INTRODUCTION The Work In Process module includes programs used to create, process, and track plating/rework orders, packaging/kit orders, and warehouse transfer orders. Also included in this module is the Commit Tags for WIP program which is used to commit Tag Records to work in process orders. This program is accessed automatically when orders are entered if the Tagging System is being used – this program can also be accessed directly. Because only inventory items can be used when working with work in process orders, the Work in Process module is not used until the Inventory File (IM/MAI) has been created in full or in part. See the Inventory Conversion (IC) and Inventory Management (IM) sections of the manual for detailed information regarding creating inventory items and buying history/tag records. If you are using Stock Integration, the Work In Process module will interface with the General Ledger. BEFORE YOU BEGIN Enter vendors to be used in the Plating/Rework programs in the Vendor File (PO/VM, AP/MAR/VM). These vendors may have been entered previously when the Accounts Payable or Purchasing modules were put into use. See the Vendor Maintenance section (PO/VM, AP/MAR/VM) for detailed information regarding entering vendor information in the Vendor File. Determine what information you want included on the pick lists for the plating/rework, packaging/kit, and warehouse transfer orders and flag the System File (SYS/FCS) appropriately. The address printed on the pick lists for Work In Process Orders is based on the flag set for Pick List Address in the System File (SYS/OPS). See the System Maintenance (SYS) section of the manual for additional information. Determine whether you want to print Tag Record Labels when plating/rework, packaging/kit, or warehouse transfer orders are received. Flag the System File (SYS/LAI) to reflect your decisions. Note: See the System Label Configuration program (SYS/LAI) and Tag section of the manual for detailed information on printing Tag Record labels. Determine whether you want orders that cause a negative on hand balance to be stopped or reported only, and flag the System Master File (SYS/WCS) appropriately. If Items flagged as traceable are to be processed, determine the number of Lot Records allowed per line item, and flag the System Master File (SYS/WCS) appropriately. Set the default assignments for the Plating Order Printer, the Kit Order Printer, and the Warehouse Transfer Order Printer. Note: Work In Process orders are printed on pick list forms. These orders do not have to be printed in order to process them. PROCESSING PLATING/REWORK ORDERS A plating/rework order is created through the Place Plating/Rework Orders program (WIP/POP) by entering the FROM ITEM (the part number of the unprocessed/plain item), the quantity being sent out for processing, and the TO ITEM (the part number of the processed item). A valid Vendor Code can be entered if you want the vendor name and address to print on the pick list or the default PL/RW can be accepted as the vendor. The next sequential purchase order number assigned by the system can be used or a manual purchase order number beginning with an alpha character can be assigned. Added costs per UM, per pound, and/or per lot can be entered. If added cost is entered, it is used to calculate the new cost of the TO ITEM. If viewed in Part Inquiry (PI), a plating/rework order quantity displays as committed for the FROM ITEM and as on order for the TO ITEM. Note: If an item is entered on a purchase order (PO/PE) and is flagged to go to rework, the Place Plating/Rework Orders program is automatically accessed when the item is received. In SYS/WCS (third screen) you can set a two-character prefix that will automatically be added to each plating/rework order that originates from a specified warehouse. If this method is used with each warehouse, it can be useful in distinguishing the warehouse to which an order belongs and the type of order that it is. To use this feature, enter either two alpha characters or two numeric characters (not a combination of alpha and numeric characters) in the “Prefix Letters To Use On Order” field of SYS/WCS. These characters will be prefixed to the plating/rework order originating in the specified warehouse. Plating/rework orders can be printed (WIP/PPR), but it is not mandatory to do so in order to receive these orders. Plating/rework orders print on the printer designated as the Plating Order Printer in the Printer Assignments. You can facilitate expediting of plating/rework orders by using the List Plating/Rework Orders to meet your needs. Plating/rework orders can be viewed through either the Inquire By Item program or Inquire By Order program (WIP/PQI and WIP/PQO). Plating/rework orders are received and canceled through the Receive Plating/rework Orders program (WIP/RPR). If an item is partially received, the remaining balance can be left on order or if the quantity was lost, it can be adjusted off. A receipt causes a decrease to the on hand quantity of the FROM ITEM and an increase to the on hand quantity of the TO ITEM. The FROM ITEM transaction appears on the Adjustment Register (IM/ADJ/PTA). The TO ITEM transaction appears on the Receipts Register (REC/RR). Once you begin using the plating/rework programs, you will want to add the deletion of completed orders (WIP/LPR) to your monthly close procedures. Deleted plating/rework orders are no longer available to be displayed, printed, or listed. See the List Plating/Rework Orders (WIP/LPR) section of the manual for detailed information. PROCESSING PACKAGING/KIT ORDERS Prior to creating a packaging/kit order, the packaged/kit item must be flagged as a Master Kit Item in the Item Record (IM/MAI) and the kit must be defined through the Define Kits program (WIP/DKS). A packaging/kit order is created through the Place Packaging/Kit Orders program (WIP/POK) by entering the part number of the Master Kit Item, the quantity of packages/kits to be created, and any costs to be added to the item costs. Added costs per UM, per pound, and/or per lot can be viewed in Part Inquiry (PI), a packaging/kit order quantity displays as committed for each of the items that are defined as part of the kit and as an on order for the Master Kit Item. Packaging/kit orders can be printed (WIP/PPK), but it is not mandatory to do so in order to receive these orders. Packaging/kit orders print on the printer designated as the Kit Order Printer in the Printer Assignments. You can facilitate expediting of packaging/kit orders by using the List Plating/Rework Orders program (WIP/LPR). This program offers several options to provide you with a report specific to your needs. Packaging/kit orders can be viewed through the Show Packaging/Kit Orders program (WIP/SPK). Packaging/kit orders are received and canceled through the Receive Packaging/Kit Orders program (WIP/RPK). A receipt causes a decrease to the on hand quantity of each of the items defined in the kit and an increase to the on hand quantity of the Master Kit Item. The transactions for the items in the kit appear on the Adjustment Register (IM/ADJ/PTA). The Master Kit Item transaction appears on the Receipts Register (REC/RR). Once you begin using the packaging/kit programs, you will want to add the deletion of completed orders (WIP/LPK) to your monthly close procedures. Deleted packaging/kit orders are no longer available to be displayed, printed, or listed. See the List Kit Orders (WIP/LPK) section of the manual for detailed information. PROCESSING WAREHOUSE TRANSFER ORDERS The Suggested Warehouse Transfers program (WIP/WHT/SWT) prints a list of recommended warehouse transfers based on the current on hand quantities. The option to consider the minimum quantities when recommending warehouse transfers is given. The list generated can be used to manually enter warehouse transfer transactions through the Enter Transactions program (WIP/WHT/ET). This list must be generated in order to use the Auto Create Warehouse Transfers program (WIP/WHT/AWT). Warehouse transfer orders can be printed (WIP/WHT/PWT), but it is not mandatory to do so in order to receive these orders. Warehouse transfer orders print on the printer designated as the Warehouse Transfer Order Printer in the Printer Assignments. Note: Generally, each warehouse is responsible for printing the transfer orders requested of them. You can facilitate expediting of warehouse transfer orders by using the List Transfers program (WIP/WHT/LWT). This program offers several options to provide you with a report specific to your needs. Warehouse transfer orders can be viewed through either the Inquire By Item program or the Inquire By Order program (WIP/WHT/WQI, WQO). Warehouse transfer orders are received and canceled through either the Receive By Item program (WIP/WHT/RWI) or the Receive By Order program (WIP/WHT/RWO). The Receive By Item program is used to receive or cancel individual items on a warehouse transfer order. The Receive By Order program is used to receive or cancel all open transactions on an order. A receipt causes a decrease to the on hand quantity of the item in the shipping warehouse and an increase to the on hand quantity of the item in the receiving warehouse. The transaction appears on the shipping warehouse’s Adjustment Register (IM/ADJ/PTA) and on the receiving warehouse’s Receipts Register (REC/RR). Once you begin using the warehouse transfer programs, you will want to add the deletion of completed orders (WIP/WHT/LWT) to your monthly close procedures. Deleted warehouse transfer orders are no longer available to be displayed, printed, or listed. See the List Transfers (WIP/WHT/LWT) section of the manual for detailed information. SCHEDULE PROCESSING REPORTS The following reports operate differently because they can be used in Schedule Processing: List Packaging/Kit Orders (WIP/KITN/LPK) List Plating/Rework Orders (WIP/PLRW/LPR) List Transfers (WIP/WHT/LWT) Print Transactions (WIP/WHT/PTW) MODES OF OPERATION There are two Q&A modes when you are answering questions in the report programs: Create mode—The first time you run the program and answer questions. You start with the first question and move through them sequentially. You can use the arrow keys to move up and down through the questions if you want to make changes. The questions on the screen and your answers to them are stored in an Answer file. Modify mode—When you rerun the program and change existing answers. You change questions one at a time, entering the line number in the prompt at the bottom of the screen. You can simply change one or more answers, or delete all questions and answers stored in the Answer file for the program and replace them with new ones. There are three processing modes when these programs are run: Auto Prompt mode—The program accepts answers to the questions, but does not actually run. The message AUTO PROMPT ON is displayed on the screen. This mode is used to define programs that will be part of an automated schedule such as MONTHEND. It is turned on and off by the Start/Stop Auto Prompt (SYS/SPM/SSAP) program. Schedule Processing mode—The program is part of an automated schedule being run by the Process Schedule (SYS/SPM/PS) program. The answers were defined while in Auto Prompt mode. Reports are spooled to a file in a designated report directory on the host server, from where you can print them at any time. They are not sent directly to a printer. Individual Processing mode—The program can be run by itself; not as part of a schedule. Answers to questions are user-specific according to the sign on ID. Reports are sent directly to the printer assignments defined by PRT. Refer to the Schedule Processing manual in Volume 5 for more information about scheduling. DATE VARIABLES In the programs’ date fields, you can enter variables instead of actual dates. These will be converted to the actual date when the program runs. Valid entries are: @SON—Sign on date @FDM—First day of the month @LDM—Last day of the month COVER SHEET A cover sheet is printed at the beginning of the Sales Analysis and Sales Summary reports. It lists the program name and ID, Company number, User sign on ID, date and time the report was run, question IDs, questions, and your answers. The cover sheet will be used by Prophet 21 Customer Support. KITTING / PACKAGING (WIP/KITN) DEFINE KITS (KITN/DKS) Use this program to create, edit, and delete Kit Definitions. A Kit Definition is comprised of a Master Kit Item, one or more component items, and the quantity needed of the component items. An item is defined as Master Kit Item in the Item record (IM/MAI). Each component item in a Master Kit must already exist in the Item file (IM/MAI). ENTRY/INQUIRY SCREEN Field Description Whse Enter the warehouse number in which to create, edit, or delete a Kit Definition. To