Web Time Entry for Exempt YOU WILL NEED: 1. Your User ID number (Your User ID # is on the front of your ID card) 2. Your PIN (If you don’t know your PIN please contact the IT Support Center @ ext. 5550) GO TO Zagweb.gonzaga.edu Enter Secure Area Login with User ID & Pin AT MAIN MENU Click "Time Sheet" Click "Employee" tab UNDER "MY CHOICE" Select "Access My Time Sheet" Click the "Select" BuUon Select the appropriate "Title, PosiWon & Department" AT PAY PERIOD & STATUS Click the pull down arrow to find correct Wmesheet Click the "Time Sheet" BuUon Verify Time Sheet Information 1.) Verify you have selected the correct Time Sheet Period 2.) Make note of the “Submit By Date” (NOTE: A time sheet must be submitted for each position you work) How to Record No Exception Time Used If you have no exception time to report, anything other than regular and holiday hours: • • • • Click the first ‘Enter Units’ link Enter ‘1’ Save No additional entry of units is necessary Your time sheet is now ready to submit for approval. How to Report Exception Time (Time Off) • To enter Exception hours o Click on “Enter Hours” under the correct date column o And correct earnings description line • • EXAMPLE: You took 8.0 hours of vacation on Tuesday, Aug. 02, 2011 Click on “Enter Hours” for Tuesday 02-‐AUG-‐2011; Vacation; a blank “hours block” will default to the screen; 1. Input 8.0; 2. Click “Save”; your hours will be displayed in the Tuesday 02-‐AUG-‐2011 column. 2 STAFF -‐ EXEMPT • To complete any other exception hours for the remainder of the pay period, 1. Scroll down to the bottom of the page; 2. Click the “Next” button and complete remainder of days in the pay period (NOTE: If the “Next” button is at the bottom of the page, there are additional days to be completed) Explanation of buttons at the bottom of your Time Sheet • • • • • • Position Selection: To enter hours for an additional position you are working Comments: Explanation to document irregular hours (i.e. university snow day, supervisor grants early dismissal) Preview: To review hours and comments entered before submitting for approval Submit for Approval: To send your time sheet to your supervisor for approval Restart: Restarting will delete all hours and comments Next: To go to the next day(s) of the pay period you are reporting hours for The following buttons you will see after you have submitted your time sheet. • Return Time: You may retrieve & make corrections to your time sheet after you have submitted, ONLY if your supervisor has not yet approved it. The status of your time sheet is always listed at the bottom of the screen. 3 STAFF -‐ EXEMPT 1. 2. 3. 4. How to Copy Exception Hours Click on “Enter Hours” for the appropriate day & earnings code; Enter the number of hours; Click on the “Copy” button; Select the days that the hours need to be copied to; 5. 6. 7. 8. Scroll to bottom of the page; Click “Copy” You will receive the message “Your hours have been copied succesfully.” Scroll down to bottom of page and click on either “Time Sheet” to continue entering hours for the pay period. How to Change Hours If any hours need to be changed or corrected after you have recorded them, click on the hours to be changed (which will take you back to the hours block) highlight the hours and use your “delete” key to zero out the hours and then click “Save”. How to Submit Time Sheet for Approval 1. 2. 3. 4. Continue until you have entered all your exception hours for the pay period. Scroll down to the bottom of the page to add necessary comments, preview time sheet; IMPORTANT! BE SURE to “Preview” your time sheet before you submit it to for approval Select “Submit for Approval” Your time sheet was submitted successfully” will appear on your time sheet, which means that it is in your supervisor’s queue waiting for approval. 4 STAFF -‐ EXEMPT Have Questions?
