Statutory Requirement Document v1.0
Preamble: This document is prepared considering the guidelines of IT-Act 2000 and e-security
available
on
Department
of
Electronics
and
Information
Technology

Purpose: This document provide guidelines for web content publishing and updation policies
for PICT. It also includes policies for managing email service provided, in the most effective and
productive manner.
Following are the activities undertaken and services provided by this committee:
1. Development and updation of Website content
2. Email Service Management
Web content policy:
If user submits or wish to upload any content to the website, user agree to accept and comply
with the following rules at all times.
1. Content originators are wholly responsible for all content posted by them on the website.
2. Content originator or user must not post or upload any content or use the website in a way
that breaches any law or infringes any organization/individuals' rights, that is offensive,
threatening, defamatory, obscene, harassing, false, misleading or unreliable.
3. We do not guarantee that we moderate any content posted to the website but we reserve
the right to review/remove/edit any content at any time.
4. The process for content updation is defined as per ISO and can be found in Chapter 6.3 as per
Quality Manual.
5. If anyone wish to report any content contributed to the website, can email us
via [email protected].
Email Usage and Management Policies:
This policy explains the email services PICT provides, supported by google app, as well as the
actions department people should take to manage their emails and accounts.
1. New user policy:
As new employee joins an organization, registrar office will forward the related information to
webmaster. Webmaster will generate an email-id of an employee and send this information to
the email-id provided by new employee. As well, whenever an employee leaves an
organization, registrar office will have to inform webmaster accordingly to disable an access.
2. Existing user policy:
i. Users are to actively manage their email accounts and avoid retaining unnecessary email in
their mailbox.
ii. Email originators and recipients are required to determine if an email is appropriate for
preservation and, to the extent necessary, properly archive the email outside their email
mailboxes. Please click here or

(Archiving is like moving messages into a filing cabinet for safekeeping, rather than putting
them in the trash can.)
iii. Do not send electronic greetings (e-cards); non academic-related multimedia files; chain
letters; letters or messages that offer a product or service based on or tied to a chain letter
structure, including jokes, recipes or other non-academic-related information; conduct any
other activity that congests or disrupts the Intranet or Internet.
iv. As far as possible, the email account that you are assigned is to be used only for PICT related
activities and to assist you in the performance of your employment activities.
3. Messages Intended for Employees
i. Department-wise groups are available for intra-departmental communication as per below:
Computer Engineering :[email protected]
Electronics and Telecommunication: [email protected]
Information Technology: [email protected]
Applied Science (FE Department): [email protected]
ii. Rare occasions / circumstances may require the issuance of an all-employee email . Any
message submitted for distribution as an all-employee email will be subject to a stringent
review process. The Head of the department is the initial point of contact when deciding the
process of sending an all-employee email with the approval of Principal.
Using [email protected], you can send email messages to all employees; however this method
of communication should be used sparingly. If you have a message you believe should be
communicated to all PICT employees, you can do so by contacting
webmaster
([email protected]) after getting it approved by Principal.