exit, leave this field blank and press Skip. Item Enter the Master Kit Item. F1 – Begin searching for the item based on a FASPAC Item Number or Description Code, enter the first few characters of either. F2 – Begin the searching for the item based on the item short name, enter the first few characters of the short name. F3 – Scroll forward, once a valid item is displayed. F4 – Scroll back. Error Message: Item Not Set To Be Used As A Kit - Press SKIP The item selected is not flagged as a Master Kit Item (IM/MAI). Press Skip to acknowledge this message. Either select another item or exit this program. Is This A New Kit Being Created? This prompt is displayed only if the item selected is a Master Kit Item and a Kit Definition has not been previously created for it: Y – Create a Kit Definition for this item. N – Re-enter the Kit Item. SELECT The default is GO. To enter, edit, or delete items on the Kit Definition, accept GO by pressing Return. The cursor moves to the detail section of the screen. F5 – View all items currently in the Kit Definition (see Kit Inquiry on page 14). To return the cursor to the Item field, press Skip or CMD. To delete the entire Kit Definition: Type DE and press Return. The following message is displayed: Are You Sure You Want to Delete This Entire Kit? Enter Y to delete the entire Kit Definition, or N to return to Select prompt. The following three fields are used to calculate the cost when a Kit Order is created (WIP/POK). The actual cost is calculated based on the Costing Method in the System File (SYS/IMS) when the Master Kit is received. Cost Markup% (.00 - 999.99) Cost/Lb Cost/Lot (.000 - 99999.999) Comment Enter up to 30 characters of text. UM Weight List Cost Average Cost Replace Cost Box Qty Case Qty Bulk Qty These fields are updated by the system and cannot be changed. Item Record (IM/MAI) information is displayed. The average Cost displayed is the Corporate Average Cost. KIT INQUIRY The Kit File Inquiry screen is displayed when you press F5 at the Select prompt. You can view the component detail for all items currently in the Kit Definition, including the part number, short name, description, quantity available, and comment line. You can press F8 to see if this item is included in other kits. Press CMD to return to the previous screen. KIT DETAIL Field Item Description Enter the component item to add or edit in this Kit Definition. To move the cursor back to the Whse field, leave the field blank and press Skip. F1 = Begin searching for the item based on a FASPAC Item Number or Description Code. F2 = Begin the searching for the item based on an item short name. F3 = Scroll forward. F4 = Scroll back. F5 = View all component items currently in Kit Definition. This command accesses the Kit File Inquiry screen, from where you can view the component detail, including the part number, short name, description, quantity available, and the comment line. Error Messages: EOF On Part File - SKIP To Continue The end of the Item File was reached. Press Skip to acknowledge this message and begin again. Invalid Part Number or Function = SKIP to continue Either an invalid item number was entered or the wrong function key was pressed. Press Skip to acknowledge this message and begin again. Whse ________ Not In Use The item specified is not active in the warehouse specified and cannot be used. Select a different item or exit this program and create an Item Warehouse Record (IM/MAI, 2nd screen) for the item. Is This A New Item Being Added to this Kit? This prompt is displayed only if the item selected is not currently part of the Kit Definition. If a new item is being added to the Kit Definition, the cursor moves through each of these fields. If an item in the Kit Definition is being edited, these fields can be accessed by entering the corresponding line number. Qty Needed up to 7 numeric Cost Markup% (.00 - 999.99) Cost/Lb Cost/Lot (.000 - 99999.999) Comment Enter up to 30 characters of text. SELECT To record the displayed item information as part of the Kit Definition and move the cursor back to the Item field, press Skip or Return. To access the Kit Inquiry program and display items in this kit, press F5. To delete the displayed item from the Kit Definition, enter DE and press Return. The following message is displayed: Are You Sure You Want to Delete This Item Off Kit File? Enter Y to delete the item from the Kit file. UM Weight List Cost Average Cost Replace Cost Box Qty Case Qty Bulk Qty These fields are updated by the system and cannot be changed. Item Record (IM/MAI) information is displayed. The average Cost displayed is the Corporate Average Cost. KIT DEFINITION LISTING (KITN/KDL) The Kit Definition Listing program (WIP/KDL) is used to print a list of Kit Definitions. A list of Kit Definitions for all or a range of Master Kit Items can be printed. You can select to print each Kit Definition on a separate page. ENTRY/INQUIRY SCREEN The first screen in this program is the Standard Inventory Report Options. This screen allows you to specify the items or type of items to include in the report. Refer to the Introduction of the Inventory Management Reports section for detailed field explanations on the Standard Inventory Report Options. The following field explanations apply to the second screen of the Kit Definition Listing program. Field Description Print Short Name? Y – Print the item short name on the listing. N – Do not print the item short name on the listing. Print Description? This field is displayed if you entered Y in the “Print Short Name” field. Y – Print the item description on the listing. N – Do not print the item description on the listing. Start a New Page for Each Kit? Y – Print each Kit Definition on a new page. N – Print the list of Kit Definitions continuously. Do You Want To Continue? Y – Print the list of Kit Definitions as specified. N – Exit the program without printing the list of Kit Definitions. PRINT KIT LISTING (KITN/PKL) The Print Kit Listing program prints a list of each item and all the master kits of which the item is a component part. Print Kit Listing is also a good report to use when determining the usage of an item. The quantity of each item needed to create the master kit and the number of sold master kits print in the columns to the right of the listing. These figures are multiplied together to determine the total usage of the item and print under the heading “Item Total Qty.” This program uses the Standard Inventory Report Options to determine which items will be included on the listing. The “To ABC Code” field defaults to the code entered in the “From ABC Code” field. To include only items with this one ABC Code on the report, press Return to accept the default entry. Select All Materials? Y – Include all selected items, regardless of the Materials Code. N – Include only those items that have a specific Material Code. Only Material This field is displayed only if you entered N in the “Select All Materials” field. Enter the Material Code that an item must have in order to be included on the listing. Select All Finishes? Y – Include all selected items, regardless of the Finish Code. N – Include only those items that have a specific Finish Code. Only Finish This field is displayed only if you entered N in the “Select All Materials” field. Enter the Finish Code that an item must have in order to be included on the listing. Select All Specials? Y – Include all selected items, regardless of the Special Code. N – Include only those items that have a specific Special Code. Only Special This field is displayed only if you entered N in the “Select All Specials” field. Enter the Special Code that an item must have in order to be included on the listing. Any Changes? Y – The cursor returns to the “Select Whole File” field and moves through each following field, so that necessary changes can be made to the entries. N – Prints the listing as specified. New Page For Each item? Y – Print each item and the item information on a separate page. N – Print all items and the item information consecutively, without creating a new page for each. SAMPLE REPORT PLACE PACKAGING/KIT ORDERS (KITN/POK) Use this program to create packaging/kit orders. One master kit item per packaging/kit order is allowed. A Status 1 Tag Record is created for the master kit item when an order is placed. The new cost of the kit is calculated as follows: new cost = old cost + cost markup + cost (lb) + cost (lot) where: old cost = total warehouse average cost of all component items in the kit. If the warehouse average cost is zero, the corporate average cost is used. cost markup = number of kits ordered x old cost x (100 + cost markup %)/100 cost (lb) = (number of kits ordered x weight x adder lb)/number of kits ordered cost (lot) = (adder lot x um)/number of kits ordered If the Tagging System is used, specific (component item) Tag Records can be committed at the time the order is placed or through the commit Tags for WIP program (WIP/CTW). The cursor moves to the following two fields only if an entry is made in the Cost/Lb field and the Item Record (IM/MAI) does not include the weight for the kit item: Weight This value (.01 - 99999.99) is updated to the Item Master Record (IM/MAI). Is Weight Correct? If the displayed weight is correct, enter Y to move the cursor to the following field. If the displayed weight is not correct, enter N to return the cursor to the Weight field. Cost/Lot Enter the cost per lot (.000 - 99999.999). Due Date The sign on date displays as the due date. Press Return to accept this date or enter another date using the MMDDYY or MMDDYYYY format. Comment This field is optional. You can leave it blank and press Skip or Return to move on to the next field. SELECT Enter the line number to be edited. To record this kit order as displayed, leave this field blank and press Return or Skip. Create Kit Order? This field is displayed once the option to record the kit order is selected. Y – Create the displayed kit order. A status 1 Tag Record is created for the master kit item, and the component item quantities are considered committed/processing. If the Tagging System is used, the Commit Tags for WIP program is accessed. If the Tagging System is not used, the cursor moves to the Kit Item No. field. N – Do not create the kit order. It is calculated using each component item’s warehouse average cost. If the warehouse average cost is zero, the corporate average cost is used. New Cost The new cost is calculated using the old cost, the adders entered and the quantity ordered. The actual cost is recalculated when the kit order is received using the costing method in the System Master File. U/M Weight List Cost Average Cost Replace Cost Box Qty Case Qty Bulk Qty The Item Master Record information is displayed. The average cost displayed is the warehouse average cost. RECEIVE PACKAGING/KIT ORDERS (KITN/RPK) This program is used to process open kit order transactions created through the Place Packaging/Kit Orders program (WIP/KITN/POK). After the master kit item is specified, all open kit orders are displayed. The order number to be processed is selected from the displayed orders. The selected order can be received in full, canceled in full, or partially received. If you are using Freight Allocation, see page 32. ENTRY/INQUIRY SCREEN Note: Old and new costs were calculated at time of entry (KITN/POK) using each component item’s average cost. Actual cost is recalculated at time of receipt using the costing method in the System Master file. Field Description Whse Enter the warehouse in which to process the open kit orders. To exit the program, leave this field blank and press Skip or CMD. Item No. Enter the master kit item number. If you are unsure of the complete item number, use the function keys to access the Inventory File. Physical/Cycle Count In Progress For This Location - SKIP To Continue The Location specified was frozen (PHY/FRE) and the System File (SYS/WCS) is flagged to stop inventory transactions for frozen items. This receipt cannot be processed until the Location has either completed the Physical Inventory process or it is unfrozen. Frt Chgd Displays the freight flag for the receiving item if you enter a freight amount. See page 32. Qty Remaining The cursor moves to this field only if the whole order was not received. The unreceived balance displays in this field. Accept this number to backorder the remaining quantity or enter 0 (zero) to cancel the remaining balance. Error Message: Total Quantity Received + Remaining Cannot Be Greater Than Ordered The quantity backordered plus the quantity received is more than the quantity originally ordered. P.O.s The on order quantities or the item. Order No. Ordered Received Remaining Kit orders for the specified item that are in the Work In Process File are displayed. Completed