11.0 BUDGETS
Use these reports to assist in financial planning. Enter budget figures to the general ledger accounts and reports will print
actual against budget reports. You can ask the program to use last year’s figures as a basis of this year’s budget.

Creating and Editing

To enter the budget figures

Click on the [Ledger] tool bar.
Click on the [Budgets] button.
Select the required general ledger account from the list by clicking on the
magnifying glass.
Enter the budget figures for this account. You can enter a value for each
month or enter a total to calculate a monthly average.
Click on [Save] to save before selecting another account.
Click on [Graph] to view a graph.
Click on {Clear] to clear the budgets for this account.
Click on [Close] to exit.
To adjust existing budget figures
Click on the [Ledger] tool bar.
Click on the [Budgets] button.
Select the required general ledger account from the list by clicking on the magnifying glass.
Click on the [%] button.
Choose the accounts for budgets to be updated.

Current Account only.
•
All accounts in the same account group.
•
ALL general ledger accounts.
Select increase or decrease and enter the % adjustment.
Click [OK] to update and save the budget figures.
Click [Close] to exit.
To use last year’s values as the basis for account budgets
Go to [Adjustments/Accounts/Budgets].
This selection will overwrite any budget figures that you currently have entered. It is recommended that you
backup before choosing this option.
The old year’s data path is displayed. Click on [OK] to replace budget
figures with last year’s actual figures.

Budget Reporting
Budget figures are entered through [Adjustments/Accounts/Budgets]. For details on how to enter budgets, refer to the
section on Budgets in this manual. To print the budget reports, select [Reports/Accounts/Budget].
11.2.1
Actual vs. Budget Report
Profit and Loss, Balance Sheet and Trial Balance compares the actual figures with those entered as a budget.
The report prints the actual figures, the budget figures, and the variance in dollars and in percentage.
“What – If” Feature
Enter a temporary percentage increase or decrease in budget figures by group. The report will demonstrate the effect that it would have
on the financial position of your business. For this and all other budget reports see [Reports/Accounts/Budget].
11.2.2
Percentage Analysis Report
The General Ledger reports can be printed for a whole year on the one report. This will print in landscape which means the figures
print across the length of the page and not across the width.
The Profit and Loss report is the most useful. As well as the monthly account totals (using either actual of budget figures) the totals
are shown as a percentage of the total of the group.
Go to [Reports/Accounts/Budget/Percentage Analysis].
