We hope your employment here will be a significant part of your collegiate experience. This Employee Manual is intended to familiarize you with the operations of the Plemmons Student Union at Appalachian State University. Included are sections that express the values by which we perform our work, our customer service philosophy and various operational policies that, along with the job descriptions, articulate your job expectations while working in the Plemmons Student Union. You are expected to be knowledgeable with the material presented in the following sections of this manual. You will also receive further on-site training from members of the professional staff. This manual and our training programs will help you successfully perform your job and provide the valuable services that make the Plemmons Student Union an integral part of Appalachian’s campus life. PSU Mission Statement The mission of the Department of Student Programs at Appalachian State University is to provide students with engagement opportunities to build community and facilitate student growth. The department empowers involved students in the Appalachian Popular Programming Society (APPS), Appalachian & the Community Together (ACT), the Plemmons Student Union, and Legends to offer dynamic entertainment and community service programs and quality facilities. PSU Vision Statement Student Programs will strive to be a campus leader in local and global community outreach services, innovative entertainment programming, and in sustainably managed facilities designed to foster community development, out of class learning, and social interaction. Additionally, Student Programs will strive to have a connection with every student, will seek to strengthen academic and community partnerships, will seek additional programming resources and will inspire students to become change agents in their communities. Page 3 Plemmons Student Union Overview The Plemmons Student Union is operated by Student Programs, one of the twelve departments within the Division of Student Development. The Plemmons Student Union is in operation seven days a week, opening at 7:00 am (8:00am/Saturday, 12pm/Sunday) and closing at 11:00 pm – and often until 1:00 am on weekends depending on various social activities. The PSU offers two dozen meeting rooms of various sizes. There are two main ballrooms, Grandfather Mountain and Blue Ridge which are designed for banquets, meetings and social events. The Summit Trail Solarium is also available for scheduled events as are the outside facilities of the Amphitheater and Howard's Knob Patio on the third floor. For recreation, the PSU provides Hawksbill Game Room, which features eight pool tables, video and arcade games; the Life Fitness Centre, which offers circuit training and an aerobics area; and the Greenbriar Movie Theater. There are two restaurants and a coffee house inside the PSU. McAlister's Deli offers a wide variety of meals and snacks. Cascades Cafe provides sandwiches, warm entries, smoothies, ice cream, and snack dispensers. Crossroads Coffeehouse offers specialty coffee and tea drinks and a variety of breads and desserts. In addition to housing the professional offices of Student Programs, the Center for Student Involvement and Leadership, ACT, Peer Career and the Office of Student Conduct, the Union provides a space for a Multi Cultural Center, Women’s Center, LGBT Center, Appalachian Trail Study Lounge/Computer Lab and the Looking Glass Gallery. Page 4 Learning Outcomes: Skills Achievement The chief goal of the Plemmons Student Union is to assist in the outof-class interaction and learning process between students, faculty and staff. We achieve this by providing an environment that is clean, user-friendly and stimulating. We also strongly believe in the educational opportunities available for you through employment in the Student Union. By attending to the educational and social needs of the campus throughout your work, you are developing your own values and ability to make mature and responsible decisions concerning a healthy and intellectually rewarding lifestyle. We hope to provide opportunities for you to make the connection between your work in Plemmons Student Union and your personal and professional development. How we provide our service will greatly influence their impression of the Union - and if that person is new to Appalachian, their impression of your university. We also convey important values through our behavior - such as courtesy, resourcefulness and pride in the work place. There are several ways that you can offer excellent customer service. Always make eye contact—it makes the person feel important. Remember to smile - this will convey a pleasant atmosphere. If you are not sure of an answer regarding building directions, check with your resources—a building manager, a supervisor or the Student Programs Office. Take the person’s name down and call them with an answer as soon as possible, if applicable. Awareness & Responsibility Being aware of your work environment and tuned in to the activities occurring around you that are crucial to the success of your job. Look for anything that might disturb the normal operations of the building or that suggests anything but comfortable, clean and safe environment. If you do see something that does not look right or that needs attention, inform a building supervisor or manager or take the time yourself to take care of the problem. Generally, we say that ‘If you see it, it becomes your responsibility.’ Page 7 Work Performance & Personal Conduct Personal Appearance Because of the public nature of your job in the Student Union, you are expected to be well groomed and clean when you report to work. Because we are very sensitive to the impression we make on users of the building, you will be expected to look and conduct yourself in a manner to suggest self-respect, maturity and professionalism. Dress Code To promote a professional appearance, it is required that clothing be clean and presentable to the public. We require that shirts be tucked into pants and/or skirts. Clothing is not permitted that has tears, frays or holes. Employees should also wear proper attire for the lifting and moving of equipment. Operations Assistants and Event Staff should not wear sandals or flip-flops while at work. Hats are not permitted to be worn while at work, unless it has been issued to you by the Union staff. The PSU requires that student employees remove all facial jewelry while at work, with the exception of earrings (gauged earrings are not acceptable) and small, discrete nose studs (studs no larger than the tip of a ballpoint pen). Tattoos displayed on the face and neck area are also not permitted. This decision results from considerations for employee safety and for the need to maintain the professional atmosphere that PSU employees promote to the Appalachian campus community. Our hope is that in the performance of your duties while employed by the PSU, you will be developing skills that will be valuable to you in your professional career. With your professional career and work-place norms in mind, we hope as well to have you model personal appearances that will be integral to your many successes following your graduation. Page 8 Getting Paid New employees should be sure to sign their Work Approval Form and three tax forms: NC, I9, W4—with the Business Manager, who is located in the Student Programs office, 231 Plemmons Student Union. Work Approval Forms should be renewed for each academic year and for Summer School. Checks are sent by the Cashier’s Office to your ASU Post Office Box on the 15th and last day of each month. If you are graduating or leaving for the summer, you may leave a forwarding address with the ASU Post Office if you desire your final check to be sent to your home address. To ensure that your check reflects the number of hours you work, it is imperative that you log in on the Card reader at the beginning of your shift and log out at the end of your shift. It is your responsibility to have your ASU ID card when you come to work. Signing Timesheets The university requires that all timesheets be sent to the Controller and must be signed by the student employee. As checks are issued twice a month, each employee must sign their timesheet with the Business Manager in the Student Programs Office twice a month. You will be notified of these signing time by email—and by a message on the swipe clocks that will appear prior to these dates. Because the Student Programs Office is required to process timesheets in a timely manner, the following policy will influence the status of your employment at the PSU. • At the point that you have accumulated two unsigned timesheets, you will not be allowed to work any of your assigned shifts until you have signed your timesheets. • If you miss another work shift as a result (because you still have not signed your two outstanding timesheets) you will be dismissed from PSU employment. Page 9 Attendance Guidelines 1. Employees are expected to be logged in on the card reader and at their workstations when the shift begins. Employees are responsible for having their ASU ID when they arrive for work. 2. If for any reason you cannot arrive to work on time, you should call and notify the appropriate member of the professional staff. If a staff member is not available at their office number, contact the Information Desk and ask to be connected with a student supervisor. 3. Employees desiring to have a day off must find a substitute by calling other employees and/or by placing the shift on the shift substitution board, located by the Student Supervisors’ office. If you are not able to find a sub, then you must be present for your shift. 4. An employee who is on duty shall remain in his/her workstation or in the building. If leaving the building is required for a particular assignment, then the employee must have permission from their supervisor. 5. Employees will check in with the supervisor as they arrive and depart. 6. A two week notice is required if you decide at some time to drop any of your shift hours. Failure to provide sufficient notice will result in the loss of all your hours and will jeopardize your chances of receiving a positive recommendation. Page 10 Job Infractions 1. Failure to report for work (see attendance guidelines). 2. Unauthorized leaving of work or leaving a workstation or OA crew during work shifts. 3. Repeated tardiness (see attendance guidelines). 4. Misuse of state property: Any unauthorized use of computers, copiers, phones, or other equipment, borrowing equipment for personal use. 5. Alcohol & drug use prior to or while on duty: This includes drinking alcohol or taking drugs prior to or while at work or possession of either while on duty. 6. 6. Disorderly or disruptive conduct. 7. 7. Falsifying time record. 8. Theft or Lying. Disciplinary Action 9. Disregard of/or failure to adhere to established policies and or procedures. May include some or all of the consequences below: 10. Refusal to accept a reasonable or proper assignment from an authorized supervisor. 1. 1. Verbal Warning. 11. Unprofessional attitude, gossip or poor customer service. 2. 2. Dismissal from shift. 