FOREWORD
This is Sodexo’s banqueting folder. This banqueting folder has been drawn up in partnership
with Utrecht University and applies for the academic year 2014/2015.
We have subdivided the folder into three parts: meeting services, conference catering, and
party and events catering:

Our meeting services comprise a selection of products, services and packages which have been
put together specifically for meetings of up to 40 persons, not requiring any serving staff.
These activities will generally take place in an informal environment. Many of these products
cannot be ordered for groups of more than 40 persons.

Party and events catering has been set up to provide a worthy platform for everything which is
more difficult to categorise. Often it is the exceptions that require most attention. That is why
the party and events element mainly focuses on customised solutions and personal contact.
The rates for meeting services and conference catering apply from Monday to Friday from 8:00
to 17:00 hours, and for all other activities from Monday to Friday from 8:00 to 21:00 hours.
Other rates may apply for reservations on other days / at other times and on public holidays.
We would like to provide you with further details.
Depending on the reservation, it may be that material or staffing costs are charged. If that is
the case we will let you know before carrying out your order.

GENERAL INFORMATION

ORDERING PROCEDURE
Breakfast, meeting and lunch services
Our breakfast, meeting and lunch services are intended for small gatherings of up to 40 persons, and
are of an informal nature. You can make your booking any day before 12:00 hours for deliveries the
next working day. If you have gatherings attended
by more than 40 persons, we would like to know at
least 4 working days before your event, so that it
will be easier for us to meet your requirements and
we can guarantee delivery. Examples of such events
are matching and welcome days.
You can find the product range we have put together
specifically for our meeting services in the first part
of our banqueting folder.
It is easy to make a booking via the Sodexo order
portal. You can find this via the intranet of Utrecht
University: intranet.uu.nl/praktische-zaken under
catering, or, if you don’t have a SolisID, via the website http://uu.sodexoeducation.nl/.

Do you want something different from the services
mentioned? Then contact our Banqueting Department or the relevant Catering Manager. We will be
happy to help with our knowledge and advice. If you
wish, we can prepare an offer for you without obligation.
Of course there are also ad hoc situations; we will be
able to help you in almost all cases. Please phone
030-253 8546 when such a situation occurs. We will
then discuss what we can do for you.
Conference catering
For conferences we have put together a number of
easy, inexpensive packages which we offer in addition to our regular products and lunch buffets. You
will find this in the second part of our banqueting folder. Please contact us if you can’t find what you had
in mind, so that we can discuss how we can meet
your requirements.
Party and events catering
Of course there are also many events which cannot
so easily be summarised in standard products. Do
you have any specific or special requirements with
regard to the details, the entourage or the atmosphere of your event? We would like to hear about
your requirements from you in person, after which
we will prepare a non-binding offer for you.
Please make your bookings for groups of more than
50 persons at least 4 working days in advance. If you
have any specific requirements we would like to hear
about them as soon as possible, so that we have
enough time for preparations. Of course there are ad
hoc situations; we will be able to help you in almost
all cases. Please contact us as soon as possible when
such an occasion occurs. We will then discuss what
we can do for you.

INVOICING
All prices mentioned in this banqueting folder are
stated in euro, including VAT but excluding irregular
hours allowances. Orders will be settled afterwards
against the integral rates mentioned.
Sodexo will issue an invoice every month, specified
by WBS element.
Additional staffing costs
If your event lasts longer than planned and agreed,
we will have to charge additional staffing costs. We
apply the following hourly rates for that purpose:

MEETINGSERVICES
Meeting services
All the items mentioned in Part 1 can be ordered
any day before 12:00 hours for the next day via our
order portal. If you have more than 40 attendants,
please let us know well in advance. Don’t hesitate
to contact us if you have any questions about this.
Our delivery times are between 8:00 and 17:00
hours. You can also always collect your products
from our restaurants during opening hours. If you
need our services outside those hours, please contact us and we will see what we can do for you.

This all-in-1 package is perfect for placing an efficient order. Put together on the basis of the most

persons or more for you. We use china crockery and
glass. All coffee and tea is served with sugar, creamer and Candarel.

Every working day between 08:00 and 10:00 hours
you can choose a simple or light breakfast for a minimum of 5 persons. Prices are per person. If you
would prefer a more elaborate menu, let us know and
we will see what we can do.

