Online Card Management Application Quick Reference Guide Working with Online Statements Managing Online Statements The organization administrator can view online account summary, transaction, and statement information for corporate and individual bill accounts. Selecting accounts to view As an administrator, you may be able view other users’ accounts and statements. Your security settings determine whose accounts you are able to view. If you have this access, you can find accounts to view using the hierarchy, or you can search for individual accounts. To search for accounts 1. From the menu, select Statements>View Account Summary. The Account Summary page appears. 2. Click Change Account Holders. The Change Account Holders page appears. 3. Select the option Search for account holders or Select account holders using hierarchy. a. To search for account holders, from the Search Criteria list, select "Name on account" or "Account number". In the Search value field, specify a complete or partial value to search for. Enter a wildcard (*) to search using partial values. Click Search. Account holder names appear in the Account Holders box. b. To select units from a hierarchy, the hierarchy page appears. Click the icon to locate the site you want to see account holders for, and then select the check box next to the site name. Account holder names for the site appear in the Account Holders box. You can use the drill-up icon next to the Show Units For field to drill back up the hierarchy, or you can use the dropdown arrow in the Show Units For field to select a unit higher in the hierarchy. 4. Click the by a name to transfer the name to the Selected Account Holders box, or click transfer the first 15 names. to 5. From the menu, select Statements>View Account Summary. The Account Summary page appears, with account information for the first name you selected. Specify another name in the Selected account holders field to see the account summary for a different account holder. Viewing transactions As and organization administrator you can view transactions for the users you have permission to see. To do this, you must first find the account to which the transactions belong as described above. The following procedure explains how you can view transactions in the online card management application. To view the transaction list You can view a list of individual transactions for this account for the current month or previous months. 1. From the Statements menu, choose Transactions List. The Transaction List appears. a. Note: If you have not yet selected an account to view, the Change Account Holders page appears. Select an account. 2. In the Statement Cycle field, use the drop-down arrow to select the current cycle, or a previous cycle. Transactions for that cycle are displayed. The transaction list displays the following information: Transaction post date and transaction date Merchant and location Merchant Category Code (MCC) Transaction amount, in local currency Currency code and conversion rate Billed amount, in statement billing currency Memo (indicates the amount of the transaction that will be posted to another account) Understanding the account summary Account summary information is displayed on the Account Summary page. Corporate bill account: If this is a corporate bill account, the account summary shows only limited account information, such as current purchase totals, cash advances, balance, and account credit limit, as well as summary information for the previous statement. Individual bill account: The account summary for an individual bill account shows the following information: Current statement Last statement Beginning balance Last payment received Purchases Cash advances Credits Current balance Credit limit for this account Previous balance and payments received Purchases and cash advances Late payment fee and other fees Finance charges and credits Last statement balance Past due amount Minimum payment due and due date Viewing an account statement You can view and download an account’s cycled statement, in Adobe Acrobat PDF format. 1. From the menu, select Statements>View Account Summary. The Statements>Account Summary page appears. 2. Click Change Account Holders. The Change Account Holders page appears. 3. Select the option Search for account holders or Select account holders using hierarchy. a. To search for account holders, from the Search Criteria list, select "Name on account" or "Account number". In the Search value field, specify a complete or partial value to search for. Enter a wildcard value (*) to search using partial values. Click Search. Account holder names appear in the Account Holders box. b. If you are selecting from a hierarchy, the hierarchy page appears. Click the icon to locate the site you want to see account holders for, and then select the check box next to the site name. Account holder names for the site appear in the Account Holders box. 4. Click the by a name to transfer the name to the Selected Account Holders box, or click the to transfer the first 15 names. 5. From the Statements menu, choose View Statements. 6. Select an account from the list of accounts for which you want to view statements. Statements available online are listed. 7. Click the icon next to the statement you want to view. The statement is displayed as a PDF file. 8. You can download the statement to your own computer or print it if you want: on the PDF display, click Save As or Print. The statement is downloaded to your computer or printed. Note: You must have Adobe Acrobat Reader software to view or print the statement. If the software is not installed, click the Acrobat Reader button at the bottom of the page to go to the Acrobat web site, where you can download and install the free Acrobat Reader software at no cost.
