Dear Employee Campaign Coordinator:
I am very excited to serve as your Voluntary United Way Campaign Chair for the upcoming 2016-2017 year. Having
been active in giving to the United Way in the past I am keenly aware of the need in our community and the benefits
they provide. This year 29 agencies within our region are being supported by United Way Alberta Northwest,
providing 30 programs that focus on making communities stronger, reducing poverty and empowering children to be
successful.
As the name implies, United Way Alberta Northwest supports a huge region. From Grande Cache to the Northwest
Territories boarder and from the BC border to Slave Lake. The funds raised in any community in this region stays in
that community. As a donor you can specify the region you wish the funds to be used for and United Way Alberta
Northwest will make arrangements to fulfill each donor’s request. This is because the United Way represents you.
We recognize the need in our communities has increased over the years and the United Way strives to provide funds
to each of our Community Partners. The requests for funds are always increasing and without continued support,
our partners have added stresses to run their much needed programs.
Donations received are greatly appreciated because we know it makes a difference in all aspects of the community,
from your neighbours and co-workers to family & friends. If you have donated in the past, “Thank you”, and we hope
you will continue or increase your contribution for the upcoming year. If you haven’t given in the past, please consider
starting this year as someone you know may need your assistance. 1 in 3 individuals benefit from the programming

assist residents to identify community strengths and leverage resident knowledge, skills and experience to help neighbourhoods become stronger.

With United Way, it’s not about supporting one cause. In fact, it’s something far more profound. Each and every contribution
becomes part of a major community building effor that works to achieve an inspiring vision. It’s a vision where we all live with
financial stability and independence, where all neighbourhoods are safe and residents have a sense of well-being, and where
all children are getting the right start in life and have the support they need to get them through the middle years and their
high school graduation.
At United Way, we bring together oganizations, businesses, governments, and community members who care about the
issues we face in Northwest Alberta, to make every effort possible to turn the vision into reality. We are currently partnering
with organizations in the social service sector, delivering key community impact programs and inititives. It is why, with United
Way, donations and support go farther and wider than any other charitable investment a community member can make.

2016 SPECIAL EVENT IDEAS
Most workplace campaigns have one -two special events to create enthusiasm and build momentum. These may include a kick-off
event, early bird draw, and a final draw. Events should not take away from the employee pledges and are best scheduled after the
pledge forms have been distributed. To help with your special events, United Way Alberta Northwest (UWABNW) has supplies
available e.g. banners, balloons, aprons etc.
Special Events should be:
• Limited in number – These events can be time consuming for you and your Campaign Committee members. Having
fewer, more exciting events is always a better choice.
• Awareness builders – Each special event held should help raise awareness about UWABNW and your workplace
campaign. Get in contact with us to find out more information about any of our charities that you may want to focus on for
this event.
• Fun and free – Employees do not wish to be asked to donate repeatedly throughout your workplace campaign. Events
that cost money, e.g. silent auctions should always be held at the end of your campaign.
• Food Safe whenever food is being prepared and served. We have the rules and regulations at our office and ready to
provide to you if needed.
Special Event Ideas include:
Pancake Breakfast and Barbeque
Make this part of your kick-off event as in introduction and awareness session. Invite senior executives to help serve
pancakes that day.
Casual Day with “I’m dressed this way for United Way”
UWABNW can provide stickers for this event. You can also make it a costume day. We ask that you not refer to this day
as “Jeans Day” which is a specific fundraising event for BC’s Children’s Hospital.
Competition/Challenge
A competition based on increases in participation, or dollars, even the first group to turn in all pledge forms can be
conducted between departments, floors or locations within your workplace. You may also challenge another organization
within your industry/sector/office building.
CEO Challenge
Your CEO/senior management commits to doing something unconventional such as sing karaoke or dressing in costume if
a stretch participation or dollar goal is achieved.
Bake Sale
Employees contribute baked good to be sold at work.
Chili Cook-off
Employees donate money in order to sample and cast votes for their favorite.
Relay/Minute To Win It
Minute To Win It or childhood games in a timed, relay format are fun and can be a great team builder. See our Minute To
Win It Game Sheet for different game ideas.
Hidden Talents Show
Employees perform silly, hidden talents, e.g. drinking water while standing on head, reciting the alphabet backwards and
impersonations.
Live or Silent Auctions
Auctions can be great fun. Dollars raised through auctions are not tax receiptable. Some examples of items:
• Homemade cookies or cheesecake
• Restaurant gift certificates
• Services gift certificates (e.g. car wash by co-worker)

THE ABC’S OF A
WORKPLACE CAMPAIGN
-
A Workplace Campaign takes place when any number of employees band together to raise money for the United Way. Usually, this effort takes place with the support of management, but there are exceptions to that standard. A Workplace Campaign
is a very effective and affordable way for employees to give back to our community. Such a campaign can include elements
from any of the following, although we have listed the most efficient to the most labour intensive.
SPECIAL EVENTS:
PAYROLL DEDUCTIONS:
o Raises the most money with the least work.
o Our office will supply you with pledge forms,
powers, brochures, etc., to make your job easier.
o Employees use a United Way pledge form to request
an amount of money to be taken off of each pay
period to be donated.
o Donations are before tax and are receipted on the
employee’s T4.
o Deductions can be any amount, but normally
range from $10 – $100 per month. We receive
some as low as $1/pay period.
Many organizations will hold events to supplement their workplace campaign. Events can be held anytime during the year,
regardless of when you run your campaign.
o Some organizations like to introduce their employees to the
United Way by running special events the first year. This is
the most effective when combined with the opportunities for
payroll deductions.
o Money raised through special events cannot be receipted as
per CRA rules.
o Can’t decide what kind of event to hold? Our office has many
great ideas that we have collected over the years. Our most
important advice? Choose events that do not involve a lot of
work, because the return can be disappointing.
o Payroll department handles the deductions, and
submits the total amount to the United Way

WHEN SHOULD YOU RUN YOUR CAMPAIGN?
The United Way Annual Campaign runs from September 15th to March 31st. However, your campaign:
o Should run when it is best for your organizations, regardless of the time of year.
o Prior to the beginning of your fiscal year makes deductions easier for your payroll.
o Don’t pick your busiest time, but also don’t pick a time of the year when employees may be earning less. Spring
breakup may not be a good time for oil and gas industries.
o Your campaign should be short—2 or 3 weeks only—with an identified beginning and end. Long campaigns lead to
procrastination and tired volunteers.
