Don’t want to take the time to indicate a design for each job? Select a non-sport specific design to use
for all jobs. Or select Pro Mix which comes with 8 different designs in a set of 8 cards. We’ll add the
information to your customer profile and we’ll use the same design and color for all jobs. If we have no

Excel Photo encourages the use of sample products in presentations, photo day displays,
and promotional mailings. To assist you, we have adopted the following samples policy:
All sample prints, in reasonable quantities, ordered from January 1st through February
15th and from July 1st through August 1st will be free of charge. Please order promotional
samples well in advance. In order to take advantage of this free offer, the following criteria
must be met: Sample prints must be ordered as a separate job and you must select and
provide a digital image for each sample. The order submitted must include data and package
information for each image. Normal production schedules will apply to all promo sample
orders. Rush requests will be invoiced at full price. Upon request, Excel Photo will file your
sample images for future use.
Graphics setup, plaques and shipping charges will be
invoiced at regular prices. Samples ordered at any time other

How to Prospect & Sell Your Sports Programs
Getting The Wheels In Motion
To begin acquiring youth leagues, it is necessary to determine where the leagues are and who the
appropriate contact person is for each league. There are many sources for this information. With most
leagues and youth organizations having their own websites, much information can now be obtained online
with some diligent browsing. Other sources are local Parks & Recreation centers, independently owned
sporting goods stores and local newspapers. You can also contact local Chambers Of Commerce for
additional information. We recommend that you locate at least 2-3 times as many leagues as you intend
to photograph for a given season.
When contacting the league representative, your objective is to get an appointment to make a personal
presentation of your product. Depending on how a particular league makes its decisions, this presentation
may be to the Board of Directors for the league, a photo coordinator, or the President. One way to
encourage leagues to allow you to make your presentation is to inform them that you have a unique
program which is “custom tailored” to each league. Explain that you will only need about five minutes to
explain this program and to gather the information needed to tailor the program to best fill their needs.
Your presentation should highlight service above all else.
Service is the highest perceived value with the least amount of competition. Have a display board with a
wide variety of products set up before you begin. At the beginning of the presentation, you should outline
your objectives. A “custom tailored” program is a positive experience for the kids, the parents, the league
and you. Let them know that you are going to share with them a new way of doing pictures that takes the
burden and hassle away from them. You will also want to be gathering information from them to assist you
in designing the program.
Making The Process “Headache Free”
• Educate the customer. Let the league know that the process of ordering pictures will be easy for the
parents. Inform them that parents may purchase exactly what they want. Make them aware that extensive
market research has shown that the major thing parents dislike about ordering sports and school pictures
is when they must buy one thing before they can buy something else. Let them know that every item you
offer can be purchased “a la carte”. Refer them to the package portion of the envelope. Tell them that you
will arrange some of the more popular items into money-saving packages for those parents who wish to
purchase more pictures, thus reducing the price. Be sure to point out that with your program there is truly
something for everyone.
• Be sure to inform the league officials that the distribution of envelopes will be easier for the league.
Instead of dropping all of the envelopes off at the league president’s house and requiring the league to
coordinate the distribution, offer to assist them. You can do this by attending a Team Parents’ meeting and
explaining how the envelopes work and distributing them to the Team Parents at the same time. Anything
you can do to ensure that the envelopes make it all the way to the parents and alleviate the league of
responsibility will result in more sales for you and happier league officials. Offer as much assistance as is
necessary.
• Picture day can be an enjoyable experience for everyone. Make a point to do everything that you can to
make it a fun activity. Offer to assist in planning a shooting schedule and encourage getting as many of the
teams into one day and one location as possible. Let them know that your company will provide all of the

personnel necessary to run a smooth, “on-time” shoot. Acknowledge their previous bad experiences with
picture day and let them know that your prime objective is to make them look good.
• So that they can fully appreciate how easy package distribution will be, show them how their pictures
will be delivered (i.e., individually packaged and packaged by team.)
• Answer any questions regarding your services as thoroughly as possible. Inform them that your name
and phone number will be on every order envelope so that if there are any questions, requests for reorders
or any problems, the parents can contact you directly and not have to contact the league. Conclude your
presentation by re-emphasizing how these services set you apart from other photographers and ask if
there are any questions. Eventually, the question of price will come up. Remind them that you are “custom
tailoring” a program just for them. In order to do this, you need to know what they are accustomed to
receiving in the way of fund-raising from the photographers. Regardless of the formula (i.e., $1.00 per
child, 15% of gross, etc.) that they are used to, find out what they actually received last year. Try to
determine the actual dollar amount that they have received in the past.
Moving Towards Closing The Deal
Assuming the league has 500 kids and that they received $500 last year, begin with this trial close: “Would
it be safe to assume that if I can provide the level of service that I have indicated, supply the league with a
$500 donation and arrange packages that are attractive to parents at prices that are fair and reasonable,
that I can earn your picture business this year?” If they are ready for prices, give them the “a la carte”
prices for a few items (be sure to include some low-priced items!) and remind them that you’ll put some
attractive packages together and reduce the prices.
Everything that you do better than your competition builds value. If, at any time, they indicate that they
like the prices you are offering, you have likely won their business. However, if you give them prices before
you have told them how great you are, you are losing money. Unless you use contracts, setting a date is
closing the deal. You will want to move directly from showing prices to asking them if they have already
selected a date for shooting the pictures. Once you have agreed on a date, thank them and assure them
that they, as well as the parents, will be pleased with their decision and the results. Be sure to make
a follow-up call 3-4 weeks before picture day. Make certain to follow through on your commitment to
making this as hassle and headache free as possible by getting order envelopes distributed about two
weeks in advance. By keeping your commitment to quality and service, you increase your chances of
rebooking with that league for seasons to come.

