Purpose of the Office Manager Role
Didlaw is a niche employment law boutique specialising in disability discrimination and issues around ill
health and stress at work. As recognised experts in this field, we treat these tricky issues with sensitivity
and empathy and provide straightforward, practical solutions for employees and employers. We also advise
around other forms of discrimination in the employment context. Our clients include private individuals
and businesses of all sizes. The Office Manager will interact daily with clients and needs to demonstrate
the ability to do so in a way that reflects the ethos of didlaw. Didlaw also has a sister organisation Didlaw
Education which runs conferences and seminars on the many aspects of disability and discrimination in the
workplace. We place great importance on exceptional client service which means being both proactive and
reactive to clients’ needs at all times. We are not just another law firm.
Didlaw currently consists of two full time solicitors , one of which is the Director of Didlaw, with plans to
add another three solicitors by year end 2-15. There is also a two member team which runs Didlaw
Education. The Office Manager will work at our offices in Covent Garden where there will be one to two
solicitors in situ on any given day The Office Manager role is pivotal to the business success and the
effective day to day operation of Didlaw. Reporting to the Practice Manager and working directly under the
Director you will be working primarily on your own initiative. This role essentially involves taking
responsibility for all aspects of running the office that do not require a solicitor, i.e. day to day management
of the office. This is a pivotal role with lots of responsibility.
As busy solicitors are required to attend tribunal and external meetings on a regular basis, they are often
not at the office so the ideal candidate will be confident to work alone without direct supervision and to
take ownership for the office operations.
Didlaw requires an Office Manager who is great at administration, likes a challenging fast paced job and
wants to make a real difference to the business. It’s a full-on role but for the right candidate who is able to
prioritise well and likes a challenge it is a great opportunity to work in a nice team of people.
Duties and Responsibilities
1. Answering the telephone and dealing with calls appropriately, professionally and in a timely manner
including fielding initial calls from new client enquiries.
2. Dealing with incoming and outgoing post; ensuring that important items are brought to the attention
of the appropriate party immediately and handling other postal communication as necessary.
3. Dealing with incoming general office email and sending email communication as required
appropriately, professionally and in a timely manner.
4. Scanning and filing documents accurately and a timely manner; this is a significant element of the role
as we operate a paperless environment as far as possible and it is essential that all our solicitors can
access case files remotely.

6. Communicating with clients regarding bills and accounts, acknowledging payments, liaising with our
legal cashiers.
7. Handling on the take-on process for new clients according to our procedures and regulatory
requirements.
8. Proactively managing client relationships throughout an open case including keeping clients updated,
forwarding on information, acknowledging funds, ensuring timely distribution of documents and
answering queries of a non-legal nature as they arise; escalating legal queries to the solicitor to deal
with
9. Proficient with IT and the desire to learn our case management system ( Osprey Legal Cloud) and legal
cashiering (The Law Factory).
10. Providing holiday cover checking solicitors’ s emails, post and calls to ensure time-sensitive tribunal
matters which cannot wait are dealt with promptly (in consultation with the solicitor who is overseeing
the file).
11. Maintaining letter templates and our “house style” for documents including email. Attention to detail
and presentation are very important to the client perception of excellence.
12. Managing the Directors’s diary and whiteboard dates for key dates for tribunal compliance as required.
You will only do a small amount of ad hoc PA work for the Director but not for all staff.
13. Managing relationships with suppliers and ensuring adequate supplies at all times, including stationery,
phones, PCs, office equipmen.t
14. Any other reasonable task as requested by didlaw and didlaw education that you would expect to carry
out as an office manager with lots of responsibility. ).
Person Specification

Technically skilled – confident in using the MSOffice suite and the internet; also able to problem solve
and find solutions, which may include liaising with IT or other support, so that technical issues are
resolved expediently and with minimal impact the business

Reliable - Excellent time keeping, punctuality and consistent attendance at work; able to take
responsibility for own workload and take ownership of office management

Trustworthy - To be trusted with running the office and able to take sole responsibility for tasks and
work alone where required; able to be a key holder and take responsibility for office security

Flexible and well-organised - Able to quickly and positively respond to changing requirements which
may affect the working day, and to deal appropriately with varying client and Director needs. An ability
to prioritise is key

Confident and positive attitude – confident in own abilities; uses initiative; proactively looking for ways
