and Charges
Located in the central London City of Westminster, the Access & Inclusion Centre has a training
room with a capacity for up to 60 people. The room can be divided into two independent rooms
accommodating 30 people each, both equipped with a flip chart, PC, overhead projector, sound
system and internet access and is fully wheelchair accessible. There is a wide variety of suitable
accommodation in the area for both speakers and delegates.
Continuing Professional Development by Westminster Special Schools Outreach & Training
Westminster Special Schools Outreach & Training offer a programme of training and professional
development in the form of courses, seminars, network meetings and organisation-focused support.
All programmes are open to professionals and staff who work with children, young people and
families of young people with disabilities. Some courses are also suitable for families.
Applications and the booking process
A venue hire form must be completed to book any of the training rooms at the Access and Inclusion
Centre. The following should be noted:

Please ensure the booking form is complete with all the relevant information.
• Once the venue hire form has been submitted you will receive a confirmation by email.
 For catered courses, numbers must be confirmed AT LEAST four working days before the event.
Dates are booked in quickly so it is best to make the booking as far in advance as possible to avoid
disappointment. If you are able to be flexible with your dates please let us know on the venue hire
form so that we are able to meet your requirements effectively.
Cancellation
Two weeks’ notice must be given to cancel any booking. Otherwise the full fee for the cost of the
booking will be charged.
Cancellation by organisers
It is our policy not to postpone or cancel unless:
• There are unavoidable circumstances, such as extreme weather conditions or unavoidable closure
of the school.
Payments
Please be aware of the following:
An invoice will be sent out to you no later than two weeks following your booking.
Payment must be made at least four weeks before your event with approximate numbers for
catering if applicable. Your booking will not be confirmed until payment is received.

Reminders and additional information
 Communications will generally be made via email to the email address given at the
application stage.
It is the responsibility of the trainer to bring all presentation materials including digital
presentations, hand-outs, evaluation forms and any other materials required.

Venue hirers can organise their own lunch and refreshments at no extra cost. If catering
own event, we ask that everything be cleared away at the end of the day and the training
room left as it was found.