Avoiding Delays & Errors
We cannot stress enough the importance of complete,
accurate and legible paperwork.
Order forms and shipping labels can be obtained upon request free of charge. Job Summary forms can
even be preprinted using your order envelope. Please be certain that all film, digital media and paperwork
submitted for processing is properly packaged and identified. Film should be clearly numbered and order
envelopes bundled in camera order by roll and class or team and identified accordingly. When more than
one photographer is on a job, bundle all film and order envelopes by photographer. Digital media should
be properly labeled with customer number, job name and job number.
Make certain that all paperwork and trading card information required to produce the job accompanies
the order. Be sure to include graphics order forms if your job requires foil stamping, titling, custom trading
cards or MVP or Tribute plaques.
PRODUCTION CANNOT BEGIN UNTIL ALL NECESSARY PAPERWORK HAS BEEN RECEIVED!
In preparing your production forms, keep in mind two very important things:
1. We want your order to be as accurate as you do!

Instructions for Slates and Envelopes
Excel Photo has several options for submitting a digital capture job, but if you’re planning on having
us create the data files, there is one way to ensure the integrity of your data. Modification of your sales
envelope or order form that is distributed and collected from players/students on photo day can make a
world of difference in the level of accuracy and legibility of orders. Our goal is to move all customers to
the same format of envelope to improve accuracy rate. The envelope that we recommend is an envelope
designed to be used with OCR (optical character recognition) scanning. Whether envelopes are scanned
or entered, this format forces the consumer to PRINT and therefore, make the envelope easier to read. The
following information describes how these new envelopes and corresponding slates should be used.
How To Fill Out A Teleform Envelope/Slate
The teleform envelope and slate is designed for use with optical character recognition to capture data
required to produce packages, trading card information, plaque engraving and some specialty products.
By keeping the format of all data consistent, we can better ensure accuracy and can transition all work
as deemed necessary to OCR. Additionally, because consumers have come to recognize this type of
form as a computer scanned form, they are much more diligent when completing their order information.
If legibility improves, so does accuracy of orders. Please request a supply of slates by calling Customer
Service. It is important that forms are used correctly in order to ensure that data is captured correctly.
For both envelopes and slates, the Photog I.D and the Team# in the ‘Photographer Use Only’ section will
serve the same purpose and therefore, should always match.
Team Slates:
To be photographed prior to
every team.
Information gathered from the team slate is used for matching individuals with their appropriate group,
correct spelling of coach name, ship to coach service, extra group photos and coach/sponsor plaques.
Photographer Use Only
PHOTOG I.D. This area is used to indicate which photographer has photographed the job. If more than one
photographer is on location, assign each of your photographers a unique number. We recommend a three
digit number. For example Ken Brown’s photographer’s ID is 100. If there were a second photographer
on the job, their Photographer ID would be 200, etc. The ‘Photographer ID’ number benefits by making
identifying camera problems easier. With Photographer ID and metadata from your camera, we can tell
you exactly which camera/photographer has the problem. It also makes it easier for imaging reports when
dealing with new photographers.

Team#
Each team is assigned a number. If you are not preparing team slates ahead of the shoot*, this number
should correspond to your photographer ID #. For example, Ken Brown’s team numbers would start with
team #101. Ken’s second photographers’ first team would be #201. Having the photographer’s ID and
team numbers in different ranges eliminates the possibility of duplicate team numbers.
Image#
This field tells us where to locate the image files for team slates and group shots. Indicate the image file
name of the slate shot and the image file name of the last (or edited if you pre-edit your images) shot of
the group image in this field.
Section #1 and Section #2
Information provided in Section #1 and Section #2 is self explanatory. Complete Section #1 to ensure
that teams are identified properly and that team names on PageMates and engraving for Coach and/or
Sponsor plaques is correct. Complete Section #2 for your own records (in case of problems) or for ship
to coach service.
Section #3
This section is used for ordering extra team photos that are not reflected on order envelopes and products
such as coach and sponsor plaques. Indicate the item# that corresponds to the appropriate product on
your Job Summary. Indicate the quantity desired of this item.
Lab Alert
This section is to be used to alert us of any unusual circumstances (e.g. watch for lighting changes,
cropping instructions, retouch needs or that no team shot was taken).
Individual Slates:
To be photographed prior to
shooting individual portraits
for a team.
Individual Slates need not be photographed if all images for team and individuals remain consecutive and
are photographed on the same camera. In this instance, the Team Slate will serve the same purpose in
identifying the individuals. If groups and individuals are photographed on separate cameras or they are
not photographed and stored sequentially, an Individual Slate must be used to identify the beginning of
each team.
Note: It is not necessary that team numbers remain in sequence once the job is submitted. In order to expedite picture day many
photographers choose to pre-number teams and pre-print team slates based on photography schedule information. Team slates
are then printed for each camera setup and the appropriate slate is pulled when that team comes to the camera. This same
procedure could be followed for individual slates as well.

Photog ID and Team#
Photog I.D and Team # remain the same as on Team Slates.
Image#
This fields tell us where the SLATE image for a particular team’s individual images that follow is located.
Indicate the image file name of the slate shot in this field.
Head Coach Name, Team Name, Division or Age Group
This information should always be the same as the information provided on the Team Slate that corresponds
to this section of individuals.
Player Order Envelopes
The data comes from three
different sections of the envelope:
1. The section that the photographer fills out
“Photographer Use Only”
2. The section that the parent/child fills out
3. The characters that the computer reads
Photog ID and Team#
Photog I.D and Team # remain the same as on Team and Individual Slates.
Start Image / End Image
These fields tell us the image file name of the first and last shot taken of a child. You must always have a
start image. If the child is shot only once an end image is not needed. If you have a child with divorced
parents, or a buddy shot with two different orders, simply fill out each envelope with the same start and
end image number. This is also an excellent time to use the ‘Lab Alert’ area (see below).
No Shot Taken
This should be filled in when a child was not shot but is ordering a group only package or item.
Late Show
This field is used to indicate when a child has been taken out of order. When shooting ‘late shows’ it is
important to put the correct team number in the TEAM# field. This team number must reflect the original
team number assigned to this team. Not having the correct team number will result in the child not
receiving the correct team and not being packaged with correct team.
Lab Alert
Use this field when you need to alert us of something. Please write a brief explanation or if lengthy, direct
us to your Notes To Lab form. Some examples would include an order with more items than would fit on
one envelope, special packaging instructions, etc.
No Print/No Pay
Use this field if a customer has ordered a package and has not paid. This is for your information only. The
lab will still produce the products ordered.

Consumer Information
This is the section that your customer fills out. It is important that this area is legible. This is the data that
we use for trading cards, PageMates, and plaques. If it cannot be read, then the products will not be
correct. It is important to use dark ink, for accuracy and legibility. Any light color ink or pencil takes longer
to verify and in some cases the envelope appears to be blank when read by the scanner.
Section #1
This area is where all of the vital information is filled out, name, address, team, coach, etc. Each box
represents one character. Each field contains the maximum amount of characters that is allowed for that
field. **Drawn boxes will not allow for more data. If a child’s name is longer than the allowed field, we will
have to abbreviate.
Section #2
This is where the child orders his/her packages. Package numbers are placed in the ‘Item Number’ and the
quantities are ordered in the ‘QTY’ field. The parent fills out the price of each and calculates the order.
Section #3
This is the area reserved for trader card data. If a child is not ordering traders please do not cross the area
out. It is also important to note that in the position field if there is more than one position filled in, the lab
will only put the first position listed on the cards and inches will be calculated into feet.
Computer Recognition
In order for every envelope to be scanned correctly, it is necessary for it to have reference marks and a
form ID. The reference marks are the four cornerstones located on each corner. The cornerstones are read
by the scanner, and tell the computer that it is a form. The Form ID is a computer generated “code” that
tells the database which form it is, either an envelope, a team slate, or an individual slate. Each of your
envelopes will also have a reference number on it that tells you what the envelope is called. This number
tells us which package structure to use.
It is extremely important that the cornerstones and the form ID are
not written on or distorted! Photocopies are not a viable means of
submitting forms. Substitute forms are available at no charge.

Instructions & Procedures for Groups In Package
The following is a list of instructions and procedures for groups in package. Please refer
to the sample order forms in the back of the catalog as you read through this section.
These pages were created to help illustrate how order processing takes place.
• Be sure that your individuals are clearly slated at the beginning of each class. Include the teacher’s
name, grade and any other identifying information. Be certain that the name and grade are the same
in both the slate and your group production form. When photographing kindergarten & preschool
classes, be sure to include AM, PM and/or class days (i.e., Mon/Wed).
• Slate each classroom group clearly. Be sure that the slate information for the group matches the slate
information for the individuals. Information about slating can be found in the back of the catalog under
Additional Procedures & Requirements. Groups may be identified by any of the following methods:
Slate before shooting the class photo.
Use a sign board in front of the group when shooting
(this method is not recommended for groups with titles or groups with names).
Include identifying group number in data if digital capture for both groups and individuals.
• Send a completed Group Production Form & Graphics Information listing all groups in the order they
are shot. Be sure that all group images are identified on the production form as they are listed on the
slates so that they can be easily matched to the individuals. Be sure to include AM, PM and/or class
days (i.e., Mon/Wed) where applicable.
• If ordering titled groups, be certain that the job name, teacher name(s) and grade(s) on the Group
Production Form & Graphics Information reflect what you wish to appear on the title. This is where
title information is obtained to set up graphics for your groups. Any errors on your part WILL carry
through to the final product.
• Indicate quantity needed for each class or write “quantity from package data” in the quantity column.
Be sure to indicate additional prints needed for record sets or albums.
• For makeup (retake) day, be sure that students who require a group in their package are easily
identified. This may be done in one of two ways:
Slate before the individual student is photographed.
Provide a ‘Class Photo Only’ list for those students who do get a group in their package.
• Be sure that a completed, legible Group Production Form & Graphics Information accompanies
makeup day film as well as original day. Only the groups needed for makeup or retake individuals
need to be listed.
We cannot stress enough the importance of complete,
legible and accurate production forms. Please contact

