POSITION SUMMARY This position reports to Administrative Office Manager with dotted line relationship to Consultants responsible for selling and delivering global leadership development programs. Supports other senior executives from Leadership and Talent Consulting’s Minneapolis office, as well as senior search partners for Korn/Ferry’s Minneapolis office. This position will specifically: • Maintain daily schedule for the Consultants which includes internal meetings, conference calls involving multiple time zones, setting video conferences and client meetings. • Coordinate travel schedules, both domestic and international. Prepare a detailed itinerary prior to departure. • Prepare and submit bi-monthly accurate expense reports and reconcile Diners Club statements. Prepare and save bi-monthly timesheets in SAP for Consultants, showing utilization time allocated to each engagement. • Update business development database on the firm’s proprietary database, Searcher Express. Prepare reports for review. • Serve as a central point of contact for administrative inquiries. • Use utmost discretion when working with confidential information. • Support other Korn/Ferry colleagues when possible, providing timely answers to requests. • Draft power points and other business documents. • Assist with other duties such as file maintenance, photocopying, scanning, mailings, trouble shooting, and meeting planning. • Handle calls for the consultants and other senior executives in the office. Work with other support staff to ensure phone coverage during lunch breaks and other periods of absence. REQUIREMENTS KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED FOR THE ROLE: • • • • • • • • • Must be able to work with little supervision, be detail-oriented, flexible in terms of hours and responsibilities, and able to organize multiple priorities and work deadlines. Demonstrated track record of sound judgment and professional maturity. High level of professionalism and ability to work with senior level executives. Knowledge of Microsoft Windows XP and Microsoft Office XP, is preferred; at the least, proficiency in Microsoft Windows and Microsoft Office is required. High proficiency with Microsoft PowerPoint is required. Strong written and verbal communication. High degree of political and interpersonal savvy across varying levels of internal management, staff, clients, and associates. Ability to multi-task and set priorities. Bachelor’s degree required. 5 years relevant work experience as an administrative assistant in a business environment, ideally in a service firm.
