Use Resources Wisely
Participant Handout: Planning Girl Led Events
Event Planning Process Cards
(Cut these out and distribute as part of the break-out sessions)
1. Plan the Event Basics
The first step in planning an event is
figuring out what kind of event it will be! This
can be anything from a central theme, to a
primary activity or area of focus. Think about
strategies for introducing the idea of hosting
an event to the girls, and working out the
basic outline!
6. Delegate Tasks
Successful events are all about delegation!
One or two people cannot do it all. How can
you help girls decide what tasks to delegate, and
how to delegate them? How can you encourage
girls to think about supporting one another (and
other volunteers) throughout the entire event
planning process?
2. Recruit an Event Team
Recruiting a team is key in event planning. Think
about strategies for talking to the girls about
bringing others into the event planning process,
as well as making the event successful the
day-of. Help girls thinking about what kind of
help they need, and how they can ask for it.
7. Promote the Event
Once the event details have been set, work
with the girls to determine the best way to
promote it. Think about ways you can talk to
the girls about promoting the event; how you
help the girls develop a plan for promoting
the event?
3. Incorporate Event Safety
Considering Safety is a big part of planning an
event! Every event should put safety first. Think
about ways to encourage girls to prioritize safety
in planning their event, selecting activities, and
to guide them toward resources they need to
ensure safety.
8. Plan for Event Safety and Set-up
Every event needs emergency procedures,
a first aider, and a schedule to ensure
participants are safe and the event runs
smoothly. What are ways you can engage the
girls in developing the emergency procedures,
and the event schedule?
4. Find an Event Location
The event must have a location! What are some
ways you can help girls think about what kind
of location they need for the event, and what
criteria to use to select the location.
9. Wrap-up the Event
Just because the event is over doesn’t mean
the work is done! Thank you letters, returning
borrowed items, and completing any final
reports and paperwork are all part of the
wrap-up process. How can you involve girls in
wrapping up the event? How can you get their
input to plan the wrap-up?
5. Plan Event Specifics
There are many details that go into putting on
a successful event! Think about questions can
you ask girls to help them consider specific
activities and to guide them towards working
out the details? How can you involve girls in
planning the event logistics and timing?
