USPS and Interoffice Mail Revised 3/6/2017 The USPS only recognizes and bundles mail by company name (or in our case Montgomery College) and the street address. They do not break down and deliver mail by addresses or offices within the College. Therefore, we will have Calhoun Drive and West Gude changed effective when the last unit moves out. Supervisor of mail services Sandra Marke will submit the USPS change of address (COA) formal request for both locations, after reviewing the move schedule and coordinating with the units moving. Central Facilities will confirm with the SVP A&FS the desired mail COA date for Mannakee Building, and Sandra Marke will also submit that request to the USPS. There may be a short interim period when, following a unit’s move, their USPS mail will be picked up from their old location and taken to the Rockville mail room for forwarding to Corporate Blvd via interoffice mail the next day. This will mainly occur for units which are first to move from their current building. Once the last unit moves from a location, all USPS mail from the old street address will be delivered directly to 9221 Corporate Blvd. It will be critical during the move for units to communicate with Sandra Marke at [email protected] or by telephone at ext. 77352. Please let her know in advance the days your unit is moving, and again when completed. Additionally, each Online Phone Directory unit administrator should be making daily updates to the “Campus” (location) section for their staff directory “People (White Pages)” on the MC website. http://cms.montgomerycollege.edu/EDU/directory.aspx Your current unit administrator can be found at the bottom link on this webpage: http://cms.montgomerycollege.edu/oit/VoiceCommunications.aspx?id=112#updates Central Services (CT) has been added as a separate campus and building to the drop down menu when your administrator makes updates. We recommend that several days before your move, you familiarize with making these changes. Lastly, each unit administrator must contact Tzu-Yin Shiau to have their unit yellow pages locations updated to Central Services: [email protected] Mail currently delivered to 900 Hungerford Drive, but not addressed specifically to Montgomery College, will not be forwarded by USPS. In these cases, the recipient will need to contact the sender and have them update your address. Remember, when updating your address please indicate your unit so it gets placed in the correct mail cubby at Corporate Blvd. How long will USPS forward mail from your old address to 9221 Corporate Blvd.? First-Class Mail, Priority Mail, and Express Mail………………………………… 12 months Newspapers, Magazines……………………………………………………………………. 60 Days Packages……………………………………………………………………………………………. 12 months (Some Restrictions Apply) Catalogs……………………………………………………………………………………………… Not Forwarded (Unless requested by mailer) Standard Mail……………………………………………………………………………………… Not Forwarded (Unless requested by mailer) For interoffice/internal distribution mail, there will be clearly identified “Outbound Mail” tubs sitting in the first floor mail room located to the left of the elevators. Oversized or large volumes of outbound mail can be picked up from your office, if advance coordination is made with Central Receiving at [email protected] or by telephone at ext. 75282, the day prior. This is the draft for mail room cubby assignments. Otherwise, mail for those units will also be forwarded to Corporate Blvd. We will continue to make daily mail runs from the Rockville Campus mail room to the Mannakee Building. After our mail forwarding period expires, we will look at using the 900 Hungerford Drive address for those units which will be in the Mannakee Building. As a general reminder, if you or your department are relocated again in the future, please let James Fowlkes and Sandra Marke know in advance of the move so mail and deliveries are routed to the new location with minimal interruption, and have your unit phone coordinator make changes to the White Pages. If you have any questions or need additional assistance please contact Ms. Sandra Marke, Supervisor of Mail Services by e-mail at [email protected] or by telephone at ext. 77352.
