ICS Rosters will be pulled the night before Greek Week begins, Sunday March 27th. All roster members must have a valid OWL CARD present at the time of check-in for all events. Greeks Got Talent winners will be announced at Education Night. Greek Week 2016 is designed to promote Greek Unity. All unsportsmanlike conduct will not be tolerated in any manner throughout the week. Any of these actions can be grounds for disqualification. The Greek Week 2016 Advisor and the Office of Fraternity & Sorority Life will assess penalties. Do not forget that you are representing the FAU Greek community. Any questions regarding Greek Week 2016 or a specific event should be directed to the student leaders on the Greek Week 2016 Executive Board through your team representative. Questions regarding points or penalties should be directed Devin Brown, Director of Logistics, McKenzie Miller, Executive Director, and Lauren Filippi, Greek Week Advisor. Complaints can be made by filling out an official Greek Week 2016 Grievance Form available in this packet or on the Greek Week website at: www.fau.edu/fslife/GreekWeek.php Changes regarding dates, times, rules, etc. will be expressed on the FAU FS Life Facebook page (Greek Life @ FAU). All teams will be notified as soon as possible through their team representatives. All dates, times, rules, and regulations are subject to change. Decisions made by the Greek Week 2016 Executive Board are FINAL. Attendance & participation in Greek Week 2016 is voluntary. ALL Florida Atlantic University policies and procedures will be enforced during this program. Any student who violates those policies will be referred through the student conduct process to the Dean of Students Affairs Office. The Greek Week Executive Board will not tolerate complaints in reference to the official rules/policies. There are representatives from each of your councils that are coordinating the process and should be contacted respectfully for clarification NOT to argue about the details of the packet. The Office of Fraternity & Sorority Life will be the only group who will have the authority to disqualify a team from an event completely, known as "Complete DQ" or DQ. In the event of a Complete DQ, attendance and placement points will not be awarded. Every chapter must have a signed Greek Week Code of Conduct form on file before they are allowed to participate in any event associated with Greek Week. Teams should not begin planning Greek Week together until the joint team captain meeting has occurred (Team captains will be emailed regarding date and times). 5 Greek Week 2016 Packet GREEK WEEK SOCIAL MEDIA INITIATIVES Instagram Photo Challenge Each team must correctly hashtag (#) the Greek Week hashtag (#What’sYourStoryFAUGW16), their team’s name, as well as the hashtag provided for the corresponding day below (that totals three hashtags per picture). Team members can begin posting as many photos as they wish each day from 8:00am – 11:30pm. After 11:30pm, photos will be counted and in ranking order points will be awarded for every day of the challenge. Please make sure your team members take their accounts off of private for this week! If they do not, we will not be able to see their posts. The following corresponding days, please post (8am – 11:30pm) Monday: A photo of where you’re from or where you hope to live/travel to Tuesday: A photo of you participating in a community service/philanthropy event (can be from homecoming, lip-sync fundraisers, kickball fundraisers, etc.) Wednesday: A photo of your ‘why’ (this can relate to your organization, career, role model, etc.) Thursday: Throwback Thursday to your favorite Greek Life memory Friday: A photo that embodies your organizations open motto/creed Saturday: A photo of a leader within the Greek community Facebook Photo Challenge Team Photo: Take a creative team photo and submit your photo via flash drive to the Fraternity & Sorority Life office by Friday March 25th, 2016 by 5:00PM. The team photo will be uploaded and shared to the Fraternity & Sorority Life Facebook page. Your team will have until Thursday, March 31st at 11:30PM to get as many likes and shares on the photo as possible. Your team will then be awarded the corresponding points in ranking order. 50% of the points earned will be deducted if the photo is submitted after the deadline. YouTube Video Challenge Team Video: Teams will be required to make a video that relates to the Greek Week theme “What’s Your Story?” This video will be played before the team goes on stage and performs at Greeks Got Talent. The purpose of this video is to showcase your team’s story on a more personal level. Submit your video via flash drive to the Fraternity & Sorority Life Office by Friday, March 25th, 2016 by 5:00PM (this will be included with the team photo). We will upload your video to YouTube and provide each group a link (to be posted on the Fraternity & Sorority Life Facebook Page). 50 Bonus points will be awarded to each team that receives at least 500 views on their video, by Thursday, March 31st at 11:30PM. 50% of the points earned will be deducted if the photo is submitted after the deadline. Video Requirements & Guidelines: Video may not exceed 2 minutes Video will be played before team performs dance Video must relate to theme of “What’s Your Team Story?” Things you may include in your video but not limited to: Stories of individuals within your organization that exemplify positivity and motivate others to make an impact on this world. The story of your team as a whole (at least one member of each chapter of your team should be included), such as “What’s Your Why?”, for participating in Greek Week (other than the talent portion!!) A ‘story’ of your team and your influence on the Greek community as well as our community as a whole. This is your opportunity to tell us all what your story is, why you do it, etc. so make it creative! Video must be turned in by Friday, March 25th, 2016 by 5:00PM and be approved by the Greek Week Executive Board. If Eboard feels the video is inappropriate for any reason, it will be returned to the team and asked for a new and improved one to be submitted before dress rehearsal. 