Thank you for choosing NACA® Student Government West Institute as you invest in the potential of your Student Government.
Join other student leaders from across the country in sharing experiences, addressing diverse issues faced by colleges and
universities across the nation, and learning how we, as leaders, can make an impact on our campuses and in our communities.
This year’s Institute is a leadership development program for student government representatives. Utilizing various current
leadership development theories, the Institute curriculum is developed to provide participants with strategies to best represent
a diverse group of students and organizations. This interactive program is designed to focus on both individual leadership skills
and to define the role of the student government. Sessions will range from exploring your individual leadership style to learning
some of the basics of student government. Delegates and higher education professionals of all skill levels will benefit from the
hands on curriculum. Each workshop is identified with an experience level to guide participants to workshops that are the most
advantageous for their needs. You will also have an opportunity to experience the rich culture and history of Golden, CO.
It’s important to note that the true effectiveness of this Institute is entirely up to you. You can help the staff shape the Institute
curriculum by indicating issues or skill areas you would like to see addressed on the enclosed forms. In preparation for a
successful experience, we ask that you comply with the following:

provide us with your summer contact addresses, travel plans and roommate preferences;
Each delegate attending the institute must complete and return the Delegate Information, Behavioral Agreement Form and
Institute Delegate Agreement Disclaimer of Liability Form;
The Student Government Advisor or summer contact for the institution must complete and return the Institution
Information Form.

Colorado School of Mines is a public research university devoted to engineering and applied science. It has the highest
admissions standards of any public university in Colorado and among the highest of any public university in the U.S.
Mines has distinguished itself by developing a curriculum and research program geared toward responsible stewardship of the
earth and its resources. In addition to strong education and research programs in traditional fields of science and engineering,
Mines is one of a very few institutions in the world having broad expertise in resource exploration, extraction, production and
utilization. As such, Mines occupies a unique position among the world’s institutions of higher education.
Since its founding in 1874, the translation of the school’s mission into educational programs has been influenced by the needs of
society. Those needs are now focused more clearly than ever before. The world faces a crisis in balancing resource availability
with environmental protection and Mines and its programs are central to the solution. Mines offers all the advantages of a
world-class research institution with a size that allows for personal attention.
Registration and Arrival/Departure Times
Institute registration will take place on Thursday, July 9, 2015 in the main lobby of Maple Hall. Institute staff will be at the
registration area between 11:00 am and 2:30 pm. You will receive your room assignment and keys at that time. The Institute will
begin at 3:15 pm. The Institute will conclude Saturday evening, July 11, 2015 at 10:00 pm. Unless absolutely necessary,
attendees should not arrange departing flights prior to 10:00 pm on Saturday. If your travel arrangements require that you
arrive at the Colorado School of Mines before 11:00 am or after 2:30 pm on Thursday, or will require you to leave the Institute
prior to 10:00 pm on Saturday, please let us know in advance.
Lodging and Keys
Maple Hall will be your home during the Institute. Maple Hall is comprised of four floors. Each suite has two rooms which are
joined by a shared bathroom. Maple Hall is air conditioned and has elevator access to each floor. Each person will receive a linen
packet containing two flat sheets, pillow case, bath towel, hand towel, wash cloth and a blanket. Should a participant require
additional sets, they will be available at the front desk for $6.00 per pack.
You will receive your room assignment and keys at check-in. Every effort will be made to honor roommate requests listed on the
Delegate Information Form; however, it may be necessary to break up larger delegations into different rooms. If you are
traveling alone or do not have a roommate preference, we will be happy to assign one for you. Room keys or conference cards
lost or damaged during the Institute will be charged to the individual at the cost of $125 for keys and $25 for conference
cards.
Meals:
Your Institute registration includes meals beginning with dinner on Thursday, July 9 and concluding with breakfast on Sunday,
July 12. Our meals will be served in Mines Market.
Special Needs:
Any special accommodations or dietary requirements should have been requested on the Institute registration form. Every
effort will be made to accommodate participants’ special needs.
University Policies
All participants will be expected to follow all applicable University policies while on campus.
Smoking Policy
Tobacco use is prohibited in all University buildings. Although recreational marijuana is legal in private homes for people over
the age of 21 in Colorado, it is strictly prohibited on campus.
Alcohol Policy
Alcohol is prohibited in all University residence halls and adjacent public spaces.
Damages
Participants shall use and occupy university facilities in a safe and careful manner and shall comply with all applicable laws and
governmental regulations. In the event University facilities and/or property incur any loss or damages as a result of a participant,
the University will make the repairs and/or replacement of damaged or lost property required, restoring it to the condition it
was in prior to such damage or loss. The participant will be responsible for the damages and will be sent an invoice from NACA
representing the costs to the University to make such repairs and/or replacement.
Reporting Crimes
Participants shall contact the University police at 303-273-3333 (or by calling 911) immediately of any crime or suspected crime
that occurs on or near the University’s campus, and/or during the event regardless of location.
Weapons
Participants agree not to bring any weapon or firearm, including any handgun(s) carried in accordance with the Colorado
Concealed Carry Act, 18-12-201, et seq., C.R.S., into any University facilities, meeting rooms, and athletic facilities and fields.

Recreation Center
The Student Recreation Center is $5.00 per person per day with unlimited usage. If you wish to have access and use the
recreational center, each person will be responsible for paying the cost on your own at the door.
Attire
Dress for the Institute is casual. Colorado weather is generally mild, with temperatures averaging 70 – 80 degrees. Heat waves
do occur periodically, but campus buildings are air conditioned. Since temperatures in building are always unpredictable it is
recommend that you bring clothes you can layer for additional comfort. Be prepared for cooler evenings and occasional rain
showers.
What to Bring
Delegates should bring a copy of their organization’s constitution, bylaws and other governing or procedural documents. These
documents can prove useful in discussions, especially about finances and rules or order. We highly recommend bringing any
other printed materials (brochures, flyers, governing documents), programs, promotional materials (t-shirts, key chains, etc.) or
other information you wish to share; we are hosting a Swap Shop one evening for sharing or trading of items between
delegations.
Guests are advised to bring an alarm clock, lounge wear (appropriate for common living areas), shower slippers, an umbrella
and/or raincoat, and a reusable water bottle and coffee mug.
While all Institute meals, housing and educational materials are included in the Institute registration fee, you may choose to
bring some additional money for exploring the area. Participants will have time to explore Golden after dinner on Saturday.

Transportation
Taxi, limo, town car, and shuttle services are located on the fifth floor of the Denver International Airport (DIA). Super Shuttle
provides service to campus for approximately $35 (www.supershuttle.com). The shuttle may take up to 60 minutes from the
airport to Maple Hall, so please plan accordingly. The physical address of Maple Hall (the residence hall) is 1733 Maple Street,
Golden CO 80401. 24 hour advance reservations are required on shuttle trips returning to the Colorado School of Mines.

Driving to Campus
Driving directions from Denver International Airport and/or from I-25: Take I-70 west, exit Highway 58 to Golden. Exit
Washington Street and turn left to enter into downtown Golden. Turn right on 13th Street and left on Maple to enter campus.
From Denver: Take 6th Avenue and head west into Golden. Turn right on 19th Street. Turn left on Elm Street to enter campus.
From C-470 or I-70: Head east to 6th Avenue. Follow the directions above from 6th Avenue.
From Boulder: Take Highway 93 into Golden. Turn left onto 19th Street. Turn left on Elm Street to enter campus.
Parking
All individuals are responsible for posting a parking pass in the vehicle window and to park in designated lots. Parking passes will
be available at check-in and are $4.00 per vehicle, per day. Vehicles without the proper parking pass are subject to ticketing.

Refund Policy
Refunds for registration will be made only for requests received in writing at the NACA Office prior to the early registration
deadline (May 30, 2014). No refunds will be given for registrations after this date, however delegate substitutions may be
allowed if the request is submitted no later than 4 weeks prior to the start of the institute (June 12, 2015). A $100 administrative
fee will be charged for any cancellation.

General Notice
Participants of the above named NACA® Institute are expected to conduct themselves in a responsible
manner consistent with federal and state laws and host institution policies. Violation of law or policy while
at the NACA Institute will result in the immediate dismissal from the program and notification of the
delegate’s institution, and may result in criminal or civil prosecution. Institute fees are non-refundable.
By signing this form, I agree that I will not participate in the following activities:
1. Use, possession, or distribution of alcohol or illegal drugs during the duration of the institute.
2. Sexual assault or indecent exposure. Sexual assault is defined as the implied use or threatened use
of force to engage in any sexual activity against another person’s will.
3. Behavior which threatens the emotional or physical well-being and/or safety of participants including
but not limited to any form of fighting, vandalism, etc.
4. Unauthorized use of any fire safety equipment including the activation of alarms or extinguisher
without immediate cause.
5. Use or possession of weapons.
6. Skip educational sessions or planned activities.
7. Behavior unbecoming of my college/university and of NACA.
Process
Alleged violations will be reviewed by institute staff. If it is found that it is more probable that a violation
has occurred than not, the delegate will immediately be dismissed from the program. A formal incident
report will be filed and forwarded to the NACA Office.
