MarcEditisasoftwareproductthatcanbeusedtoeditMARCrecords.Itwasdevelopedby
TerryReese,headofDigitalInitiativesattheOhioStateUniversityLibraries.Itisavailabletoall
librariesasafreedownloadatTerryReese’swebsite.WhileyoucanuseMarcEdittoedit
recordsoneatatimeliketheVoyagercatalogingclient,itisitsabilitytoperformthesame
changeormanydifferentchangeswithingroupsofrecordsthatmakesitsuchausefultool.This
abilitytodobatchprocessesmeansthatcatalogershaveapowerfulandtime-savingtooltouse
toenhanceourcatalogrecords.
MarcEditisasuiteoftools,notallofwhichareneededforperformingbasiceditingtasks.
MarcEditoristheprimarytoolyouwillneedtoeditbibliographicrecords.MARCToolsis
primarilyforconvertingtoandfromdifferentmetadataformats.

TheprimaryeditingfunctionsareintheMarcEditortool.MarcEditorhaswordprocessor-like
findandreplacefunctionsinacoupleofvarieties.Thereisauniversalfindandreplace,which
willperformthechangesonatextstringthatitfindsanywhereinthefile.Therealsoare“Edit
field”and“Editsubfield”tools;thesewillfindandreplacetextjustliketheuniversalfindand
replacedoes,butcanbelimitedtoparticularMARCfieldsorsubfieldsasneeded.
Yetanotherwayofeditingrecordsisbyusingregularexpressions,sometimesshortenedto
“regex.”Aregularexpressionisaspecialtextstringfordescribingasearchpattern.Thosewith
someexperiencewithcomputerprogramminglanguagesmayhavesomeknowledgeofregex.
Otherwise,consultwithCARLIstafforthelargerMarcEditusercommunityforhelpindevisinga
regularexpressionthatwillmeetyourneeds.
ItisimportanttorememberthattheMarcEdittoolsdescribedherecanonlycopyyourMARC
recordsandmanipulatethosecopies.Thecorrespondingrecordsinyourlibrary’sdatabasewill
notchangeuntilyousubmittherecordsyouhaveeditedtoCARLIforuploadingandreplacing.
Thisisahandyfeature,becauseitallowsacatalogertoeditandthenchecktheresultsofthe
edittoensuretherewerenounintendedconsequences.Inotherwords,youcoulddoalotof
damagetoyourrecordsinanattempttoeditthem,butnothingreallyhappenstothemin
VoyageruntilyouaresuretheeditsmadearewhatyouintendedandyousubmitthemtoCARLI
foruploading.CARLIstaffacknowledgethisdangerinthewarningthatappearsintheMarcEdit
sectionoftheVoyagerClientsandToolswebpage:
“IMPORTANTNOTE:Anyerrorsmadetobibliographic,holdings,orauthorityrecordsusing
anyofMarcEditaretheresponsibilityofthelibrarytocorrectlocally.TheCARLIOfficewill
NOTrestoreanydatabasebecauseoferrorsmadetorecordsbyimprudentorincorrectuseof
thistool.ByinstallingandrunningMarcEdit,thelibraryacceptsthispolicy.”
ATypicalWorkflowforEditingaGroupofRecordsinMarcEdit
1. Identifyandgatherrecordsthatneedtobeedited.

2. Sincetherecordsyougetwillbe“raw”MARCrecords(.mrcfiles),
useMarcBreakerto“break”themintoaneditableform(.mrkfiles).
3. UsethevariouseditingtoolsinMarcEditortomakethedesiredchangestoyourrecords.
4. SavethefileinMarcEditor.
5. Convertthe“broken”recordsbackintoregularMARCrecords
(i.e.,convertfrom.mrkto.mrc)usingMarcMaker.

6. FileaWorkRequestOnline(WRO,pronouncedroe)requestingthatCARLIstaffreplace
theMARCrecordsinVoyagerwiththecorresponding(nowedited)recordsinthefile.

