Minutes from previous meeting on February 29, 2016 not formally circulated yet.
Approval of the minutes of the meeting on February 29, 2016 deferred to the next meeting.
President’s & Referees Report



Concussions clinic for coaches, managers and players to be hosted in conjunction with UVic on
April 11, 7pm at the Medical Sciences building on campus.
o People need to be made aware of the seminar, and we need to encourage attendance.
At least 1 representative from each team should be in attendance.
All Cup games going well. Clarification that youth players can be brought up for cup games, but
teams must keep the player for the entirety off the cup.
Provincial draws happening tomorrow (Casey, Tena and Tanya to attend and represent LIWSA).
Vice President & Discipline Report




Leaving the zero-tolerance policy as is. The process is currently consistent with Victoria United,
and we have the flexibility to work out solutions.
Jackets or shirts will be here this week.
There has been no discipline arising from cup games.
LIWSA re-did the constitution and bylaws under the past president, went through two lawyers,
went to the Ministry to review; meanwhile the Societies Act changed; and it came back with
three major issues, so we will continue to operate under the old constitution.
o We are going to leave this issue for now. The constitution and bylaws still require
updating as it is difficult to read.



Treasurer’s Report



Not present, nothing to report.
LIWSA would like a regular financial update at executive meetings, but it just needs to be a
simple account record.
A full accounting summary of all revenues and expenditures required for the AGM.
Registrar’s Report


Not present, nothing to report.
Assisted with Provincials registration.
Competitions’ Report





Cup play has now concluded, and it went really well. Big thanks to everyone for helping out.
o Need to remind people that only registered players and coaches are allowed in the
technical areas. No kids, no playing soccer on the side lines or at half time. All those in
the technical area must have an ID card.
o Would like things to be a little more formal next year. Communicate clear expectations
well in advance.
o Recommendation to order cup game balls at the same time as ordering all-star game
balls; need to have a LIWSA banner at the cup games (especially for team photos).
Provincials draft is happening tomorrow.
o Tanya to continue sending out updates and information to keep everyone in the loop.
Promotions and relegations working group still needs to meet: Thursday April 14, 6pm at 4 Mile
Pub (Casey, Marta, Tena, Tanya, Jessica and Allison to attend).
Update on O40’s division, Marta to send out communications to all players. Advise that this is a
trial basis, and the appeal is that you can still play regular division.
LIWSA banner needed with Provincials coming up. A motion to approve an expenditure of $400
on a new banner was put forward. Tena approved, Marta seconded.

Communications Report




Question: Fernwood FC wants to post on the website about pick-up games.
o Answer: As LIWSA is affiliated with BC Soccer, we are not allowed to post non-BC
Soccer-sanctioned activities. However, this can be posted as an announcement under
“community posts”.
Question: We need to revamp the LIWSA website, and Marta is working with Shane on this.
Marta has been using Wordpress to redesign the website. Shane can convert the old site to the
new one for 5 hours of his time, and Marta can do the rest. Discipline and registration would
remain the same. Do we want a facelift for the website?
o Answer: 5 hours of Shane’s time = $500. The site would be self-manageable, but we
would still require Shane to maintain the web hosting. Other clubs and teams have
updated their websites. LIWSA need to confirm that we have the funds, and would need
to communicate the update to the league. Marta can send out a sample of what the
website would look like for approval.
o A motion to approve an expenditure of $500 to redevelop the LIWSA website was put
forward. Tena approved, Frank seconded.
Marta received a list of postings and announcements to list on the website.
Marta to draft a thank you letter to Prospect Lake for hosting the cup games. Marta to draft and
post online; Allison to send a hard-copy letter to the club.
General Discussion





LIWSA hasn’t raised fees in a number of years, and this may be something we need to consider.
Referee fees in Vancouver have gone up to $70 per game. Our fees and finances need to be
reviewed to determine if we need to raise fees.
We need to continue to look for sponsorships. This may require a new position on the LIWSA
Board. Teams don’t realize that LIWSA doesn’t get the money they put in for “team fees” every
year.
Need to determine if BC Soccer is raising fees this year, and potentially as for $1 or $2 more
from each player. Need our financial position confirmed and then determine, if, by how much,
LIWSA needs to increase fees.
Year-end party at the Strathcona has been put on hold until next year. We need to get
commitment from clubs and teams and player earlier in the season.
AGM to be held on Sunday May 29 at 5pm at Juan de Fuca Rec Centre curling lounge.
o Everything needs to go to the membership 10 days in advance of the AGM.
o Next executive meeting to be held on Monday May 2, 6pm at Sam’s apartment building.
o Need food for the AGM (enough for 40).

Liaisons Report


Jessica: there were a few games that didn’t get played during the regular season, and a cup
game was forfeited.
o Tena fined and suspended appropriately for all forfeits. Season is now officially over.
Frank: the LIWSA e-mail addresses get so much spam, and it can be hard to sort through.
o Marta to upgrade securities and add a filter.
