Our conference attracts 200-300 attendees from across the state including nursing mothers, families, educators, and International Board Certified Lactation Consultants. The exhibits should be of some value to (most) people attending the Conference. Exhibits should not be obtrusive or detract from the primary purpose of the Conference, which is to reflect good mothering through breastfeeding. Exhibits accepted previously may become unacceptable due to changes in LLLI policies and/or philosophy. The LLL of the Garden State Area Network (GSAN) will have final approval of all exhibitors. ENDORSEMENT Acceptance of an exhibit does not constitute an endorsement by LLLI or LLL of the Garden State. A disclaimer to that effect will be printed in the conference Program Booklet. Materials approved for an LLLI Conference or by LLLI may not necessarily be approved for the LLL Garden State Area Network Conference. Pacifiers Tobacco products and alcoholic beverages Contraceptives and/or contraceptive devices PRODUCTS PERMITTED WITH CAUTION The following products may be advertised and/or exhibited with caution: Foods intended for children of an appropriate age Food supplements, vitamins, minerals, and medications An organization which promotes a cause, supports either or both sides of a controversial issue, and/or advocates a particular procedure, method, or system related, however vaguely, to health must have express, written permission from La Leche League in order to exhibit. SALE OF ALL PRINTED AND RECORDED MATERIALS Written and/or recorded materials, including, but not limited to books, pamphlets, magazines, articles, reprints, tapes, records, CDs, etc. are not to be sold at any exhibit without prior approval from LLL. Items competitive with the Conference Book Table, or items in the LLLI catalogue may be rejected solely because of the competition. LLL does not guarantee sales to any exhibitor. ADVANCE APPROVAL REQUIRED FOR ALL EXHIBIT MATERIALS All literature and a detailed list of items to be exhibited and/or sold must be submitted for approval prior to the conference. Deadline for approval is March 31, 2017. Samples may be requested at a later date. A copy of all printed materials (e.g. brochures, catalogues, flyers, etc.) for each exhibit should be reviewed by an LLL of the Garden State Representative. The LLL Representative will preview the exhibit hall prior to opening. Exhibitors will be asked to remove any items, products, or materials that were not pre-approved or are deemed inappropriate. Note: All exhibitors must meet the deadline listed on the exhibit contract. An exhibitor’s products and/or literature may be rejected for lack of appropriate approval time. The exhibit fees will be returned if the exhibit is not approved. PRIVILEGE OF REGULATION AND REFUSAL LLL of the Garden State reserves the right to regulate or prohibit any exhibit and/or materials deemed inappropriate or unacceptable. CONTRACT AGREEMENT The exhibitor contract form must be signed and returned to LLL of the Garden State and all fees must be paid in full prior to the opening of the Conference. The exhibit fee is noted on the contract form. LLL of the Garden State must have the names of the personnel who will staff your exhibit. An official conference name badge will be required for all who enter the Exhibit Hall and who wish to be in the Conference areas of the facility. We ask that you limit the number of exhibit personnel to three persons per exhibit. Exhibitors must pay a registration fee to attend the Conference sessions and purchase lunch. Exhibitors shall not schedule private functions during the Conference hours. LLL of the Garden State reserves the right to limit or prohibit prize drawings or contests, distribution of items, and any “extreme” promotional activities. In all cases you must obtain written permission from the LLL Garden State Council. EXHIBIT LOCATION LLL of the Garden State will make every effort to assign table locations according to exhibitor preference. Priority is determined by the order in which applications accompanied by payment in full are received. LLL of the Garden State will attempt to separate exhibits of similar products and/or services and will try to honor your request if you do not wish to be located near a specific organization or product. However, LLL cannot guarantee such spacing. EXHIBITOR DATE AND HOURS Saturday, April 29, 2017: 7 AM-5 PM SET UP AND BREAKDOWN Set up of exhibits will begin at 7 AM Saturday and should be completed by 8 AM. Exhibits may not be taken down before the official closing at 5:00 pm Saturday. It is the responsibility of each Exhibitor to have exhibit set up prior to the opening of the Exhibit Hall and taken down immediately after its close. Entire breakdown and removal must be completed by 6 PM Saturday. Exhibit space not occupied by 7:45 AM on Saturday will be forfeited by Exhibitor. LLL may resell, reassign, or use any such forfeited space. EXHIBIT SPACE The cost of each exhibit space includes a six foot table and two chairs. Exhibitor materials displayed on table should be arranged in a way so that sight lines of adjacent exhibits are not obstructed. SIGNAGE Each exhibitor will provide a sign displaying the full name or an accepted well-known abbreviation of the organization’s name. SELLING RESTRICTIONS Exhibitors are solely responsible for the acquisition of all state and local permits and for all tax forms and the filing and payment of any and all state and local taxes generated by the over the counter sale of merchandise during the run of the conference. EXHIBIT CONTENT Exhibitor agrees to exhibit only those items or services normally supplied or manufactured by said exhibitor in the normal course of business and agrees to comply with the conditions and policies set forth in this document. La Leche League of the Garden State reserves the right to make any changes it deems necessary and retains the right to control, remove, prohibit, and/or refuse any exhibitor material(s) and/or item(s) which it considers inappropriate or unacceptable. Exhibitor agrees not to assign, sublet, or apportion any part of the allotted exhibit space assigned. CONTRACTED SERVICES Exhibitor agrees to accept the terms and conditions contained in the agreements between Embassy Suites by Hilton Parsippany and La Leche League of the Garden State on matters and questions not covered in this contract. The Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and save La Leche League of the Garden State, LLLI, and Embassy Suites by Hilton Parsippany, their officers and employees, against all claims to person or property, governmental charges or fines, and attorney fees arising out of or caused by Exhibitor’s installation, removal, maintenance, occupancy, or use of the exhibition premises or any part thereof. LLL of the Garden State is not responsible for theft or damage to exhibit or materials. Exhibitor is responsible for security of their own exhibits. Exhibitor assumes the entire cost of insurance. EXHIBITOR CATEGORIES AND FEES Cottage Industry: $70/table An individual selling hand crafted items made in the home. No outside employees may be employed in the making of the items to be sold or exhibited (e.g. doll clothes, baby clothes, T-shirts, etc.). Cottage industry exhibitors must provide LLL of the Garden State with a copy of liability insurance for items such as homemade slings, baby carriers, puzzles, or other items with small pieces. Distributor: $90/table An individual working out of the home and selling items on consignment for one company (e.g. Discovery Toys, Shaklee, Tupperware, etc.). Individuals selling items for more than one company are considered commercial exhibitors. Educational: $50/table A 501(c) (3), not-for-profit, individual membership association or organization whose materials are educational in nature (e.g. Cesarean support group, Childbirth Education Association, ILCA, etc.). There are to be no sales at the table, however orders for items may be taken and pre-approved and free brochures may be distributed. The nonprofit ID# should be provided for organizations using this category. Small Business: $80/table A for-profit business owned by an individual (must be a single-proprietor business with no employees). Some other examples: individuals who publish printed materials (e.g. newsletters) from their home, authors selling their own books (no others). Commercial: $160/table For-profit business, such as health care providers, hospitals, and other corporations.