12. of a weapon of any kind. 3. Possession Written reprimand. Recorded in Employee File. 4. 4. Termination of employment. 13. Failure to use ASU ID to swipe in or out of a work shift. 5. Judicial Referral. NOTE: The degree of disciplinary action taken will depend on the nature of the offense. Page 11 Safety Safety is of the utmost importance at all times. In reviewing your safety manual, please give special attention to issues related to fire prevention, bomb threats and evacuation procedures. Many problems can be avoided by knowing what to look for and how to assist in the evacuation of the building before and as a dangerous situation occurs. Knowledge of safety concerns and emergency procedures form a large part of our expectations of you as an employee. Failure to remain current on these issues or a disregard of safety protocols may negatively affect your employment status. You will be given a safety manual and will be provided with safety training when you are hired. Subsequent training throughout your employment may be provided. Page 12 Employment & Re-Hiring Employees are expected to go sign up for new shifts prior to the beginning of each semester and summer session. This rescheduling of work shifts occurs approximately a month before the end of each semester with notification appearing at each work station. Priority to schedule new work shifts is reserved first for those who have been chosen as Employees of the Month and Employees of the Week during the current semester. The incentive for working hard is that you get to select early from the largest possible amount of work shifts. Employee Rewards & PSU student employees areRecognition recognized each week and month for outstanding work performance indicative of initiative, motivation, resourcefulness, sacrifice and “over the top” customer service. A $20 Gift Certificate to the Mellow Mushroom Restaurant. *Subject to change or substitution. Repeat recipients in a school year may not receive some duplicate prizes. Page 13 Leadership Opportunities PSU Leadership Team The Department of Student Programs is committed to the development, learning and growth of Appalachian students. We encourage highly motivated employees of the Plemmons Student Union to seek out leadership roles. Please speak with a member of the professional operations staff if you are interested in applying for one of the positions listed below. Involvement in the Leadership Team means: • An active role in staff training and community building activities. • Periodic social gatherings to develop community and have fun. • A role in recruiting, selecting and training new Leadership Team members. • Input into the planning of the End-of-Year Banquet with special awards, presentations, etc. • An opportunity to interact with other members to develop your leadership and team involvement skills. • Direct contact with professional staff that provides an opportunity for positive feedback on your professional development. • Resume building material that reflects your collegiate involvement at a high level of leadership and management training. Page 14 Hawksbill Game Room Hours: Monday- Friday 11am- 11pm Saturday & Sunday 2pm- 11 pm Location: 1st floor, Plemmons Student Union. Services: Eight Gold Crown Pool Tables, Console Video Games, Computer games, Card Tables, TV Monitors, XM Radio and Pepsi Products. The Game Room Attendant is responsible for providing service by overseeing Pool Table transactions and by monitoring the atmosphere and use of equipment in the Game Room. Job Responsibilities & Duties 1. Give prompt and courteous service to all patrons. 2. Be alert to any disturbances that would interrupt the normal Plemmons Student Union. 3. Maintain established sound levels and channel selection for Radio Sound System and TV monitors. TV monitors should remain silent and broadcast channels ESPN and Sports-South. Special sports events many preempt these channels. Patrons are not allowed to make any adjustments to TV monitors. operations of the Game Room of the Pool Tables 1. A Student ID or Driver’s License must be left at the Service Counter when pool balls are checked out. 2. The Service Counter will maintain a Waiting List for Pool Tables. 3. An unattended table with pool balls will result in the reassignment of that table to another customer. Console and Computer Games 1. The Attendant is responsible for creating new customer accounts and regulating the inventory of games, controllers and other gaming peripheries. 2. The Attendant MUST place game DVD’s in the console games and retrieve them after patron’s have finished their games. 3. The Attendants will be trained in the specifics of the computer control and register system. UNDER NO CIRCUMSTANCE CAN ANY OTHER PROGRAM BE RUN ON THE REGISTER. No email, no yahoo, nothing. Running another program on the system is grounds for immediate termination. Page 15 Cleaning 1. Keep the Game Room counter area neat and orderly at all times during your shift. 2. Make occasional rounds of the Game Room to remove any trash items. 3. The Game Room attendant is responsible for the following cleaning during the shift: vacuum carpet, brush pool tables & wipe along edges, wipe down video games & drink shelves, wipe down control counter area. Shift Report & Transactions 1. Follow proper procedures for the opening of your Daily Shift Report. Make sure the register has a $100 cash fund at the beginning of your shift. Contact the Union Supervisor immediately if there is a discrepancy. 2. Follow proper register and close-out procedures during your shift. Attach all the Pool Transactions Cards to your Daily Shift Report at the end of your shift. 