Instructions & Procedures for Class Composites
With the arrival of digital products, it becomes the responsibility of each photographer and school to
provide the most accurate and current student data possible. By providing complete, accurate and current information on all students and staff, you help to assure the accuracy of student names and placement in the correct classroom composite. Camera cards become a crucial factor in the accuracy of
data. The following is a list of instructions and procedures for composites. A sample Composite Work
Order is provided in the back of this catalog.
Photographing & Slating for Composites
We strongly recommend the use of Data Advantage camera cards. Make sure that all student and staff
names are complete and that each subject has their own envelope when their picture is taken. It is critical that money envelopes or camera cards be kept in exact camera order. Information obtained from
your camera cards will then be matched with the images. If camera cards are not in sequence, names
will not match the images on the composite. Each bundle of camera cards should be clearly identified
and should correspond to the slating of each class. Upon request, Excel Photo will provide slate pads
that can be photographed and then used to identify each bundle of camera cards when they are submitted with the job. If you photograph the slates, be sure to write the JPG number on the slate and keep in
the order photographed along with the individual camera cards.
It is important that composite schools be shot by classroom or that class/rotation # be written on every
card, envelope and/or slate. Extra charges will be incurred if all students and teachers are not clearly
identified with this class/rotation information.
If you are shooting slates at the begin of each classroom, make sure that the information on your slate
matches the information on your Composite Work Order.
• When identifying classrooms, be sure to include Teacher’s full name as you wish for it to appear on
the composite, Grade (include AM, PM or class days such as Mon/Wed AM).
• Identify any students that are not photographed with their class by slating ‘Add To’ and the teacher’s
name, grade and class/rotation number.
• Slate any individuals that should NOT appear on the composites as ‘NFC’ (Not For Composite)
• Be sure that any staff, faculty, teachers and teacher’s aides are clearly identified on the job either by
slating or indicating as such in your data file. The following abbreviations are recommended.
P=PRINCIPAL… T=TEACHER… S=STAFF… VP=VICE PRINCIPAL… TA=TEACHERS AIDE… F=FACULTY
It Is Imperative That You Submit Your Job With The Following:
• A data file or all Camera cards or money envelopes clearly identified and in order photographed. This
will be used to link images to individual names and appropriate classes.
• A completed, legible Composite Work Order. It is not necessary to indicate quantities for each class.
Quantities and teacher names will be pulled from your order data. If additional composites above
and beyond those ordered are needed, these should be indicated on your Composite Work Order.

Products with Data
For the past few years, photo products have become increasingly ‘data-critical’. Today,
every product we produce for a school is driven by the data that we receive either from
you or the school. Excel Photo strongly recommends the use of Data Advantage camera
cards or labels or professional image link software to ensure the integrity of the student
data and the accuracy of your product.
Frequently, data provided for camera cards is received incomplete. It is not until a job
reaches the point of photo product production that information is determined to be
missing or incomplete. When this happens, production stops. Unfortunately, once the
delay begins, it tends to have a trickle-down effect on all jobs. Please advise us of any
information other than the Critical Data listed below that needs to be retained for product
production and/or needs to appear on the Data Advantage camera card.
Critical data:
CRITICAL information that is REQUIRED to accurately produce ID cards, CDs, digital service strips,
record stickie photos, pictorial directories, proof order envelopes and composites includes:
• Field headers to identify data provided
• Student last name
• Student first name
• Student grade
» For preschool and kindergarten children, be sure to include AM, PM and/or class days
in the grade level.
• Student Permanent ID Number (Note: Though this number may not always be required, we
STRONGLY encourage you to obtain it. Some products cannot be produced without this
data and may be requested by your school at a later date.
»Some schools have multiple ID numbers. One for lunch program, one for library and one
permanent ID number for administrative use. Be sure that you know, provide and inform us
of the ID number required for the products that they are requesting. It is possible that more
than one ID number may be required.
• If Barcode products are required, our default barcode is Code39. If any other barcode is
required, please advise us on your production paperwork.
Additional information may be required depending on grade level, products ordered and how the

school would like their products delivered. Be sure to include ALL necessary data required to
produce, sort and deliver your school’s products.

How can delays be avoided?
Be sure to know your school’s precise product needs & delivery requirements. Make sure that they know
that the accuracy of their product depends upon the data that they provide to you. Communicate your
specific data needs to the school when requesting data for camera cards or CamLynx. In most cases,
missing, incomplete or invalid data is the primary cause for delay and product remakes.
Who to talk with:
When working with public schools, information is most readily available and more easily obtained from
the district office. Ask for the “computer person” for best results. This ensures that you are dealing with
a person that has the skill and knowledge to provide you with the information that you need. In private
schools, you will need to deal directly at the school level. Again, ask for the “computer person” and be
prepared to offer assistance in exporting the data.
Data timeline:
Get your data from the school as early as they can provide you with complete enrollment information for the
current school year. Enrollment information should be obtained and camera cards ordered at least 2 weeks
prior to shoot date. Data should be provided electronically via email or on disk to avoid data entry charges.
Please provide data in a comma or tab delimited (data separated with a comma or tab) .TXT format. Additional
charges may apply if data is not properly formatted. Contact Customer Service if you have any questions.
Be sure to allow sufficient transit time via UPS from Excel Photo to you to ensure delivery of camera cards
prior to shoot day.
Please submit all camera cards for students AND staff in the exact order photographed with your job.
Camera cards should be bundled by class whenever possible. For high schools or middle schools where
this is not possible, bundle approximately every 20 subjects and number each bundle sequentially. If you
are capturing digitally and you are not using CamLynx, please write the image file number on each camera
card and slate. This helps to ensure that images and data are accurately linked.

