CONTRACTEDFUNCTIONSPACE
Pleaserefertoyourspeci iceventcontractwhichoutlinesthefunctionspaceandfeesforuseofspace.Shouldthegroupmodify

Sundancedoesnotguaranteeanyexclusiveorprivateuseoftheresort;groupswillhaveaccesstotheirimmediatecontracted

Sundancereservestherighttomodifytheresort,grounds,andanyofourfunctionspacesatanytime.

Theabilitytohave iresinfunctionroomsandatoutdoorfunctionsisdeterminedbyHotel,underthedirectionoftheUtah

OUTDOOREVENTS
Sundancerequiresindoorback‐upweatherfunctionspaceforalloutdoorfunctions.Roomrentalsfortheback‐uplocationwill
bechargedregardlessofusageofthespace.
Sundancereservestherighttomakethedecisiontomoveanyoutdoorfunctiontoanindoorfacilityintheeventofinclement
weatherorpredictedinclementweather.ThedecisionbySundancetomovethefunctionwillbemadetwenty‐four(24)hours
priortothestartofthefunction.
STAFFING
Sundancewillprovidestaf ingforyoureventsbaseduponthefollowing:
One(1)serverper ifty(50)guestsforbuffetmeals,one(1)serverpertwenty(20)guestsforplatedmeals.
Additionalbanquetservers,staff,orattendantsmayberequestedat$35perhourwithatwo(2)hourminimum.
Chefattendants/carversare$150each(forupto2hours).
Eventsthatgopast1:00AMorbeginpriorto6:00AMwillbebilledadditionallaborfeesof$200perhour.
WEDDINGCOORDINATOR/PLANNER
Sundancerequiresallweddingswithmultipleeventstohaveaweddingcoordinator.Sundancestronglyencouragessingleday/
eventweddingstoalsohireaweddingcoordinator.Allweddingsarerequiredtohaveanon‐site‐day‐ofweddingcontact.Please
refertoourpreferredvendorlisttomakeyourownarrangementsforaweddingcoordinator.
TheSundancecateringteamwillassistinplanningtheSundanceaspectsofyourevent(scheduleofevents,roomsetup,menus,
audiovisualrequirements,lodgingandguestactivities).Sundance’scateringmanagersdonotactasweddingcoordinatorsand
arenotresponsiblefortheceremonyorprocession,managingvendorsarrangedbythebridalparty,thetimingofthetoast,cake
cutting,etc.Yourcateringcontactwillensurethatallthemenus,roomsetup,foodandfacilitiesaresetupandservicedtoyour
specifications.
CHARGES
AtaxableservicechargeandUtahStatesalestaxwillbeaddedtoallcharges(food,beverage,AV,rentals,labor,etc.).Current
servicechargeandtaxesratesare:ServiceCharge21%,FoodTax7.75%,OtherSalesTax6.75%.Taxratesaresubjecttochange
withoutnotice.
A$100minimumroomre‐setchargewillbeappliedtoroomsthatneedtobere‐setwithinthesameday,ortochangetheset‐up
ofaroomonceithasbeenset.Roomsmaybesettwenty‐four(24)hoursinadvanceandchangesmadeinsideoftwenty‐four
(24)hoursmayincuradditionallaborcharges.
A$500deliverychargewillbeaddedtoalldeliveriesforcateredfoodandbeveragetoguestlodgingrooms.

