PowerPoint 2007 Graphics/Images
Today’s session will discuss inserting clipart, pictures, shapes, SmartArt, text boxes, WordArt, and a bit about
tables and charts.
Create a new file using a template – Office button > New and type in “medical presentation” and select the
first presentation with a caduceus. Click on the Design tab to select a different color theme.
Design Slides with Content – Office button > New, click Presentations – Click Design Slides with content. This
will provide a sample for us to work with.
PICTURE BASICS
Insert > Clipart or (Insert > Picture). Type in a keyword for what you are looking
for (such as medical), search in All Collections (you may get prompted to search
thousands of pictures on the internet – click OK or yes). You can search all
media file types or just clipart, photographs, movies or sounds. Select
Photographs for this example.
You can also copy images from web by right clicking and pasting into
PowerPoint or “Save Image or Picture as,” which saves onto your computers
(to be safe, get permission from the owner to use the image)
Picture Tools – Format Tab (image must be selected for tab to
appear)

Adjust – Brightness, Contrast, Recolor, Compress, Change Picture, Reset
back to original
 Picture Styles (examples, Picture shape, Picture Border, Picture Effects –
shadow, reflection, glow, soft edges, bevel and 3D rotation)
 Arrange – bring to front, send to back, selection pane, align, group,
rotate
o Align to slide – distribute horizontally/vertically
 Size – crop, height and width
Note: Some of the picture styles are not available in Word 2003 compatibility format.
Saving several objects as one image
Add text or other objects onto picture. Select the objects to save as one image, holding the shift key while
selecting objects.
Right click and select Save as Picture. This new image can be inserted into other Office 2007 applications.

Insert Shapes
Insert several shapes onto a new slide with title.
Type text into some of the shapes. You can modify text from Home > Font options

Drawing Tools – Format tab










Insert shapes – right click to lock/unlock drawing mode (line arrow)
o Change shape or edit points
Shape styles – select All (shift key and click) line arrows and change the shape style
Select a single shape and select a different style
Select another shape and select shape fill – notice options
Try some shape effects (same as picture effects)
WordArt styles
If you wish to duplicate a style, resize and format the object and then copy and paste the object OR use
format painter to apply formatting to several objects.
Add another shape onto an existing shape with text – use transparency effects (right click on object
and select Format Shape – change to 40%
Selection Pane from Home > Select
Arrange objects on format tab (align, distribute, position)
Picture background with transparent text box
 Duplicate a slide with bulleted text (Home tab > New Slide  and select Duplicate selected slides).
 Find a photo to place behind the text. If text is difficult to read, add a background color to the text box,
close to the color in the image and then change the transparency to around 40%. This allows you to see
the picture while still being able to see the text.

Create a new blank slide (or layout
with content) and Insert > SmartArt.
Click on various styles and read

about the object and when to use it.
Select a Continuous block process style.
Type in text.
Add shapes, bullets, right to left, promote/demote (if applicable), show text pane
Select a different layout
Change colors (based on theme colors).

Convert existing bullets to SmartArt (from Home tab or by right clicking on text).

SmartArt tools – Gotchas
When trying to edit some diagrams (organization charts especially) from old presentations in PowerPoint
2007, you will be prompted to Convert to SmartArt or Convert to Shapes. TO BE SAFE – duplicate your slide
(Home tab > Insert Slide  and select Duplicate Slide). Then try to convert to SmartArt. More than likely, the
diagram will change. If you convert to shapes, it should maintain the same look but each object will be treated
as a shape and you will not be able to edit it
as a SmartArt diagram.

Insert a 3 column x 4 row table.

You can use paint bucket and borders to further customize cells. WordArt styles can be used in tables
(not always recommended)
Try out draw table to add lines to cells. Eraser to remove lines.

arrange
Charts
Create a new slide and Insert > Chart. This creates a
chart in PowerPoint linked to a sample spreadsheet in
Excel.

If you open a 2003 presentation and insert a new chart, it
automatically gives you 2007 chart formatting features. However,
after you save it (assuming you do not save it in 2007 format) it will
ask you to convert the chart if you try to edit it. WARNING - It may
not look the same after conversion.
Try to remember to save your presentation in 2007 format BEFORE inserting the chart, to avoid the
problems with chart conversions.
Sometimes you may find it helpful to “ungroup” a chart to be able to edit individual elements on the
chart. To ungroup a chart, copy or cut the chart and the Paste Special (Home tab) and select Picture
Enhanced Metafile, and then right click and ungroup twice




Placeholders
o Picture placeholders vs content placeholders vs. inserting pictures directly
o Inserting picture brings in picture in original size
o Content placeholder inserts and resizes to fill section (from normal templates)
o Picture placeholder inserts and crops picture to fill section
o Create picture placeholder from View > Slidemaster > Insert Layout, then Insert Placeholder –
Picture
Photo Albums – Insert> PhotoAlbum > New Photo Album
Templates from Office button > New (wonderful examples under Presentations > Design Slides with
Content and many others). Or you can just type in keywords – such as Photo Album
Saving presentations



2007 format vs 2003 format
PDF format
Save as Other format > .jpg and you can save each slide as a separate image to be used in a poster.
Special Tips from Print Services








Use common, easy to read fonts such as Arial or Times new roman. If using special fonts, please embed
with images/presentation.
No need to go above 300 dpi for images in PowerPoint. Can use 150 if used only on screens/
PowerPoint presentations/posters. If using a 5x5 original photo size, have 300 dpi if enlarging to 10”
Use jpg for fewer problems in PowerPoint (tiff for publications)

Don’t distort graphics to make them fit