orders that have not been deleted are not displayed. FREIGHT ALLOCATION If Freight Allocation is enabled, this pop-up window is displayed when you first run RPK. The program will accept the freight flag for each receiving item if a freight amount is entered. LIST PACKAGING/KIT ORDERS (KITN/LPK) The List Packaging/Kit Orders program prints a report of kit orders and deletes completed kit orders from the Work In Process file. After completed transactions are deleted, they can no longer be printed (WIP/PPK), listed (WIP/LPK), or displayed (WIP/SPK). MFG Users Only: If you use the MFG module, the kit will not be deleted if the associated job is still viewable in MFJI. You will see Mfg in the right column of the report indicating that the kit was not deleted. Note: This program can be used in an automated schedule (see page 13). ENTRY/INQUIRY SCREEN Field Description Warehouse Enter the number of the warehouse. To exit the program, press CMD. Include Completed Items? Y – Print open and completed orders on the report. N – Print only open orders on the report. Include Open Items? Y – Print only completed orders (remaining on order balance is 0) N – Print open and completed orders. PRINT PACKAGING/KIT ORDERS (KITN/PPK) The Print Packaging/Kit Orders program is used to print original and duplicate pick lists for kit orders with a status code of N (New) or P (Printed). A kit order does not have to be printed in order to be processed (received, canceled). All eligible orders (those with a status code of N) can be printed, or a range of orders can be printed. If the range option is selected, the range is defined by purchase order numbers. All orders within the specified range that have a status code of N or P will print. Kit orders print on pick list forms on the printer specified as the Kit Order Printer in the Printer Assignments. ENTRY/INQUIRY SCREEN Field Description Whse Enter the warehouse number from which to print the kit orders on pick lists. To exit the program, leave this field blank and press Skip or CMD. Print All Eligible Orders? Y – Print pick lists for all orders not previously printed. N – Specify a range of orders for which to print pick lists. The following three fields display only if you are not printing pick lists for all eligible orders (N entered in the field above). Print From Enter the first order number in the range for which to print pick lists. Print To Enter the last order number in the range for which to print pick lists. Include Items That Are COMPLETE? Y – Print pick lists for complete orders (remaining on order balance = 0), if they are in the specified range. AUTOMATIC KIT CREATION (KITN/AKQ) The Automatic Kit Creation program is used after Shipping Confirmation (OP/SC) and before Invoicing (AR/INV) to automatically create and receive a kit order for the quantity shipped on a customer order if there is not enough quantity on hand to process the order. If you do not use the Place Kitting Orders program (WIP/KITN/POK) to create kit orders, but instead simply have your warehouse pull the appropriate component items when a kit needs to be created, this program should be used to adjust your inventory. Once this program is run, the Kit Master Item quantity is increased by the number of kits sold and the component item quantity is decreased by the number that it took to create the Kit. In order for the adjustment to be made, the items must be defined in Define Kits (WIP/KITN/DKS) and there must be a sufficient stock of component items. Adjustments are made on a fifo basis. Automatic adjustments cannot be made for traceable items. The normal kitting procedure must be used if items are traceable, or an error will print on the report stating: “Traceable Items On Orders Have Been Bypassed” and no processing will take place on those orders. All newly created kit tags (status 2s) for non-traceable items will automatically be committed to the customer order. A report is generated that shows the customer order and line number for which the kits were produced, the adjusted quantities of the component items, and all cost breakdowns pertaining to the cost of the kit. If an item could not be adjusted because it was found traceable, the error message “TRACEABLE ITEM FOUND” is displayed on the report. ENTRY/INQUIRY SCREEN Field Description Do You Want To Continue? PLATING / REWORK (WIP/PLRW) PLACE PLATING/REWORK ORDERS (PLRW/POP) The Place Plating/Rework Orders program (WIP/POP) is used to create plating/rework orders. A plating/rework order can include up to 999 line items. For each item on the order, a Status 1 Tag Record is created for the item being returned from plating/rework. If the Tagging System is used, specific Tag Records can be committed for each item either at the time the order is placed or through the commit Tags for WIP program (WIP/CTW). The New Cost of the plated/reworked item is calculated based on the average cost of the transferring item. If entries are made in the Adder fields, these values are added to the average cost; if a Cost Markup % is entered, this value is calculated based on the average cost and is taken into consideration when calculating the New Cost value. The New Cost calculated can be accepted or changed. THINGS TO KNOW Substituting Items On Open WIP Orders Either the From Item or To Item can be changed by accessing line 01 or 03. If the From Item was committed, the item must be uncommitted via WIP/CTW. Unit of Measure Window When entering or modifying in a rework order, the unit of measure window will automatically appear if all of the following conditions are met: The unit of measure on the From Item has a UOM other than C or M. The From Item shows Pcs/Um of zero. The To Item has a UOM of C or M in IM/MAI. Quantity Expected Back Display The quantity expected back from a rework order is now displayed in the “To Item” portion of the screen (lower half of the screen). The Remain field is the number of pieces per UM of the “To Item” that is expected back. The Qty Ord field will display the original quantity ordered (prior to any changes made via POP, the original quantity does not change if the To Item is replaced). Weights On From and To Items If the weight on either the From or To Item is zero and an Adder/LB is entered, the cursor will stop on that parts weight field and it must be entered. The item master (IM/MAI) will be updated immediately with this information. If Adder/LB is entered at receiving time message appears to fix weight in the item master before any receiving is allowed. Commit Tag Screen If Committing Tags, the tag screen will appear after the rework order has been entered and you SKIP OFF the Select option (same applies when changing a plating/rework order). If using CMD window to quit tag, screen is not displayed. Total Committed Quantity Amount The total committed figure on the WIP/POP screen is comprised of open customer orders, open kitting orders and open transfer orders. If committing tags to quotes and the quote does not turn into the order, this figure is not included as total committed. NewWork Order Print Format To accommodate the changes to WIP/POP and WIP/RPR changes were made to the detail information of the work orders being printed, and they are: Body of the work order now prints: Line numbers. Quantity of the From Item (to be reworked). Notes and messages created for the From Item, To Item, and order print. The tear off portion (warehouse side) now prints: Adder dollar amount by unit of measure of the To Item Adder extended price To Items quantity expected back from the reworking Available quantity Any tag number and quantity committed The SYS/WCS and SYS/IMS forms have been enhanced to support the new WIP capabilities. Each of these forms has changed as follows. SYS/WCS - 3rd screen contains questions about using prefixes to the order number, allowing entry of the order number and receiving location name. SYS/IMS - Has one question about checking a vendor name when entering WIP/POPs. Notes and Message will print on rework orders. MSGS/PRFTI is for the FROM item (item which is leaving to be reworked). Normal Item notes known as ‘DESC’ will print on the rework order (MSGS/ITEM/DESC). Once the PRLTN note has been established, any changes or additions done through MSGS/MAI will also be part of any reprinting of the plating orders. Press Skip to acknowledge this message and begin again. Vendor No. You are prompted with PL/RW or the last vendor that was accessed in this program. If SYS/IMS is not set to validate vendors, you can accept PL/RW or make any entry in this field. If SYS/IMS is set to validate vendors, a valid vendor number (set up in AP/MAR/VM or PO/VM) must be entered in this field. The CMD Window or the function keys can be used to assist you in locating a specific vendor. When using the function keys, enter the first character of either the vendor name or number and press the appropriate function key (F1 to access the Vendor File based on the vendor number, F2 to access the Vendor File based on the vendor name). Once a vendor is displayed, press F3 to display the next vendor found in the file and F4 to re-display the previous vendor. To accept the displayed vendor, press Return. P.O. No. To edit an existing order, enter the purchase order number or use the CMD Window to locate a specific PO number. Press the CMD-L to view the list of orders created for this vendor (not yet purged through WIP/PLRW/LPR). To create a new plating/rework order for this vendor, press Skip. If you select an existing PO number, the cursor moves to the line number field. To add a new line to this order, press Skip. Note: An error message will display if you select to edit a line number that is already complete. Error Message: This Line Number Is Already Complete SKIP The line number selected cannot be changed, it has already been received as complete. Press Skip to acknowledge this message. Select another line number or exit the program. From Item Enter the item number you are sending to be plated/reworked. If you are unsure of the complete item number, enter only the first few characters and use the function keys to access the Item File. F1 – Display the first item number found in the Item File that begins with the characters entered. F2 – Display the first item found in the Item File that has a short name beginning with the characters entered. Once a valid item is displayed, press F3 to view the next item in the file, and F4 to re-display the previous item. Press Return to accept the currently displayed item. To view the notes/messages for the displayed item, press F9. The Unit of Measure conversion program will be called when the To Item number is entered and the From Item has a non-standard unit of measure and the pieces per unit of measure field in IM/MAI equals 0. Physical Inventory in Progress for this item - RETURN The item selected is frozen (PHY/FRE) and the System File (SYS/WCS) is flagged to stop inventory transactions for frozen items. The quantity entered in this field must be less than or equal to the quantity displayed in the Whse Stock field (left side of the screen). If the entered quantity is greater than the available warehouse stock, an error message is displayed. Error Message: Qty Entered cannot be greater Whse Stock. You are trying to enter an order to plate/rework a larger quantity than the on hand quantity. Enter a quantity equal to or less than the on hand quantity. To Item Enter the item number that will be received when the From Item is returned from being plated/ reworked. If you are unsure of the complete item number, enter only the first few characters and use the function keys to access the Item File. F1 – Display the first item number found in the Item File that begins with the characters entered. F2 – Display the first item found in the Item File that has a short name beginning with the characters entered. Once a valid item is displayed, press F3 to view the next item in the file, and F4 to view the previously displayed item. Press Return to accept the item currently displayed. F9 – To view the notes/messages for the displayed item. Once the To Item is entered, the To Item Qty Ord is automatically calculated and displayed. Old Cost The old cost is automatically calculated using the quantity system costing method and unit of measure of the From Item. This field cannot be changed. Adder/Lot Enter the cost (up to 99999.999) to be added to the lot being received. This figure is used to calculate the New Cost. Adder/Lb Enter the cost (up to 99999.999) to be added to each pound of the new item. This figure is used to calculate the New Cost. Cost Markup% Enter the percent by which to increase the cost of the new item (To Item). Enter the figure in decimal format. For example: 10% = 10.0. New Cost The new cost is automatically calculated based on the system costing