II.WAYSTOIDENTIFY/GATHERRECORDS
A.ForI-ShareMembers:ExtractRecordsfromVoyagerUsingAccessReportsandWROs
Step1.IdentifytherecordsusingAccessreports
InAccess,youwillfindalistofqueriesintheleft-handcolumn.Someare“prepackaged”by
ExLibris,butifyouhavelinkedtheCARLI_Reports_2015.mdbfile,youwillalsohaveaccess
toquerieswrittenbyCARLIstaffandI-Sharecolleagues.Youmayormaynotfindaquery
thatdescribesthesetofrecordsyouwishtoedit.
a. Ifyoufindaquerythatmatcheswhatyouwant,double-clickonit.Theresults
appearontherightandwillincludealistofrecordsbyIDnumber(BibIDorMFHD
ID).ExporttheresultsandopentheminExceltoexamineand/ormanipulatethelist.
(ForfurtherdetailsaboutusingAccess,viewCARLI’sAccesstrainingvideos.)
b. Ifnopre-existingquerylistedinAccessexactlydescribeswhatyouneed,filea
WROtoaskCARLIstafftowriteaqueryaccordingtoyourspecifications.

• UnderNotes,describeyourdesiredrecordset.

Step2:FileaWROforCARLItoextracttherecords
TorequestafileofyourdesignatedrecordsfromCARLI,submitaWRO.
• UnderWorkRequestType,chooseOther.
• NotethatthewayCARLIextractsrecordsfromthecatalogdatabaseisviarecordIDs.
So,todesignatewhichrecordsyouwant,copytherecordIDsintoa.txtdocument
(Notepad)anduploadittoyourlibrary’sI-ShareFTPsite.

Step3:Retrieveyourrecords
CARLInotifiesyouwhenyourfileisready.Getitfromyourlibrary’sFTPsite.Itisa.mrcfile.
NowyouarereadytoimportthatfileintoMarcEdit.

B.ForAllCARLIMembers:ObtainingRecordsfromVendors
SometimesavendormakessetsofMARCrecordsavailabletolibrariesorlibraryconsortia.
Whenyourlibrarylicensesanewcollection,inquire!Forexample,librariesthatsubscribeto
ProQuestDissertations&Thesescanobtaintitle-levelMARCrecordsfortheirinstitution’s
onlinedissertationsandtheses.Inallcases,alibrarywillneedtoobtainavailabilityinformation
fromthevendorandfollowtheirinstructions.Somevendors,suchasProQuest,willsend
MARCrecordsetsbyemailattachment;othersprovideawebsitefromwhichyoucandownload
theappropriatebatchofMARCrecords.WhilesomevendorsprovideMARCrecordsfreeof
charge,othervendorrecordscanbequitecostly,and/orcomewithrestrictionsaboutwhether
theirMARCrecordsmustberestrictedtoalibrary’slocalcatalog,canbesharedthrougha
consortialdatabase,orpromotedtoWorldCat.Recordsets,suchastheoneforeHRAFWorld
Cultures,arealsoavailabletoOCLCmemberlibrariesthroughOCLCWorldShareCollection
Manager.Inallcases,thequalityoftherecordsyoureceiveinbatchshouldbeevaluated
beforeyouloadthemintoyourcatalog.MarcEditfunctionscanhelp.
III.PROJECTDEMONSTRATIONS
IIIa.REPLACINGTHEPROXYSERVERURLINABATCHOFBIBRECORDSUSINGMARCEDIT
ThistutorialbeginsassumingthatyoualreadyhaveabatchofMARCrecordssavedtoyour
computerthatyouwouldliketoedit.
1. OpenMarcEditandselectMarcEditor.

2. InMarcEditor,goto“File”andselect“Open.”
3. NavigatetothefilethatcontainsyourbatchofMARCrecordsandselectOpen.(You
mayneedtoselect“AllFiles”inordertoseeyourbatchofrecords.)