What Is Acceptable?
We’ve all heard it at some time or another. You shoot the job, send it to the lab and then
you get the dreaded call from Customer Service or the editor. “There’s a few kids that are
soft focus and off-center” we tell you. “Well, how bad is it?” you ask. “Is it acceptable?”
These are difficult things for us to answer since we see it as either “sharp” or “not sharp”,
“centered” or “off center”. Everyone has their own idea as to what is “Acceptable”. So, to
make it easier to answer that question next time, we’ve designed a scale that allows you
to tell us whether it’s acceptable or not. If you ever get that call again.... And of course,
that rarely happens to you... We’ll ask you to open your catalog to this page, tell you
where we see the image on this scale, and let you make the decision for yourself.

Photographing, Framing & Cropping
When you are photographing, you need to allow enough room around the subject or
group for cropping to an 8x10 size. Keep in mind that all image sizes require some
cropping in order to make a standard-sized print. You may sell only a handful of 8x10s
on a job, but for those few we must frequently go back and reprint 7x10s or 8x12s
to ensure that we are not cropping too tight and losing a portion of the image. Not
only does this delay your job, but we are having to throw away 8x10 prints. This is an
added cost that, in the end, gets passed on to you. When photographing individuals for
memory mates, trading cards and magazine covers, be sure to hold your camera in the
vertical position and do not flip-flop your camera.

Basics of Exposure & White Balance
Deciding how to light your subject.
It is best to avoid dramatic lighting ratios when shooting digital. A 3 to 1 lighting ratio may result in the color
temperature on one side of the face to be noticeably different from the other side. As a general rule, the
lower the contrast the better. White umbrellas are better than silver and soft boxes (especially for the main
light) produce a better “flat” light than umbrellas.
Establishing correct exposure.
Use a flash meter to assure that you have the lighting ratio you want. A good reliable flash meter is the best
way to get an accurate exposure. Be willing to move and/or adjust your lights to get an accurate reading.
It isn’t any more work to set your lights to exactly f 8 than it is to call f 8.2 “close enough”. A single channel
histogram can be very inaccurate as a method of establishing correct exposure. If circumstances require
that this be your only method of calculating exposure, your lighting should be very even and the histogram
of a gray card, positioned at the subject, should display a single line and should be right in the middle of
the histogram grid (center line on Nikons evenly between the two center lines on Canons).
Selecting the correct white balance.
Most studio lights produce a light that is between 5500 and 6000 Kelvin. On most cameras this is around
the “flash” setting and the “cloudy” setting. The most accurate method of selecting the proper color
temperature is to custom set your white balance each time your lighting condition and/or location changes.
Methods and instructions vary from camera to camera but use a gray card, not a white card, no matter
what the manual says. The exposure must be accurate before you can get an accurate white balance. Use
the same instructions for positioning the gray card as above and set your white balance to the card.
Other settings and information.
With a modest lighting ratio, correct exposure and correct white balance all other settings on your camera
should be fine at their default settings. Most newer digital cameras adjust contrast, saturation, hue and
sharpening automatically. This is usually called something like Dynamic Image Optimization or Picture
Style Mode. In many cameras the default setting is called Normal which is really Auto. We have seen
much better results, switching this to Custom and setting each independent control to normal. Because
all cameras handle this differently, please call if you need help with this. Color Space should always be set
to sRGB.
The most common mistakes.
• Auto exposure modes will not work with Studio Lights.
• ISO on flash meter does not match ISO on Camera.
• Auto White Balance absolutely does not work.
• Changing an image processing value like saturation or
contrast and forgetting to change it back.
• Under exposed is better than over exposed but right
on is better than two stops under.

Submitting a Digital Job
When submitting a digital job for production, please be sure that all CDs or DVDs are clearly marked with
your customer number, job number and job name and that the appropriate production forms are provided.
All production forms necessary for digital capture jobs are the same as for film capture. If you are uncertain
as to which forms to use, please see the Underclass section or the Youth Sports and Special Events
section of this catalog. Job Summaries for Youth Sports and Special Events can be preprinted at no
charge based on your order envelope. Please contact Customer Service for more information regarding
this service. Images may be submitted on CD or DVD.
File Size
A properly exposed image with correct White Balance (color temperature) only needs about a 2MB JPG
file to make an acceptable 8x10 print. However, if we have to make large adjustments to the image, higher
resolution files may improve the final look of your prints. Fine JPG at large file size on some cameras is
now approaching a 5MB file. While this is way more image resolution than you need, better to miss with
too much resolution than not enough.
Image Transfer
Many image organizing/transfer softwares convert your original image file. It may just auto rotate, but it
may also rename and/or resample your images. We strongly advise that you transfer images from your
card directly into a folder on your computer without the aid of any third party software (Windows Explorer
only). If you are doing your own image/data matching using software like Camlynx, please disable all file
renaming. The most accurate way to ensure data image integrity is to retain the original file name. If you
absolutely MUST rename your images, retain the original image file# in the BEGINNING of the new file

