Since it is a Web application, the only tool you need to access its features is a browser connected to the Internet. For optimal performance of the application, we recommend that you use Internet Explorer 7 (higher versions or other browsers may not be fully compatible). Terna SpA – @ Copyright 2011 3 di 21 MyTerna Portal User Manual – Registration Edition 3.0 2 My Terna” Home Page After typing the http://myterna.terna.it address, you will view the portal home page which is divided into three sections: header, control panel, data area as shown below. Different content but same layout on all Portal pages. The page header consists of: top left, MyTerna logo to access the User Home Page top right, the English link to select the language of the web application (Italian or English). When you click “English”, you will be able to visualize the “Italian” link which will allow you to return to the various fields in the Italian language finally, still at the top right, the link to access the Home Page of Terna's website. The Control Panel provides the following functions: access to the Portal by registered users through the “You are already user of MyTerna” link and the opportunity to retrieve a forgotten password through the Forgotten Password? link; creation of a new user account through the “You are not registered in MyTerna” link; Terna SpA – @ Copyright 2011 4 di 21 MyTerna Portal User Manual – Registration Edition 3.0 In this case, the data area provides a brief description of the functions on the control panel, the “Manual” link, to download and consult the user manual for registration procedure and the “Contact us” link to submit problems incurred during registration. In this Form identification data should be entered (sender, e-mail), as well as the subject of the request, message, any attachments (ex. the screen-shot of the error) and the alphanumeric text proposed. Select “Confirm” to send this information. Terna SpA – @ Copyright 2011 5 di 21 MyTerna Portal User Manual – Registration Edition 3.0 3 Registration to MyTerna Portal In the portal home page, the following links can be found: 1. “You are already user of MyTerna” 2. “You are not registered in MyTerna” The first link “You are already user of MyTerna” should be selected if registration to MyTerna portal was already made or if the registration process must be completed, replacing the termporary password that was received by mail from Terna. The second link “You are not registered in MyTerna” should be selected if registration to the Portal was not made yet. 3.1 You are not registered in MyTerna By selecting “You are not registered in MyTerna” the following screenshot will appear: In which: If a Counterparty wishes to register, that has already stipulated a contract/agreement with Terna or submitted a connection request to the NTG, the appropriate link must be selected providing the login credentials already used to access Terna’s legacy systems (https://procedure.terna.it/) or the file number if a Connection Request to the NTG was already submitted. If the Counterparty is a New User, i.e. it did not enter any contract with nor submit any Connection Request to Terna, it should select the relative link. Terna SpA – @ Copyright 2011 6 di 21 MyTerna Portal User Manual – Registration Edition 4.0 3.1.1 New User Electricity Operators who have not yet signed a contract or an agreement with Terna or who have not requested a Connection to the NTG, must select the second link being a New User for Terna. The following screen-shot will appear: A New User’s registration request to MyTerna portal is submitted by a private customer who is identified as Key Contact in MYTerna portal. A new user registration requires, in the first place, the provision of data of the Key Contact and of the Master Data of the New User, who will be different on the basis of the type of customer, be a Private Customer or a Commercial customer. The Registering User will have to enter his data. All fields are mandatory, in particular the User Name field must be at least 8 characters in length and represents the username of the Registering User, therefore he should save it and keep it in a safe place as it is not recoverable from the system. The Email field is the address where to send the temporary password that is needed to access and complete the registration process of the Counterparty. If the Key Contact has selected “Private Customer”, the following screenshot is displayed which must be filled out: Terna SpA – @ Copyright 2011 7 di 21 MyTerna Portal User Manual – Registration Terna SpA – @ Copyright 2011 Edition 4.0 8 di 21 MyTerna Portal User Manual – Registration Edition 4.0 If the user needs to enter a Domicile that is different from his place of Residence, he must select the Domicile if different from residence option and fill out the fields in the Private Customer Domicile section, as shown below: If the Key Contact has selected “Commercial Customer”, the following screenshot is displayed which must be filled out: Terna SpA – @ Copyright 2011 9 di 21 MyTerna Portal User Manual – Registration Edition 4.0 If the user needs to enter an Administrative office that is different from the Registered office, he must select the Administrative office different from Registered office option and fill out the fields of the Administrative office section, as shown below: In order to conclude the data entry process, the new user is required to accept the terms and conditions by checking the “Accept” box below after the disclosure information statement and the consent for the handling of personal data and then click “Send”. If this phase of the registration process is successfully completed, the Key Contact will receive an email at the email address he indicated, containing the temporary password which will grant him a second access, allow him to change the assigned password and complete the registration process. The Counterparty that is registered on the Portal for the first time starts its relationship with Terna and takes on the following status options: - Registered: the Registering Key Contact registers the Counterparty on the Portal for the first time. During this initial phase, the system sends the login credentials (temporary password) to the email address indicated by the Registering Key Contact. Prospect: after accessing the Portal using the login credentials supplied by the system, the Registering Key Contact confirms the Master Data previously entered. Validated: Terna has validated the Master Data entered on the Portal. Now the Counterparty may interact with Terna with regard to signing contracts, completing connections and managing contacts. Terna SpA – @ Copyright 2011 10 di 21 MyTerna Portal User Manual – Registration Edition 4.0 3.1.1.1 Changing your temporary password Upon receipt of the email containing the temporary password needed to access the portal and complete the registration process, the Key Contact will have to authenticate his account by using the "You are already user of MyTerna" link, entering the username he previously chose and password he received via email. Terna SpA – @ Copyright 2011 11 di 21 MyTerna Portal User Manual – Registration Edition 4.0 By clicking on “Login”, the system prompts to change the password sent for security reasons, as shown below. A new password will need to be entered in the "New Password" and "Confirm New Password" fields, selecting a secret question and entering a secret answer which will be needed to change password in case of a forgotten password. The new password must meet the criteria required by Terna: it must be at least 8 characters long and have at least one capital letter, one numeric character and one special character (ex. “.” or “-”, never “_”). The password will be valid for 3 months after which time the system will propose a password change that will have to be done at the same time or else once the password is expired, access to the Portal will be denied. 