3. Perform pool table transactions when necessary. Provide change when necessary. 4. Give refunds or no more than $1 to video game players when notified that the game is broken. Follow proper Video Game refund Transactions. 5. Sell soft drinks. Room Rules 1. 1. Do not allow anyone to sit on Pool Tables. 2. 2. Do not allow customers to jump cue balls. 3. 3. All Patrons MUST be wearing shoes at all times. Food & Drink 1. 1. No tobacco products allowed in Game Room. 2. No alcoholic beverages allowed in Game Room, except during designated events. 3. 3. No drinks are allowed on Pool Tables or Game Consoles. 4. 4. Patrons are allowed to have food in the Game Room, but not near the Pool Tables or Game Consoles. Page 16 Information Center The Information Desk provides the important service of welcoming individuals to the PSU. The Information Desk also provides campus phone numbers as well as directions to locations within the PSU and on campus. Job Responsibilities and Duties 1. Give prompt and courteous assistance to all who need (reasonable) information. Certain information should never be distributed (i.e. SS#, place of residence, etc.). 2. Be aware of all campus based activities on and off campus. Use the Campus Events Notebook at the desk. 3. Keep the Information Center neat and orderly at all times. 4. Be alert to any disturbances that would interrupt the normal operations of the Student Union (i.e. abuse of state property, theft, violation of policies, etc.). The following are services at the Information Center. Notice Board Information Cards Students who wish to advertise items for sale, apartments for rent, roommates needed, services offered, meal cards for sale or purchase, items lost or found, may pick up the appropriate form at the Information Center. All completed forms will be put up by the Information Center Manager. Forms are posted for two weeks and taken down every Monday morning. Forms filled out over the weekend should be placed in their designated folder- and will be put up on Monday morning. Old forms will be kept for one week. At any time during that week, the student may come by or call and ask to have his/ her card reposted. All cards not reposted are thrown away at the end of the week. Lost & Found When at item is turned into the Information Center, you will find an icon on the Info Desk computer desktop for a Lost and Found Spreadsheet. Find the correct category tab at the Page 17 at the bottom of the screen and bring up the right page. Fill out the appropriate information. Store the item in the Lost & Found closet that is kept locked. If a person inquires about a lost item, open the Lost and Found Spreadsheet and click on the correct category tab. If an item appears to be the one the person is inquiring about and they can accurately describe the item, retrieve the item from the closet. If the person claims the item, highlight the item ‘s row on the spreadsheet. If a person inquiries about a lost item and we do not have it, get a description of the item, their name and phone number, ask them to check back with us periodically, and remind them to check with the University Police and Parking and Traffic to see if the item was turned into those offices. Note: 1. Any item not claimed within a 30-day period will be offered to the person who placed the item with the Information Center. Exception: Money is only kept for 24 hours. 2. If an item has identification, we attempt to contact the owner by phone and/or email. Fill out the bottom portion of the Lost and Found sheet. 3. Library books or mail will be given to the supervisor and will be returned to the ASU library or Post Office. Ticket Sales Tickets for APPS events and other campus events are available each week day at the Information Desk and provided by the Ticket Seller. Page 18 Use of the Information Center Computer & Phone The computer and phone at the Information Center should be used for official purposes only. When in operation, the computer screen should be on ASU Directory page. Patrons requesting the use of a phone should be directed to the courtesy phones in the building. To Find a Student, Staff & Faculty Phone Number: In the box listing “last name,” type the person’s last name. In the box listing “first name,” type in the person’s first name. Click on “search.” You will receive three responses: 1. “No matches query.” If this comes up, recheck spelling and/or look up the number in the student Phone Book. 2. “Too many matches.” If this comes up, be sure that you have the person’s proper first name, not nick-name. 3. If given more than one match, then scroll down until you reach your correct match. After finding the number you desire, press the clear key which will make “name” boxes ready for the next entry. Only campus-related and emergency numbers are given out to inquiring patrons. Someone requesting Boone numbers (i.e. restaurants, theaters, motels, ski slopes. etc.) should be asked to call 828-555-1212 for Directory Assistance and ask for Boone. Page 19 Operations Assistants Operations Assistants (OAs) provide a versatile and vital service within the PSU, focusing primarily on room set-ups, light housekeeping, errands and work shift substitutions. OAs commonly work in small crews of 2 to 4 staff members. Job Responsibilities & Duties 1. Perform room set-up as needed for special events and standard use. Responsible for the cleaning of meeting rooms, to include vacuuming, removing trash, dusting/ washing, tables, organizing tables and chairs, and cleaning chalk boards, replacing chalk and push pins. 2. Fill in at other Student Union workstations when a shift is left vacant (see other Job Descriptions for policy and procedures.) 