Food & Beverage
Due to our liability & licensing restrictions for all food & beverage items served on premise, we require that all food
& beverage items must be served by the club with the exception of a specialty cake. No food or beverage items may
be removed from the premises, even in the event of an overage of your final guarantee. It is a violation of state
health codes for leftover banquet food to be removed from the club by guests. The specialty cake must be provided
by a licensed baker. Menu selections & all other event details must be confirmed with your event coordinator at least
(14) days prior to your scheduled event date. Requests for changes to the confirmed menu within 72 hours of your
scheduled event are subject to availability.
The catering department will gladly prepare a customer menu to your specific requirements upon request. Special
requests for dietary needs must be confirmed 72 hours prior to the event to prevent a delay in service to your guests.
Children’s entrees are also available upon request for children 12 years of and younger.
Alcoholic Policies
In compliance of the Texas alcoholic beverage commission (TABC) regulations, berry creek is the only licensee
able to sell and serve alcoholic beverages on premise. Any outside alcoholic beverages not provided by the club are
not permitted in any event or service area and are subject of confiscation. Service of alcoholic beverages require
proper id. No one under the age of 21 will be served alcoholic beverages. The club reserves the right to refrain from
serving alcoholic beverages to any person who visibly appears to be intoxicated. This may require closing the bar(s)
despite prior arrangements confirmed with the banquet event order.
Entrée Options & Combination Plates
Generally, one entree selection for all guests is preferred, however you may request up to (2) entrée options for your
guests. When selecting an entrée option menu, all entrée must have the same salad, starch, vegetable, & dessert. To
ensure your event will flow smoothly, the host agrees to provide color-coded place cards, to identify each guest’s
entrée selection. Place cards must be set out by the host unless otherwise arranged with the catering department. We
recommend selecting one dessert for your event if you selected a seated lunch or dinner option. If you would prefer
to offer a selection to your guests, you may select maximum of (2) desserts. These desserts must be pre-selected and
will be served at alternating place settings.
Combination plates are also available by selecting (2) entrée to be served in smaller portions of the same plate.
When selecting a combination plate, there will be an additional charge of $2.00 per guest surcharge.
Banquet Event Order & Room Diagram
To ensure proper execution of your event, a Banquet Event Order (BEO) & Room Diagram used for setup will be
created for each event. These forms will be sent to the main contact for final review & confirmation no later than (7)
days prior to the scheduled event. All details are confirmed until the BEO & Diagram have been signed by the event
host and returned to the club no later than 72 hours prior to the scheduled event.
General terms & conditions applying to the event will be listed on the Banquet Event Order (BEO), & where
applicable, will supplement any agreement between Berry Creek and the event host.
Event Space & Set-up Specifics
A $250 room reset fee, at minimum, per event room will be applied for all requested changes to the approved set-up
of an event once the room has been set. Fees will be charged for all room resets requested less than 72 hours prior to
your scheduled event to cover additional labor costs incurred by last minute changes and /or requests. The banquet
captain & service staff arrives approximately 2 hours prior to each scheduled event. Berry Creek staff can assist you
with minor setup changes at the time.
The club does not permit anything to be affixed to the walls, floor or ceilings without prior approval from the
catering department. All décor items, including perishable items, must be removed from the event room the evening
of the scheduled event.
Berry Creek is not responsible for any loss of materials, equipment or personal belongings left unattended and /or
unsecured. Any damages to Berry Creek or items within, as well as any fees incurred due to loss, breakage or
damage of goods by any guests of the event will be the sole responsibility of the client.
Guarantees
A final minimum guarantee is requires (7) days prior to your event. Once the guarantee is set, you will be charged
for this number even if less people attend. Changes or discrepancies on the day of the event that result in preparation
of additional food items will be at the expense of the client. It will be the chef’s option to select which entrée will be
provided as the 5% back-up. If the total attendance exceeds 10% of the final minimum guaranteed, there will be a
$3.00++ per person service fee in addition to the entrée price. Should you fail to contact the catering department
with your final guarantee; the original estimated attendance listed on your contract will be prepared for and billed
accordingly.
Deposit & Final Payment
A non-refundable deposit along with a signed contract is required to officially reserve an event. An event is not
officially reserved until both the deposit and signed contract are received. All events must be paid in full no later
than the event date unless previously arranged with the catering department. We accept the final payment in the
form of a cashier’s check, money order, cash, or credit card. A personal check will not be accepted for the final
payment.
Service Charge & Sale Tax
A 20% taxable service charge & 8.25% sales tax will be added to all event setup fees, AV equipment, food &
beverage prices. Tax exempt organizations must submit certificate of exemption to the club no later than 14 days
prior to the scheduled event.
Linens
White, ivory or black polyester linen overlays and napkins are included for all banquet events. A limited selection of
colored napkins is available upon request and availability. Specialty linens, chair covers, and chiavari chairs are also
available at the additional charge. Pricing is available upon request.
Preferred Event Professionals
We recommend selecting vendors from our preferred event professionals list for your event; however you are not
required to do so. We request that all vendors deliver flowers, cakes, audio visual, etc., no sooner than two hours
prior to your scheduled event. All items must be removed following the event unless previous arrangements have
been made with your event coordinator. All vendors must supply their own equipment for setups. Berry Creek is
unable to loan guests or vendors any equipment or ladders.
Audio Visual Equipment
A limited selection of AV equipment is available through our catering department on a rental basis. Additional
equipment is available through our AV supplier on a rental basis. All AV equipment should be arranged no later
than 72 hours prior to your scheduled event.
Overtime Fee
The scheduled event must end by the specified time listed on the Banquet Event Order. If guests remain beyond the
event ending time, Berry Creek reserves the right to charge an overage fee. This fee will be assessed by the banquet
captain and will need to account for overtime of staff and will be assessed as follows: $500 for every hour over your
scheduled event conclusion time.
Entertainment
Berry Creek welcomes outside entertainers. It is the responsibility of the event host to advise musicians of the rules
of the club. Musicians must adhere to out dress code during setup, performance and breakdown. The club does not
permit musicians to consume alcoholic beverages on club property. The club can provide meals for the entertainers
at an additional cost. All entertains must be set-up 2 hours prior to the scheduled event.