GUARANTEES
The inalguaranteedattendanceforallfunctionsisduefour(4)businessdays(MondaythruFriday)priortothe irstscheduled
event.Theguaranteeistobecalledoremailedintothecateringof icenolaterthan10:00AM.Ifa inalguaranteeisnotreceived,
thecateringof icewillconsiderthelastnumbergivenastheguarantee.Sundancewillpreparefor3%overtheguaranteed
number.Theclientis inanciallyresponsiblefortheguaranteednumberofguestsortheactualnumberofguestsinattendance,
whicheverisgreater.
Shouldagroup’sguestcountincreasebytwenty(20)ormoreguestsaftertheguaranteehasbeengiven,a$500surchargewill
beaddedtotheevent.Ifthe inalguaranteednumberofguestsexceedsthefunctionspacemaximumcapacity,theservicecharge
fortheeventwillbeincreasedto30%fortheentireevent.
SignedBanquetEventOrders(BEOs),andeventresumewhenapplicable,arerequiredtwo(2)weekspriortothestartofany
function.IfasignedBEO/resumeisnotreceivedpriortotheevent,thelastBEOsenttothegroupwillbeacceptedasapproved.
CHANGES/DELAYS
Changestoset‐up,foodandbeverage,orguaranteednumbersmadewithinforty‐eight(48)hoursofthefunctionaresubjectto
additionalfees,minimumfee$50.
Ifthegroupdelaysaneventmorethanthirty(30)minutespastthestarttimeofthefunction,Sundancewillnotberesponsible
forthequalityofthefoodorforpreparingadditionalfoodasreplacement.Thegroupwillberesponsibleforthepaymentofany
additionallaborassociatedwiththedelayedstarttime.
Sundancereservestherighttoreassignfunctionspace(s)withnoti icationinwritingtothegroup.
MENUS&DETAILS
Menusandeventdetailsareduetoyourcateringmanageraminimumofforty‐ ive(45)dayspriortoyour irstfunction.
Allfood&beveragesservedinSundancecateringfacilitiesmustbeprovidedthroughtheSundancecateringof ice.Nooutside
foodandbeveragemaybebroughtintoSundancecateringspaces.TheSundanceDelicannotdelivertoanycateringfacility.
Allpricesaresubjecttochangewithoutnotice.Foodmenupriceswillbeguaranteedsixty(60)dayspriortothefunctions.
Ifmenuselectionsarenotreceivedfourteen(14)dayspriortothefunction,thebanquetchefwilldeterminethemenus.Food
selectionsmaynotbechangedinsideoften(10)dayspriortothefunctionwithoutchefapproval,additionalfeesmayapply.
Allfooditemsmaybeservedordisplayedforamaximumofoneandahalf(1.5)hours.Attheconclusionofafunction,allleft
overfoodisthepropertyofSundanceandmaynotberemovedfromthepremisesandwillnotbetransferredfromoneeventto
another.
Sundancewilldoitsbesttoaccommodatespecialdietaryrequestswithadvancenotice.Koshermealrequestsmustbereceived
fourteen(14)daysinadvance.Vegan,vegetarian,andotherdietaryrequirementswillbeaccommodatedforthemainmeal,fruit
willbeprovidedfordessert.Specialdietaryrequestsshouldbeprovidedalongwiththeguaranteedheadcount,four(4)business
dayspriortoeachevent.Shouldmorethan10%ofyourguaranteedheadcountrequireavegetarian/veganorothertypeof
specialmeal,Sundancewillrequireanadditionalentré ebeofferedtotheentiregroupatanadditional$8perperson.

Sundancedoesnotprovideweddingcakes.Yourweddingcakecanbesuppliedbythebakerofyourchoice.Pleaseprovideyour

SUBCONTRACTORS
Groupagreestohaveanysubcontractedcompanies(e.g.destinationmanagementcompanies,musicians,decorators,production
companies, lorists,etc.)adheretoallSundancepoliciesandregulations.Itisthegroup’sresponsibilitytolettheirvendorsknow
ofallSundancepolicies.Thegroupisliableforanychargesassociatedwithdamagetothepremises.
SubcontractedcompaniesandguestsmaynotparkvehiclesinfrontofSundancebuildings.Vehiclesmayloadinandoutfor
thirty(30)minutesandthenmustparkinapprovedparking.Vehiclesleftunattendedforlongerthanthirty(30)minuteswillbe
towedattheowner’sexpense.