3. Assist the professional Housekeepers in maintaining the appearance of the building. • Public Areas (Wiseman’s Lounge, Whitewater, Profile Trail Lounge & Hallway seating areas): Straighten up and do needed cleaning throughout shift, to include removal of trash, vacuuming, dusting tables, and organizing tables and chairs. • Clean and keep all storage closets organized. • Empty all trash cans and replace trash bag liners as needed during shift. Take trash to the outside dumpsters after each shift. • Make sure janitorial closets are left clean after use. • Clean building exterior windows/ doors and interior glass cases. • Bulletin Boards (outside): remove all outdated material, off-campus events not sponsored in part through ASU. • Sweep outside perimeter of Student Union. Page 20 Student Programs Receptionist & Office Assistant The Student Programs Receptionist and Office Assistance work in the lobby area of Student Programs Office, welcoming visitors, scheduling appointments, assisting the Reservations Manager, and performing special projects and task. During training a separate handbook is provided that outlines office operating policies and procedures, instructions on equipment usage, customer service etiquette - as well as job descriptions and expectations. Positions include Receptionist and Office Assistant. Both positions are supervised by the Student Programs Office Manager and Reservations Manager. Audio-Visual Staff The Student AV staff work with the PSU Technical Manager to provide audio-visual assistance to patrons of the PSU. AV staff also keeps information updated on the PSU monitor system and completes special video production projects. Because this training is highly specialized, a specific outline of job responsibilities and the proper usage of equipment will be provided during training. Page 21 Event Staff A separate handbook is available that outlines Event Staff operating policies and procedures - as well as job descriptions and expectations. Event Staff work in Legends or Whitewater, as well as other designated social event rooms within the PSU. Positions include: Ticket sales, Door Attendant, Bartender, and Floor Attendant, as well as four student Event Staff Managers. If you like working in a dynamic environment, don’t mind late hours and weekend shifts, speak with the PSU Evening Manager for more information about this position. Films Staff A separate handbook is available that outlines Film Staff operating policies and procedures - as well as job descriptions and expectations. Film Staff works in either the Greenbriar Movie Theater located in the PSU or in Greer Cinema located next to the cafeteria in the I.G. Greer building. Positions include: Ticket sales, Concessions Sales, and Projectionist, as well as the student Films Manager. Page 22 Solarium Staff The Solarium staff is responsible for insuring the area is maintained in excellent condition and that the room is clean and safe for building users. To maintain the appearance of the Solarium the staff frequently cleans the tables and floors (including the Profile Trail Balcony, foyer and the area outside of Crossroads), and re-positions furniture as necessary. The staff is responsible for the trash in these areas, although they may call the Student Supervisor and OA’s, if extra help is needed. The staff is also observant for potential misuses of the Solarium’s waterfalls, trees and shrubbery areas. The Solarium staff also answers building-related questions and gives directions to building users in a courteous and cheerful manner. The Solarium staff may also be required to assist with evening events held on the weekends. Courier The PSU Couriers assist in the delivery of mail between the various departments within the division of Student Development. Couriers begin their route in the Student Programs Office and then make a loop of campus as they visit the different Student Development Offices. The route takes approximately one hour. Umbrellas are provided for staff if the weather looks inclement. Page 23 Addition to Job Descriptions The following are general policies relevant to all workstation job descriptions. 1. Allow no one at your workstation except designated personnel. Friends can not visit you at work. 2. Stay at your workstation during your shift. You are only permitted to leave when you have adequate replacement (i.e. O.A.) or when permitted to do so by a building supervisor. 3. Only light snacks are allowed at your workstation. Drinks and a bag of chips are considered a light snacks. No snacks near computers, cash registers, etc. 4. Studying is allowed at your workstation only if it does no interfere with the performance of your job. You may lose the privilege of studying on the job if it prevents you from being alert or responsive to Student Union patrons and customers. Work tasks always come first. 5. No audio equipment (i.e. headphones, radio, MP3s, etc.) is allowed at your workstation. 6. Feet are not permitted on work counters or desks. 7. Make no adjustments to your workstation equipment without the permission of your supervisor. Do not turn off your computer or adjust the ringers on your phone. Make sure the phone is working correctly when you come on shift. Never download or install a program on a PSU computer. 8. Employees are not allowed to send or receive cell phone calls/text messages while at work. Do not send or receive personal calls from your workstation phone. 9. Refrain from the use of profanity or insulting personal remarks when dealing with fellow employees or patrons of the PSU.
