Roles
Below is an outline of the new structure within EscapiaVRS which will be available
in April 2008. Several new roles have been added to provide for greater security,
while other roles have retained the basic functionality of the module in which they
function.
EscapiaVRS Role Structure
*Note: If a user has been assigned a Manager role, they do not need the nonmanager role as well in order to have access to the complete set of functionality.
(Ex. A user does not need to be assigned the Accountant role if they are already an
Accounting Manager.)

Functions
Access to all functions within software.
Access to all accounting functions.
Access to most accounting functions except the
Accounting Setup Menu and corresponding functions.
Access to all reservation functions, expanded reporting.
Access to standard Reservation functions as well as
Front Desk and Housekeeping. Cannot access
Reservations Setup Menu.
Make housekeeping Assignments.
Reporting, Change Room status.
Access all Service Order functions, make assignments,
expanded reporting.
Access to basic Service Order functions.
Manages and controls EVRN setup-API.
Can access reservations report and make bookings via
OwnerWeb. (optional)
Add units, setup and adjust rates.
Manage correspondence, categories and locations, and
Owner Web.
Can assign and remove roles from other users within the
system. NOTE: This role cannot assign roles to other
users that it does not already have access to. (Ex. A
Reservations Mgr with Role Admin cannot assign
Accounting roles to other users unless they have been
assigned an Accounting Manager as well.)
Allows editing of Rates and Seasons as well as Deposit
Policies.
Allows the user to view the full credit card number in
order to process a credit card payment.
Can create and save reports if you have purchased the
reporting module.
*Reservationists and Accountants will no longer have access to Rate Setup, Deposit
Policies, and Season without either the role of “Rate Manager” or “Agency
Administrator” assigned to them.

The UI which allows Managers and Administrators to assign roles to other users will
appear as follows
Additionally, the Find Contacts and New Contacts functionality has stronger
restrictions than before. A user typically cannot create a new contact within a role
that they do not currently have access to. (Ex. A Reservations Manager cannot create
an Accountant role unless they have the Accounting Manager role assigned to
them.), however they can view users with other roles within the system but do not
have the ability to make or save changes to them.

For instance compare the Accountant and Accounting Manager roles;
Accountant:
• Can create new Owners and Vendors.
• Can access and make changes to records for Customers and Owners.
• Can search for Accounting Managers, Accountants, Customers, Housekeeping
Managers, Housekeepers, PM Managers, Property Managers, Owners,
Reservations, Managers, Reservationists, Technician Managers, Technicians,
and Vendors. However they cannot open or make changes to these contact
records
Accounting Manager:
• Can create new Accounting Managers, Accountants, Owners, and Vendors.
• Can access and make changes to records for Accounting Managers,
Accountants, Customers, Owners, and Vendors.
• Can search for Accounting Managers, Accountants, Customers, Housekeeping
Managers, Housekeepers, PM Managers, Property Managers, Owners,
Reservations Managers, Reservationists, Technician Managers, Technicians,
and Vendors. However, while they can open these contact records they cannot
make and save changes to them.
Similar variations exist with other roles such as Reservationist and Reservations
Manager.