method of the From Item and entries in the Adder/Lot, Adder/Lb, and Cost Markup % fields. To accept this cost, press Return. If you decide to change the new cost, all entries in the Adder/Lot, Adder/Lb, and Cost Markup % fields are zeroed out, as they are no longer applicable. Error Messages: New Cost<Old Cost SKIP The cost entered for the plated/reworked item is less than the cost of the original item (From Item). Press Skip to acknowledge the message and continue entering the order. You can change the cost by entering N in the Correct field and then pressing Retuern to move the cursor to the New Cost field. Not Enough Whse Stock Available Check Whse Stock Tag Commitments - SKIP The current quantity on hand is committed to rework or customer orders. Due Date The default is the sign on date. You can accept this date by pressing Return or enter another date in the MMDDYY or MMDDYYYY format. Comment This field is optional. To leave this field blank and move on to the SELECT field, press the Skip key. SELECT Enter the line number of field entry to edit. To accept the order as it is displayed, press Skip or Return. To add, view or edit plating/rework notes, press the F6 function key. Once this option is selected, you must press F1 to edit notes for the From Item or F2 to edit notes for the To Item. Once you have finished editing or viewing the notes, press CMD to return to this screen. Press CMD-B to exit the notes screen. P.O. No. The next purchase order number and/or line number to be assigned by the system displays in this field. You can accept it by pressing Return. If the “Allow Entry of Order Number” field in SYS/WCS is flagged with a Y, this number can be manually changed. If the field is flagged with an N, the number must be accepted as displayed. RECEIVE PLATING/REWORK ORDERS (PLRW/RPR) Use this program to process open plating/rework transactions created through the Place Plating/Rework Orders program (WIP/POP). The entered transaction can be received in full, canceled in full, or partially received. If partially received, the remaining balance can be left on order; or if the quantity was lost, it can be adjusted off or a (gain) adjusted onto the original item sent to plating. If the cost of a plated/reworked item calculated at the time of entry was based on the Old Cost (average warehouse cost of the To Item) plus one or more Adders, the cost is recalculated at the time of receipt to take into consideration any change that may have occurred in the Old Cost. If the cost of plated/reworked item was manually entered at the time of entry (the automatic calculation in the New Cost field was not used), that cost is used at the time of receipt. Error Messages: Cannot Receive Item Without Deducting Something From Item Sent For Reworking The platted/reworked item can’t be received without deducting a quantity from the on hand quantity of the From Item. Press Return to acknowledge this message. Enter the correct quantity to deduct from the on hand. Current P.O. Number Entered Does Not Appear To Be Valid. Check That The Current Information Entered Is Correct SKIP To Re-enter Current P.O. No. The PO number specified cannot be found or is for a warehouse other than the one specified in the To Whse field. This Line Number Is Already Complete SKIP You have selected a PO number and line number that have already been received complete. Press Skip to acknowledge this message and begin again. From Item The From Item automatically is displayed. Create Loss/Gain First Y – Increase or decrease the From Item’s onhand plating/rework balance. An example of when this option would be used is if the quantity that was originally received was incorrect. N – Leave the onhand balance of the From Item as it is. Note: If you enter Y, the Adjustments From Plating screen is automatically accessed. See further in this chapter for a detailed explanation of the field entries required on that screen. Plating/Rework Qty Using Enter the From Item quantity to be received. To correct the quantity remaining, enter 0 and press Skip. To access the Committed Tags screen, press F7. Plating/Rework Qty Remaining Enter the From Item quantity still remaining in Plating/Rework (if any). Qty Receiving Enter the total quantity being received into stock. Old Cost The old cost displays and cannot be changed at this time. Adder/Lot Enter the cost (up to 99999.999) to be added to the lot being received. This figure is used to calculate the New Cost. Adder/Lb Enter the cost (up to 99999.999) to be added to each pound of the new item. This figure is used to calculate the New Cost. Cost Markup% Enter the percent by which to increase the cost of the To Item. Enter the figure in decimal format. For example, 10.00 = 10%. New Cost The new cost is automatically calculated based on the system costing method of the From Item and the entries in the Adder/Lot, Adder/Lb, and Cost Markup % fields. You can accept the new cost of the item being received or change it. Note: Old cost recalculation will always occur during receiving. If the adders display as zero’s AND the old cost versus the new cost are different, the new cost will remain unchanged. This indicates the new cost was manually entered and overrides any recalculation. Error Message: From Item Value Is Greater Than Value Material Returning As - SKIP The material returning from being reworked is less than when it was shipped for rework. The value must be at least the same or greater. Adjust either the To Cost or From Cost. Frt If you enter a freight amount, the program asks if freight is to be charged for each receiving line item. See page 60. Loc Enter the location of the item being received. Note: If your system is set to validate location in System Code Maintenance (SYS/WCS), you must enter a valid location. Error Message: Invalid Stock/Bin Location Entered SKIP to Continue SYS/WCS is set to validate location and the entry in this field has not been set up as a valid location. Press Skip to acknowledge this message and begin again. Is Information Entered Correct? Y – “Updating Information” flashes on the screen and the cursor moves to the following field. N – The cursor returns to “Plating/Rework Qty Remaining” field. Note: If you are receiving a traceable item, the Receiving Traceable Lots screen is displayed. Create How Many New Tags Enter the new of different tags to be created. Error Message: Number of Different Tags To Create Is Greater Than Balance Needed - RETURN You are trying to create more Tags than are needed for the remaining balance. Press Return to acknowledge this message and begin again. Onhand Balance Per Tag Enter the onhand quantity per Tag being created. Location Enter the location the material is to be stored at. Note: If System File Maintenance (SYS/WCS) is set to validate locations, this entry must be a valid location. Information Correct? Y – Updates the information N – The cursor returns to the “Create How Many New Tags” field Error Messages: From Item Qty, Using Not Equal Finished Item Qty. Is This Correct? This displays if you are receiving a qty different than the adjusted From Item qty. Not Enough Tag Stock Committed On This Item Being Deducted The quantity committed is less than the quantity received. Press Return to acknowledge this message. Access the Commit Tags for WIP program by pressing F7. Qty To Adjust From On Hand is Greater Than From Item Has Stock The quantity entered as the amount to be adjusted is more than the on hand quantity of the From Item. Press Return to acknowledge this message. Enter the correct quantity to adjust off of the on hand quantity. ADJUSTMENTS FROM PLATING/REWORK - ENTRY/INQUIRY SCREEN The following screen will only be used if you selected to create a Gain or a Loss. Field Description Creating A Loss Or Gain? Enter the type of adjustment you are making. L – Creating a Loss • reduces the quantity on hand (status 2) of the From Item • reduces the order quantity on the To Item (status 1) G – Creating a Gain • increases the quantity on hand (status 2) of the From Item • increases the quantity on hand (status 1) of the To Item Quantity to Deduct Or Add? Press Skip to acknowledge this message and re-enter the figure. Comment You must enter a reason for the adjustment. Tag No. To Adjust Enter the Tag number to adjust. The current Tag information is displayed. F8 – Access the Buying History screen. Error Message: Invalid Tag No. Wrong Item No. Or Status To Deduct From - SKIP The tag number entered either does not exist or is for another item. Press Skip to acknowledge this message and re-enter the number. Is Information Correct To Do Adjustment? This field gives you the opportunity to change any of your entries before the adjustment is made. Y – Makes the adjustment using the information provided and returns the cursor to the Receipts From Plating/Rework screen. N – Returns the cursor to the “Creating a Loss or Gain” field. FREIGHT ALLOCATION If Freight Allocation is enabled, the following pop-up window is displayed when you first run RPR. If you enter a freight amount, the program asks if freight is to be charged for each receiving line item. The following pop-up window is displayed when the record is completed. LIST PLATING/REWORK ORDERS (PLRW/LPR) The List Plating/Rework Orders program is used to print a report of Plating/Rework transactions and to delete completed Plating/Rework transactions from the Work in Process Order File. Once completed transactions are deleted, they are no longer available to be printed (WIP/PLRW/PPR), listed (WIP/PLRW/LPR), or displayed (WIP/PLRW/PQI, PLRW/PQO). Note: This program can be used in an automated schedule (see page 13). ENTRY/INQUIRY SCREEN Field Description Warehouse Enter the number of the warehouse. For all warehouses, press Skip. To exit the program, press CMD. Include Completed Items? Y – Print open and completed orders on the report. N – Print only open orders on the report. Include Open Items? Y – Print only completed orders (remaining on order balance is 0). N – Print open and completed orders. Only open orders will be included on the report. Delete Completed Items? Y – Delete all completed orders on the report from the Work In Process file. N – Do not delete the completed orders from the Work In Process file. Note: This can only be set to Y if field 02 is set to Y and field 04 is set to N. The cover sheet remains as it was entered; the program will handle this situation. Include Comment Lines? Y – Print the comment lines on the report. They will print on a separate line. N – Do not print comment lines. Include Dates Thru Enter a date variable or an actual date in MMDDYY or MMDDYYYY format. To include all specified orders regardless of the due/completed date, leave this field blank and press Skip. Include From Item Include Thru Item Enter the range of item numbers to include. To select a valid option from a list box, press F5. For all numbers, press F7. For one number, enter it in both fields. From Item / To Item Sequence F – Print transactions in order by the original item (the From item). T – Print plating/rework transactions in order by the plated/reworked item (the To item). Vendor Sequence Y – List the selected orders by vendor. N – List each of the selected orders regardless of the vendor. Include From Include Thru If you entered Y in field 12, enter the range of vendor codes to include. For all vendor codes, press F7. For one code, enter it in both fields. Action Line F1 Accept your answers. F9 Cancel and start over with your original answers in Modify mode. F12 Delete all questions and answers from the Answer file and start over in Create mode. CMD Exit the program without running it. SAMPLE REPORT PRINT PLATING/REWORK ORDERS (PLRW/PPR) The Print Plating/Rework Orders program is used to print original and duplicate Pick Lists for plating/rework orders with a Status Code of either N (NEW) or P (PRINTED). A plating/rework order does not have to be printed in order to be processed (receive, cancel or edit). All eligible orders (those with a status code of N) can be printed or a range of orders can be printed. If the range option is selected, the range is defined by Vendor Codes and purchase order numbers. All orders within the specified range with a Status Code of N or P print. If the warehouse is set to use RF and to pick Rework Orders (SYS/RFS), the order number is prefaced with a P. Plating/rework orders print on pick list forms on the printer specified as the Plating Order Printer in the Printer Assignments. To exit, leave this field blank and press Skip. Vendor Enter the vendor or press WIP/for all vendors. You can select from a list of vendor codes by pressing CMD-L. From Item Enter the item. You can use the function keys to access items in the Item Master file. Enter the first few characters of the item number, description code, or short