B/E Aerospace – FTP Tool Training Guide Below are the instructions on how to use our secure webenabled file transfer program (FTP). You will be able to complete your FTP transaction via the web 24/7 – 365 days a year. Logon: Within a web browser, go to: https://beaweb.beaerospace.com/index.jsp or https://beaweb.beaerospace.com/fcweb/jsp/logon.jsp? If you are a B/E employee you can access the site via the BEIntranet site by clicking on <FTP Server> link. The screen below opens. Please read disclaimer prior to using this FTP site. Click on Login to continue. 1 B/E Aerospace – FTP Tool Training Guide All customers and B/E personnel can self-register themselves. However, all customers must use the <Login>. The <Upload Files to B/E Aerospace> link is for internal B/E personnel only. 2 B/E Aerospace – FTP Tool Training Guide If you are a registered user, enter your user name and Password and click on the login button. If you are a first time user, click on the Register here link (see red arrow above). 3 B/E Aerospace – FTP Tool Training Guide First time user log on screen: Fill in the required information and click on save. All fields with a red dot are required fields. Do not put periods (.) between telephone number – hypens or all numeric characters only. 4 B/E Aerospace – FTP Tool Training Guide The upload history screen appears. Upload a file (FTP a file): Click on the new upload link (red arrow above) 5 B/E Aerospace – FTP Tool Training Guide Enter the recipient’s email. If you wish to send a file to more than one recipient, hit the enter key after each recipient’s name. (Do not use a comma, semi-colon…after the recipient’s name.) You can enter a note to the user in the Short Note field. You can also select if you want to be notified (by email) if the file recipient has received your file. 6 B/E Aerospace – FTP Tool Training Guide This new version allows for an address book. This does not link to Lotus Notes or any other address book system. However, you can start populating your frequently sender addresses and save them. Address Book (this is a new feature) Click here to open up address book Add “new contact” and save.. Select “Add New Contact” complete the contact information and click on “save.” You can add and delete contacts as needed. Select upload files button. 7 B/E Aerospace – FTP Tool Training Guide Upload a file Select the browse button and select the file that you want to send. If you want to send multiple files, select more files link. (Red arrow below) This will give you more browse fields. Once all documents are selected, select the upload selected files button. Note: if you do not have JAVA enabled on your browser you will get this screen below to upload files. However, there is a link provided on the screen that lets you download the JAVA applet. Java is a free download: www.java.com . 8 B/E Aerospace – FTP Tool Training Guide If you have the Java enabled on your browser, your upload page will look like this: (you can only view the file drives for which you have permissions too. If you are a Citrix users; only file drives for which you have access to via Citrix. Also, you will get the “Security Warning” click on “Always Trust the contents from the publisher” put a check mark and click “RUN”) Highlight the file(s) you want to upload, click on the single right arrow key and move the file into the Upload Cart (right side of the screen). If you want to upload an entire file folder; highlight the file folder only, click on the double right arrow and move the file folder over. If you put a document in the upload cart and decided you no longer want to transfer the file; use the left arrows to remove it. 9 B/E Aerospace – FTP Tool Training Guide When you have selected all the file(s) you want to upload, click on <Start Upload>. An hour glass will run until you get a successful confirmation. The confirmation screen appears if you are logged in; because registered users maintain a history file. 10 B/E Aerospace – FTP Tool Training Guide 11 B/E Aerospace – FTP Tool Training Guide The upload submitted screen appears. This is the transaction successful screen you will get if you are not a registered users (B/E only) You can upload more files by selecting the send more files. Or you can review your upload history by selecting the upload history link (red error above) You will receive an email confirming the file you sent with a tracking (transaction) number and a Pin number. If you email system does not accommodate hyperlinks in email, you can go to www.beaerospace.com/beaconnect and click on download and put in the <Tracking number> click download and then put in the <PIN> number from the email (this is a security requirement). Click on this link and it will open up the browser, put in the PIN number and click on download. 12 B/E Aerospace – FTP Tool Training Guide Upload History Screen: You can view each of the files that you have sent. To add additional fields to the screen, select the add a field button (red arrow above). You can select files, recipient emails, date and other fields - - your view of each of the field contents will be expanded by your selection. 13 B/E Aerospace – FTP Tool Training Guide Receive a File: The recipient of the file will receive an e-mail. The detail of the file and the link to the ftp server will be in the email. 14 B/E Aerospace – FTP Tool Training Guide When you click on the link it will open a browser to your file for download . Click on the file name (red arrow below). 