4. NowisagoodtimetochecktoseehowmanyproxyURLchangesyouwillbemakingin
yourbatchofrecords.MarcEditcantellyouhowoftenyourproxyURLappearsinyour
batchbygoingto“Edit”andthenselecting“Find.”
5. IntheFindpop-upwindow,pasteinyourproxyURLinthe“Findwhat:”boxandthen
select“Findall.”

6. The“Findallresults”willthenoutlinethetotalnumberoftimestheproxywasfound
andamoredetailedlistofitslocation.Inthisexample,youcanseethatyouwillbe
editing85instancesoftheURLproxy.
7. NowthatyouhaveyourbatchofrecordsopeninMarcEdit,identifytheproxyURLthat
youwouldliketochangeandthenewproxy.Inthiscase:
a. Oldproxy:http://proxy.library.siue.edu:2048/login?qurl=
b. Newproxy:http://proxy.library.awesome.edu:2016/login?qurl=

8. Goto“Tools”andselect“EditFieldData.”
9. IntheEditFieldDatapop-upbox,selectthe856inthe“Field”option.Thencopyand
pasteyouroldproxyinto“Find”andthenewproxyinto“Replace.”

10. Select“Process”.Apop-upwindowwillappear,indicatingthenumberofmodifications
thathavebeenmade.Youcancomparethisnumberwiththenumberofrecords
generatedinstep6asadoublecheck.
11. Onceyouhavelookedoverandaresatisfiedwithyoureditedrecords,goto“File”and
click“Saveas”andnameyournewbatchofrecords.Inthiscase,itwillbenamed
“CredoBatch1”.Ifyouwillnotice,theeditedMARCfileisinthe“Saveastype”whichisa
MARCTextFile(.mrk).Inordertoaddthisbatchofrecordsintothecatalog,theyneed
tobeconvertedbacktothe.mrcformat.Luckily,MarcEditdoesthisquicklyandeasily.
12. Onceyouhavesavedyoureditedbatchofrecords,closeoutoftheMarcEditor.Youwill
nowbeatthemainmenu.Select“MARCTools.”

13. IntheMARCToolsMenu,selectthe“MarcMaker”option.

14. Forthe“InputFile”selectthefileicontotherightofthetextbox.
15. Selectyoureditedbatchofrecordsandclick“Open”.Inthiscase,thatisthe
“CredoBatch1”createdinstep11.

16. Next,selectthefileiconnexttothe“OutputFile.”Inthisstep,youneedtonameyour
newfile.Ifyounoticeinthissavefilepop-upwindow,the“Saveastype”istheMARC
files(.mrc),whichistheformatneededtoloadrecordsintoVoyager.Onceyouhave
namedyournewfileandselecteditslocation,click“Save.”

17. NowyouarereadytoconvertyourbatchoffilestotheMARCFiles(.mrc)format.Click
“Execute”.Onceyouhavedonethis,the“Results”textboxatthebottomofthepage
willshowthenumberofrecordsprocessed.
18. YoushouldthenbeabletofindyoursavedbatchofeditedMARCfiles(.mrc)recordsto
beloadedintoyourcatalog.
PartIIIb.USINGMARCEDITTOMAKEANRDA-MANDATEDCHANGETOANAUTHORIZED
ACCESSPOINT
ThissearchwillcorrectachangethatwasmandatedbyRDA:changing“ca.”to“approximately”
inanauthorizedaccesspoint.Ifyouknowofaspecificaccesspointthatneedstobechanged,
youcouldeditallinstancesofitdirectly,onebyone,inthecatalogingclient;oryoucoulduse
the“Batchcorrectionrequest”featureofGaryStrawn’sCataloger’sToolkit.
However,youmostlikelydonotknowwhichaccesspointsneedtobechanged.Awaytofind
andeditalltheaccesspointsinoneoperationistosubmitanAdHocWROtoCARLIrequesting
allrecordswith100,600,and700MARCfieldsthatcontain“ca.”in$d.Whenyoureceiveafile
oftheserecords,youcanthenusetheMARCEditorfunctiontofindallinstancesof“ca.”and
convertthemto“approximately.”