name and press the appropriate function key: F1 – Search the file based on the characters entered for the FASPAC item number, description code, or cross-reference number. F2 – Search the file based on the characters entered for the short name. F3 – Scrolls forward through the list once a valid item is displayed. F4 – Scrolls back to the previous item. SELECT F1 – Start at the beginning of the list. F3 – Scroll forward through the list if there is more than one screen of items. F4 – Toggle between showing extended costs or the methods. F5 – Toggle between including or excluding completed orders. F6 – Start the list with a specific order number. F7 – Display the details for a specified order. Some or all of the transactions listed can be used to quickly create Warehouse Transfer Orders through the Auto Create Warehouse Transfer program (WIP/WHT/AWT) using the sequence numbers included on the listing. If the transfer is for a consignment warehouse: The customer’s part number will print on the second line after the Item/Description line. Any packaging requirements will be printed as an item note line. The Suggested Warehouse Transfer program uses the Standard Inventory Report Options to select items. The option is given to include only low stock items that fall within the specified range. The option is given to consider on order quantities as on-hand quantities. To generate a list of transactions needed to increase available quantities (in the receiving warehouse) to the minimum quantities, select the Low Stock Items Only and the Compare Available to Minimum Quantity options. To generate a list of transactions needed to bring available quantities (in the receiving warehouse) to zero, select the Low Stock Items Only option and do not select the compare Available to Minimum Quantity option. To generate a list of transactions needed to bring available quantities (in the receiving warehouse) that are currently less than zero up to the minimum quantities, do not select the Low Stock Items Only option. FILES OR PROGRAMS AFFECTED Suggested Warehouse Transfer File ENTRY/INQUIRY SCREEN ONE The Standard Inventory Report Options appear on the first screen of this program. This screen is used to select the items that will appear on the report. See the Introduction to the Inventory Management Reports section of the documentation for detailed information on each field. ENTRY/INQUIRY SCREEN TWO Field Description Sort in Bin Location Sequence? Y – Sort by primary bin location. N – Do not sort by primary bin location. Include Only Low Stock Items? Y – Include an item only if the available quantity is less than the minimum quantity N – Include all items. Include Items On Order as IF On Hand? Y – Include open purchase orders (Status 1 Tag Records) in the on hand quantity N – Do not include open purchase orders in the on hand quantity. Compare Available To Minimum Quantity? This field is available only if you specified to include Only Low Stock Items. Y – When deciding if an item is low stock, the system will compare the available quantity to the minimum quantity (instead of comparing the onhand quantity to the minimum quantity). N – The system compares the on-hand quantity to the minimum quantity. Receiving Warehouse Enter the number of the receiving warehouse. To include all warehouses, leave this field blank and press Skip or Return. To exit the program, leave this field blank and press CMD. Any Changes? Y – Returns the cursor to the Low Stock Items field. N – The parameters are set and the following field is displayed. Do You Want To Continue? Y – Print the report as specified. N – Exit the program without printing the report SAMPLE REPORT AUTO CREATE WAREHOUSE TRANSFERS (WHT/AWT) The Auto Create Warehouse Transfer program is used to quickly create Warehouse Transfer Orders based on the list generated through the Suggested Warehouse Transfers program (WIP/WHT/SWT). One warehouse transfer order is created for each receiving warehouse. Transactions are added to the appropriate order. To create a new order, this program must be exited and accessed again. The customer part number displays under the memo field. If the Tagging System is being used, the commit tags for Work In Process program (WIP/CTW) is automatically accessed. Warehouse Transfer Orders created through this program have a status Code of N (new) and will be included when the All Eligible option is selected in the Print Order program (WIP/WHT/PWT). Shipping and Receiving Warehouses Are The Same...SKIP The receiving warehouse for the transaction specified is the same as the warehouse specified in the From Whse field. Press Skip to acknowledge this message. Enter a transaction for a different receiving warehouse or exit this program. The following fields are updated by the system and cannot be changed. On Hand Quantities for both the Shipping (from) warehouse and the Receiving (to) warehouse. On order Quantities for both the Shipping (from) warehouse and the Receiving (to) warehouse. Committed Quantities for both the Shipping (from) warehouse and the Receiving (to) warehouse. ENTER TRANSACTIONS (WHT/ETW) Use this program to create Warehouse Transfer Orders. Each order is entered for a specific Shipping Warehouse and a specific Receiving Warehouse. Up to 999 transactions can be entered on one order. You can enter a comment of up to 18 characters for each line item. If you try to transfer a quantity that will cause the item available quantity in the From Warehouse to drop below the minimum, an error message will be displayed. At that point, you can select to continue anyway or change the quantity to be transferred. If the Tagging System is used, the Commit Tags for WIP program (WIP/CTW) is automatically accessed once each line is accepted. To search for the item using the function keys, enter the first few characters of the item number, description code or short name and press the appropriate function key. F1 – Displays the first item found in the Item Master Record containing the characters entered as the item number or description code. F2 – Displays the first item found in the Item Master Record containing the characters entered as the short name. F3 – Scrolls forward to the next item. F4 – Scrolls back to the previous item. To enter a cross-referenced item, type an exclamation mark (!) before the item number. The program checks the cross reference file for an alternate item. If it does not find one, you can search for an alternate by customer number. If it still does not find an alternate item, you can press Skip to return to the Item/Description field and edit the entry. Error Message: Invalid Part Number or Function - SKIP To Continue The customer cross reference item has not been found in the cross reference file for the customer number entered. Press Skip to return to the item number field to edit the invalid entry. To exit, press CMD and then press Skip in the From Whse field. To start a new order, press CMD. EOF On Part File SKIP To Continue The end of the Item File (IM/MAI) has been reached while scrolling. Press Skip to acknowledge this message and begin again. From Whse Not On File - SKIP The item entered does not have an Item Warehouse Record (IM/MAI, 2nd screen) for the warehouse specified in the From Whse field. Press Skip to acknowledge this message. The Item Warehouse Record must first be created in order to transfer it. Invalid Part Number or Function - SKIP To Continue The item entered is not found in the Item File (IM/MAI) or the wrong function key was pressed. Press Skip to acknowledge this message and begin again. No More Lines Can Be Added To This Transfer - SKIP To Continue The maximum of 999 transactions has been entered on this order. A new order must be created for the remaining transactions. Receiving Whse Not On File - SKIP The item entered does not have an Item Warehouse Record (IM/MAI, 2nd screen) for the warehouse specified in the To Whse field. Press Skip to acknowledge this message. The Item Warehouse Record must first be created in order to transfer it. Qty Enter the quantity of the item to be transferred. To return the cursor to the Item field, leave this field blank and press Skip. Date The sign on date is displayed. Press Return to accept this date or enter another date in the MMDDYY or MMDDYYYY format. Memo / Fm This field is optional. You can enter a note about this transfer or press Skip to move to the following field. To move the cursor back to the Qty field without entering the transaction, press CMD. Is Information Correct? Y – The transaction is entered as displayed and the Commit Tags program is accessed (if applicable). N – The transaction is not entered. The cursor returns to the Item/Description field. The following fields are updated by the system and cannot be changed. On Hand The on hand quantity (Status 2 Tag Records) in each of the warehouses (Shipping and Receiving). On Order The on order quantity (Status 1 Tag Records) in each of the warehouses (Shipping and Receiving). Committed The committed quantity in each of the warehouses (Shipping and Receiving) Tran The Warehouse Transfer Order Number automatically assigned by the system. Fm-To The Shipping and Receiving Warehouse Numbers. PRINT ORDER (WHT/PWT) Use this program to print Warehouse Transfer Orders. You can also select to print only backorders. All eligible or a range of orders can be printed. An eligible order is one that has not been previously printed. Warehouse Transfer Orders print on pick list forms on the printer assigned as the Warehouse Transfer Printer (PRT, 2nd screen). The Warehouse addresses in the Warehouse File (PO/POM/WAM) prints. The customer part number prints as a reference note. When printing all eligible transfer orders, you can select to print all receiving warehouses (warehouses to be transferred to). FILES OR PROGRAMS AFFECTED Work In Process Order File ENTRY/INQUIRY SCREEN Field Description Print for All Eligible Orders Y – Print all eligible orders (orders that have not been previously printed). N – Specify a range of eligible order to print. Print For Which Shipping Whse? Enter the shipping warehouse number of the transfer orders. Print For Which Receiving Warehouse? Enter the receiving warehouse number. To include transfers that will be shipped to all warehouses, leave this field blank and press Skip. Error Message: Cannot Print To All Whses - EXCEPT if Printing All Eligible Transfers The All Eligible option was not selected and the All option was selected in the Receiving Warehouses field. The option to print orders for all receiving warehouses is available only when the Print All Eligible option is selected. Press Return to acknowledge this message. The cursor moves back to the All Eligible field. Include Items That Are Completed? This field is available if the All Eligible option is not selected. Y – Print only those item that have been received complete. N – Print all specified items, regardless of the status. Only Print Backorders? Y – Print only those orders that have been backordered. N – Print all specified orders. Include Backorders? This field is available if the Only Print Backorders option is not selected. Y – Print backorders if they fall into the specified parameters. N – Do not print backorders. Print in (L)ine or (B)in Location Sequence? B – Print the transactions in primary bin location sequence. L – Print the transactions in the order they were entered. Print From Print To These fields are displayed if the All Eligible Orders option is not selected. Enter the first and last order numbers in the range to print. To print one order, enter it in both fields. Continue? Y – Print the specified warehouse transfer orders. N – Exit the program, without printing the warehouse transfer orders. Print Weight? Y – Prints an additional line with weight and unit of measure. N – Prints the orders without listing weight. Want A Test Pattern? Y – Print a test pattern before printing the orders. N – Print the orders without printing a test pattern first. SAMPLE REPORT Note: If the transfer is for a consignment warehouse, any packaging requirements will print as an item note line on this report. LIST TRANSFERS (WHT/LWT) The List Transfers program (WIP/WHT/LWT) prints a list of Warehouse Transfer transactions and deletes completed transactions. Transactions print in FASPAC Item number sequence. You can include completed transactions or print only completed transactions. Deleted transactions are no longer available to be printed (WIP/WHT/PWT), listed (WIP/WHT/LWT), or displayed (WIP/WHT/WQI, WQO). To print a list to help you expedite Warehouse Transfer Orders, do not include completed items. If a warehouse transfer order has been partially received, the total quantity received against the transfer order will print on the report. If you print for completed items only, you will