Event Service Charges Information Your event may require additional services and this document is here to provide you with information and pricing details to assist you during your planning. Your event planner will work with you to minimise additional costs while ensuring that you have the appropriate level of services to successfully deliver your event. If you require any other services, your event planner will be happy to provide you with any additional required information. If your event requires any of the services below there will be additional charges which your event planner can assist you with calculating: cleaning power/lighting security fire wardens Melbourne Convention and Exhibition Centre (MCEC) staff hire. Convention and Exhibition Centre When your event is in the Convention Centre, Exhibition Centre meeting rooms or has tenancy in both the Convention Centre and the Exhibition Centre and involves an exhibition build, Plenary or alcohol being served, security is provided through our partner, Business Risk International (BRI). You can discuss the number of guards required with your event planner. Convention Centre pre and post exhibition cleaning and waste management All events at the Convention Centre that have an exhibition are required to have a preopening and post event clean. IKON Cleaning Services will ensure that all rubbish is removed from the exhibition area before and after your event. A bay scrub is a deep clean with specialist equipment to bring the area back to the same condition as when your tenancy started. Your event planner will engage our service partner, IKON Cleaning Services, on your behalf IKON Cleaning rates for a bay scrub: Number of bays per show Charge 1 – 9 Bays $ 298.70 10 – 15 Bays $ 247.20 16 – 20 Bays $ 226.60 Loading dock MCEC’s loading docks are available for the delivery of items related to your event. If you require access to the docks outside of our business hours (0700-1630) your event planner can assist with arranging this - charges may apply. Portering - Hourly rate per staff MCEC logistics staff $ 55.00 Note – minimum four hours applies outside of business hours Convention Centre Depending on the size and nature of your freight it is recommended that a freight forwarder be engaged for deliveries for exhibitions. If this is not manageable you can discuss the option of utilising our logistics team with your event planner - portering and/or forklift charges will apply Exhibition Centre – Meeting Rooms Depending on the size of the freight there may be a charge and your event planner will be able to advise of this and provide a delivery label. Exhibition Centre – Bays For all events that are in the bays a freight forwarder needs to be engaged for the loading and unloading of all exhibitor equipment. You can discuss the number of staff required with your event planner. Hourly rate per staff (minimum four hours) Weekdays $ 41.20 Saturday $ 46.35 Sunday and Public holidays $ 54.60 Lighting and Power Your event planner is available to discuss these services and assist with calculating the relevant charges for your event. Exhibition Centre – Bays Power and lighting consumption for all public and trade events are charged at $0.127 per KWh. MCEC also offers green power options that are calculated at a different rate to the above. Contact your event planner to discuss this alternative. Concourse access Exhibition Centre – Bays Every bay door to the concourse allows for the movement of equipment. Bay doors three and eight are the only doors that are accessible to the concourse for large equipment (e.g. vehicles). Security maybe required to ensure OH&S and security protocols are met. Your event planner is available to discuss these services and assist with calculating the relevant charges for your event. Convention Centre and Exhibition Centre Smoke or heat detectors need to be isolated for the activities below and fire wardens are required to action this to ensure fire safety is maintained: cooking demonstrations pyrotechnics smoke and/or fog machines hazers any activity that may affect the smoke and/or heat detectors. If you’re uncertain as to whether your event’s activities require a fire warden your event planner can provide advice. Convention Centre and Exhibition Centre Our team can be hired to assist with your event registration, cloakroom, satchel packing and other activities. Meeting Rooms For any early/late access requests in Meeting Rooms an hourly charge of $330 inc GST will apply per room per day Please note all early/late access requests must be approved by your Account Manager/SWME Executive. Melbourne Room / Plenary For any early/late access requests in Melbourne Room 1,2, Melbourne Room, Plenary, 1,2,3, Plenary an hourly charge of $660 inc GST will apply per room per day Please note all early/late access requests must be approved by your Account Manager/SWME Executive. Exhibition Bays For any late access requests in the Exhibition Bays the following charges will apply: An hourly charge of $660 inc GST per bay will apply between 2100 - 2200 hours, any access after 2200 hours will be charged at $1,100.00 inc GST per bay per hour. Please note all early/late access requests must be approved by your Account Manager/SWME Executive.