6 Greek Week 2016 Packet GREEK WEEK PHILANTHROPIC EVENTS Kick-Off Water Wars (Monday, March 28th, 2016) Teams can visit their team’s table where water vases will be stationed. Team members are encouraged to donate and provide: their name, Greek Week team name, and Chapter name. The water vase for their team will be filled in proportion to the amount of money donated. (i.e. ½ cup per $1.00) The money raised by this event will be donated to Children’s Miracle Network Hospitals as part of OwlThon 2016. Teams will also be given points according to where they place amongst all teams for total money raised at Water Wars. The team with the most money raised/most water collected will also be rewarded with selecting the performance order for Greeks Got Talent. Charlotte’s Webs (Wednesday, March 30th, 2016) The Greek Week executive team members will be selling “Charlotte’s Web” style spider webs before Education Night at 6:00 p.m. – 7:00 p.m. to raise money. Each team will have a barn on the lobby wall to put their webs on. For each donation added to the team, a web will be added to the barn. Webs will be $5.00 each. The money raised by this event will be donated to Children’s Miracle Network Hospitals as part of OwlThon 2016. Teams will also be given points according to where they place amongst all teams for total money raised at Charlotte’s Web. Giveback Night (Thursday, March 31st, 2016) We will raise money for Children’s Miracle Network by hosting giveback nights. Giveback nights are when a restaurant agrees on a certain day and time frame to give a portion of their earnings to a nonprofit organization. We are proud to work with multiple locations in Boca Raton to allow teams to go out with their team members and be able to have a portion of the money spent on their meals donated to Children’s Miracle Network. The restaurants participating are Cannoli Kitchen, Smoothie King, and Corner Bakery. See page 11 for more details. Keep receipts to be turned in at Greek Games to the Executive Board. Points will be given to teams with receipts totaling more than $5 before taxes. Teams will be ranked first through sixth place based on amount of receipts given. OwlThon (Saturday, April 2nd, 2016) Greek Week will end with OwlThon, which begins at 1:00pm in Campus Recreation. Each chapter should be raising money online through their chapter’s team page; at the end of the week, the Greek Week committee will add up the total amount of money raised by each Greek Week Team by adding together the totals each chapter within that team raised at the end of OwlThon (i.e. Team 1 will be the cumulative total of how much Chapter A raised, how much Chapter B raised, how much Chapter C raised, and so forth). Points will be awarded based on rankings (most money raised = 1st, second most money raised = 2nd, and so forth). 7 Greek Week 2016 Packet What’s your TALENT? Tuesday March 29th 2016 The purpose of the event is to demonstrate Greek Unity and to showcase the blended talents that each team has to offer. General Rules and Guidelines Each team’s performance may include but is not limited to: stepping, singing, strolling, dancing, lipsyncing, marching, etc. No fewer than ten people must participate in the performance. The Greek Week theme MUST be incorporated in each team’s performance. The theme for Greeks Got Talent 2016 is “What is your story?” Songs will be chosen on a first come first serve basis. (Team must request songs to use via email to Charlotte at [email protected]) After a request is made, team will be notified if the song is unapproved, or already taken. A max of 8 songs can be reserved. Song reservations start Monday February 8th at 10:00am. Please do not begin sending requests before this time. Use of explicit language in performance music is prohibited. Disciplinary action will be taken. Performance times will be selected by the team who places in 1st thus far in total money raised after the Kick Off Event on Monday, March 28th. Choreographers from outside of your team’s organizations may not be used Participating Members o The performance may not exceed 50 participants on the stage at once. o At least one person from each organization in a team MUST participate in the performance. (Failure to do so will result in a disqualification from the event.) o All performers must be active members of their respective organizations. Voiceover: Everyone will receive a jump drive with the :30 second voiceover (provided by the Executive board) by March 1st, 2016. You must incorporate this recording at some point throughout your performance; where in the performance you want to use it is up to you. Timing: o Each team will have exactly 5 minutes to set up and breakdown and 10 minutes maximum to perform (10 minutes does not include video) o Teams will be penalized for exceeding the 10-minute performance time limit (this does not include the video). However, no penalties will be incurred if you are under the time limit. Judging and Scoring: o Performances will be judged on the basis of: Performance and Presentation Overall talent Costume(s)/Props Originality and creativity Use of the :30 second prompt (voiceover) Story Telling o Panel of judges will be responsible for all scoring of performances o Scoring will be available the night of performances briefly after the conclusion of the last performance. 