get totals for the costs of items transferred, by warehouse, and for all warehouses if printed for all warehouses. It will not print totals unless you are printing for completed items only. Note: This program can be used in an automated schedule (see page 13). ENTRY/INQUIRY SCREEN Field Description From Warehouse To Warehouse Enter the range of warehouses from which to print the list of warehouse transactions. To include all warehouses, press Skip. Include Completed Items? Y – Print completed items on the report (remaining on-order balance is zero). N – Do not print completed items on the report. Include Open Items? Y – Print open items on the report. N – Do not print open items on the report. Note: If N is entered in this field and in field 03, nothing will be included on the report. Delete Completed Items? Y – Delete all completed items on the report from the Work In Process file. N – Do not delete the completed items from the Work In Process file. Note: This can only be set to Y if field 03 is set to Y and field 04 is set to N. The cover sheet remains as it was entered; the program will handle this situation. Include Comment Lines? Y – Print the comment lines on the report. They will print on a separate line. N – Do not print comment lines. Include Dates Thru Enter a date variable or an actual date. To include all specified orders regardless of the due/completed date, leave this field blank and press Skip. Include From Item Include Thru Item Enter the range of item numbers to include. To select a valid option from a list box, press F5. For all numbers, press F7. For one number, enter it in both fields. Order/Item Sequence O – Print transactions by order number. I – Print transactions by item number. This field is skipped if you are printing a range of items or completed items only. Include In-Transit Information Y – Print Warehouse Transfer In-Transit information. N – Do not print Warehouse Transfer In-Transit information. Action Line F1 Accept your answers. F9 Cancel and start over with your original answers in Modify mode. F12 Delete all questions and answers from the Answer file and start over in Create mode. CMD Exit the program without running it. PRINT TRANSACTIONS (WHT/PTW) The Print Transactions program prints a register of Warehouse Transfer transactions entered since the last time the register was cleared. The register prints in Warehouse Transfer Order Number sequence. If the warehouse is set to use RF and to pick Warehouse Transfers (SYS/RFS), the order number on the printed register is prefaced with a W. To clear the warehouse transfer transactions from the Warehouse Transfer Register file, select Final Copy. After a final copy of the register is printed, the information cannot be printed again. Note: Clearing the register does not affect the Warehouse Transfer Order file. This program can also be used in an automated schedule (see page 13). ENTRY/INQUIRY SCREEN Field Description Final Copy? Y – Print the Register and clear transactions from the Register file. N – Print the Register, but do not clear the transactions. A Register cannot be reprinted after the final copy is run. Action Line F1 Accept your answers. F9 Cancel and start over with your original answers in Modify mode. F12 Delete all questions and answers from the Answer file and start over in Create mode. CMD Exit the program without running it. WAREHOUSE TRANSFER INQUIRE BY ITEM (WHT/WQI) The Warehouse Transfer Inquire By Item program is used to display all transactions in the Warehouse Transfer Order File for a specific item. Transactions for one or all Shipping Warehouse and for one or all Receiving Warehouses can be displayed. Note: Completed orders deleted from the Warehouse Transfer Order File are not displayed. For each transaction listed, the following information displays: Shipping and Receiving warehouses, Order Number, Due Date, Ordered and Received Quantities, Comments and the Order Status. When you specify an item, all open transactions are displayed. Select the transaction to be processed by entering the Shipping and Receiving warehouses, order number, and line number. The selected transaction can be received in full, cancelled in full, or partially received. If partially received, the remaining balance can be left on order; or if the quantity was lost, it can be adjusted off. If you are using the Warehouse Transfers In-Transit (WTIT) feature, you cannot use this program to receive items that are shipped through WTIT. Use In-Transit Receiving (WIP/WHT/WTIT/TREC/TIRV) instead to receive a carrier and its shipments. If you are using Freight Allocation, see page 97. When you SKIP at the item field to exit and a freight amount has been entered, the freight window will display giving the option to process at this time or CMD to exit the program. The following pop-up window is displayed when the record is complete. RECEIVE BY ORDER (WHT/RWO) Use this program to receive in full or cancel all open transactions on a Warehouse Transfer Order. If you are using the Warehouse Transfers In-Transit (WTIT) feature, you cannot use this program to receive items that are shipped through WTIT. WAREHOUSE TRANSFERS IN-TRANSIT (WIP/WHT/WTIT) The Warehouse Transfers In-Transit function allows you to create shipping records and monitor the status of items being transferred between warehouses. It stores the shipment information (such as the shipping and receiving warehouses, the carrier name, and the dates scheduled to ship and arrive) in a Carrier file. Two types of status codes are used in these programs: Carrier Status codes: In-Transit Status codes: CAN NEW ARR LOD COM P L C I R Cancelled New record Arrived Loading Complete Partial Loaded Cancelled In-Transit (on the road) Received BEFORE YOU BEGIN Read this section carefully before you use the Warehouse Transfers In-Transit programs. These are common instructions for moving around the screens, changing the view options of lists, and selecting carriers and orders from lists. To enter data: In the instructions, a phrase beginning with the word “Enter…” means to type the keystrokes and press Return. For example: “Enter the warehouse number.” Means to type the number (such as 01) and press Return. To change the view of a list or orders: On some screens you can display only those orders with open lines, closed lines, or both. F7 – Change the display option. The following prompt is displayed: Only Display (O)pen, (C)lose Order or (B)oth (O/C/B)? Enter O to view open orders only, C for closed orders, or B for both. The following prompt is displayed: Display Order Line (W)ith I/T, With(O)ut I/T Lines or (B)oth (W/O/B)? Enter W to view orders with in-transit lines, O for orders without in-transit lines, or B for both. To move through a list of orders or carriers: If there are more than one order or carrier listed, there are various methods for finding the one you want. Use the up and down arrow keys to go to the line. F1 – Start at the top of the list (with the first line). F3 – Scroll through the list page by page. To list orders starting from a specific order number, press F6 and enter the order number (for example, if you want to start with number 88 instead of 1, enter 88). Note: When you enter a Carrier name and the list of carriers is displayed, an asterisk (*) is displayed next to the carrier on which the order was shipped. \To select an order or carrier from a list: Use the up and down arrow keys to highlight the item and press Return. PRELIMINARY TASKS 1. If necessary, set up user security in Company Information (CIS) to restrict users to ship or receive between certain warehouses. 2. Turn on WTIT in Inventory Management Specifications (SYS/IMS). USING WTIT 1. Determine the warehouse transfer orders to be shipped, and create a Carrier record using Create In-Transit Carrier (TICC). See page 109. 2. Load the warehouse transfer orders on the carrier (that is, add orders to the Carrier record) using In Transit Shipping (TISH). See page 114. 3. When loading is complete, change the status of the Carrier record to Shipped using Set Carrier Status to Shipped (TICS). See page 119. 4. Optionally print the In-Transit Shipment Listing (TISL) to verify the status of shipped orders. See page 121. 5. Before receiving orders, change the carrier status from (CIT) In-Transit to (ARR) Arrived using Set Carrier Status to Arrived (TICA). See page 126. 6. Warehouse Transfer Receipts (WIP/WHT/RWI) Warehouse Transfer Receiving By Order (WIP/WHT/RWO) These programs (RWI and RWO) can receive any warehouse transfer order or order line that has not been committed using the WTIT module. FASPAC Reference Manuals, Volume 4, OD Order Desk (OD) Function key F13 alternates between the purchase order box and the warehouse transfers in-transit inbound and outbound box. PREREQUISITES COMPANY INFORMATION (CIS) If access to receiving and shipping functions for each warehouse is to be controlled, use the password securities in CIS. Most users will only need access to the warehouse in which they work, but they can be allowed access in up to three warehouses. Refer to Volume 5, Administration, of the reference manual. INVENTORY MANAGEMENT (IMS) Use this program to turn on WTIT in FASPAC. In the Select field, enter 21. In field 21, enter Y. In the Select field, enter 22. In field 22, enter Y. Press CMD or Skip to exit this screen. Note: If field 21 is set to N and any of the WTIT programs are accessed, the message Permission Denied - SKIP is displayed at the bottom of the screen. CREATE IN-TRANSIT CARRIER (WTIT/TCAR) CREATE IN-TRANSIT CARRIER (TCAR/TICC) Use this program to set up a carrier for a specific shipment. A Carrier record will be created with the status of New. Note: You cannot have the same carrier name with the same ship date and receive dates. ENTRY/INQUIRY SCREEN Field Description From Warehouse Enter the number of the shipping warehouse. To Warehouse Enter the number of the receiving warehouse or press Skip for All warehouses. Shipping Carrier Enter the name of the carrier and press Return. Ship Date The default is the FASPAC sign on date. You can change this if required. Receive Date The default is the FASPAC sign on date. You can change this if required. Note: The Receive Date cannot be earlier than the Ship Date. Intransit Status This carrier is given the status of New. Created By Last Changed By This program runs in Add mode, so these fields are not used. Select Press Return to save the record and remain in this screen. Press CMD and then U to save the record and exit this screen. Note: You can use the CMD functions at any time in the screen. Error Messages Permission Denied - SKIP In Inventory Management (IMS), the 21 Using Transfer In-Transit” field is set to N, so you cannot run a WTIT program. See page 108. IN-TRANSIT CARRIER MAINTENANCE (TCAR/TICM) Use this program to make changes to an existing carrier’s status or to delete an individual carrier. ENTRY/INQUIRY SCREEN Field Description From Warehouse The number of the shipping warehouse. To Warehouse The number of the receiving warehouse. Shipping Carrier The carrier name. You can press CMD-L to select from a list of carriers. Ship Date Receive Date The dates set up for this carrier. Intransit Status The current status of this carrier. WORKING WITH THE PROGRAM To change the in-transit status: 1. Enter the shipping and receiving warehouse numbers. 2. Enter the carrier name or press CMD-L and select a carrier. The cursor skips to the Select prompt. 3. Enter 4 at the Select prompt. The cursor moves to field 04. 4. Enter a status code: New for a new record, CAN for cancelled, or ARR if the carrier has arrived at the receiving warehouse. To delete a carrier: 1. Enter the shipping and receiving warehouse numbers. 2. Enter the carrier name or press CMD-L and select a carrier. The cursor skips to the SELECT prompt. 3. Enter DE at the Select prompt. The record will be deleted. IN-TRANSIT CARRIER LISTING (TCAR/TICL) Print this report to list carriers and their status. You can sort by carrier, ship date, or receive date. ENTRY SCREEN Field Description From Warehouse Enter the number of the shipping warehouse. To Warehouse Enter the number of the receiving warehouse or press Skip for All. The default ship date is two days before the sign on date or a user-specified ship date. Note: We recommend running this program about every two weeks. IN-TRANSIT SHIPPING (WTIT/TSHP) IN-TRANSIT SHIPPING (TSHP/TISH) Use this program to load warehouse transfer orders on a specified carrier (that is, to add transfer orders to the Carrier record). Note: You can continue to load warehouse transfers on any carrier provided the status is not COM (Complete). The order will be displayed with one or more line items. If you know the order number but not the carrier name: 1. Enter the order number in the Order No field. 