Midyear (Progress Report) Chief Executive Assistant to the President OFFICER NAME: Ismail Haznedar OFFICE HELD: Chief Executive Assistant to the President New York, July 23rd 2013 Introduction During the year as a Chief Executive Assistant to the President (CEATTP) worked in paralel based on expectation listed in Term of Reference as well as assignments and guidence as requested by the President. Main responsibilities where related with assisting JCI President supervising all Presidential Appointees. During the period I have participated to January Board Meeting (JBM), Site Inspection for GPS, Meetings with UN Foundation and UN Global Compact, Midyear Executive Committee Meeting, Area Conferences in Europe and Asia and the Pacific, JCI Global Partnership Summit in New York. Please find below a detailed Midyear Progress Report including Term of Reference for CEATTP, Objectives, Strategies and Actions for the Year, Reporting for Appointees, Plan for next months of the Year and Recommendations for the Future. Term of Reference The Chief Executive Assistant, appointed by the President, is required to act on JCI's behalf under the guidance and approval of the JCI President or the JCI Secretary General, and to adhere to the following guidelines: 1. 2. 3. 4. 5. 6. 7. 8. 9. Adhere to JCI policies and operational principles, and enter no agreement or pledge, nor make any formal statements without prior approval of the Secretary General. Seek ways to promote and contribute to the implementation of the JCI Plan of Action, Presidential Plan of Action and Theme during the course of the year. Supervise all Presidential Appointees on behalf of the JCI President and correspond directly with appointees to check on work progress when necessary. Follow up on reporting schedules of all appointed assistants. Correspond with the JCI Headquarters regarding important or relevant matters that affect the President. Perform any assignments as requested by the President. Attend the JCI World Congress. Upload to the JCI Web site periodic reports, addressed to the President, on the developments in his/her assigned responsibilities, within the following deadlines: a. Plan of Action/Schedule of implementation: December 15 b. Midyear (Progress Report): May 31 c. World Congress (Final Report): September 30 Copy the JCI Secretary General and other appropriate JCI officers all correspondence addressed to the JCI President, national organizations and other organizations NOTE: There is no formal budget for the position of Chief Executive Assistant. Funding may be requested, but it will be granted only if funds are available and the JCI Executive Committee approves it. 1. Objectives, Expected Results, Strategies and Actions Description of the objective Adhere to JCI policies and operational principles, and enter no agreement or pledge, nor make any formal statements without prior approval of the Secretary General. Expected Results Strategy / Action Deadline Seek ways to promote and contribute to the implementation of the JCI Plan of Action, Presidential Plan of Action and Theme during the course of the year. Increased knowledge among appointees and members about JCI POA and how, both NOM & LOM plans, can be adapted based in JCI POA. 100% implementation of all plan of action for the year. Inform all appointees about POA with a Appointee Training and with a letter to be send from JCI HQ including their Term of References. Maximum interaction within appointees and members whenever & whereever possible to create a positive impact. Make a brainstorming with appointees during Appointee Training and during the year with ideas/actions. Communicate and coordinate Impact Month with support of UN Affiars Commissioners. Support appointees with information as well as trainings to increase their knowledge as well as performance. Permanent follow up and communication during the year. Follow up on POA and mainly Training transition period, best practice sharing between Growth and Development as well as UN Affairs Commisisoner issues. Maintain good report with all appointees & assist them whenever required. Proper delegation to Executive Assistants for gathering reports on time. Friendly reminder 2 weeks before the deadlines. Initial communication via Skype Meetings to give to appointees guidelines about their duties. Will have good attention to all matters concerned with JCI President. Prepare a NOM visit check list to increace communication. Proper coordination for effective delivery of all task. Ensure full secretariat set up to and support perform task assigned by the president. All NOM Presidents and Chief Delegates be able to spend meaningful and efficient time with World President. Set administrative days and time during visit for President to have enough time to work for preperations. Coordinate and attend to Skype meetings for EXCOM and Appointees. Work on program of JCI President for World Congress and fulfill an efficient schedule with support of Executive Assistants. 31-01-13 Supervise all Presidential Appointees on behalf of the JCI President and correspond directly with appointees to check on work progress when necessary. Follow up on reporting schedules of all appointed assistants. Follow-up on POA's and feedback to all appointees. All Appointees with full commitment in their assigments and 100% visibility of the appointees's work. All Appointees reporting to JCI on time. Regular updation of JCI website with periodic reports & assigned responsibilities. Correspond with the JCI Headquarters regarding important or relevant matters that affect the President. All matters relevant to the president will be communicated immediately. Perform any assignments as requested by the President. Efficient management through proper delegation of duties in all area. Time bounded execution of all task assigned. Report to and liaise with the World President on a regular basis during the whole year. Organize and coordinate personal meetings between the president and each of the National Presidents and/or Appointees present at every Conferences including World Congress. Attend the JCI World Congress in Rio, Brasil. Proper and efficient communication. Travel on behalf of JCI to JBM, MYE, JCI Area Conferences as well as the JCI World Congress to fulfil the above plan of action. Be available to the JCI World President to give whatever assistance may be required at any time throughout the year. Participate to Strategic Planning Process as a Team Member. Participation in Area Conferences, Excom meetings and World Congress.
