The Mass Update Red Flags form will allow Districts the ability to mass add, mass change and mass
delete red flag records and comments. From this form a red flag record and comment can be mass added
to a selected table for students by grade level. The form also has the ability to mass change red flag
records from one table to another. The Delete Records From option can mass delete red flag records and
comments for a selected table.
This process will affect any student in the grade(s) selected on the form. A Keep or Skip query statement
can be applied to the database to further limit which students are affected by the form. Mass Update Red
Flags is currently available for Access districts in the school database. Client Server districts can utilize the
form from the school or the District database.
MASS UPDATE RED FLAGS FORM
The Mass Update Red Flags form can be accessed from View All Forms.
Please be aware that Eagle Software’s objective is to provide their users with documented procedures, such as
the one that follows, in an attempt to expedite the steps necessary to accomplish certain tasks within Aeries™.
However, Eagle Software recognizes that each school and district using Aeries™ has established their own
unique guidelines and policies.

The following form will display.
The form will add, change or delete red flag records and comments for grades K – 12. The Grades to
Update or Move will default to ON.
The Grades to Update or Move values come from the LOC table but will not exceed grade 12. If the
LOC range does not contain all grades between K-12, as in a school database, the grades not included
will be greyed out on the form.
The Mass Update Red Flags form has an option to Include Inactive Students. When this option is
selected, the form will update both Active and Inactive students.
The form will honor a Query KEEP/SKIP statement to limit the students updated. There is also an option
on the form to apply a Query IF statement.

There are three options on the form, Add Records To, Change Records From, and Delete Records
From. NOTE: These processes will affect every student in the grade(s) selected!
Add Records To
The Add Records To option allows you to mass add Red Flag records to a selected table from the drop
down list. Select the grade level and the table to mass add red flag records.
The Comment field can be used to type in a comment to mass add to the selected table red flag
comment field for all records being added. Select the Keep existing comments option to keep any
existing comments in the table from being overwritten by any new comment entered in the Comment field.
De-selecting the Keep existing comments option will display the following message. If you want to
overwrite ALL existing red flag comments for the table and students selected, click the mouse on the Yes
button. If not, click the mouse on the No button.
If the Comment field is left blank on the form AND the Keep existing comments option is NOT
selected, the system will clear any existing red flag comment for the table. The following message
will display if there are existing red flag comments in the table. Selecting Yes on this message will wipe out
any existing red flag comments for the selected table.

Once all selections are made, click the mouse on the Add button. A message will display asking if you are
sure you want to Add Red Flag Records for the selected table. Click the mouse on Yes to add the records.
A message will display indicating how many records in the table were updated.
Change Records From
The Change Records From option allows you to change the Red Flag records and comments from one
table to another. Select the grade levels to change. Select a table from the drop down list next to
Change Records From.
Next, select a table from the drop down list next to Change Records To.
Select the Keep Existing comments option to keep any existing comments from being overwritten.

De-selecting the option will display the following message. If you want to overwrite existing red flag
comments for the table and students selected, click the mouse on the Yes button. If not, click the mouse
on the No button.
If the Keep existing comments option is NOT selected, the comment fields become editable. In the
example below, the Change Records from comment box is blank and the Change Records to box
contains a comment. This example will change any DNT red flag record with a blank comment to become
a new HRN table red flag record with a comment of “Hearing Evaluation”. The original DNT red flag record
will no longer exist for the DNT table as it has now been changed to the HRN table.
After all selections have been made, to change the red flag records, click the mouse on the Change
button. The following message will display. To change the records click the mouse on the Yes button.
A message will display indicating the number of records that were changed.

Delete Records From
The Delete Records From option will delete ALL red flag records and comments from the selected table.
The comment box can be used to delete a red flag record with a specific comment. If a specific comment
is entered in the comment box, it will only delete red flag records for the selected table if the record has
that specific comment.
If the comment box is left blank, the form will delete records for the selected table and will not limit by
comment.
Click the mouse on the Delete button.The following message will display.
To delete all red flag records click the mouse on the Yes button. If not, click the mouse on the No button.
If the records were chosen to be deleted, the following message will display with the number of records
deleted.