8 Greek Week 2016 Packet o Winning teams for GGT will be announced on Wednesday, March 30th at the end of Education Night. Dance Preview: Team Captains must schedule two Dance Previews with the Director of Entertainment, Charlotte Stribling (561) 234-0396, [email protected], during the weeks of March 16th and March 23rd (one each week) to ensure all portions of the talent meet regulations (props, dances, songs, costumes, etc.) During these previews the dance does not have to be complete. The Greek Week Executive Board team will be permitted to observe your dance to ensure the content within it is appropriate and falls within the guidelines. Note that any material added after the Dance Preview observation is subject to be reviewed and potentially removed if found inappropriate when presented at the Dance Rehearsal. Charlotte and/or Exec members have the right to suggest changes if deemed necessary. Failure to proceed/schedule a Dance Preview may result in disqualification of your team for the performance day. Dress Rehearsal: All participating teams must perform a mandatory dress rehearsal (On Monday, March 28th, 2016) During the time slots from 3pm – 6:30pm. Failure to have team representation at dress rehearsal may result in disqualification of your team for the performance day. You will have 30 min from the time you arrive, block the dance, and exit the auditorium. A representative will establish the team’s lighting cues and production needs for during rehearsal. This same rep will be your “sound/light person” for actual performance. This is your time to reserve microphone, say you want the disco ball etc. Teams are subject to Greek Week Executive Board mandating the rehearsal and will stop the performance at various times to count participating members or for any reason they see fit. Dress rehearsal performances may not be altered after approval from Greek Week Executive Board. If unapproved performances occur team will face disqualification. TWO forms of music: (1)- A finalized CD (2)- A flash drive with your music must be submitted at the commencement of your dress rehearsal. Please make sure your music is all condensed to one track. Final Performance: All of the music used for the performance must be on ONE track, submitted in two formats (CD and flash drive). A Designee from the team must be in the production box throughout the entire performance Any necessary props will be provided by teams and their corresponding chapters No clothing, props, or items portraying or displaying vulgar themes, images, or messages will be permitted. Inclusions of profanity, lewd conduct, obscene gestures or scenes (i.e. disrespecting other organizations), or any other inappropriate acts or behaviors will result in an immediate disqualification from the event and possible punitive actions by the Office of Fraternity & Sorority Life Glitter may NOT be used Projection screens and videos during the dance are prohibited, except for when the team’s video (which will be submitted Friday March 25th, 2016 by 5pm, see Social Media Initiatives section for more details) is played immediately preceding to the performance. 9 Greek Week 2016 Packet EDUCATION NIGHT Wednesday, March 30th 2016 Wednesday, March 30th, 2016 Education Night will take place in the Barry Kaye Auditorium. Check-in will start at 6:00pm in the Student Union. Required attire for Education Night will be dressed to pin. All members of organizations and teams who are checked in will be ushered into the Barry Kaye Auditorium to enjoy speaker, Pete Mockaitis, who will talk about personal growth. Education Night will begin promptly at 7:00pm. We encourage all listeners to take interest and be respectful of the speaker. Misconduct will not be tolerated in any way and those who are disruptive will be asked to leave and attendance will not count for that individual. Greek Week scoring for Education Night will be based on attendance. The attendance will be based on the percentage of team members that are available to attend, meaning that those who are excused because of class do not count toward that percentage calculation. In order to have those members of your team that cannot attend due to class excused and not counted toward your percentage calculation, the team must send the following information: team member’s name, organization, course name, instructor name and email. The Fraternity and Sorority Life Office will confirm the information and excuse them from attending and from being part of your team’s percentage calculation. This information is needed by March 16th, 2016; no exceptions. Throughout the event, there will be a “Charlotte’s Web” themed table where each team can donate money to their team’s designated barn-styled box. Each time someone donates $5.00, a web will be added to their team’s barn. Each competing team must include members from each Greek organization or council included on their team. Greek Week Executive Board would like to remind participants that this event is to promote Greek Unity and proper action will be taken if there is any misbehavior or misconduct. Games will be held at Henderson fields. Greek Games will be split into two portions on the evening of April 1st, 2016: Flag Football Two brackets of flag football will be held, male and female. Therefore, each Greek Week team will have a men’s and a women’s team representing them. Brackets will be determined by the placement of each team at the time of the games. Each team will check in between 4:00pm and 4:45pm. If you are participating in a sport and not checked in by 4:45pm, your team will be disqualified. Each team player