CHSC Exec Meeting Wednesday, Oct. 7, 2009 Start Time: 5:03 End Time: 6:05 I. Upcoming Events a. Town Hall Meeting, Wed., 10/28, location: TBD Tiffany is going to email about the location for the town hall meeting Scheduled for week 5 Social chairs: Leah, Margo, Erika, Alex Social chairs decide if they want to advertise for the town hall meeting using a commercial, powerpoint, etc (Rez suggested doing an office parody) b. Halloween Dance, 10/30 Decided on the 30th for the Halloween dance Alex and Leah spoke to Hina, HA of 1070 about having the dance in AV 1070. Hina has decorations that she will bring to decorate the hall. Some decorations are still supposedly in the old halls. Will contact AV to see if we can get into the hall to get those decorations Social Chairs: Alex, Leah c. Coffee Hour Rez said coffee hour went well. 87 people signed in. 2 Freshmen signed up to help already. For this week: Juice/ bagels: Nellie, Donuts: Alex, Set-up: Rez, Break-down: Margo, Allison. Hoping the incentive program will encourage more people to get involved and volunteer to help out. Jeff mentioned that last week, we ran out of juice so we don’t necessarily need to buy the name brand, just get what is most cost effective. d. Penny Drive Projector and big screen up for grabs Goal: to gather as many pennies as you can, sabotage other halls by putting silver coins and dollar bills in their jars in the honors office. Prizes determined according to : o Highest number of total number of pennies-minus sabotage (normalized). o Most money: sabotage+ pennies (normalized). Pennies per resident gets to choose first. Total funds including sabotage gets second choice. Dates from last year: Nov. 3 through the 21st Last year raised several hundred dollars from the penny drive Set date for this year: beginning of week 4 to end of week 6. (Oct. 19- Nov. 7) Erika and Nellie will be in charge of the logistics. Need to be looking for jars for the AV houses (large storage containers, etc) II. Announcements a. Incentive Program Last year had a problem with normalizing for the commuters and off campus students. Jeff suggested possibly an in-n-out party or taco party rather than a pizza party. Possibly split according to Mesa and Middle (instead of Shire and Loma). Normalize according to the people who participate rather than the whole house. If they participate at one event or meeting, then they are considered apart of the group. Point Values: o CHSC events: 2 pts. o General meetings: 3 pts o Fundraising (wayzgoose, TV tapings, ATS), volunteering (coffee hour, battle of the brains, etc): 4 pts o SOP/ hosting other events: 5 pts. Agreed to look into other fundraising options since Staff Pro now requires background checks and Shocktoberfest did not make big profits Leah proposed having a “point stipend” for members of exec. Jeff will look into what will be a reasonable point stipend. Groups for incentive program: o AV o Mesa o Middle o On-campus but not honors housing (CV, VDC, Norte) o Commuters Continue giving out lottery tickets at each general meeting If we type up rules for incentive program this week, we can start advertising the program next week. b. Program Digest Google calendar, talked about it at CHP leaders meeting Lists all events that are being planned (CHSC, HA’s, RA’s, NAR, etc) so we avoid scheduling events on the same day as other big events ii. Evals Make sure you’re turning in evaluations for the programs Jeff recommended we do them right after the event so we don’t forget towards the end of the quarter iii. Web based system Setting up a web based system for honors that will archive our evals, meeting minutes, etc. c. Snacks?/Agendas? Snacks for fall quarter: no snacks for exec meetings, but snacks for general meetings Agendas: continue to print agendas for exec meetings d. Suggestions/other announcements? Shocktoberfest: Oct. 16, did not make a very big profit from it in the past years because no one really visited the booth. o Don’t know if it’s worth it because you have to pay for a spot, etc o Agreed to not do a booth at Shocktoberfest this year. Disneyland: give a day, get a day. o Volunteer and get a pass to go to Disneyland o We will choose a day and event to volunteer at together, get the pass for Disneyland, and go to Disneyland together! CHOC walk: Sunday, October 18 o We will possibly fundraise with a baking booth on ring road to help raise the $50 needed for each person. o Could make it a community service event and go help out at the walk at 5:30am. Next week’s general meeting is at Loma. Email Max to remind him. Jeff reminded us that we can write up a blurb for the CHP News before Monday morning if we want make an announcement. Michael reminded us that we can email him about certain events that are coming up and he can put it on the website. Mentioned the idea of broomballing, football, twilight bowling for events for the upcoming quarters.
