Bulletin Board Policy
I.
Policy
The purpose of the bulletin boards in our churches is to provide information to the
parishioners concerning matters relating to the church’s religious and charitable
purposes. The term “bulletin board” shall be used to include any board or grid that
has been approved for placement of notices or pamphlets.
In many cases, space limitations make it impossible to post all materials sent to the
church for display or to keep them posted indefinitely. The space is appropriated as
broadly as possible to information of general interest to parishioners. In order to avoid
confusion among members and a widely divergent interpretation of the policy, certain
policies have been made about materials that can be posted.
II.
Responsibilities
The parish staff shall be responsible for approving and revising policy, as appropriate.
III.
Organization/Administration
The parish staff has established the following policy regarding the use of the church’s
property for the posting of signs, notices, etc.
a. The church cannot participate in or appear to sponsor any program that’s major purpose
is to espouse a political viewpoint.
b. Product notices or sales materials relating to profit-making organizations cannot be
posted under any circumstances nor can information about goods or services sold for
profit by individuals, groups or companies. Beauty salons, dance studios, etc., are usually
profit-making institutions and cannot use church bulletin boards to advertise. To advertise
for a for-profit institution is a violation of IRS regulations.
c. Poorly made posters or flyers will not be posted regardless of the nature of the program.
Poorly made materials defeat their own purpose. Because of the limited space, signs and
posters must be no larger than 11x17 inches.
d. Personal notices about lost and found items or pets, garage sales, estate sales, Tupperware
or similar parties, autos for sale, etc., will not be posted.
e. The staff reserves the right to refuse to post anything in conflict with the religious and
charitable purposes of the church.
f. Signs and posters may only be displayed on approved bulletin boards and/or display
grids. Nothing may be taped, stapled, glued, pinned or otherwise attached to walls,
windows, doors, or other unapproved surfaces without the express permission of the staff.
IV. Procedure
a. All items for posting will be presented to the office in a format ready for posting (single
sheet, appropriate size, nothing on the back. Notices posted or left on tables without
authorization will be removed and discarded. Only designated staff can post or remove
notices.
b. Request for posting of materials must be submitted to the office by Monday of the
weekend that they need to be posted. Please indicate the church the item should be posted
to and indicate the date the item can be removed. If you wish to submit your item via
email, please send to [email protected].
c. Signs will be removed from the bulletin board by the designated staff on or about the
expiration date. Once signs are removed, they will be discarded.
d. If space becomes an issue, notices of events more than 30 days in the future will take
lower priority and may be temporarily removed.

Email News List Policy
I.
Policy
The purpose of the email news list is to provide timely information to the
parishioners concerning matters relating to the church’s religious and charitable
purposes.
II.
Responsibilities
The parish staff shall be responsible for approving and revising policy, as
appropriate.
III.
Organization/Administration
The parish staff has established the following policy for handling requests to be sent to
the email list:
a. Copies of messages to be sent out to the news list should be sent to staff for review
prior to submission to the moderator.
b. Approved message requests should be emailed to the moderator at
[email protected] -- with “Moderator Message” in the subject line.
IV.
Procedure
a. Join the Lexington Catholic Community news list –

b. To have a message emailed out to the news list, first send the message to a staff
member for review and then email the message to the moderator –
[email protected] – with “Moderator Message” in the subject line.

Facebook Group Policy
I.
Policy
The purpose of the Lexington Catholic Community Facebook group is to provide a
forum for open & respectful exchange between parishioners on topics relevant to our
community.
II.
Responsibilities
The Communications Commission shall be responsible for approving membership to
the Facebook group, moderating discussion as needed and working with parish staff
to revise policy, as appropriate.
III.
Organization/Administration
While there is no formal policy on what is appropriate to post on the Lexington
Catholic Community, here are some of the ways it is being utilized:
a. Spread the word. Encourage other members of the Lexington Catholic
Community to join the Facebook group.
b. Share. A photo, an album or a video of an event around our community.
c. Pray. Request prayers and pray for community members in need.
d. Promote. Tell us about an upcoming event or cause you want to promote.
e. Praise. Send out a thank you to a community member or group that has done
something you appreciate.

Mass Announcement Policy
I.
Policy
The purpose of Mass Announcements is to provide the ability to inform the parish
community of necessary information that can’t be satisfied solely through other
media (e.g. weekly bulletin, website, etc.), these are people who stand up at the end of
Mass to speak about their ministry’s needs.
II.
Responsibilities
The parish staff shall be responsible for approving and revising policy, as appropriate.
III.
Organization/Administration
The parish staff has established the following policy regarding parishioners who stand
up at the end of Mass to speak about their ministry.
a. Announcements should be brief.
b. In-person announcements must be written down and less than 2 minutes in length.
c. There will be a limit of no more than one announcement permitted each week.
d. The presider is not the person who should be contacted about announcements. He
is not always a staff member and will not be present at the other Masses or be aware
how to get the information to the other parishes that need to make the same
announcement.
IV.
Procedure
a. All Mass announcement requests must be submitted to the office by Thursday
evening for the weekend of the announcement. Email requests should be sent to
[email protected].
b. A member of the pastoral staff will review all Mass announcement requests.

Website, Newspaper & TV Policy
I.
Policy
The purpose of the website, and participation in broader media channels such as
newspaper & TV is to evangelize to the community and to provide information
concerning matters relating to the church’s religious and charitable purposes.
II.
Responsibilities
The parish staff shall be responsible for approving and revising policy, as appropriate.
III.
Organization/Administration
Given the broader reach of our communications via website, newspaper & TV, the
parish staff has established the following policy for handling these requests:
a. Parish communications targeted for the website, newspapers or TV must be authorized
by the parish staff person with whom you work.
b. A demo will be given to the staff before posted, published or aired.
c. A copy of the communication will be kept at the parish office in the Publicity folder.
d. This type of communication, given the broader audience, requires careful wording and
review.
IV.
Procedure
a. For all matters involving the website, participation with local newspapers or TV,
please contact a member of the parish staff. You can find an updated parish staff list

b. All items will be submitted to the staff person with whom you are working a week
prior to the intended date of publication..
c. Staff person is responsible for making it available to other staff members for editing
purposes and a copy to the Pastor. The staff person will forward the information to
the Communication Coordinator, who will publish the material.
d. The Staff person will notify the volunteer of the approval of Staff and Pastor for
publication.

Printed Weekly Bulletin Policy
I.
Policy
The purpose of the weekly bulletin is to provide information to the parishioners
concerning matters relating to the church’s religious and charitable purposes. The
information published includes such items as: weekly message from our pastor, mass
times, contact information for parish staff, financial information for each parish,
announcements of upcoming activities and a list of bulletin sponsors.
II.
Responsibilities
The parish staff shall be responsible for approving and revising policy, as appropriate.
III.
Organization/Administration
The parish staff has established the following policy for handling weekly bulletin
requests:
a. Requests can be submitted in 3 ways: in person at the parish office, via email
([email protected]) or by the staff member who is your ministry contact
person.
b. The office will print out or copy all weekly bulletin requests and put them in a folder
for the proofreader.
c. The bulletin is drafted by Tuesday and reviewed by the proofreader. In the event the
regular proofreader is not available, one of the pastoral associates will back them up.
d. The office may reassign phone duties on the day the bulletin is being drafted to allow
for uninterrupted editing time.
IV.
Procedure
a. All items for posting in the weekly bulletin are given into the office, staff member
with whom you are working, or sent to [email protected] by Tuesday at
12pm.
b. The bulletin is drafted & proof read on Tuesday.
