Bill S13-030 “Let’s Be Organized” Sponsored by: Senator Bird Co-Sponsored by: _____________________________________________________________________________ Whereas: There is currently a form of record keeping, and; Whereas: This form of record keeping is not always organized, is not always timely, and the information is not always readily accessible by every branch of the Student Government, or the student body in general and; Whereas: A more organized method of recording should be imposed, to allow for more reasonable access to documents that are related to, financial records, grant requests, legislation, and Student Government activity, and; Whereas: This is essential to representing both the student body and the community positively, and; Whereas: PETEsync is a new initiative being undertaken by the Student Government, in order to connect all student organizations, and the student body, so; . Therefore Let It Be Resolved: That this legislative body, will take the following course of action in order to better this organization as a whole: A copy of all financial records involving A&S fees including, but not limited to: grant request, ERFs, financial spreadsheets, receipts, approved budgets, and auditing records, will be kept both as a hard copy within the Student Government Office and as an electronic file within PETEsync; that the records on PETEsync should be accessible to any and all entities at all times. Furthermore, any request for a hard copy should be entertained by an official clerk, and fulfilled within four business days. This will allow for a more efficient process in the auditing system, as well as coincide with both the Student Government Statutes and Florida Sunshine Law. Therefore Let It Further Be Resolved: That a copy of all records relating to all other government activity including, but not limited to: passed legislation, failed legislation, committee meeting minutes, general assembly minutes, unofficial meeting minutes, executive meeting minutes, senate bi-weekly reports, and executive bi-weekly reports will be kept both as a hard copy within the Student Government Office and as an electronic file within PETEsync; and that these records also, when on PETEsync should be accessible to any and all entities at all times. Furthermore, all request for hard copies must be entertained by an official clerk, and fulfilled within four business days.
