STEP 1 – Sign-up to Microsoft Windows Live
• Set up a Microsoft Windows Live account if you don’t have one already. If you already have a
Microsoft Windows Live account sign in and go to Step 2, Sharing Calendars with Windows
Live Hotmail.
• Go to https://home.live.com .
•
Click on the “Sign up” button.

If you would rather use your existing email address, rather than create an additional Hotmail
email, click “Or use your own email address”. The email address section will change as
shown below:

Complete the details requested, as below

Remember to uncheck the box marked “Send me email with promotional offers ...” at the
bottom of the page.

Now click the “I accept” button.
•
If you used your own email address, an email will be sent for authentication. Please open the
email and click the authenticate link.

Next obtain the Windows Live account information from the people you want to be able to
share your calendar with e.g. their email
•
You will need this information for Step2, Sharing Calendars with Windows Live

STEP 2 – Sharing Calendars with Windows Live
To share your calendar with other users, you will initially “Publish” your calendar which will
allow you to invite users to view it, and then to subsequently invite additional users you will
need to “Share” your calendar.
In Office 2010 and Office 2007 the process method used to publish your calendar is slightly
different, Office 2010 uses buttons whereas Office 2007 uses links to access the functions
required.
In Office 2010 follow the following:
• If using Office 2010; Open your Outlook calendar and click “Publish Online” button

If using Office 2007 click the “Publish my Calendar” link in the left hand pane
•
You will need to sign-in with the windows live id you created earlier.
•
You will then be able to specify the details that you would like to publish in your calendar:
- Select the timeframe to publish, the default timeframe is 30 days in the past and 60 days
in the future.
- Select the level of detail to publish, “Full details” will display the calendar item details,
rather than just showing the item time.
- Select who can see the calendar. We would recommend using “Only invited users can
subscribe to this calendar” as you will then have control over who will be able to view
your calendar.

On clicking OK You will be prompted to invite users to view your calendar by sending them
an email. You can invite users later by clicking the “Share Calendar” button or “Share my
calendar” link.

STEP 3 – Opening a Windows Live Shared calendar in Microsoft Outlook
When you receive an email invitation to view someone’s shared calendar, click on the link in the
email and you will be prompted to login with your own Windows Live id.
•
Click on the “Calendar” link and then check the box beside the name of your colleagues’
Windows Live Hotmail calendars. You will see your events plus those of people who you
have chosen to share Hotmail calendars right there in Microsoft Outlook.

Click this Arrow if you want to see the various calendars presented in the same pane.

Clicking the Arrow as above presents the shared calendars overlaid with your own as below:
