Monmouth University Office of Student Activities and Student Center Operations and Greek Senate Present: 2013-2014 Greek Excellence Packet Fraternal Organizations are a vital part of campus life at Monmouth University and are recognized for providing many positive opportunities and experiences to members. Fraternity and sorority life can help shape the personal, moral, ethical, and social development of each member. The following accreditation was developed to motivate chapters to strive for excellence in all areas of fraternity and sorority life, especially leadership, scholarship, service, and fellowship. Striving to meet and exceed these areas of excellence will ensure that positive growth continues and each fraternity and sorority continues to demonstrate its true potential for Monmouth University, the community, and fraternal organizations nationwide. I encourage each chapter to review their assessment from the 2012-2013 Greek Challenge and collaboratively utilize this opportunity to enhance the organization and challenge its members to make the most of their fraternity or sorority experience. Exceeding in the area of Scholarship Academic excellence is the highest priority at Monmouth University. It is important that each chapter encourages and supports each member’s academic goals. A strong scholarship program within organizations helps to improve the status of each chapter and the fraternity/sorority system. Chapters are expected to: - Continually increase their chapter cumulative grade point average each semester - Maintain and implement a scholarship program for their members - Utilize faculty/staff advisor to assist in scholarship programming Exceeding in the area of Leadership Being part of a fraternity or sorority provides one of the greatest opportunities for building of leadership skills for all of its members. A strong positive image of the fraternity and sorority system can only come from a group of strong leaders. Chapters are expected to: - Encourage every member to participate in extracurricular activities outside of the chapter - Plan and implement an officer transition program - Attend leadership programs sponsored by the university, national organizations, or by national governing bodies - Support the leadership of and participate fully in IFC, MPGC, PHC, and Greek Senate Exceeding in the area of Service Being a part of the fraternity and sorority system allows members to participate in service that not only benefits the members of the community, but chapter members as well. Chapters are expected to: - Participate in at community service projects throughout the year - Participate in community service projects sponsored by the Greek Senate - Participate in philanthropic events to raise money for charitable causes Exceeding in the area of Fellowship In order for chapters to survive and grow stronger, they must continually provide experiences that will enhance the unique feeling of fellowship for all of its members. Chapters are expected to: - Sponsor frequent fellowship building activities - Participate in non-alcoholic social activities with other chapters - Display civic duty with regard to the fraternity and sorority community Evaluation of Chapters Throughout the academic year, every organization must submit the following forms with documentation showing that the requirements and expectations have been met. All submissions will be reviewed by the Assistant Director of Student Activities for Fraternity and Sorority Life. All national headquarters will be advised of this accreditation and if the chapter has been accredited. I am confident that every chapter will meet and far exceed these areas of excellence. Expectations for Greek Excellence Sections All sections of the excellence packet have a maximum point total of twenty (25) points. For each of the four sections the accreditation levels are located below. Each chapter must achieve a minimum of 12.5 point to be accredited in each section. For each section, those chapters that reach at least Bronze Level and achieve at least 2 of the 3 bonus questions in that section will receive award status. Documentation pieces must be clearly marked to identify the requirement to be filled. It is expected that each chapter request documents from the proper administrators before submitting the Greek Excellence Packet. Documents will not be provided once the challenge has been submitted, nor should it be assumed that documents will be inserted in the challenge that have not been requested, yet are required. The Greek Excellence Packet has an overall point total of one hundred (100) points. Each chapter must achieve at least fifty (50) points to be accredited; the accreditation breakdown is located below. The Greek Excellence Packet is used as an assessment for the Office of Student Activities and Student Center Operations as you should use it for the same purpose for your chapter. With the assessment the Office of Student Activities, in conjunction with the Greek Senate, has set a minimum overall standard for chapters to be accredited. Those chapters that have been accredited and have received above average scores will be recognized accordingly. Those chapters that have not met the challenge will be penalized accordingly. It is the philosophy of the Division of Student Services, Office of Student Activities and Student Center Operations, the Greek Senate, and your national headquarters that chapters perform to a minimum standard. Recognition and penalties for the overall Greek Excellence Packet scores can be found below. In some cases, chapters have issues with collecting paperwork and or have an “off year” and cannot achieve this goal. Should a chapter not be accredited the following sanctions will be imposed: 1st year: Chapter will not be eligible for fraternity/sorority award recognition. 2nd year: Chapter will not be eligible for fraternity/sorority award recognition. Chapter will be required to create an action plan with the Assistant Director of Student Activities for Fraternity and Sorority Life. Chapter will lose the privilege to be represented within the homecoming court and will not be eligible to participate in Greek Week. 3rd year: Chapter will not be eligible for fraternity/sorority award recognition. Chapter will be required to create an action plan with the Assistant Director of Student Activities for Fraternity and Sorority Life. Chapter will lose the privilege to be represented within the homecoming court and will not be eligible to participate in Greek Week. Chapter will lose privileges to vote within the Greek Senate and their respective council. Chapter shall still maintain the privilege of an individual member holding office within the Greek Senate and/or respective council and is still expected to attend scheduled meetings. 4th year: Chapter will be considered for loss of recognition by Monmouth University (requires approval from Vice President for Student and Community Services). Monmouth University Greek Senate: Greek Excellence Packet Scholarship A 1A.________ The chapter meets the minimum academic standards as outlined by the Greek Life Policy Manual. (Maximum 2 points) DOCUMENTATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 2A.________ The chapter’s cumulative GPA is above the All-Men’s/All-Women’s Average. (Maximum of 4 points) DOCUMENTATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 3A.________ The chapter has increased its semester average from the previous semester. (Maximum 4 points) DOCUMENTATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 4A. ________ The chapter’s new member class average is at or above the all men’s/all women’s average (Maximum of 2 points) DOCUMENTATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 5A. ________ Chapter has member(s) initiated into Gamma Sigma Alpha during the current academic year. (Maximum 2 points) DOCUMENTATION NEEDED: A letter from the chapter’s faculty/staff advisor stating the chapter actively meets with him/her. 8A._______ The chapter conducts a time management program for new members each semester. (Maximum 2 points) DOCUMENTATION NEEDED: Agenda for time management program with date and list of new members in attendance. 9A.________ Describe one program each semester that the chapter has conducted for itself that supports the value of Scholarship (Maximum 4 points) DOCUMENTATION NEEDED: A narrative description of each program, what was included in each program, who was in attendance, and how each program connects to the value of scholarship. Examples include workshops on study skills, time management, exam prep, etc. Bonus: Members attaining a 4.0 GPA during the academic year. (Maximum 4 points) DOCUMENTATION NEEDED: A copy of the officer transition program (that includes training on position specific responsibilities, risk management, and university policies) and list of members in attendance. 3B.________ The chapter president has attended their own organization’s National/Regional Leadership Conferences during the year. (Examples include registration materials, name badges, email verification from conference staff, etc.) Bonus: The chapter performs a Post Initiation Training Workshop reviewing the various aspect of the initiation ceremony with each new member class. Monmouth University Greek Senate: Greek Excellence Packet Community Service C 1C.________ Each chapter has performed, at least, an average of 5 hours per member of community service per semester. (Maximum 4 points) DOCUMENTATION NEEDED: Service forms must be submitted on a monthly basis. 2C.________ The chapter has co-sponsored a service event with another fraternity or sorority. (Maximum 3 points) DOCUMENTATION NEEDED: Service forms must be submitted on a monthly basis. 3C.________ The chapter supports the chosen philanthropy of their Inter/National Organization. (Maximum 4 points) DOCUMENATION NEEDED: Provide a letter from your Inter/National Organization showing support of the chosen philanthropy. 4C.________ The chapter provides an educational seminar to its own members that describes one the chapter’s chosen service/philanthropy projects. (Maximum 2 points) DOCUMENTATION NEEDED: A narrative description of the program, explaining what is the service/philanthropy, why the chapter has chosen to support it, how the chapter will support it, and who was in attendance. 5C.________ The chapter participates in Residential Life’s First Year Move In Crew. Monmouth University Greek Senate: Greek Excellence Packet Community Service C (Countinued) 7C.________ The chapter participates in any Greek Senate sponsored service and philanthropy events. (Maximum 2 points) DOCUMENATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 8C.________ The chapter participates in Monmouth University’s Relay for Life. (Maximum 2 points) DOCUMENATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. 9C.________ The chapter has fulfilled the Greek Senate point system requirement each semester. (Maximum 4 points) DOCUMENATION NEEDED: Verified by Assistant Director of Student Activities for Fraternity and Sorority Life. Bonus: Each chapter has performed, at least, an average of 10 hours per member of community service per semester. DOCUMENTATION NEEDED: Service forms must be submitted on a monthly basis. Bonus: The chapter raises $500, or equivalent, for philanthropy in the past year. DOCUMENTATION NEEDED: Service forms must be submitted on a monthly basis. Bonus: The chapter supports the chosen philanthropy of their local chapter. DOCUMENTATION NEEDED: Provide a letter from your Faculty/Staff Advisor showing support of the chosen philanthropy. Monmouth University Greek Senate: Greek Excellence Packet Fellowship D 1D.________ The chapter holds an annual retreat with 80% of members in attendance. (Maximum 4 points) DOCUMENTATION NEEDED: A copy of the agenda (that includes team builder, a goal setting workshop and a review of university policies) and list of members in attendance. 2D.________ The chapter has an internal standards board to work with disciplinary issues. (Maximum 2 points) DOCUMENTATION NEEDED: Copy of chapter bylaws outlining function of standards board. 3D.________ The chapter sets annual goals. (Maximum 3 points) DOCUMENTATION NEEDED: A copy of the annual goals, following the guidelines of the annual goals outline found on eCampus, must be submitted by September 13th. 4D.________ All forms and paperwork have been submitted on time to the Office of Student Activities. Examples include events like movie night, bowling trip, chapter dinner, etc. 9D.________ The chapter performs provides a professional development program for junior and senior members once a year.