15 B/E Aerospace – FTP Tool Training Guide You can select the file here and download it. You must have a program for the file to download. Such as for a .doc file you must have some word tool; for a .dwg file you need an engineering program to download A file download box will appear, select Save, open or cancel. (note: once you open or save a document; you must have the viewer for that document. FTP does not provide viewers; it’s just a transportation tool to get files from point A to point B) 16 B/E Aerospace – FTP Tool Training Guide If your email system doesn’t allow for hyperlinks in email do the following: Copy and paste the tracking number from your FTP email transaction. This will be the long number in the email. Do a right click on your mouse and click on copy. 17 B/E Aerospace – FTP Tool Training Guide Then go to the FTP Home Page, click on <Download Files> in the tracking space, right click on your mouse and do a <paste>. Then click <submit>. The transaction screen will appear as in diagram page 15; that your transaction can be saved or downloaded as you require. 18 B/E Aerospace – FTP Tool Training Guide User Profile: To modify your profile and change your password, from the upload history screen, select my profile link (red arrow below). Things to Remember: 1) You can FTP multiple documents within one session 2) We only maintain FTP files on our server for 7 days, after which time the files are deleted/purged. a. If there’s a need to reorder/resubmit an existing file, please note that the original creation date or file transfer date follows the 7 day retention policy for deleted and purged records. Example: Original File: ABCDEFGHIJ123456 submitted on June 5, 2010 to Airbus. On June 11, this same file was reordered and submitted to 19 B/E Aerospace – FTP Tool Training Guide Boeing and transferred ok, then on June 13 user wanted to reorder and submit the same file to Lufthansa. The file purged on the night of June 12th because the original creation date was June 5 for Airbus, on June 13, it was 8 days old, no longer valid. The file was available on the server from June 5 – June 12 (7 days retention). 3) A valid email is important to ensure the success of your FTP transaction. 4) We have filter restrictions in place to prevent the FTP system from being abused. We allow any IP address to send FTP to anyone with an email account that ends with "@beaerospace.com or mmaero.com or draeger.aero". We also allow anyone from an internal IP address (10.*.*.*) to send to any email address. (Note: Customer can send FTP transaction to BE or BE accounts only) 5) If you put your password in 3 times incorrectly, the system will lock you out; you will need to contact the Helpdesk number below and request your account to be unlocked. 6) If you get a security screen that looks like this below. Click on “More Options” and accept always trust Unlimi-Tech. That means you are granting permission for the applet to run the next time you use the FTP software If you are a B/E Aerospace customer (external) requiring training or technical assistance contact the First Call Global Service Desk. What is KB, MB and GB? How do I know when to attach a file in an email and when to use the FTP site? 1. A large file can be described as files that are 10 mb and higher. It is recommended that these files should be sent via FTP instead of email. 2. To determine the file size, this can be done a couple of ways: a. When typing an email in Lotus Notes, click on the paperclip to attach a file, the Create Attachment(s) dialog box will appear. Click on the View Menu icon and select the Details view. The Size column gives you the file size information. b. A second way to view file sizes is from Windows Explorer. 21 B/E Aerospace – FTP Tool Training Guide c. You can also view the file size from the application the file was created. For example in Microsoft Word, to check the file size for the document you have opened, click on File/Properties and select the General tab. File size 22 B/E Aerospace – FTP Tool Training Guide 3. Now we can discuss what does KB mean versus MB versus GB? a. KB = Kilobyte b. MB = Megabyte c. GB = Gigabyte 4. How many Kilobytes make up a Megabyte? 1000 KB = 1 MB 10 MB = 10,000 KB. 1 GB = 1000 MB = 100,000 KB 5. Given the above information…how many MB is this file? 6. Answer = 1.6 MB 23 B/E Aerospace – FTP Tool Training Guide FAQ/Troubleshooting Guide 1. Error due to filter restrictions: If you get this error (see screenshot below) - - you are an internal (B/E) person trying to send an FTP transaction to an external (outside B/E) and you are clicking on <Upload to BE Aerospace> link on the home page. This <Upload to BE Aerospace> link is for internal-to-internal transactions only and cannot be used to send anything external to the company or to send to anyone that do not have a beaerospace.com. If you are internal (BE) person sending to an external recipient or external sender sending to a B/E recipient you must use the <Login> link, register with an account for transaction to work.. 24 B/E Aerospace – FTP Tool Training Guide 2. Invalid Tracking Number error: If you get an error that states <tracking number invalid> you have sent a transaction using the resend. You can only send a second transaction to a new recipient if you are sending the transaction from the original send. If you have sent a transaction once and then want to resend to another recipient or the same recipient from your history log you must do the resend off the original transaction not a resent transaction. Another reason this error may occur is if you have invalid characters in your profile. Do not put the following characters in your profile or your password (-#$@*()_=+ also, it doesn’t like periods in the telephone number). If this error continues, put in a HD ticket or call Jonathan Fernandez or Jerry Simmons and they can reboot the server. 3. Server is out of memory or any server space error: Submit a HD ticket with the error reason and Jonathan Fernandez will cleanup the server for space allocation. 25 B/E Aerospace – FTP Tool Training Guide B/E Aerospace Disclaimer 26