Image Adjustments
We request that images come to us in their native state. No sharpening, cropping, color or levels
adjustments etc. Every change made to a JPG image is removing data from the image. If you go too far
in any adjustment we will not have enough data to “back up” and make the corrections that will provide
you with the highest quality product possible. We have found that there is an optimum order to make
image adjustments and find that the best results are achieved when we can make all of the adjustments in
that order. If you have specific cropping requests, provide a folder on your CD or DVD entitled ‘Cropping
Example’ and include a copy of one image from your job that shows us how you would like the images
cropped. Remember, that even though we’re printing digitally, we’re still making ‘machine prints’. Should
your crop sample fall outside of the normal range, custom cropping charges may apply.
Folder Organization
Each job needs its own CD or DVD. The CD or DVD should have an ‘Images’ folder. If there was more than
one camera at the job, those images need to be separated into folders inside the ‘Images’ folder. If images
from a given camera are on more than one card and you use continuous numbering (recommended), you
can copy all images from that camera into a single ‘Images’ folder. If your image number resets when you
put in a new card then you will need to create subfolders inside the camera folder. If you are supplying data
with your job, it needs to be in a folder named ‘Data’. If you are supplying cropping examples they should
go in a folder named ‘Cropping Example’. If you provide your paperwork electronically (PDF production
forms are available), it should be in a folder named ‘Forms’. See example on following page.

Data Handling
We offer several options for data handling on digital capture.
How a properly organized CD should look when viewed in Windows Explorer.
Submit using Camlynx or other approved image matching software. Provide CD or DVD that includes
image files and database along with appropriate production forms. Data Advantage camera cards are
recommended with this service if you are not printing your own camera cards or labels. This method offers
you the highest degree of control on data and images.
Submit with Data Advantage Camera Cards or Labels and we’ll create the text file for you. Student/
Player enrollment data is obtained prior to picture day and submitted to Excel Photo on disk or via email in
a TXT, CSV or XLS format. All grades/teams should be contained in the same file (and on the same sheet
if CSV or XLS format). Excel Photo will produce either bar coded camera cards or bar coded adhesive
labels, based on your request, and print in sort order you have specified and send to you for use on picture
day. For sports jobs requiring trading cards, ‘Get Real Series’ magazine covers, PageMates, or engraving
for plaques, we recommend labels rather than camera cards so that all data can be captured from the
consumer’s order envelope. These would be applied to the players order envelope (outside of the scanable area), and submitted in order photographed with your job. For schools or jobs that require non-data
products, camera cards can be used. In both instances, image file#(s) should be recorded on either the
camera card or order envelope. Camera cards or labels are billed when they are sent to you for picture
day (camera cards - $0.08 ea and Labels - $0.02 ea). For sports and special events jobs see instructions
for Digital Slates and Envelopes for details. This method offers a high degree of data control yet minimizes
the time you spend preparing the job for the lab.
Submit with order envelopes, handwritten camera cards or worksheet and we’ll create the text file
for you. This is the quickest way for you to get the job in to us. For sports and special events jobs see
instructions for Digital Slates and Envelopes for details.
Submit using a Preformatted Microsoft Excel spreadsheet. Upon request, we will provide you with a
spreadsheet that contains all required data in the format we need. You enter all information, including
image file numbers for every image captured and burn it to CD or DVD with your images. Your data file is
used to produce the packages.

Avoiding Extra Charges
Images that are improperly named or identified are one of the number one sources for delay. If we must
rename or manually match images to your data (whether that be a spreadsheet, envelopes or camera
cards), you will be billed for additional charges. We advise that you do not rename your images, but rather,
maintain the jpeg name exactly as it came from the camera. If you must rename your images, leave the
original jpg number at the beginning of the file name so that images sort in order photographed when
we receive them. Do not exceed 12 characters if you must rename images.
Please inspect your camera sensor regularly for dust. Retouching for removal of dust spots is an extra
unnecessary expense for you, and very time consuming for us.
Poorly exposed images.
Images captured digitally do not have as much exposure latitude as color negative film. For optimum
results, exposure of your images should be within +- 1/3 stop variance. We will print to the best of our
ability unless we feel that your images do not fall within what we feel to be a normal or acceptable range.
You will be advised should this happen. Custom printing may be required creating additional time in
production plus extra charges.
Missing images or data.
Remember, we need an image for every data record and a data record for every image (data records can
be electronic, envelopes or camera cards). Please verify that you have sent all necessary images before
shipping your job to us. When sending your job via FTP, be sure to advise as to the number of images that
we should receive. If your job is received with missing images or data it creates high potential for errors
and extra time in editing.
Inconsistent aspect ratio on images.
First of all, we really prefer that you not crop or color correct any of your images. When images are
submitted pre-cropped and aspect ratio is not maintained, it creates difficulty in printing. Custom cropping
may be required creating additional time in production plus extra charges.