youcanfindthem.OpenMarcEditandselectMarcTools.Under“InputFile”findthe
fileofMARCrecordsfromCARLI.Makesurethefilesuffixis“.mrc.”Thisindicatesitisa
standardMARCfile.Under“OutputFile”copyoverthefilenameandmakesurethefile
suffixis“.mrk.”Thisindicatesa“broken”MARCfilethatyoucanread.Makesure
“MarcBreaker”ishighlighted,thenclick“Execute”tocreatethebrokenfile.
Alternately,youcandoubleclickonthefileofMARCrecords,andMarcEditwillbringup
theMARCToolswindowwiththefilenamesalreadyfilledin.Thenclick“Execute.”
2. Next,youneedtoopenthebrokenfileintheMarcEditor.Todothis,select
“MarcEditor”fromthemainmenu,chooseFile>OpenorCtrl-O,thenfindandopenthe
brokenfile.
Itishelpfulbeforeeditingtoscanthecontentsofthefileforinstancesofthetextyou
wanttochange.Todothis,chooseEdit>FindorCtrl-F,enterthetexttosearch,then
choose“Findall”:

Inthisexample,inadditiontodatessuchas“ca.1535-1582”therearealsosuchdates
as“b.ca.1777.”Toavoidinadvertentreplacementerrors,wemaywanttodirectlyedit
authorizedaccesspointslikethatoneintheVoyagercatalogingclient,andthenhave
CARLIre-dothesearch.
3. Onceyouaresurethatadirectreplacementofyourtextwillworkcorrectly,makethe
changebyusingthe“EditSubfieldData”function:Tools>EditSubfieldDataor<F9>.
Enterthedatatobechangedin“FieldData”andthereplacementtextin“Replacewith”
andchoose“Replacetext.”

Ifyouwanttoreplaceamorecomplexpattern,andifyoucangethelpindevisinga
regularexpressionforyourreplacement,enterthoseregexesinthetwoboxes,and
checktheboxby“Useregularexpressions.”Inthisexample,youwillneedtorepeatthis
processforfields100and600.
Itisimportanttoanalyzewhereinafieldorsubfieldthedatayouwanttoreplacewill
appear.Inthiscase,“ca.”ismeaningfulonlyindates,sowecanlimitthereplacement
to$d.Ifthetextyouwanttoreplacecouldappearinmoresubfields,youmaywantto
choosethe“EditFieldData”function:
Thiswillreplacethespecifieddatainanypartofthefield.Inthisexample,replacing
“ca.”with“approximately”anywhereina700fieldwouldlikelycauseerrors;for
instance,theauthorizedaccesspoint“Smith,Monica.”wouldbechangedto“Smith,
Moniapproximately.”Limitingtheedittotheappropriatesubfieldwillavoiderrorssuch
asthese.

4. Youcan“Findall”againandlooktoseeifthereplacementsyoumadearecorrect.If
youfinderrors,youcanalwaysclosethefilesandnotsavethechanges,anddevisea
differentsearchandreplacementstrategy.
5. Whenyouaresurethatthereplacementsyoumadearewhatyouwant,savethe.mrk
file:File-->Save,orCtrl-S.
6. ThenextstepistoconverttheeditedbrokenfilebackintoaregularMARCfile.Open
MarcEditandselectMarcTools.Under“InputFile”findthebrokenfileyouedited.
Makesurethefilesuffixis“.mrk.”Under“OutputFile”copyoverthefilenameand
makesurethefilesuffixis“.mrc.”Makesure“MarcMaker”ishighlighted,thenchoose
“Execute”tocreatetheregularMARCfile.
Itisagoodpracticetorenamethenew.mrcfile,inordertoavoidconfusionaboutthe
statusofthecontents.
7. Thelaststepistosubmittheedited.mrcfiletoCARLI.Usuallyyouneedtoplaceitthe
CARLIftpserver,andnotifyCARLIsupportthattheeditedfileisreadytobeloaded.
