JOB DESCRIPTION Job Title: Grants Coordinator SOC code: 43.9199 FLSA Classification: Non Exempt Department/Location: Construction Reports to: Construction Manager Status: EEO-1: Full Time Regular Professionals Dependent upon Grant Funding Normal Work Hours and Days: Regular hours are 8AM to 4:30PM Monday through Friday Approved by: Date: Effective Date: Summary: Work in conjunction with Departmental Managers in researching and preparing proposals for submittals of potential funding sources. Responsible for gathering, preparing, maintaining grant files and documentation. Provide reporting of grants to reporting agencies and supervisor. Essential Functions: Provide accountability and regular reporting of current grants and other activities to reporting agencies and supervisor. Researches funding source proposal requirements and submittal deadlines and maintains report deadline calendar. Develop and maintain a reliable system for tracking deadlines and all other information regarding present and potential foundation and agency funders. Track/monitor projects and activities for current grants. Coordinates preparation, assemble, and delivery of proposal documents. Assist in business development activities to help build and expand IRHA’s services and revenue enhancement activities as directed. Follows up and provides additional information as required by funding sources on behalf of IRHA and Tribes that have designated IRHA as their Tribally Designated Housing Entity. Works with Departmental Managers and staff to determine adherence to grant requirements. Coordinate activities, to include planning, cost estimates, scope of work and scheduling for grant projects. Provide accountability and regular reporting of budget changes and other financial activities for grant projects to supervisor. Monitors and evaluates grants through on-site review and review of accounting, progress and activity reports. Research energy efficient and alternate energy technologies for integration in IRHA projects with regards to potential grants. Assist with planning services, including long-term strategy development, energy procurement strategies, solicitation and evaluation of energy suppliers, risk assessment and management associated with energy contracts, benchmarking of energy management performance and application and evaluation of relevant best practices. Work closely with the departmental managers and staff, specifically the Grant Writer, Mechanical and Electrical Administrators and/or contractors. Conduct research and funding search activities to identify energy, alternative energy, and housing project grants and opportunities. Assist and perform grant and proposal writing and preparation activities. Assist the Construction Manager with various tasks. Update and maintain current paper and electronic filing in regards to grant files. Assist in preparation and provide assistance as needed for audits and grants monitoring. Conduct daily client and partner relations activities, including phone communications, written and email correspondence. Coordinate with Tribal offices, potential clientele as needed. Perform duties in compliance with established local, state, and federal laws, rules and regulations, and policies and procedures of Interior Regional Housing Authority. Assist Contract and Procurement officer with drafting contracts for grant specific activities, as well purchasing for potential grants. Other Tasks: • Perform other duties as assigned. Education and/or Experience: Minimum: Bachelors degree and/or four (4) years experience working in pertinent field; or an equivalent combination of training and experience. Preferred: Four year (4) degree in business management or similar field. Four years experience with housing projects and grants in Alaska. Skills, Knowledge and Abilities: Must be diligent, accurate, and maintain files and filling system Ability to multi-task and set priorities Able to lift 25 pounds Able to effectively work and communicate with diverse groups as well as individuals Must have a valid drivers license Ability to communicate information in writing so others will understand. Ability to understand and follow written and verbal instructions. Ability to meet project schedules with dependability and consistency. Ability to work long days/hours and in inclement weather conditions. Ability and willingness to travel extensively, including extended and overnight travel, in performing functions of this position regardless of the time of year. Ability to understand and knowledge of alternative energy sources and energy efficiency strategies. Knowledge and understanding of HUD statutes and regulations. Knowledge of customer service principles and techniques. Ability to perform computer and technology functions with proficiency, specifically in word processing, forms and publishing materials, database and spreadsheet programs. Ability to learn, interpret and apply complex and technical regulations, policies and procedures as related to the Native American Housing Assistance and Self Determination Act, private sector funding processes, familiarity with funding sources which apply specifically to the interests of Alaska Native Tribal or Non-Profit entities. Ability to learn, interpret and apply state and federal rules, regulations, policies, and procedures and reporting requirements for grants and grant recipients. Ability to research innovative and best practices in alternative energy and energy management practices, solicit energy suppliers/venders and develop appropriate energy procurement strategies. Ability to develop and maintain positive and effective relationships with partner agencies and IRHA clientele. Ability to perform independently and as a member of a team. Ability to establish and maintain working relationships with managers, employees and others encountered in the course of work. Ability to positively and professionally represent IRHA in business and related public activities. Physical Requirements: Regularly required to sit; talk or hear, both in person and by telephone; and repetitively operate, handle and maneuver office equipment. Frequently required to stand and walk maneuver at least 30 lbs (materials and supplies). Specific vision abilities required by this job include close vision and ability to adjust focus. The ability to travel frequently and walk for several hours at a time. Working Conditions: Some work is performed in the administrative office environment with quiet to moderate noise level. Work is also performed in various remote communities when meeting with village clientele, frequently involving limited resources and inclement weather conditions.