3.1.1.2 Data confirmation In order to conclude the registration process, the Key Contact must confirm the New User personal data. The first time he accesses the Portal, he will be prompted to confirm the data by clicking “Confirm”. Only after having confirmed registration, the services offered by the portal can be used. Terna SpA – @ Copyright 2011 12 di 21 MyTerna Portal User Manual – Registration Edition 4.0 3.1.2 Counterparty that has stipulated a Contract/Agreement or submitted a Connection Request to the NTG An Electricity Operator who has signed a Contract or an Agreement with Terna or who has an active Request for NTG Connection, after having selected “You are not registered yet in MyTerna” will view the following screenshot: Clicking on the highlighted link, the following screenshot will appear to be used for registration: The Operator who has signed a Contract/Agreement with Terna must register by entering the login credentials that he uses for Terna’s Legacy systems. (https://procedure.terna.it/) The Operator who has an active Request for NTG Connection may register by entering the Connection Request file number that is available to him (Ge.Co. – File) The registration request in MyTerna Portal for a Counterparty is made by a Private Customer who, on MyTerna, is identified as the Key Contact. The latter will have to click on the “Existing Counterparty First Access” link to register. This will open the next page where he must select the type of credentials he has based on the type of relationship reported: Terna SpA – @ Copyright 2011 13 di 21 MyTerna Portal User Manual – Registration Edition 4.0 Login credentials to access the Terna IT Procedure Portal NTG Connection Request file (Ge.Co. File) Depending on the selection made, the system will enable the related fields. If the choice is: “Login credentials to access Terna IT Procedure Portal”, the Vat Registration Number, Login and Password fields must be filled out; “Ge.Co. file”, the Vat Registration Number and Id Request field must be filled out, by entering the file number of the NTG Connection Request. In the latter case, if the Counterparty to be registered is a Private Customer, the Tax Code must be entered. The fields may be cleared by clicking “Clear Fields”. After filling out all fields correctly, the Key Contact can click on “Next” to proceed. At this point, the Key Contact must authenticate his account by entering his data. All fields are mandatory, particularly the Username which must be at least 8 characters long and represents the username to access the Portal, therefore it should be saved and kept in a safe place as it is not recoverable from the system. It should be noted that if the same Key Contact registers more than one company, he will have to choose a different Username for each company. The email field represents the reference address to receive the temporary password which will grant access again, allowing to complete the registration process of the Counterparty. If this registration phase is successfully completed, the Key Contact will receive an email to the indicated email address, containing the temporary password which will grant him access again. This time the link “You are already a user of MyTerna” should be selected, changing the password and completend the registration process as indicated here below. 3.1.2.1 Changing your temporary password Upon receipt of the email containing the temporary password needed to access the portal and complete the registration process, the Key Contact will have to authenticate his account by using the " You are already a user of MyTerna" link, entering the username and the password he received via email and clicking "Login". This action will allow having complete Master Data and using the Portal services. Terna SpA – @ Copyright 2011 15 di 21 MyTerna Portal User Manual – Registration Edition 4.0 3.2 You are already a user of MyTerna At the end of the registration process for subsequent portal access from the link “You are already a user of MyTerna”, it is necessary to authenticate oneself by entering one’s credentials: that is Username and Password in the appropriate fields. After 3 unsuccessful login attempts, due to the entry of incorrect Username or Password, the system will block the account and notify the user as follows: Terna SpA – @ Copyright 2011 16 di 21 MyTerna Portal User Manual – Registration Edition 4.0 The account will be unblocked after nearly 20 minutes. If Username and Password are correct, the system will know whether the user is making his first access to the Portal and will request a password change. 3.2.1 Forgotten password If the user loses his password to access the portal, he can access the password recovery page from the "Forgotten password?” menu, as shown below: The user must enter his Username and click on “Send", as shown below. The system will send an email to the user at the email address indicated at registration, containing the new password which will grant him access to the Portal. The user should change this password upon first login. Terna SpA – @ Copyright 2011 17 di 21 MyTerna Portal User Manual – Registration Edition 4.0 After having entered the Username, to complete password retrieval, the Answer indicated for the Question during the Registration process should be entered. 3.2.2 Changing your password Upon successful authentication of his account, the user of the Counterparty can view the following Portal screen: The user can select one of the following three options from the header section: “Changing your password” to change his password, “Logout” to end the Portal session, “English” to change the language settings. The “Changing your password” function has a “Changing your password” page in which the new password can be entered. Upon successful confirmation, the system verifies that the new password is in compliance with Terna’s security policies.
