EXCEL – Baseball Assignment – Subtotals
Excel is a spreadsheet program, but small databases can be created in Excel.
Directions: You are the owner of Baseball World, a specialty baseball store. You need to
update your database.
1. Open Excel. Open the Baseball-Subtotals file from the Community School – Excel website.
2. Save the file to the Desktop using the same name.
3. Select all the data (Ctrl + A) and change the text to Times New Roman size 12 pt.
4. Change row 1 (field names) to 14 pt., bold, centered. Adjust column widths (Autofit)

Move the Item field to column A. [HINT: Select column B, right click and choose cut. Select
column A, right click and choose insert cut cells.]
Sort data in ascending order by Item. Delete all the t-shirt, shirt, coverall, caps, games, and
turtleneck records. Baseball World is now purchasing those items through another wholesale
distributor.
Type the following:
Column F field name – Total Sales; Column G field name – Difference; Column H – Markup.
Format these headings with the same format as the other headings.
Select the Item column, replace all the words Bat with BAT. Use Replace. Select the Match
Case check box from the Options button.
In column F, create a formula to figure out the total sales by multiplying the selling price by
the # sold. Using the fill handle, copy the formula down the column.
In column G, create a formula to figure out the difference by subtracting the Cost from the
Selling Price. Copy the formula to all the records. (The numbers should not be negative).
In column H, create a formula to figure out the Markup by dividing the difference by the cost.
Copy the formula to all the records.
Format the Markup for percent with 2 decimals.
Select A1:H19. Sort the table. To sort data – choose home, sort and filter, custom sort. Sort
by Item, ascending and Then by Description, ascending (you have to add a level). Be
CAREFUL – if you select only a column, data will be totally mixed up. Undo if the data
across the row is mixed up.

Subtotal the table. (Hint: Data tab>Outline group>Subtotal button; in Subtotal dialog box,
check the following settings: Subtotal – At each change in – Item. Use function – Sum. Add
subtotal to – Total Sales (take off any other checks). Resize Column A, if needed.
Insert three rows before row 1. In A1, type Baseball World – 18 pt. In A2, type Inventory
Markup – 16 pt and italicize.
To center the titles across the spreadsheet WITHOUT using Merge and center, select cells
A1:H1 and use Alignment launcher to open the Format Cells dialog box, Alignment tab,
Text Alignment – Horizontal arrow, Center Across Selection. (Merging the cells will
interfere with selecting certain columns later in the assignment). Perform the same steps to
center the subtitle across cells A2:H2.
Format the grand total amount for currency with 2 decimals.
Create a bottom double border in cell A27 and shade the Grand Total amount in cell A28 to
White, Background 1, Darker 15%.
Autofit all columns.
Rename sheet 1 to be Baseball Subtotals.
Center the spreadsheet vertically and horizontally on the page.
Landscape and scale to fit one page. Print preview the document to make sure that it fits on
one page. Print one copy of the sorted/subtotaled database with gridlines.
Create a copy of sheet 1 – Baseball Subtotals move the copy to the end and name the new
sheet Baseballs and Bats. Click OK.
Remove the subtotals. Click into list. Choose Data, then choose Subtotals, Remove All.
Select A4:H22. Filter for Baseball and Bat records. Choose Data tab>Sort & Filter
group>Filter button. Filter arrows should appear on row 4 (column headings). Choose arrow
by Item; Take the select all check off and then put a check in boxes for baseballs and bats.
Choose arrow by Total Sales; number filter. Choose is greater than, type 100.
Hide columns C, D, & E. (Hint: Select row headings to select columns, Home tab>cells
group>Format arrow>Hide & Unhide>Hide columns)
Remove vertical centering. Print portrait and without gridlines.
Switch to the Baseball Subtotals tab. Select spreadsheet data and copy. (Do not select all
sheet).
Open Word. Change the page orientation to landscape. Change the margins to Narrow
Go to Paste Special, from the clipboard options – choose Microsoft Office Excel Worksheet
Object, OK. This pastes the worksheet from Excel into word as a graphical object. Do not
use the Paste button to insert the link.
Save the Word document to the Desktop. You may compare the Excel file and the Word file
with the key on the Community School – Excel website.
