 Importing a list of Visitors into the PassagePoint Client Pre‐Registration Customers who host groups of people wish to pre‐register their groups without having to manually key punch each person one at a time into the program. The answer is to create a list in Microsoft Excel. Save the list as either a Comma Separated Value (CSV) or a Text Delimited (txt) file. Here are the steps to this process. Create an Import Template inside of PassagePoint The information you want to put into PassagePoint must be structured. The best way to structure data is to start in a Spreadsheet program such as Microsoft Excel. Before you can start in MS Excel, you will need to create a template inside of PassagePoint. Start by logging into PassagePoint as the Super User Admin account. Go to the Home Tab then click on the Configure System ribbon Scroll down to the Import Mappings section. 1 Click on the Add Button 2 Define your Import Template Name the Template Define the Column Separator For our Example we will be using a Comma Separated Value Pick the data fields to map from the modified Excel file. Use the Add Column button 3 Give the template a name and define the column separator This template is called the Visitor Import List We shall define our column Separator as a Comma Separated Value (CSV) 4 In our Example, we added five (5) fields Person Name First, Person Name Last, Person Company, Person Phone, Person E‐mail Click the Save Button Now create your list in Microsoft Excel. Start at Row #1 5 Go to Microsoft Excel Create your spreadsheet. The data must be highly organized. 6 Click on the File Tab then scroll down to the Save As Command 7 Pick a location where you can find the file. In our example, we will save the file to the desktop. The next step. Change the file format from xls to csv. Use the drop list to locate the format Then click the Save button You will get an alert message. Do not worry about this message. A CSV file is a one‐page document versus an Excel spreadsheet, which is a multiple tabbed document. Click the OK button Another pop‐up message will appear. Click the Yes button 8 Once the file is saved as a CSV file you can close the Excel program. When you do, you will get another pop‐up message. In this case, click the Don’t Save button . Now log into PassagePoint. Click on the Pre‐Registration ribbon. Then click on the Import File Button 9 A pop‐up box will appear with our Visit Import List Import List. Now click the Browse button to locate our import file. Our file is on the Desktop. Highlight the file and then click the Open Button 10 Click the Import Button The system will test the file and report how records will be imported. If everything looks OK, click the OK button The records will show up in the Visitor Info box. Make sure you give the group a name. Make sure you assign a host to the meeting, date and time of the meeting. Click the Save Pre‐Reg button at the bottom of the screen. 11 The Pre‐register group will show up on the date of the meeting. You will find the group in the Visit Center, Rapid Registration Pending tab Click on one of the names in the list, and then click on the View Full Record button 12 Since the people who were part of the group are connected to the record, you highlighted all persons who are part of that group will show up in the Visitor Info box. Only the name of the person is checked will print on sign‐in The template can be used repeatedly. Just remember to follow the structure of the template when you build your Excel spreadsheet.