2. Press Return in the Carrier field. All carriers will be displayed. 3. Select a carrier and press Return. The order will be displayed with one or more line items. If you do not know the order number and know the carrier name: 1. Press Enter in the Order No field. 2. Enter the name of the carrier in the Carrier field. All orders will be displayed. 3. Select an order and press Return. The order will be displayed with one or more line items. If you do not know the order number or the carrier name: 1. Press Enter in the Order No field. 2. Press Enter in the Carrier field. All orders will be displayed. 3. Select an order and press Return. All carriers will be displayed. 4. Select a carrier and press Return. The order will be displayed with one or more line items. After you select the order number and carrier name, you can load the whole order or part of the order on the carrier. There is an additional step if the warehouse is committing tags. FOR A WAREHOUSE NOT COMMITTING TAGS To load an order complete: 1. Select an order number and carrier. 2. Press F5 to ship the whole order. The prompt at the bottom of the screen changes. SELECT 3. (F5-SHPC, F8-TAGS, F10-CANCEL) Press F5 to ship the order complete. The quantities for each line are now loaded, the order has a status of L (Loaded), and the carrier has a status of LOD (Carrier loading). To load a partial order: 1. Select an order number and carrier. 2. Select an item and press Return. The details for that line are displayed. 3. Enter Y at the prompt “Do you wish to enter Transit Shipment?” The In-Transit Shipping Maintenance screen will be displayed. If you enter N, you exit this screen and return to the previous screen. 4. In field 01, enter the quantity to be shipped. 5. In field 02, enter the quantity to be back ordered or press Return to accept the calculated quantity. 6. In field 03, enter a comment or press Return to skip the field. 7. Comments are displayed on listings (TISL and TILS) and in inquiry screens (TIQS and TIQR). 8. Press F5 to load the remaining line (2). Note that line one shows a partial quantity loaded and a remaining quantity. Both lines have a status of L (Loaded). FOR A WAREHOUSE COMMITTING TAGS To load an order complete: 1. Select the order and carrier. 2. Press F5 to ship the whole order. The prompt at the bottom of the screen changes to the following. SELECT (F5-SHIPC, F8-TAGS, F10-CANCEL) 3. Press F8 to display the Committed Tags screen. 4. Press F8 to adjust tags already committed. 5. Press SKIP to return to the previous screen. 6. Press F5 to ship the order complete. Note that the entire order is loaded and that the In-Transit Status is L (Loaded). To load a partial order: The quickest method is to load all lines on the order, and then adjust the line that is to have a partial order loaded. 1. Select the order and carrier. 2. Press F5 to ship the whole order. 3. Press F8 to display the Committed Tags screen. 4. Press F8 to adjust tags already committed. This will load all order lines on the carrier. 5. Press Skip to return to the previous screen. 6. Press F5 to ship the order complete. Now adjust the line that is to have a partial order loaded. 1. Select an order line and press Return to display the line details. 2. Press Enter to display the In-Transit Shipping Maintenance screen. 3. In field 01, enter the quantity to be shipped and press Skip to delete the rest of the line. 4. In field 02, change the quantity to be back ordered or press Return to accept the calculated quantity. 5. In field 03, enter comments or press Return to skip the field. 6. Press F8 to display the Committing Tags screen. The committed and received amounts must match the amount to be shipped. 7. Press Skip to return to the Shipping Maintenance screen. 8. Press F5 to ship the items. Note the partial order and the In-Transit status for all lines is L. SET CARRIER STATUS TO SHIPPED (TSHP/TICS) Use this program to the carrier status to CIT (In-Transit). You can ship an individual carrier or all carriers listed on the screen. You can print a shipment listing when you run this program or later using TISL. ENTRY/INQUIRY SCREEN Field Description From Whse Enter the shipping warehouse number. To Whse Enter the receiving warehouse number or press Skip for All. Ship Date The default is the sign on date. Press Enter to accept the default, or enter a previous ship date. All carriers with that ship date will be listed. Note: The ship date cannot be later than the sign on date. Shipping Carrier Enter the name of a carrier, or press Skip for All. WORKING WITH THE PROGRAM To change the status of one carrier: 1. Select a carrier if more than one are listed in the screen. 2. Enter S for Shipped. 3. Press CMD to update the record, or Skip to start over. To change the status of all listed carriers (if there is more than one) 1. Press F10. 2. Press CMD to update the record, or Skip to start over. IN-TRANSIT SHIPMENT LISTING (TSHP/TISL) Use this report to verify carriers with CIT or ARR status. Select another order line or press CMD and restart, backup, or quit the program. IN-TRANSIT RECEIVING (WTIT/TREC) SET CARRIER STATUS TO ARRIVED (TREC/TICA) Use this program to change the carrier status from CIT (In-Transit) to ARR (Arrived). This must be done before you can receive a shipment. You can print a listing when you run this program, or later using TISL. ENTRY/INQUIRY SCREEN Field Description From Whse Enter the number of the shipping warehouse or press Skip for All. To Whse Enter the number of the receiving warehouse. Recv Date Enter the “Through Receive” date to list all carriers with a status of CIT scheduled to be received on or before this date. The default is the sign on date. Shipping Carrier Enter the name of a carrier, or press Skip for all. WORKING WITH THE PROGRAM To change the status of one carrier: 1. If more than one carrier is listed, use the down arrow to highlight it and press Return. 2. Enter A for Arrive. 3. Press CMD to update the record, or Skip to start over. IN-TRANSIT RECEIVING (TREC/TIRV) Use this program to receive warehouse transfers in-transit. You can print TILS for all in-transit statuses or by a particular status. Note: You cannot receive in-transit transfers until you change the carrier’s status to ARR using TICA. If you have not changed the status to ARR and you are receiving a transfer, you will be asked to set the carrier to ARR. ENTRY/INQUIRY SCREEN Field Description From Whse Enter the number of the shipping warehouse. To Whse Enter the number of the receiving warehouse. The carriers loaded with that order will be displayed with an asterisk beside them. They must have a status of ARR (arrived). After you select the order number and carrier name, you can receive the whole order or part of the order. There is an additional step if the warehouse is committing tags. FOR A WAREHOUSE NOT COMMITTING TAGS Select the carrier and press Return. The line item details for this order are displayed. To receive the whole order as shipped: 1. Press F5 to receive the whole order. The following prompt is displayed: Do You Wish To Receive into ONE Location? 2. To receive the entire order to one location: a) Type Y and press Return. The following prompt is displayed: b) Enter Receiving Location c) Type the location and press Return. d) In the SELECT prompt, press F7 to receive the order complete. 3. To receive the lines to different locations: a) Type N and press Return. b) In the SELECT prompt, press F7 to receive the order complete. c) Type the location for line 001 and press Return. d) Repeat for subsequent lines. To receive a partial line or order: 1. Select the line you want to work with and press Return. The details for that line are displayed. 2. Press Enter to display the Receiving Maintenance screen. 3. In field 02, type the amount you want to receive and press Skip to delete the remaining characters. 4. To receive the remainder of the order complete, enter F7 to receive. The following prompt is displayed: Do You Wish To Receive into ONE Location? (Y/N) 5. Enter Y or N, and then enter the locations accordingly. The In-Transit Receiving screen is displayed when you are finished. The line with the partial received shows the remainder with an in-transit status of P (Partial). WAREHOUSE COMMITTING TAGS Note: The receiving warehouse cannot change commitments, but it can receive less than was shipped. To receive an order complete: 1. Press F5 to receive the whole order. 2. Enter Y or N at the prompt “Do You Wish To Receive into ONE Location? (Y/N)”. 3. If you entered Y, type the receiving location and press Return. 4. In the SELECT prompt, press F8 to display the Committed Tags screen. 5. In the Line No. field, enter F8 to adjust tags already committed. 6. Press Skip to return to the In-Transit Receiving screen. 7. Press F7 to receive the order complete. 8. If you entered N at the prompt “Do You Wish To Receive into ONE Location? (Y/N)” in step 2, the receiving location will be requested for each line of the order. To receive a partial line or order: 1. Select the line you want to work with and press Return. The details for that line are displayed. 2. Press Enter to display the Receiving Maintenance screen. 3. In field 02, type the amount you want to receive and press Skip to delete the remaining characters. 4. In the SELECT prompt, press F8 to display the Committed Tags screen. 5. The received and back ordered amount must total the total committed amount. 6. Press Skip to return to the Receiving Maintenance screen. 7. Press Skip to return to the In-Transit Receiving screen. 8. Select another line and press Return. 9. Press F5 to receive the entire line. The following message is displayed: All Lines For the Above Order With a Shipped Quantity By This Carrier Will Be Received. Continue? 10. Enter Y to continue. 11. Enter Y or N at the prompt “Do You Wish To Receive into ONE Location?”. 12. If you entered Y, type the receiving location and press RETURN. 13. In the SELECT prompt, press F8 to display the Committed Tags screen. 14. Press Enter on committed and received quantities, and enter Y if the quantities are correct. 15. Press Skip to return to the In-Transit Receiving screen. Note that line one shows a status of P (partial), and shows the remaining quantity not received as still In-Transit. IN-TRANSIT INQ. RECEIVING WHSE (TREC/TIQR) Use this inquiry at the receiving warehouse to view orders by status (Open, Closed, or Both), with or without in-transit lines, or both. If you know the order number and the carrier name: 1. Enter the order number in the Order No field. 2. Enter the name of the carrier in the Carrier field. The order will be displayed with one or more line items. If you know the order number but not the carrier name: 1. Enter the order number in the Order No field. 2. Press Enter in the Carrier field. All carriers will be displayed. 3. Select a carrier and press Return. The order will be displayed with one or more line items. If you do not know the order number and know the carrier name: 1. Press Enter in the Order No field. 2. Enter the name of the carrier in the Carrier field. All orders will be displayed. 3. Select an order and press Return. The order will be displayed with one or more line items. If you do not know the order number or the carrier name: 1. Press Enter in the Order No field. 2. Press Enter in the Carrier field. All orders will be displayed. 3. Select an order and press Return. All carriers will be displayed. 4. Select a carrier and press Return. The order will be displayed with one or more line items. To display transfer order details: After selecting an order, you can display the details. 1. Select the shipping and receiving warehouses, order number, and carrier. 2. Select the order line and press Return. The details for that line are displayed. 3. Press Enter to return to the previous screen. 