must be a member of a Greek organization in good standing at Florida Atlantic University. Each team will have a roster of 7 players and 3 alternates. A list of players (total of 10) must be emailed to Fraternity & Sorority Life via email ([email protected]) by Sunday, March 27th at 11:59pm. Games will consist of two 15-minute halves, with a running clock. Since there are 6 teams, after Round One, there will be 3 teams remaining. Each team player must wear closed-toed sneakers, athletic shorts without pockets, and be sure to have his or her shirt tucked in. No jewelry is allowed. Each team is expected to practice good sportsmanship on and off the field. Failure to do so will result in deducted points off of the team’s total. Executive board will rule on whether or not points need to be deducted. A coin toss will determine which team receives the ball at the beginning of each game. Each team is entitled to one 60 second time-out per half. Referees will have the power to warn or disqualify any player who goes against the rules for the game or practices unsportsmanlike conduct. Arguing with the referee will automatically result in disqualification of that team member for the remainder of Greek Games and possibly a deduction of points. (To be determined by Executive Board) Each team is allowed to appoint one team captain prior to the start of each event, who will speak with the Executive Board and referees on the team’s behalf. Any player who tries to tackle another player or who gets involved in any kind of confrontation with a member of another team will be automatically disqualified and asked to leave the event. Referees will go over official rules for the sport before the beginning of each game. Tug of War Two brackets of Tug of War will be held, male and female. Therefore, each Greek Week team will have two teams representing them. Brackets will be determined by the outcome of the flag football games. Tug of War will begin promptly after the final football game. Each team will consist of 7 people (the 7 people can be the same or different from the flag football team). Again, each team is expected to practice good sportsmanship on and off the field. Failure to do so will result in a deduction of points, to be decided by Executive Board. 12 Greek Week 2016 Packet OWLTHON & CLOSING CEREMONIES Saturday, April 2nd, 2016 OwlThon OwlThon will be the finale event of Greek Week. Each team will be allotted points based on their participation in OwlThon, as well as their ranking in total money raised for OwlThon via their online pages. Participation is defined as signing up AND showing up for OwlThon, and will be based off of the total number of individuals on that team who are signed up for OwlThon. If a chapter has more individuals signed up than are permitted to be dancers, the leftover individuals can still get participation points if they either attend as a “visitor” or volunteer to help with OwlThon operations. For example, Team A has 300 individuals, and 250 have signed up for OwlThon. 150 of those individuals have been assigned to be dancers, so the other 100 individuals must either “visit” or serve as a volunteer for at least 1hour. If 150 people dance and 50 more either visit or volunteer, that amounts to 200 total individuals participating; thus, the percentage will be 200 out of 250 for 80%. If team members who were not able to sign up for OwlThon by the deadline still want to attend, they may do so only as a substitute for another member who had signed up. Greek Week Executive Committee will have a separate check in station next to OwlThon where team members can sign in and out for Greek Week participation points. Participation points will only be granted for the team member if they sign in AND sign out, and they must stay for at least 1 hour. Money Raised: Points will also be awarded based off of money raised on the team’s donor drive pages (cumulative total for each chapter/council that makes up that team). Any team whose members are deemed by any member of the Greek Week Executive Board to be acting in an unprofessional manner, including but not limited to, disorderly conduct, vandalism, theft, unauthorized entry, verbal or physical threats, will be referred to the Greek Week Advisor and/or the Student Involvement/Fraternity and Sorority Life office to decide appropriate action, which may include disqualification from Greek Week. Any team that violates the Student Code of Conduct may be referred to the Dean of Student Affairs Office, in addition to disqualification from Greek Week. Any and all issues regarding a team’s eligibility and/or disciplinary actions are ultimately up to the discretion of the Greek Week Advisor and/or based on any alleged violation referred by the Greek Week Executive Board. It is the obligation of each team to read and fully understand this packet and its entire content. A list of shared expectations and assumptions on Greek Week will be created and abided by for all teams participating in Greek Week. The agreement below must be signed by the President and Greek Week Chair for each chapter/council that wishes to compete in Greek Week 2016. Signed agreements are due by Friday, February 19th, 2016 by 5:00pm. All dates, times, rules, and regulations are subject to change. Grievances must meet the following two conditions: Cite the basis of the grievance Provide sufficient and detailed information to support the grievance. Grievances must be based on one or more of the following: Violation of Greek Weeks rules, policies, and procedures. Assumed bias by officials/judges in competitive events Grievances will be heard by the Greek Week advisor and decisions will be rendered by the Greek Week Executive Board.