Reorders, Add-to Orders & Order Corrections
What is a Reorder?
A Reorder is defined as any new or additional order placed after your job has shipped. This may be
an order placed by the consumer or one that you didn’t record or recorded incorrectly. Reorders may
be submitted on either the original reorder form that was included in portrait packages or an Excel
Photo Work Order form. They may be sent by mail or fax or submitted online by visiting our website
at www.excelphoto.com.
Reorder Pricing for Digital Capture
Reorders on digital capture jobs using Camlynx or other approved image match software or jobs using Data
Advantage Camera cards that are submitted while images are still archived on our network will be priced
at original unit costs plus a $2.00 handling charge and postage. Images for jobs received January through
June will remain archived through the month of December. Images for jobs received July through December
will remain archived through July.
What is an ‘Add-to Order?
An ‘Add-to’ order is any new or additional order placed on a job currently in production. Order received
prior to verification/editing of the job will be added at no additional charge and will be delivered with the job.
Orders received after the job has been verified/edited will be subject to a $2.00 handling charge. Please be
aware that ‘Add-to’ orders placed after the job has been verified/edited may be shipped separately.
What is an Order Correction?
An order correction is any order placed on a job already shipped that was inaccurate, missed, incomplete
or damaged. Only items not previously billed will be charged on order corrections unless we determine
that the error was due to incorrect recording on your part. If so determined, all unit charges, shipping and
a $2.00 handling charge will apply.
Please submit all order corrections on an Excel Photo Work Order form. You may request Work Order
forms as fillable PDF forms so that they may be submitted via email. Please be certain that all information
requested in included on the Work Order form and that each Work Order is assigned a unique Work Order
number for tracking purposes. Order corrections can also be submitted and tracked online by visiting
our website at www.excelphoto.com. The job name and job number used on the Work Order should
reference those used on the original production forms sent with the film. Make sure that all information
requested on the Work Order form is complete, including what was originally ordered. This allows us to
process your order correction faster. It also helps us to determine how the error was made, which will
assist us in avoiding future errors.
In all cases, bear in mind that any chargeable orders submitted will affect your account
balance! Since payment does not accompany the order, it may result in a C.O.D. delivery
unless payment is forwarded to us immediately. Keeping a VISA or MC account number
on file for billing these items is a good way to avoid the potential for delays or C.O. D.
charges. Contact accounting to arrange this payment method.

Making Communication Count
Our Customer Service staff’s primary objective is to respond to all of your needs as quickly as possible.
Whether you require information on the status of an order in lab, need help in preparing an order for
shipment or require assistance in the area of sales and marketing, our goal is to respond to those requests
and initiate action the same day.
Inform us in advance and communicate your customer’s expectations.
The more we know about what you are doing, the better we can meet your needs. Taking a few minutes
to advise us of your shooting schedule for the season can avoid unnecessary delay of your order when
it arrives. When you have photo dates confirmed, let us know. This is also the time to order necessary
paperwork, student ID card designs, computerized camera cards, and custom trading card graphics. Let
us know how many subjects you will be photographing, when you will be sending the job, and, if possible,
when the school or organization will be disbanding. The information regarding your schedule allows us to
plan to ensure maximum efficiency.
Direct your call to the proper person.
A directory of people you may need to contact has been provided on the inside cover of this catalog. If
you are in doubt, just state the nature of your call and it will be directed to the proper person. If you have
already spoken to someone regarding a particular question or situation, maintain contact with the same
person until your needs have been met or we have redirected your call to someone else. In doing so, you
will avoid having to repeat information and avoid confusion or duplication of efforts or orders. If, for some
reason your initial contact person is unavailable (and you cannot wait for a return call), be sure to let the
person you speak with know that someone is already aware of the situation and what action has been
taken and agreements have already been made.
Please have all of the necessary information ready.
When inquiring about the status of an order, be sure that you provide us with the job name, job number
and date the order was sent. If you have specific delivery requirements (such as school closures, annual
deadlines, banquet dates, etc.) have those dates, addresses or delivery methods ready. If your inquiry
is concerning an order correction or reorder, in addition to the above information, have the Work Order
number, individual’s name and order information at hand.
When placing an order with Customer Service on the phone, be sure that you have:
• Job name
• Job number
• Individual or group name
• Image number or JIP/Sequence Number
• Shipping address
• What is being ordered (and what was originally ordered and received in the case of an order correction)
• Information for trading cards, PageMates or plaques (when applicable)
Request a Work Order number for future reference before you complete your call. By having all information
at your fingertips when you call, it avoids further interruptions of your already busy schedule.

time. The fax machine is checked throughout the day and all orders are routed immediately upon receipt.

Sending bits and pieces of information throughout a day (or days) could result in delay, confusion and
possible duplication of orders. Please be sure to include a cover sheet with your fax that lets us know
how many pages should be included in your transmittal and who should be contacted if there are any
problems. When faxing order corrections or reorders, please use an Excel Photo Work Order form (with
all requested information complete) or develop a form on your computer system that closely resembles
our Work Order. Please be certain that all of the information is legible. Each Work Order should have a
unique number that identifies that particular order. Send information such as order corrections, reorders,
custom graphic orders for student body cards, trading cards, order envelopes, trading card backs and
inquiries regarding the status of orders in lab, which can be handled more efficiently with proper use of the
fax. To receive the maximum benefit from the fax machine, please be sure that you provide all necessary
information. Try to set up a specific time of day to fax all of your orders at once. Most importantly, be sure
that the information you fax to us is complete, legible, and includes accurate catalog numbers and product
descriptions.
Please Note: We do not recommend faxing artwork for logos, job summaries, school production forms,
or any other paperwork required to produce jobs. We still recommend and prefer that all paperwork
accompany the original job.