You can have dinner with a group at the following locations: Educatorium, Dining Hall and Lodewijk (Drift
27). You can book this via the order portal under restaurant dinners. You can find information about our
menus at our website uu.sodexoeducation.nl. Settlement will take place on the basis of subsequent
calculation.
Pizza service
From now on you can order pizzas at the Educatorium, Dining Hall and Lodewijk (Drift 27) restaurants
from Monday to Thursday between 11:00 and 19:00
hours and on Friday from 11:00 to 15:00 hours.
You can also collect them as, for example, a nice
meal when you are working overtime at the office or
study room. You can order them in advance via the
order portal or from one of the restaurants mentioned above. We can deliver them at your location by
arrangement.

We have special facilities at each location of Utrecht
University that enable us to provide all the different
catering services. We comply with all the regulations
of Utrecht University.
Should you have any requirements not described in
this folder, we will of course prepare a customised
proposal. You will get an estimate of any staffing
costs and costs of hiring materials, bearing in mind
the location where the event is to take place. This
also applies to external customers, students or study societies.
In this folder we give you an idea about the options,
but we work on the assumption that everything is
possible.
On the basis of our experiences and the services
frequently requested by our guests, we have put
together a number of conference packages. These
packages will meet many of your requirements and
can be ordered for 40 persons or more.
The following applies to these packages:

Cancellation and amendments
Breakfast, meeting services and meeting lunches
can be cancelled at no cost until 12:00 hours on the
day preceding your event. If the cancellation is made
after that time, the actually incurred costs will be
charged.
Conference and banqueting activities can be cancelled or amended at no cost up to four working days in
advance; in the event of cancellation or amendments
between 4 working days and 24 hours in advance,
the actually incurred costs will be charged.
In the event of cancellation or amendments within
24 hours before the event, the calculated costs will
be charged in full.
A situation may occur where you (partly) cancel a
banqueting activity, while we already have incurred
costs, for example for the hire of materials and staffing. If we are unable to countermand such incurred
costs we will charge them to you, irrespective of the
time of the cancellation.
Ad hoc requests
It may occur that you unexpectedly have a request
for an order, while the ordering term has already
passed. In such case, we recommend that you pass
on your request to the relevant catering location by
telephone. We will then do whatever we can to carry
out your request.
Special requirements and customised orders
All catering activities are carried out during regular delivery hours. We are happy to discuss special
requirements and orders outside those hours. If you
have any questions about organising a reception,
buffet, event or other requirements, please contact
the Banqueting Manager.
Amendments on the day of your event
If, on the day of your event, there are changes in the
number of participants or the programme, this may
have consequences for the costs of your event. Generally, all the products and services will have been
bought, and those costs will be charged to you. In
all other cases we will show as much leniency as
possible.

When you order, you must always mention the department, the WBS code and the name of the orderer; the orderer is responsible for correctly entering
the WBS code. In the event of delivery to private customers and companies or organisations other than
those forming part of Utrecht University, we must
receive an invoice address with a telephone number

Geographic location and capacity
Catering for meetings and lunches can be requested
in all the buildings of Utrecht University. We will
charge logistic costs for services provided in buildings not linked to an existing catering location on
the basis of subsequent calculation.
Details of how meeting and lunch services are provided
Catering for meetings is, in principal, ready 10 minutes before the meeting. Coffee, tea and water are
served in (Thermos) flasks; soft drinks are served in
bottles. We normally use china crockery and glass.
At locations without (pantry) facilities we will use
disposables instead of crockery, glass, cutlery and
other items. We always use disposables for last-minute requests. Where possible, we can use crockery
at your request.
We supply meeting lunches on dishes, which we
place directly on the meeting tables or, where present, on a buffet. Crockery and cutlery are put on a
serving tray and will not be served out.
Sodexo will tidy away the used materials in the meeting rooms after the meeting. If the meetings last
longer than Sodexo’s working hours, we will tidy
away the materials the following morning (before
08:00 hours).
Details of how banqueting services are provided
All the preparatory work for the banqueting activities will be completed 30 minutes before the start.
All banqueting items are served or set out as a buffet. After a banqueting activity Sodexo will tidy away
all the materials and make sure the room is tidy,
whether or not in cooperation with FSC.
