Hayley Scrivens SECONDED: Subgroup to meet and provide recommendations regarding the Board’s Future operations. Meeting has been held (refer 5.b.) Presentation by Anni Giles and Sasha Yantewo on research regarding the Forums (refer attached presentation) Anni and Sasha completed this research as part of their involvement in the Mining Minds Community Leadership program. The purpose of their research was to gauge community understanding of the Board and Forums and look at ways to increase awareness and engagement. Additional Info: Anni and Sasha supported the Community Board stall at the last Market Day (18th February). The stall was used to raise awareness of the forums and seek new members. All Forums were invited to participate. Although only a couple of forums participated it was a success in terms of community engagement with personal conversations with over 30 people. 6 people committed to joining a forum. Anni and Sasha suggest that people are more likely to join a forum if they have already met one of the members. Continuing this form of connecting with the community is vital. 5b. Community Board operation The sub group (Terry, Geoff, Chad, Sandy) met. They recommended that a facilitated community session or two be held (involving forum members and the general community) to identify the top 20 or so projects that the Board and Forums can focus on over the next 3 years. BHPB might then provide funding on these agreed projects which would be documented in business plans and time frames. Feedback provided by other Board members: • A community survey needs to be incorporated in this process – a community session is not enough as it needs to reach the broader community • That the relevant forum needs to make the final decision on what they want to work on and what is achievable based on the resources at their disposal (i.e. they may not have the capacity to deliver) what the community wants • If community issues are raised during these consultation sessions that are already being worked on it is an opportunity for the forums to tell the community and promote themselves 6. Forum Reporting 6.1 6.2 6.3 6.4 6.5 6.6 Arts and Culture (Sandy) – refer attached report Business Forum (Sandy) – refer attached report Environment Forum (from the minutes) • Clean Up Australia 5 March • Monthly column in the Monitor • Off road driving consultation – working with Kokatha Pastoral • Water conservation and awareness – want to educate the community on where our water comes from • Wildlife hotline – volunteer numbers dwindling. Applying for funding to train more volunteers in snake catching/handling Community Garden (from the minutes) • Stall at Happy Healthy Expo – seed bombs, seed jars and a sensory garden • Creating a coloured pamphlet to put in Welcome Bags for new residents to raise awareness of the garden Health Forum (Simon) • Radiology issues - response from Minister for Health indicated that it was a matter for the Environmental Protection Agency (EPA). Letter to be now sent to the EPA signed by Simon and Terry • Problems being experienced with PATS (patient assisted transport scheme) over the last 3 months with many applications being knocked back. Health Forum to write to PATS. If this is not successful will approach MPs • Time for Wellbeing project is going well with grants distributed to community groups for health projects. Some of the forums have received some of this funding. • Community Hub – new project manager appointed – hopefully the build will be quick (internal only – no structural) Alcohol and Substance Abuse Forum • Stall at Happy Healthy Expo to promote safe drinking, beer goggles. Will be in conjunction with the mock crash demonstration Minutes for 27 February 2017 Page 2 of 4 Roxby Downs Community Board 6.7 6.8 6.9 6.10 6.11 6.12 6.13 6.14 7 Sport and Recreation Forum (Terry) – refer attached report • Meeting tomorrow night will nominate a new board representative to replace Terry Family Forum – no report Education and Child Development Forum (Tricia) • Forum is still infancy but contains education leaders from across the leaders including schools, kindergarten and OSHC • Works in conjunction with the Mining Minds project Youth (YAC) – no report Women’s Network (Hayley) • International Women’s Day event on 8 March – Guest Speakers - Aimee Allen (BHPB General Manager Surface ) and Sherron McKenzie (former Mayor of Streaky Bay). Please spread the word Multicultural Forum (Theresa) – refer attached report Roxby Roadsafe (Michelle) - refer attached report Volunteering Forum (Michelle) – no Volunteer of the Month Award winners to report BHP Billiton Update – no update Action: Materials Risk presentation to be added to the agenda for the March meeting 8. Treasurer’s Report 8.1 Finance report tabled There may be a problem with BHP Billiton Funding not being received in time for the Health Expo. This may necessitate that the Board covers this amount ($2,860) if bills need to be paid. Will confirm at the March meeting if this is required. 9. Other business 9.1 Chairperson/Deputy Chairperson roles With Terry’s resignation as Chairperson the roles need to be revisited.