4. Select another order line or press CMD and restart, backup, or quit the program. IN-TRANSIT REPORTS (WTIT/TREP) IN-TRANSIT LISTING (TREP/TILS) Use this report to verify the in-transit status and order line details of warehouse transfers. ENTRY SCREEN Field Description From Warehouse Enter the number of the shipping warehouse or press Skip for All. To Warehouse Enter the number of the receiving warehouse or press Skip for All. By Item, Carrier or Order? Enter the code that specifies how you want to sort the report. I for Item C for Carrier O for Order Print ALL xxxxxx? Enter Y for all or N for specific, where xxxxxx is Item, Carrier, or Order, depending on what you entered in the previous field. From Item No Thru Item No If you specified a range of items, enter the first and last numbers in the range. Carrier If you specified a carrier, enter the name of a carrier or press Skip for All. From Date Shipped Thru Date Shipped From Date Received Thru Date Received For a specified carrier, enter the range of shipped and received dates. From Order No Thru Order No If you specified a range of orders, enter the first and last numbers in the range. Print For In-Transit Status Enter the code that specifies whether you want to print the report for one status or for all. C for Completed L for Loading P for Partial receipt I for In-transit R for received A for All codes CONTINUE? Y – Print the report. N – Exit this screen without printing. Pressing CMD is the same as entering Y. Note: You can use the CMD functions at any time in the screen except at the CONTINUE prompt. SAMPLE REPORT BY CARRIER The report lists the following information: Shipping and receiving warehouses Carrier name Dates scheduled to ship and receive the orders Order and line numbers Item numbers, descriptions, and comments Quantities ordered, quantities received, the balance quantities, and quantities in-transit In-transit status (3rd column from the right) Sign on ID of the user who created the shipment, and the date SAMPLE REPORT BY ORDER The report lists the same information as the previous report, with this additional information: Carrier Status (fifth column from the left) Warehouse transfer status (second column from the right) IN-TRANSIT ANALYSIS LISTING (TREP/TIAL) This report lists the details and grand total information for open in-transit orders with the following status: L (Loaded) P (Partially received) I (In-transit) Use the report to analyze the status of items that have been or will be shipped, but have not yet been received. SAMPLE REPORT The report lists the following information: Shipping and Receiving warehouses Warehouse transfer order and line numbers Item numbers and descriptions Number of items ordered, shipped, received, the balance, and in-transit In-transit cost of the item (quantity times unit cost) Carrier name Dates scheduled to be shipped and received Carrier status (Loading, Arrived, In-transit, Shipped, Partial, Cancelled, or New) Number of items in-transit In-transit status (Partial, Loaded, or In-transit) COMMIT TAGS FOR WIP (WIP/CTW) The Commit Tags For WIP program (WIP/CTW) commits (assigns) and adjusts the specific Tag Records to be used when updating inventory activity for each line item on Plating/Rework Orders Packaging/Kit Orders, and Warehouse Transfer Orders. The Commit Tags for WIP program is accessed automatically when these types of orders are created and received, and can also be accessed directly. Tag Records can be committed: By Tag Record Number By Lot Record Number AND Location By Heat Number AND Location By Location By Manufacturing Lot Number AND Location Tag Records can be uncommitted: By Tag Record Number If the System Master File (SYS/IMS) is flagged to not use the Tagging System and a traceable item is entered on a Work In Process order, the Commit Tags for WIP program is accessed automatically. If Tag Records have been committed and the Work In Process order is accessed in the Commit Tags for WIP program, all information regarding committed Tag Records is displayed. OPTIONS Commit specific Tag Records to a line item on a Work In Process Order Uncommit specific Tag Records previously committed to a line item on a Work In Process Order Adjust the Shipped and Back Ordered Quantities of specific Tag Records previously committed to a line item on a Work In Process order. This option is available only when receiving. FILES OR PROGRAMS AFFECTED Tag File Tag C File Item File ENTRY/INQUIRY SCREEN Field Description Type K – Commit Tag Records on a Packaging/Kit order. P – Commit Tag Records on a Plating/Rework order W – Commit Tag Records on a Warehouse Transfer order. To exit the program, leave this field blank and press Skip. From Whse Enter the warehouse number from which you are committing orders. This entry must be a valid warehouse number. From Whse This field is available only if W is selected as the Type. Enter the warehouse number to which the order will be committed. Vendor This field is available only if P is selected as the Type. Enter a valid vendor code. To accept the displayed entry of PL/RW, press Return. Order No. Enter the order number. It is not necessary to enter the leading zeros. Do not enter the dash and the suffix. When you press Return, the Command-Look Up window displays a list of in-transit carriers loaded with this order. Use the arrow keys to select a carrier and press Return. Error Message: Invalid Order Number – SKIP The Order Number entered is not in the Work In Process Order File. Line No. To return the cursor to the Order No. field, leave this field blank and press Skip or Return. To work with the next item flagged as Traceable, leave this field blank and press F5. To Auto Commit Tags based on Location, leave this field blank and press F7. To automatically adjust Tag Records previously committed, leave this field blank and press F8. (If this option is used, the Tag Records previously committed to each line item on the order are adjusted based on the shipped and back ordered quantities entered). To search through the line numbers, beginning with the number entered, press F1. To scroll forward to the next line number, press F3. To accept the displayed line number, press F5. Error Messages: Complete Quantity For This Line Was not Committed Automatically – Must Check Manually The Adjust Committed Tags option was selected and insufficient Tag Records were committed for the Line Item displayed. Press Skip to acknowledge this message. The Tag Records that the system could commit are displayed. Investigate the problem and correct it before trying to commit Tag Records again. End of Order – SKIP To Enter New Line The scrolling function has been used to display Line Items and all Line Items have been displayed. Press Skip to acknowledge this message and begin again. Invalid Line Number – SKIP To Re-enter A Line Number that is not on the specified order has been entered. Press Skip to acknowledge this message and begin again. Line Has Traceable And Non Traceable or Certified and NonCertified Receipts A line has been found with traceable and non-traceable or certified and noncertified receipts. You cannot mix traceable and non-traceable material or certified and non-certified material. This Line Item is Completed – SKIP The item specified no longer has a quantity remaining on order. Press Skip to acknowledge this message Location This field is displayed only if the Auto Commit Tags option is selected: Once a Location is entered, the system automatically commits Tag Records with the specified Location on a First In, First Out (FIFO) basis. If you do not want to use the Auto Commit Tags option, leave this field blank and press Skip or Return. Location Correct? This field is displayed only if the Auto Commit Tags option is selected: Y – The location is correct. N – The location is not correct and you want to re-enter it. Tag No. To return the cursor to the Line No. field, leave this field blank and press Skip or Return. To commit tags by a method other than Tag Record Number, leave this field blank and press F6. If this option is selected, the cursor will move to the Commit Tags By Field (at the bottom of the screen). Once the method has been selected, the cursor returns to this field; a reminder displays at the bottom of the screen (e.g. enter Tag Location of Heat Number to be used). To access the Show Orders Committed To A Tag program (TAG/SOC), leave this field and press F7. See the Tagging System section of the manual for detailed information regarding this program. To return to the Commit Tags for Orders program, press Skip at the Tag No. field. To access the Buy History Maintenance program (IM/BHM), leave this field blank and press F8. Use this option to determine Tag Record numbers (only Status 2 Tag Records display). See the Inventory Management section of the manual for detailed information regarding this program. To return to the Commit Tags for Orders program, press Skip at the Select field. Note: If committing by Tag Record Number or Lot Record Number: 11 numeric, the cursor then moves to the Committed field. If committing by Location: 8 alphanumeric, once the Location has been entered, the Tag Records that the system commits display. If committing by Mfg. Lot Number or Heat Number: 30 alphanumeric, the cursor then moves to the B/Order field. Error Messages: Complete Quantity For This Line Was not Committed Automatically – Must Check Manually Sufficient Tag Records to cover the full Ordered Quantity could not be committed for the Line Item displayed. Press Skip to acknowledge this message. The Tag Records that the system could commit are displayed. Investigate the problem and correct it before trying to commit Tag Records again. P.O. Has Not Been Received Yet Commit Tags By A Status 1 Tag Record has been specified. Status 1 Tag Records cannot be committed to Work In Process Orders. Enter a valid Status 2 Tag Record Number. This field is displayed at the bottom of the screen only if the Change Method option (F6) is selected at the Tag No. field. H – Heat No. in the Lot Record and Tag Record Location F – FASPAC Lot Control Record Number and Tag Record Location L – Tag Record Location M – Mfg. Lot No. in the Lot Record and Tag Record Location T –Tag Record Number To return the cursor to the Line No. field, leave this field blank and press Skip or Return. Note: Tag Records can be UNCOMMITTED only be Tag Record Number. Once a selection is made, the cursor returns to the Tag No. field. Committed Enter the committed quantity To UNCOMMIT the Tag Record, leave this field blank and press Skip. If the Lot Record Number/Location option was selected in the Commit Tags By Field, this reminder displays at the bottom of the screen: Enter Tag Location of Lot Number To Be Used – SKIP to Re-enter. Either enter a valid Stock Location or leave the field blank to re-enter the Lot Control Number. When a Stock Location is entered, the *wild card option can be used. Error Messages: Cannot Commit More Than have Ordered or Total Shipped + Backorder The total Committed Qty for the displayed Line Item is greater than the Qty Ordered or than the sum of the Qty Shipped plus the Qty B/O. Cannot Commit More Than Have Stock For – SKIP Press Skip to acknowledge this message. You are trying to commit a quantity larger than the specified Tag Record has available (On Hand Less Committed). Press Skip to acknowledge this message. Either use a different Tag Record or enter a quantity equal to or less than the specified Tag Record has available. Received This field is available only when a Line Item is being received or when a Tag Record is being uncommitted. Enter the received quantity. Error Message: Qty Receiving Is Greater Than Work Order Qty Being Received – SKIP The quantity entered as the Tag Record’s Received quantity brings the total Received on Tag Records to a quantity greater than was shipped for the displayed Line Item. Press Skip to acknowledge this message and enter Tag Records with Committed Quantities that add up to the Line Item’s Qty Received. B/Order Enter the back ordered quantity. This option is available only when a Line Item is being received. If either the Heat Number/Location option or the Mfg. Lot Number/Location was selected in the Commit Tags By field, this remind displays at the bottom of the screen: Enter Tag Location of __ Number to Be Used – SKIP to Re-enter. Enter either a valid Stock Location or leave the field blank to re-enter the Lot Control Number. When entering a Stock Location, the *wildcard function can be used. Error Messages: Invalid Stock/Bin Location Entered – The System Master File (SYS/IMS) is flagged to use the Validate Stock Qty Back Ordered Is Greater Than Work The quantity entered as the Tag Record’s B/Order quantity brings the total B/Order quantities that add up to the Line Item’s Qty Back Ordered. Qty Received + Qty Back Ord Must Be Equal To Qty Committed – SKIP Physical Inventory in Progress. Cannot Change Stock/Bin Location – RETURN. The Committed Qty does not equal the sum of the Qty Received and the Qty B/O. Press Skip to acknowledge this message. Enter a valid Committed Qty. The System Master File (SYS/WAS) is flagged to use the Stop Inventory Transactions After Freeze option and the Location entered has been frozen through the Physical Inventory Freeze program (PHY/FRE). Press Return to acknowledge this message, enter a Stock Location that is not frozen. This Stock/Bin Location Is Being Deleted – SKIP To Continue The Stock Location Record (TAG/LM) has been flagged to be deleted so that it can no longer be used. Press Skip to acknowledge this message, enter an active Stock Location. Are Quantities Correct? B – Change the Location on selected Tag Records. The cursor moves to the Location field. Y – Quantities entered are recorded as entered. N – Quantities entered are incorrect.
