Tailored Reports
SchoolWrite has designed the End-of-Term reporting program specifically for Senior High Schools in
Ghana. The program name is swghana.exe.
The Menu options are:

Term Reports (with tailored options explained here)
Baseline Report – showing the trends of a student’s results in nominated subjects
Broadsheet – a subject list of students by Home Class or by Form.
Graphical Analysis – graph of the term’s averages (by Form) – subject averages, gender averages
and grading averages.
TERM REPORTS:
Term Reports may be adjusted to suit each school. Areas of adjustment are noted on the following
sample Report.

The 12 areas of tailored adjustment, noted as 1 – 12 , are changed on the print request screen. There
are two TABS in the middle of the print request screen – Print Layout and Tailored Report Options.
1. Times school open. Enter here the number of days in the term. Student absences are subtracted
from this number, to show total Student Attendance
(If Times school open is left blank, Attendance is not printed on the Report)
There are 2 ways to enter absences for a student:
i.
Use the Attendance button on Student details screens. Each absentee day is added, with
its date, as a new line entry. The Tailored Reports program locates all absentee days in
the current term and calculates the Attendance figure.
ii.
Create an Extra Marks field in SchoolWrite where the Home Class Teacher will enter the
total number of absentee days in the current term. The Extra Marks field must be
entered as XNOABSENT – a Numeric field with length of 2 digits (see SchoolWrite
Miscellaneous Menu – Miscellaneous Files – Subject Files – Set Extra Subject Marks)
2. Next Term begins – date is entered on screen.
(If date is left blank, Next Term begins is not printed on the Report)
3. Print Student photo – when this is ticked, and when a photo displays on the Student Details
screen, the photo is printed on top left of Report

4. Calculate Missing Marks - Tick this option when the school policy states that a student missing
one of Classwork Test or Exam, because of a genuine absence, will be awarded marks equivalent
to the student's performance in the test actually done.
Note: A ZERO mark may be forced by entering -1 in the marks column in the SchoolWrite screen
5. PROMOTED / NOT PROMOTED. Tick this option in third term to print the Promotion message
automatically for each student. (Reports for final year Students should not have this message
printed). Promotion is based on each Student’s overall percentage being 50% and over.
6. The nominated graphics file (if present in the SchoolWrite folder on the network) is printed at
the top of the Report. This graphics file replaces the school name and address in bold type.
If none is selected for the Graphics File name, the School Address in words is printed.
7. Change School Address. The School Address in words – on just one line – is printed at the top of
the Report, underneath the school name, when the above graphics file is not present.

8. Change Exam Weight %. The Exam Score % (defaults to 50%) printed at the top of the column
on the Report may be changed here. When the Exam Weight % is changed here (eg to 60%), the
Class Score % automatically changes (eg to 40%).
A second line is displayed showing Marks entered out of: 50. This indicates that student marks
entered in SchoolWrite columns should be out of 50. When the Exam Weight % is changed (eg
to 60%) the 2nd line should also be changed to out of 60.
9. Change Core Subjects. The Core Subject codes are entered here, one per line. These are the
subjects that will be printed at the top of the Report. Elective subjects that follow on the Report
are defined as all other subject codes.
If a single list of Core and Elective subjects is required (ie with no headings for Core & Elective)
this list of Core Subject codes should be blank.
10. Change Grading %’s. The Grading table of marks, codes and comments can be changed here.
The entry on each line is top mark, bottom mark, grade, and comment, each separated by a
comma. When entries in this table are changed, the program must be restarted. The Grades
assigned to each subject are taken from this table, according to the subject marks achieved.
11. Principal’s signature. A scanned image of the Principal’s signature is automatically printed on
each Report when the signature image is included in the SchoolWrite folder on the network.
The signature should be stored as TEACHERCODE.JPG eg P01.JPG, where the Principal is included
in the staff file with the code P01. To identify the staff member as the Principal, the NOTES field
in the staff file must include one of
HEADMASTER
HEADMISTRESS or
PRINCIPAL
12. Guidelines for HOME CLASS TEACHER comment. The Comment by the first of the non-teaching
staff (usually Home Class Teacher) may include a general comment and separate lines for
Conduct, Interest and Attitude. The following should be entered into the teacher’s comment:
C: or CONDUCT: followed by Conduct report
I: or INTEREST: followed by Interest report
A: or ATTITUDE: followed by Attitude report
(a colon must follow each key letter / word)