Terms, Procedures, Policies, Liability
Preparing Your Order For Shipment
Order forms and shipping labels can be obtained upon request. Please be certain all materials submitted
for processing are properly wrapped and identified. Instructions for preparing the necessary paperwork
are provided at the beginning of each section that applies to the products being ordered (see index for
specific page reference). A properly completed order form must accompany each order. Excel Photo is
not responsible for errors due to orders listed incorrectly on the order form or delays due to digital files
received without proper order forms.
Payment Terms
Unless otherwise agreed upon, all jobs must be prepaid. We reserve the right to send orders C.O.D.
without notice if they are received without payment or have balances due. Amounts owed and additional
C.O.D. and shipping charges may be added to the final C.O.D. amount. As a result, C.O.D. payments may
not correspond to the value of the shipped contents. If an N.S.F. check is received as a C.O.D. payment,
we may require future C.O.D. payments to be made by cash or certified check. A 100% prepayment will
prevent such C.O.D. charges. In the event that Excel Photo receives an N.S.F. check as payment for an
order, an additional charge of $25 will be assessed against the customer’s account.
Billing
All jobs submitted to Excel Photo must be accompanied by payment unless prior arrangements have been
made. VISA and MasterCard are acceptable means of payment or you may request that your orders be
shipped C.O.D. Excel Photo invoices an order the day after the order has shipped. Prepayments received
with the job will be applied to the invoice at that time. If prepayment does not cover the full invoice amount
of your job, the customer is responsible to pay the outstanding balance. Paying the statement balance
will ensure that your account remains current. Accounts over 30 days past due are subject to finance
charge.
Statement Cycle
Statements are mailed approximately every three weeks. The statement will reflect all payments and
invoices that have occurred since the last statement cycle. However, if prepayments have been posted,
but the job has not yet been invoiced, the statement will show as a credit balance. Subtracting the
prepayment amount from the statement balance will give you a more accurate balance on the account.
When the statement shows a positive amount due, this balance is due and payable upon receipt of statement.
In Case Of Errors Or Questions About Your Account
If you think your account balance is wrong, or if you need more information about a specific transaction
on your account, please contact our office immediately. You are responsible to pay all invoiced charges
unless you bring an error to our attention.
Shipping Policy
If the value of your job is $500.00 or greater AND you have an adequate credit balance at the time of
shipping to cover the cost of your job, UPS Ground shipping will be free anywhere inside the continental
United States. Shipping will be charged on any job shipped outside the continental United States, jobs
valued less than $500.00 or on jobs paid by VISA, MasterCard or shipped with a balance due.

Rights To Graphics / Price Change Notification
All graphic designs, layouts and materials produced by Excel remain the sole property of Excel. Any fees
charged regarding such services and materials do not transfer the rights of ownership. Price Changes:
We reserve the right to change prices and product lines at any time without notice. Such changes will
be made only when forced by circumstances beyond our control.
Promotional Samples
Excel Photo encourages the use of sample products in presentations & mailings. We also recommend
that you display samples of your own work at each shoot. To assist you, we have adopted the following
sample print policy:
All sample prints within reasonable quantities ordered from July 1
through August 1 and from January 1 through February 15 will
be free!
Please order promotional samples well in advance. In order to
take advantage of this free offer, the following criteria must be met:
Sample prints must be ordered as a separate job and you must
select and provide a cut negative or image file for each sample.
Normal production schedules will apply on all promo sample orders.
Upon request, Excel will file your sample images for future use.

Graphics setup, plaques, posters and shipping charges will be billed

Avoiding Extra Time Charges
Extra time charges can often be avoided by good planning and proper maintenance of your equipment.
We realize that there will be the exceptional occasion that will create special handling situations. Please
notify us if you are aware of any problems before your job arrives.
In order to minimize these situations and to protect the careful, well-organized photographer, Excel Photo
reserves the right to add extra production days and/or extra time charges should your job require special
handling. It will be left to the discretion of the lab as to whether or not these charges will be incurred. All
extra time charges are billed at the rate of $25.00 per hour with a minimum one (1) hour charge. The
following are some circumstances that would result in extra time charges:
Paperwork
The number one reason for delays in production is inadequate paperwork! We cannot stress enough the
importance of complete and accurate production forms. If you lack the proper forms, call us to have them
faxed or sent to you as fillable PDF forms or download them from our website (www.excelphoto.com),
then request that a supply of forms be sent to you. Please be certain that you use current and complete
catalog numbers to avoid errors in your order. While copying data from last year’s paperwork may save
you time in preparation, it could lead to confusion or delay of your order once the job reaches the lab.
Excel Photo cannot be responsible for delays or errors caused by incomplete or inaccurate paperwork.
When preparing your paperwork, please try to keep in mind two very important things:
1. We weren’t there with you when you booked or photographed the job!
2. We want things to go just as smoothly as you do!

Please make sure that your paperwork is complete, concise & provides all information necessary to
produce and deliver your job in the manner you’ve promised to your customer. If your job is received
without the proper paperwork, production CANNOT commence! Instead, you will be notified immediately
that your order is being held pending necessary paperwork. Should your paperwork have to be completed
or rewritten by Excel Photo staff, you will be charged Extra Time Charges with a minimum one (1) hour
charge. Additionally, your job may be delayed until our staff finds available time in their schedule to complete
your paperwork for you. Copies of the proper paperwork will then be mailed to you with an explanation
that future jobs may be returned if received incomplete or illegible. Excel Photo will not be responsible for
errors in jobs received without proper paperwork.
If you have any question about how to submit your order or how to properly complete your paperwork,
please contact our Customer Service Department. Samples and instructions for most forms are included
in this catalog. Some paperwork can be preprinted based on your order envelope.* We will be happy to
take the time to walk you through your paperwork to ensure that there are no unnecessary delays.

Graphics
When different styles or types of magazine covers, trading cards or student body cards are combined on
the same job, they must be printed on different set-ups. This requires additional time for the editors to
properly identify each setup and for the printer operator to accommodate each change. We recommend
separating jobs if multiple designs are required.

Excel Photo will always try to accommodate all of your needs if they are within our capabilities. Please call
